The aim of the event is to maintain the wellbeing in the local community and build a healthy

Timeline: During this meeting we were able to finalise the event we were going to and choose an
appropriate date and time for the date, however these were yet to be confirmed by our teacher. We
also had the opportunity to discuss the marketing strategy we were going to use.
Near the end of the meeting, we had a brief discussion on the financial aspect of the event and the
finance officer was able to work out the cost of all resources needed for the event and gave us a budget.

The activities that would take place during this week would be a basketball activity. As the activities
that would take place there would be a team-based activity and an individual-based activity. As these
activities will last for 2 hours and the team-based activity will be people required of 5 people per team
and will also be asked to work as a team and answer sets of questions on the quiz and on how much
knowledge they have on Basketball as depending on the outcome of the amount of people who would
participate Whilst in the Individual activity the quiz will only be based about your knowledge about
basketball and will also have a limited time but the person who gets the highest points then they
would advance to the next round and the format for individual activity will just be the exact same for
the team-based activity depending on the people who attend and participate in the activity.

Timeline: This week's plan was to overlook all the activities we had already commenced. As The Quiz
event was successful, and the participants' high engagement and positive responses indicate that we
achieved the event's goals that was to maintain the wellbeing in the local community and build health
relationships between others in the local community by entertaining and sharing knowledge between
everyone. The event gave a chance to all the students to enjoy the moment with other people, engage
with them and build friendships. The event's ability to bring students together in a fun way shows its

receiving good feedback from stakeholders.
Meeting aims and objectives The aims and objectives of the event are to maintain the
wellbeing in the local community and build a healthy
relationship between others in the community and raise
awareness that these types of events and activities
should carry on soon.
Through the event we met our current objectives by
having and making many people attend the event and
speaking to many other people and asking them
questions about the event's success. Our team well
achieved the objectives that we have set for ourselves,
and it is that we have made it, so the Children are well
taken care of, and they are being always supervised,
indicating that their safety is the main priority.
Our team should overthink our current plan and we also
should hand out questionnaires about the event overall.
They were not that many obstacles that were stopping
us from achieving our aims and objectives and it truly
about the popularity of people expected to arrive at the
event and another thing is also about another plan that
can be scheduled and set up for the children if the
overall event turns out to be a success.

Achieving Targets The original targets set up for the event we


planned for the attendees are to ensure
everyone has a suitable time and, most happily,
those who attend the event would want another
event like this one. The other targets that were
also set up were that no sudden occurrences
should happen, whether that is injuries, broken
bones, one another angry at another person and
any interference with those who are not taking
part in spectating or participating in the activity
either.
The targets that we set up for the event and how
we can achieve this is by having adult and more
likely the children's careers to act as a support
team to ensure the safety of the children and
make it so that many children's tone and self a
steam doesn't skyrocket to a certain extent in
which can cause others to feel upset. Another
thing is that making sure no one gets any broken
bones, or any injures we will need to select areas
in where the children can run around and make
sure that everyone must always stay within a
certain area because it would be very helpful to
locate everyone and ensure the safety of the
attendees and as by doing so will allow the
people who could possibly get hurt be attend to
by nurses and a medical team that will be placed
there as soon as possible.

perfection as once the attendees arrived, we
were able to give them directions on where they
can and cannot go past by as this will ensure the

per the feedback given by the participants. Also, the
team and it performed as anticipated. Many students
took part in the event, which allowed us to evaluate
how effective our selected marketing method was.
M5 Analyse the planning and running of the event, how risks and contingencies were managed,
making recommendations for future improvements

Analyse the planning During the event, the things that went well is
that the event ran smoothly, and no major
problems had occurred, another thing is that
went well during the event was the teams that
were being formed as like the marketing
teams to promote the event with leaflets and
flyers around the location of the venue and
also for the others who were apart of the
marketing teams. Also, while, organising and
facilitating the event, every part of the process
happened perfectly because coordination among
team members was excellent; this includes
coordination while planning and executing tasks.
Since I am the team leader, when it comes to
selecting teammates, I decided to take four from
among those who study with us. Once the group
had been created, we had meetings for discussing
issues related to event planning. In the first of
those meetings, we assigned various jobs to
members of our group at which time everyone
was pleased with what they had been given.
The team communicated directly and flawlessly at
the meetings during which everyone could share
their opinion on various aspects of event
organization. All through the preparations our
motivation was high because we were very eager
for it to be successful. Even more, we encouraged
ourselves so that the team’s efficiency remains up
to par. My team and I made a Gannt chart to keep
track of deadlines and to boost team morale since
everyone performed their tasks optimally. In my
capacity as a deputy team leader, I took part in
planning activities ensuring that the team
remained focused on the meeting. I carried out a
risk assessment to pinpoint all potential danger
areas that could harm participants and devised
methods of managing them. The success of the
event was facilitated by the risk analysis plan
which stated that the students were safe there.
Moreover, a backup plan was formulated in case
challenges occurred at the event.
Analyse the running of the event During the event, I noticed that by having the
class was the right choice from the number of
students that attended. This was facilitated since
we used Coulsdon college as our venue and we
did not incur any charges because we used their
equipment for free. The group work was quite
cordial, and people worked together very well
which is how we managed to be successful during
the event. A few people did not turn up on time
because the train service was not working. They
could have gotten ready before this time but since
they didn't, we had to start the ceremony some
more minutes later, which is not good because in
any case, time keeping is key though
unfortunately it made the spirit low for the team;
despite this happening, the team had very good
coordination throughout the event.

Before the event, the equipment which included


the computers and tables was well set ready. And
the team made sure that chairs were availed as
planned so that they could be given back to the
college staff when it was over. We developed an
accurate risk assessment which considered every
risk in collaboration with other members of our
team, so therefore protecting the safety of our
participants as well as our own human resource
during this event. For our team, we made a
suitable backup plan to anticipate any problems
that may arise during the activity. This facilitated
full preparedness and professional outlook due to
its inclusiveness in terms of foreseen challenge.
The event will be more successful if my team
evenly distributes the chairs collected from some
other classes for more students to take part in it.
The more participants, the greater the earnings for
the charity. To avoid road congestion or transport
hitches, I and the head of the team had better
advise all members to come earlier. To ensure that
all the people who attended paid the £3 entry fee,
as I will need to organise for someone else to be
on standby outside to receive the fees. In
conclusion, we must say that the event was a
success on our part as a team. Communication
was key through constant reminders among each
other; hence we were able to finish all tasks on
time, including ourselves.
Risks The risk assessment that was implemented to
ensure the safety of the people who attend the
event will need to be performed with extreme
attention as the venue will be held within a
building, however people can be accessed to
go outside for fresh air and to enjoy the
weather. Another thing is by identifying the
potential risks and key issues that could
happen during the event in which could lead
to many injuries. We also must take extra
precaution on what food we sell and give to
others as before we serve food there must be a
sheet of paper with the ingredients of the food
as that it would be major for a person or
persons to end up sick suddenly. Another
thing is that we should evaluate the risks of
needing more equipment as maybe a lot of
people might attend the event on compared to
the expected amount of people could come, as
by having a backing plan will be extremely
useful for unfavourable risks. Also, by being
prepared you can ensure having a smooth and
enjoyable quiz for those who will participate
in it.

Contingencies IN the event, having set up contingencies will


place you in a good spot as it is very crucial to
handle unexpected situations that could occur
and for it to run smoothly. Another thing is
that contingencies may include several
backup quiz questions in stored just in case
the quiz wasn't enough and hard for everyone,
another thing is that it ensures that there are
additional staff that can assist with many
unexpected challenges and occurrences and in
having a clear communication plan to directly
address any last minutes mishaps or
emergences. However, by having these
contingencies in place, I can fully assure any
misfortune and any disturbances would not
occur on the event day and I can also ensure
the quiz event will run successfully even in
the face of unwanted circumstances. With this
my team and I will suitably be able to
overcome all these obstacles.
Recommendations for future improvements In the future, the things that I want to improve
on soon is being more experienced. As we
would need to practice some circumstances in
case it might happen in the real event just so
that we can prepare for it beforehand. As
Another thing that I would change looking
forward to a near future improvement is by
wasting less time in organising an event. As
for example, it took My Team, and I took a
long time to discuss and process everything
that we were planning in which can cause a
lot of people confusion. Lastly, Another thing
that could be improved further in the future is
that in the very first meeting not all of the
members who are going to participate and
help out in the event are in the meeting as this
could cause confusion, stress and time,
bearing in mind that this could potentially
slow us down as we weren't able to continue
with a few things that the rest of us hand in
mind leading us to discuss the event another
time.

Write a Conclusion Overall, I am satisfied with what my team and I


were able to achieve for our first event and would
do it again only this time with a little bit of
changes as mentioned before.

was successful and encouraged me to become

is that I was able to find the venue in which

turn up and also a place that is very accessible
and easy for people to locate. Another thing is
that I was able to give suggestions to the
Marketing Officer and Finance Officer on
ideas that will help us to not spend a
tremendous amounts of money and also have
flyers and post them around the location of
the event and also have people to post leaflets
to people's houses to ensure that most likely
one happy family could participate and attend
the event.

If I had placed a restricted zone for people to
only go to a certain area and not wonder of as
these thing could cause someone to become
lost and the person could also have lost track
of where to go and return back to the
designated area in where everyone is meant to
be.

was able to Plan out all the steps that I been
able that are meant to be intact as for starters

be prepared. As by planning of time is one of
the most ideal ways to limit stress as that by
doing this can limit the amount of time you
spend on.

Team Leader as it sets me apart from
everyone else. As I would be asked to give
