NOTICE WRITING:
Format
CREATIVE HEADING (1mark)

NAME OF THE EVENT (1mark)


DATE (SHOULD BE 10-15 DAYS AHEAD) (1/2 mark)
TIME (STARTING AND ENDING TIME) (1/2mark)
VENUE (SMALLER TO BIGGER) (1/2+1/2 mark)
PARTICIPANTS (1mark) Rules to keep in mind:
• The notice must be written in center alignment.
• Creative heading must be in CAPITAL LETTERS and not more than 3-4 words. It must
be appropriate to the mentioned event.
• Vernacular words cannot be used in creative heading..
• Leave a line after creative heading.
• Details of target audience, invitees and to whom the names have to be given to be
mentioned clearly. e.g., All pupils from classes 8 to 10 must give their names to the
Activity Co-Ordinator/ respective Class Teachers, etc.
• In the event name, add words of your own. For e.g. in case of Singing Competition, you
could write The 5th Annual Singing Competition.
• a.m. / p.m. to be mentioned in time.
• Make sure to maintain strictly the order of writing the notice: Name of the event, Date,
Time and Venue.

Sample 1
You are the President of the literary club at your school. Your school is going to organize a Talk
Show with your favourite author at school. Draft a notice informing all students for the same.
FEAST FOR BOOKWORMS

Annual Talk Show will be organized


on 04th March, 2024
from 10 a.m. to 1 p.m.
in the School Auditorium, M.C. Kejriwal Vidyapeeth.
All interested students from Classes VIII to XII can give their names to their respective English
teachers by 24th February, 2024.

2.EMAIL WRITING
FORMAT

KEY POINTS:
• Do not use capital letters in Email id. No personal email id is to be used for official
positions.
• Subject must be short. You must be careful of the pronouns you are using. If you are inviting
someone, it must be ‘you’ not ‘his’.
• The following salutations are accepted- Sir/ Dear Sir, Madam/Dear Madam.
• Opening sentence must be absolutely different from content. However it should be relevant to
the email. Do not write all the elements of content in the first sentence itself. If possible,
demarcate the opening sentence as a separate paragraph.

• Closing sentence- Again if possible, demarcate it too.


• Only the following subscriptions are accepted- Yours faithfully, [to be written in the left-
hand side of your page]
• Content marks is dependent on date, time and venue (both smaller and bigger)
• Expression includes all details of the notice in full sentences (any minor mistakes are also
penalized).
• Box is necessary for email.
• The message to be conveyed using clear and simple language. (No short form or SMS
vocabulary and spelling)
• Traditional rules for punctuation is to be maintained.
• All communication must follow the standard norms of etiquette.
• The tone must be formal

Sample 1
Write an email to the Principal of a neighbouring school, to inform and inviting him/her to
send their students to attend the Talk Show.

Sir,
I, Arun Shaw, the President of the Literary Club of M.C.Kejriwal Vidyapeeth, take the
privilege to inform you that our school is going to organize a Talk Show with Ruskin Bond.

‘Feast for Bookworms’, the Talk Show, will take place on 04 March, 2024 from 10 a.m. to 1 p.m.
at the School Auditorium, M.C.Kejriwal Vidyapeeth.
We would be highly obliged if you send students from senior school to participate in the event.
