Introductory Message

This Self-Learning Module (SLM) is prepared so that you, our dear learners,
can continue your studies and learn while at home. Activities, questions,
directions, exercises, and discussions are carefully stated for you to understand
each lesson.

Each SLM is composed of different parts. Each part shall guide you step-by-
step as you discover and understand the lesson prepared for you.

Pre-tests are provided to measure your prior knowledge on lessons in each


SLM. This will tell you if you need to proceed on completing this module or if you
need to ask your facilitator or your teacher’s assistance for better understanding of
the lesson. At the end of each module, you need to answer the post-test to self-
check your learning. Answer keys are provided for each activity and test. We trust
that you will be honest in using these.

In addition to the material in the main text, Notes to the Teacher are also
provided to our facilitators and parents for strategies and reminders on how they
can best help you on your home-based learning.

Please use this module with care. Do not put unnecessary marks on any
part of this SLM. Use a separate sheet of paper in answering the exercises and
tests. And read the instructions carefully before performing each task.

What I Need to Know

This covers the knowledge, skills, attitudes, and values needed to perform
computer operations which include inputting, accessing, producing, and
transferring data using the appropriate hardware and software. The language used
recognizes the diverse vocabulary level of students. The lessons are arranged to
follow the standard sequence of the course. But the order in which you read them
can be changed to correspond with the textbook you are now using.

The module contains three lessons namely;


Learning Outcome 1: Plan and prepare for task to be undertaken
(TLE_IACSS9- 12PCO-Ic-d-4)

1.1 determine requirements of task in accordance with the required output;


1.2 select appropriate hardware and software according to task assigned
and required outcome;
1.3 plan a task to ensure that OHS guidelines and procedures are followed;
1.4 follow client-specific guidelines and procedures; and
1.5 apply required data security guidelines in accordance with existing
procedures.

Learning Outcome 2: Input Data into Computer

What is It

The computer as we know it today has its beginning with a 19th Century
English Mathematics Professor name Charles Babbage. He designed the Analytical
Engine and it was this design that the basic framework of the computers of today
are based on. Generally speaking, computers can be classified into three
generations. Each generation lasted for a certain period of time and gave us either
a new and improved computer or an improvement to the existing computer.

Computer Defined
Computer is an electronic device that stores, retrieves, and processes data. It
can be programmed with instructions. It is composed of hardware and software,
and can exist in a variety of sizes and configurations.

The computer performs basically five major operations of functions


irrespective of their size and model. These are: 1) accepting data or instruction by
way of input, 2) storing data, 3) processing data as required by the user, 4) giving
results in the form of output, and 5) controlling all operations inside a computer.

1. Input: This is the process of entering data and programs into the computer
system.
2. Control Unit (CU): The process of input, output, processing, and storage is
performed under the supervision of a unit called “Control Unit”. It decides when
to start receiving data, when to stop it, where to store data, etc.
3. Memory Unit: Computer is used to store data and instructions.

4. Arithmetic Logic Unit (ALU): The major operations performed by the ALU are
addition, subtraction, multiplication, division, logic, and comparison.
5. Output: This is the process of producing results from the data for getting useful
information. The ALU and the CU of a computer system are jointly known as the
Central Processing Unit (CPU). You may call CPU as the brain of any computer
system.

Computer Hardware
Computer hardware refers to all the physical parts of a computer system.
This includes the keyboard, monitor, mouse, and internal parts of the system unit.
The main components of the computer hardware are input devices, output devices,
system unit, and storage devices.

Computer Software
Software is a set of programs designed to perform a well-
defined function. A program is a sequence of instructions. There
are two basic types of software: the system software and
application software.

System Software
System software is a collection of programs that directs a
computer’s processor to perform specific functions. It serves as
the interface between hardware and users. It includes the operating system, device
drivers, and utilities.

Operating System
An operating system is the most important software that runs on a
computer. It manages the computer's memory, processes, and all of its software
and hardware. It also allows you to communicate with the computer without
knowing how to speak the computer's language. Without an operating system, a
computer is useless. Examples of Operating System are: Mac OS, Linux, and
Windows

Occupational Health and Safety


Occupational Health and Safety (OHS) is a planned system of working to
prevent illness and injury where you work by recognizing and identifying hazards
and risks. Health and Safety procedure is the responsibility of all persons in the
computer and technology industries.

There are three steps used to manage health and safety at work:

1. Hazard Identification (Spot the Hazard)


2. Risk Assessment (Assess the Risk)
3. Risk Control (Make the Changes)

Tips to avoid muscle, eyes, and joint problems

 Sit at an adjustable desk specially working with computers.
 Position the computer monitor (screen) either at the eye level or slightly lower.
 Put your keyboard at a height that lets your elbows rest comfortably at your
sides. Your forearms should be roughly parallel with the floor and should be
at the level of the keyboard.
 Place your mouse at the same height as your keyboard.
 Make sure your main source of light (such as a window) is not facing directly
onto the computer screen.
 Tilt the screen slightly to avoid reflections or glare.
 Make sure the screen is not too close to your face.
 Use Personal Protective Equipment (PPE) during hands on computer
hardware tasks.

Things to remember:

Working at a computer can cause back, neck and shoulder pains, headache,
eyestrain and overuse injuries of the arms and hands which can be avoided by
following the simple reminders below:

 Help avoid computer-related injuries with proper furniture, better posture,


and good working habits.
 Put sensible time limits on computer use and video-gaming.
 Take regular breaks from using a computer and should do some physical
activities each day.

Ways to Protect your Personal Computers


We know that computers are very essential today especially when you are
working daily with a computer related activities. Below are some of the symptoms
of a computer virus and how to protect your computer.

Symptoms of a computer virus:

Your computer may be infected if you recognize any of these malware symptoms:
 slow computer performance
 erratic computer behavior
 unexplained data loss
 frequent computer crashes

Preventing computer malwares:

 Use antivirus protection and a firewall.

 Get antispyware software.
 Always keep your antivirus protection and antispyware software updated.
 Update your operating system regularly.
 Increase your browser security settings.
 Avoid questionable websites. 8
 Only download software from sites you trust. Carefully evaluate free software

Practice safe email protocols:

 Avoid opening messages from unknown senders.


 Immediately delete suspected spam messages.

2 Computer System

Inputting Data into Computer


The process of entering data and instructions into the computer system is
called inputting. Input can take a variety of forms; from commands you enter from
the keyboard to data from another computer or device. A device that feeds data into
a computer such as keyboard or mouse is called an input device.

Other data processing software includes:

 Personal Productivity Software enhances its user’s performance on a


specific range of common task. This software supports database
management and analysis, authoring and presenting, activity and notes
tracking.

 Electronic Spreadsheet are programs that are used for analysis, planning,
and modeling. They provide electronic replacement for more traditional tools
such as paper worksheets, pencils, and calculators. In a worksheet of rows
and columns are stored in the computer’s memory and displayed on the
video screen. Data and formula are entered into the worksheet and the
computer performs the calculations based on the formulas entered.

 Database Management facilitates the storage, maintenance, and utilization


of data in a database that is shared by many users. Microcomputer DBMs
enables the users to:
 create and maintain database
 query a database with a query language

 Word Processing are programs that computerize the creation, edition, and
printing of documents by electronically processing text data. It is an
important application of office automation and the most common personal
computer application.

 Desktop Publishing is a software to produce their own printed materials


like newspapers, brochures, manuals and books with several type styles,
graphics, and color on each page.

Without user input, a computer simply takes up desktop space and waits for
directions. Without input, methods and devices, your correspondence, reports,
images and numbers remain in your head rather than becoming work in progress.
Your computer may accept input from different types of input devices like keyboard
and mouse.

PROCESSING THE DATA

The traditional description in Operating Systems classes is a program


execution along with all its necessary state. The processor processes the commands
when it is being executed. A process has at least one thread execution and might
have more than one. Each of those threads will have state as well, which is part of
the process state and therefore part of the process.

Check the Accuracy of Information

When getting information from any sources, it is important to evaluate first


the information in order to make it reliable. There are things to consider in
evaluating the information.

 Currency pertains to the timeliness of information. Some questions you may


ask to yourself before considering the currency of information are:

 When was the information published or posted?


 Has the information been revised or updated?
 Does your topic require current information or older sources
work as well?

 Relevance refers to the importance of the information to your need or how it
relates to your topic.
 Authority is a source of information. There are some sources that are not
authorized to produce information. In order to prevent yourself from taking
false information, be sure to check the author if they are authorized to do so.

 Accuracy is the reliability, truthfulness, and correctness of the content.


Consider it by asking yourself some of these questions.

 Is the information supported by evidence?


 Can you verify the information in other sources or from your
personal knowledge?
 Purpose – The reason the information exists.

 What is the purpose of the information? Is the information


produced to inform, teach, sell, entertain or persuade?
 Do the authors make their intentions or purpose clear?

Storing the Data


The last phase in the computer operation is the storing of data. This is the
process in which you will be saving your data for future use. To store it, you need
to have a data storage device. Examples of Data Storage Devices are as follows:

* Tape * Solid State Drive (SSD)

the steps below on how to print a document.
1. Press Ctr+P or Click on ‘File’ button.

2. Click ‘Print’ button.

3. Select the printer where you want to print your document.

Output Data
Any information that is processed14by and sent out from a computer or other
electronic device is considered an output. It can be text, graphics, tactile, audio and
video. An example of an output is anything viewed on your computer monitor
screen, such as the words you type on your keyboard. Sample output devices
include monitor, printer, graphic output devices, plotters, speakers, etc.

There are many different file formats as there are different programs to
process the files. A few of the most common file formats are:

 Word document (.doc or .docx)


 Excel document (.xls or.xlsx)
 PowerPoint document (.ppt or .pptx)
 Webpage images (.jpg, .gif and others)

 Multimedia files (.mp3, .mp4, .avi, and others)

Performing Works within Ergonomic Guidelines


When working on with the computer, ergonomic guidelines must be observed
all the time to prevent you from any risks. Here are some of the ergonomic
guidelines to follow:
1. Always work in neutral posture.
 good upper body posture (shoulders back but relaxed)
 feet firmly on a surface for support (floor/footrest)
 knees at an angle greater than (>) 90 degrees (Angle behind the knees
should be open. Do not seat with the legs tucked under the chair.)
 back supported by chair
 head balanced on neck
 upper arms close to body and relaxed

2. Organize a normal work area. Organizing a normal work means keeping


your area suitable and free from disturbance and risks. Take away those
unnecessary things within your area so that you can work freely.
3. Check the computer screen position. The computer screen must be
positioned properly so that you can comfortably view the screen without
having the noticeably tilt.

Accessing Information Using
3 Computer

Application Software
Application software (app for short) is a program or group of programs
designed for end users. Applications may be bundled with the computer and its
system software or can be downloaded/purchased separately. It can also be coded
as proprietary, open-source or university projects.

Different Types of Application Software


Computer application software is basically programs and procedures
intended to perform specific tasks on a system. There are different types of
application software from the lowest level assembly languages to the high-level
languages as seen below.

 Word Processing Software allows the user to create, edit, and print
documents. It enables you to write text, display it on screen, store it
electronically and modify it by entering commands and characters from the
keyboard and print it.

 Database Software is a utility or software program developed to create, edit,


store, search, extract, automate, and maintain database files and records.

 Spreadsheet Software is an application capable of organizing, storing and
analyzing data in a tabular form. The application can provide digital
simulation of paper accounting worksheets.
 Multimedia Software allows user to create image, audio, video and etc. It
was developed to create new multimedia content and enhance the visual and
auditory features of already existing material.
 Presentation Software is used to display information in the form of a
slideshow. It has three major functions: an editor that allows text to be
inserted and formatted, a method for inserting and manipulating graphic
images, and a slideshow system to display the content.
 Enterprise Software is used to satisfy the needs of an organization rather
that individual users. Such organization includes businesses, schools,
internet-based user groups, clubs, charities, and governments.
 Information Worker Software addresses the needs of individuals to create
and manage information, often for individual projects within a department.
 Educational Software is made for educational purposes. It encompasses
different ranges from language learning software to classroom management.
 Simulation Software is based on the process of modelling a real
phenomenon with a set of mathematical formulas. It is essentially a program
that allows the user to observe an operation through simulation without
performing that operation.
 Content Access Software is used primarily to access content without
editing but include software that allows content editing. Such software
addresses the needs of individuals and groups to consume digital
entertainment and published digital content.
 Application Suites is a collection of computer programs usually application
software or programming software of related functionality, often sharing a
similar user interface and the ability to easily exchange data with each other.

Application Software Installation


Some application software are pre-installed in the computer upon purchase
so there is no need for this software to be installed manually. However, for
applications that are not installed yet, you need to have an installer. You may
obtain the installer by downloading it from the internet through the official website
or via disc. Application software installers are usually an executable file with (.exe)
file extension. Once the installer is downloaded, you can install the application in
your computer. Below are the steps on how to install application software.

1. Download the installer from its official website.


2. Once you have the installer, you may double click it or right click using your
mouse and then click on ‘Run as Administrator’. See figure below.

3. After clicking the ‘Run as Administrator’, a pop-up window will appear
asking you to install the application. Click ‘Install Now’.

4. There are applications that need product key. When prompted, enter the
product key.

5. Wait for the installation to finish.

6. Once finished, a window will prompt. Just click on the ‘Close’ button.

Using the Application


Once the application is installed in the computer, it is now available for use
anytime. Usually, an application icon is placed in your desktop screen. See figure
below.

There are also applications that will not be automatically placed on your
desktop screen. Just click on the magnifying glass icon on the bottom left-hand
corner of your screen to search for the application. Click on the application to run.
See figure below.

The main components of the desktop are the icons on it and the panel at the
bottom of the screen. Desktop icons represent files, directories, applications,
functions, and removable media like CDs or DVDs. The desktop has the following
icons by default.

 Trash/ Recycle Bin contains files and folders that have been deleted.
 My Computer displays information about hardware network status,
operating system, hard disks, common folders and removable devices.
 Main Menu is a well-ordered structure for accessing the main application. It
also contains menu items for major functions like logging out or searching
for applications.
 Taskbar by default, displays all started applications and open windows
which allows you to access any application regardless of the currently active
desktop.
 System Tray is the right most part of the panel usually holds the system
clock, date, volume control, internet icon, battery status (for laptop) and
managing notifications.
 Notification area displays the programs running in the background and
information.

Keyboard Techniques with Operational Health and Safety
Requirements
In order to develop optimal keyboarding speed and accuracy, you need to
use proper technique. Not only does proper keyboarding technique help develop
skill, but it also helps prevent the development of RSI (repetitive stress injury, more
commonly known as carpal tunnel).
Correct keyboarding technique requires proper hand positioning at the
computer keyboard and learning to key by touch, thus enabling eyes to remain on
the copy rather than watching fingers.
Correct Keyboard Techniques:

 Position feet on floor for balance (don’t cross).


 Center body to the “H” key with elbows at sides.
 Sit up straight.
 Adjust chair so you are a “hand span” away from edge of keyboard.
 Curve finger over the home key.
 Keep wrists of the keyboard.
 Keep eyes on printed copy.
 Key by touch.
 Key with a smooth rhythm.

Correct Hand Positioning on Keyboard


The fingers on your left hand should be placed over the A, S, D, and F keys
and the fingers on your right hand should be placed over the J, K, L and ; keys.
Your thumbs should either be in the air or touching the spacebar key very lightly.
