POS – Back Office

1. Reseller Set Up
a. Contact Number – We need to remove the country code of +1 as most of our customers
will be in the US so this will be a given.
i. We need to make this change on everywhere the system asks for a contact
number
b. Full Name – needs to be changed to contact name
c. Adjustments
i. This needs to be set as a default rate of 2.00% - 4.00% then we can adjust up to
the 10% if needed - this as needed to help things get set up quicker.
ii. I do not see an option for the flat rate under the adjustment tab
d. Address Details
i. This should auto populate by searing the web. It is not auto populating right
now
1. This change needs to be made on each place it requests for an address
2. Reseller Portal
a. When you upload the logo in the reseller set up under the back office it does not
populate in the reseller portal in the top left corner
i. Also if we could make it so the merchant could either upload or drag or drop the
file that may be more user friendly
b. Full Name – needs to be changed to contact name
c. Address Details
i. This should auto populate by searing the web. It is not auto populating right
now
1. This change needs to be made on each place it requests for an address
d. What is the reply to field for?
e. Tax Settings – we need a table to pop up similar to the tip table. This way we can add in
tax amounts. Some states have different tax amounts for different items such as food
and liquor. We need the ability to add in multiple tax items and then each item of
inventory you should be able to select multiple tax rates if needed depending on the
product
f. Need an option to login as merchant from the reseller portal and main back office so
that we can walk the merchant through doing things in the system
3. Merchant Set Up
a. For the logo upload – we only need this once instead of twice. Then put in a check box
next to the logo to include this on the receipt. This makes an easier flow for merchant
set up.
b. When setting up the receipt in the merchant portal can we show them an example of
what the receipt will look like as they change options see screenshot below
i.

c. Need to be able to set up the merchant without the api key.


i. We need to have a save button then a submit button
ii. Save button will allow for us to enter in merchant while we gather all data
iii. The submit button will not allow the merchant set up to be submitted unless all
is filled out.
d. Need to be able to see all transactions under merchant and not just last 10
4. Merchant Portal
a. We need to remove the merchant tab from users and make a merchant tab by itself
b. Under the merchant tab we will need the following tabs moved there:
i. Item Catalog
ii. Feedbacks
iii. Manager and Employee add
iv. Reporting
c. Reporting Needs more flexibility
i. I have attached some reports that will show the reporting we need to offer.
ii. If a merchant office has multiple locations then we need the option to pull these
reports for the whole group or the individual location.
iii. All reports should be able to be exported via csv or pdf
iv. All reporting should show the custom fee (cash discount amounts)
v. All reports should be allowed to select a date range and pull a report from that
date range
vi. General Reports should show Dates, Account name, # of sales, Amount of Sales,
Number of Refunds, Amount of Refunds, Net total of all of that. (swipe simple
report 1)
vii. Sales report you should see subtotals, discounts, sales tax, tips, refunds, total
net sales, total net card sales and total cash sales. (swipe simple report 2)
viii. Sales Report I have an example that shows the adjustment fee (swipe simple
report 8)
ix. User Reporting under a merchant account. This report will show the user id,
number of sales, total of sales and total tips. (swipe simple report 3)
x. Item Reporting It should show the item name, number of items sold, dollar
amount of items sold, current count – how many items sold, and then if it has a
category it will show the category name. (swipe simple report 4 – this merchant
I am using as an example does not have inventory so it shows custom item as
the only item but this should give you a good idea of what we need. I can find
another report if needed)
xi. Sales Tax Report – should show sate, tax rate, pre-tax subtotal, total dollar
amount of sales tax and then total dollar amount of sales. (swipe simple report
5)
xii. Top Customers – this report should show the customer name, number of sales,
total $ amount of sales, number of refunds and total $ amount of refunds and
then the net total of sales. (swipe simple report 6)
xiii. Batch out report to show customer what all totals were sent out to the bank for
funding. (valor report example 1)
xiv. Transaction Report should show transaction #, Date, type (sale, void refund)
total amount, result (approved or declined) method (payment link, card on file,
swiped, keyed in, tap or chip read) card brand, last 4 digits of card, auth code,
card holder name, ,reference number, merchant name, user who ran transaction
(swipe simple report 7)
d. Item Catalog not allowing us to change the inventory amount
e. Under Item Catalog can we move the “add item” Button to the top of the page instead
of the bottom?
f. Check out screen I see there is a coupon code section – where do they enter in these
coupon codes?
g. On the app on the phone it does not display 1,4,7 when entering in the total.
h. On app on the phone it is not allowing for you to select the custom cash amount.
i. Ticketing system – Can we have the option to upload an image if they would like so they
can show us what their issue is?
i. Also we need to add in topics for the subject line, instead of letting them type
out a subject line. Here are the topics they should be able to choose from
1. Hardware
2. Other
3. Payment
4. Sales
5. Statement
6. Transaction
5. User management
a. Need the ability to send a reset password email. Right now we can reset password but
we have to know what the current password is and we wont know what that is on our
end once we have merchants. So if we can send them an email to reset password that
would be easier.
