8
PROJECT MANAGEMENT – OVERVIEW

Project management is the process of planning, implementing, and managing tasks and resources
to accomplish a well-defined objective.

• Project Management:
– Planning
– Implementing
– Managing

• Common Characteristics:
– Breaking the project into easily manageable tasks.
– Scheduling the tasks.
– Assigning who is accountable for each task.
– Communicating with the team.
– Tracking the tasks as work progresses.

9
PROJECT MANAGERS RESPONSIBILITIES

A project manager’s primary responsibility is to create and maintain a project schedule.

• Project Manager responsibilities:

– Plans a project.
– Implements a project.
– Manages a project.

10
PROJECT MANAGEMENT OBJECTS

Project Management Objects manage the planning, scheduling, and development of information.

• Activities

• Milestones

• Summary Activities

• Deliverables

• Action Items

11
NAVIGATING PROJECTS AND PROGRAMS

Projects and Programs store and manage project information.

– Details
– Folders
– Workspaces
– Network
– Plan
– Packages
– Team
– Resources
– Meetings
– Assignments
– Discussions
– Reports

12
STORAGE LOCATIONS

Objects are stored in contexts.

• Projects store objects related to a project.

• Programs store objects related to a program

or the projects managed by a program.

EXERCISE

• Create a container with the type = ‘project’

• Create a new doc into your project

• Create a new part into your project

• ‘Share to project’ a doc and a part

Copy / paste with option (share OR PDM check-out)
• ‘Check out to project’ a doc and a part Add to project (almost the same)

Remove share
Send to PDM
Or delete

• Questions: INTRO YOUR PROJECT, how to iterate in project, revise in project, change state in
project, any workflow?

19
HISTORY VISION ACCORDING TO USER PERMISSION

• Depending on your user access

rights, the history of the object
is complete or reduced

• First case: user can see object

in both product/library and
project

• Second case: user can only see

object in the product or library.
Not the project info.

20
NO REVISION / SET STATE / ROUTE

21
ROUTE

• To get information from the route workflow, the ‘Routing / Process History ‘ table can be added
into a tab

• Or by selecting the icon on routing beside the object

22
PROJECT PLAN OBJECTS

You can use the plan objects to organize a plan and track the progress of a project.

23
PLANNING PROJECTS

There are four basic steps to planning a project.

• Steps:
– Define the project’s scope.
• State the problem.
• Identify goals and objectives.
– Design the project plan.
• Identify and sequence activities and milestones.
• Determine deliverables and estimate time.
– Manage project information.
• Identify a project storage structure.
• Identify access control requirements.
– Allocate project resources.
• Identify the team members by role.
• Identify other resources, such as facilities.
• Estimate cost.

24
PROJECT COMPONENTS

A project plan representation may include its plan, resources, deliverables, and storage structure.

• Activities

• Milestones

• Summary Activities

• Deliverables

• Action Items

PROJECT PLAN VIEWS – PLAN VIEW

There are three ways to view the Project Plan in Windchill. The first is the Plan View.

29
PROJECT PLAN VIEWS – TIMELINE VIEW

It is easy to scroll to major activities in the Timeline View.

30
ADD TO TIMELINE

31
GANTT VIEW

32
PROJECT PLAN VIEWS – GANTT EXPLORER

The Gantt Explorer is useful for viewing the dependencies between plan objects and the critical
path.

33
PLANNING PROJECT STORAGE

Project storage structure involves planning folder structure and access control.

34
PLANNING PROJECT RESOURCES

In this step, you identify the team members and resources that are part of the project.

35
PROGRAMS AND PROJECTS – DIFFERENCES IN DESIGN INTENT

Programs are intended to create a view which is useful when managing several related projects.

• Program storage should be used for

documentation related to the program, not
product design information.

• The network should be used to create an

easily navigable tree of contexts.

• Typically, there are many project creators

and managers, but few program creators
and managers.

36
PROGRAMS AND PROJECTS – DIFFERENCES IN FUNCTIONALITY

Programs do not have workspaces.

• Workspaces are used to create and modify
design information.

• Programs are not intended to store design

information.

• EPM documents should not be stored in

programs.

Program Completion & Health Status Rollup By its

Plan preference.

• Yes (default) - Percentage completion is based on

plan, the same as projects.

• No - Percentage completion and health status

determined by projects in network.

37
STARTING PROJECTS

To start a project, select Start from the Actions drop-down list on the project details page.

• Starting a project requires a simple click.

– Sets project to Running state.
– Project invitations are automatically sent
to team members.
– Team members join the project.

38
PROJECT ACTIVITIES AND SUMMARY ACTIVITIES

An activity is a specific step within a plan that contains information.

• Characteristics:
– A summary activity is a parent of several related child activities, milestones, or other summary
activities.
– An activity can be a child of a summary activity.
– An activity is often associated to one or more deliverables.
– The activity status is always calculated using a pessimistic approach, so if one child is red, the
activity is red. But, to be green, all of the children must be green.
– The percentage of work complete of a summary activity is calculated based upon the percentage
– completion of the child activities.
– The percentage of work complete of an activity may be calculated based upon the percentage
completion of its deliverables.
– Activities may be associated to resources using resource assignments.

39
SCHEDULING ATTRIBUTES

Duration, Resource Units, and Work are interrelated scheduling attributes.

• You may enter two scheduling attributes, and the third is calculated.
– Duration = Work / Resource Units
– Work = Duration * Resource Units
– Resource Units = Work / Duration

• If you edit a scheduling attribute, another scheduling attribute is automatically changed to

maintain the formula.
– Fixed Units
– Fixed Duration
– Fixed Work
– Effort Driven

40
CREATING A SUMMARY ACTIVITY

You can convert an activity to a Summary Activity by indenting its child activities.

43
MANAGING PROJECTS

Managing a project is an ongoing process that only ends once the project is completed.

• Managing Projects:
– Evaluate Health
• Measure status
• Measure risk
• Measure state
• Generate reports
– Control Information
• Control access to files
• Control access to costs
– Manage Histories
• Change Histories
• Documented discussions
• Meeting minutes

44
PROJECT STATUS

The status color is the most noticeable indicator of a project’s status.

45
PROJECT STATE

The state of a project affects access control.

• Defined – Project created, but never started.

• Running – Project started.

• Suspended – Temporarily suspended by project manager.

• Cancelled – Permanently stopped by project manager.

• Completed – Automatic, or set by project manager.

46
EDITING PLAN OBJECTS FROM WINDCHILL TABLES

You edit plan objects from the assignments list, project plan table, and most other tables where
they appear.

47
EDIT IN GANTT EXPLORER

You can edit Milestone and Activity attributes directly in the Gantt Explorer.

• Changes in Gantt Explorer are not saved in Windchill.

• Useful for visualizing potential plan changes.

48
ADDING OBJECTS TO THE TIMELINE

The timeline displays project plan objects across the top of the Plan page.

49
EXPORTING PROJECTS

The import and export functionality is intended to assist in the sharing of information between
systems and the archiving of project information.
