COURSE CONTENTS:
Unit – 5: Project Monitoring – Basic concepts of Project monitoring cycle: The planning
monitoring, controlling cycle, Project control – Purpose and types of control.

Monitoring and control are another segment for a successful project planning, implementation and
execution. It involves a clear planning, understanding and communication of what to do, how to do,
when to do, keep a check on the progress, periodically review the progress and compare with the
planned schedule. Such review helps in timely remedial action against any identified risk or situation
that can be hazardous or damaging for the project completion. With the timely corrective action, it can
reduce the cost of prevention and cost of escalation. It also allows replanning activities to meet the rapid
changing in the dynamic business environment and book benefits for the organization due to such
changes and converting threats into opportunities.

As already discussed in previous chapters, the fundamental of the successful project in the proper
planning, coordination and monitoring of scope, time and cost, therefore, it is essential to run
periodically the plan-monitor-control cycle throughout the project life-cycle so that project deviations
from budgets and schedule can be controlled and efforts can be directed to meet the project goals.
Monitoring and control process requires the communication of pre-defined targets and specifications at
the time of project planning and the same needs to be assessed through period review meeting and
evaluation of project performance.
The tools applicable for facilitating monitoring and control includes –
• Project plan – Plan indicating each and every task with details activities involved to complete the
task goals and its sequence in the project completion.
• Project document - Standard Operating Process (SOPs), KPI, Code of conduct, timelines and
deadlines, budgets, cost sheet, documents to record performance like job card, work-sheet,
reporting/command chain, organization hierarchy and any other manual to provide sufficient
information about expected performance.
• Work performance sheet (job sheet) – The document indicates the required activities to be
undertaken for completing any particular activity or task as a whole. The work performance sheet
act as a check-list to self-assess the completion of performance as per the laid standard or direction.
These work performance sheet acts as the base for performance assessment and evaluation. It also
allows the recording of any threat or adverse situation encountered during the performance of any
task that help in planning any future activity of like kind.
• Tools – In most of the projects, PERT and CPM are commonly acceptable tools for monitoring and
controlling project performance and activity flow. In other cases, budgets, cost sheet, standard
costing, marginal costing and other financial tools are applied for project monitoring and control.
