CHAPTER I
I.Introduction

Enrollment is the act or process of putting yourself or someone


else onto the official list of members of a group. Class, college,
university, or course. Student Enrollment refers to the act of signing
up for school and/or specific classes or co-curricular activities at
that particular school. The enrollment process is completed after a
student is granted admission to a particular school. Students can then
select course to take through their school’s online student information
service. Enrollment can also refer to the number of people who are
currently registered or signed up for a particular course or program.

According to Forman (2007), in his article “New Research

Perspective on Mobility, Organizations, Systems and Technologies,”

continuing innovation in technologies can lead to organizational changes

that range from improvement of day-to-day operation and for easy access

it provides for the end users. Online registration/enrollment system

allow students to register/enroll through the internet, eliminating or

reducing problems with traditional registration systems, such as long

lines, paper forms and troublesome wait lists Online

registration/enrollment system in very essential in a school.

An enrollment system is a computer-based system that is used to


record and manage student information. It is an essential tool for
educational institutions as it helps to streamline the enrollment
process, reduce the workload of staff, and provide accurate record-
keeping facilities. An enrollment system is a system that unifies, both
online and offline, all of the steps required in the enrolling process
into one location. Information about a pupil is recorded using it. An
effective registration method will lighten the workload for those who
typically handle everything. It is helpful, particularly when a student
provides the school with important data. A computer-based enrollment
system can help to reduce the cost of enrollment processing by
minimizing the amount of paper used and reducing the workload of staff.
Additionally, the planned enrollment system is a positive move in
the right direction for the institution. By offering quick and easy
access to information, this might be a huge benefit to those who are
juggling a lot of chores throughout the enrollment time.

In this study, the researcher’s aim to develop a fast, accurate,


and reliable computer-based enrollment system for the administration,
faculty, and staff of schools that will speed up the enrollment process,
facilitate and secure student’s records, minimize the effort exerted by
the enrolling officer in updating student information, provide reliable
record-keeping facilities, and provide accurate enrollment summary
reports. This system entitled “SEMS” will be designed and developed by
the researchers for the administration, faculty staff, and students of
the school.

II. Theoretical Framework


Projecting higher education enrollments requires a thorough
understanding of the phenomena that impact student enrollment. Popular
theories that have been used to project enrollment include human capital
theory and consumer choice theory; more than a dozen other theories have
also been cited in the literature. This article situates selected
theories within ecological systems theory and adds a review of
generational theory to provide a broader context for selecting
enrollment projection approaches. (Perez-Vergara, Kelly 2019)that
connects how development or changes can affect the person’s
considerations and choices and how can it improve the value of person’s
skill and experiences, for example in the enrollment process. Therefore,
in this study, the researcher’s want to know the importance of having an
efficient enrollment system and what is its impact in school
organization.

III.OBJECTIVE OF THE STUDY
The goal of a Study was to:
 To build a system that would make an easier and speeds up the
Enrollment process.
 To explain the effectiveness of having an Enrollment System.
 Develop a system for easy access enrollment and arranged scheduled
appointment to avoid busy schedules.

IV. STATEMENT OF THE PROBLEM


These are the questions that this research aims to answer:

1. How does the proposed system help the enrollees in terms of;
a. Time management
b. Cost-savings
c. Location/Address
2. Is it convenient for all students to enroll using this system in
terms of:
a. User- friendliness
b. Efficiency
c. Accessibility
d. Performance

3.Is there any significant relationship between the current


enrollment process and the proposed system?
V. SCOPES AND LIMITAIONS

The respondents of the study were the chosen 81 grade seven to


grade ten SP-ICT students is Sto. Rosario National High School enrolled
in the school year 2023-2024. The research aimed to assess and improve
the current enrollment system at Sto. Rosario National High school. The
participants, consisting of students from grades seven to nine, were
chosen to represent a diverse range of experiences within the school
community. The enrollment system plays a crucial role in managing
student information. The study will focus on evaluating the efficiency
and user-friendliness of the existing enrollment system.

VI. SIGNIFICANCE OF THE STUDY


TEACHERS - This will help the teachers make it easier to track
student’s information if it’s needed and make their enrollment from more
efficient. Also, to avoid the busy schedule, especially when they have a
lot of sorting forms.

STUDENTS - To facilitate the student’s enrollment, and it will also help


the student more easily follow the placement of their information. They
will no longer have difficulty enrolling because they are enrolled with
just one click.

SCHOOL - They will be able to use the enrollment system for subsequent
school-year enrollments. The enrollment system will be clear and
improved.

VII. DEFINITION OF TERMS

The different terms are defined and used in this study as follows:

REVIEW OF RELATED LITERATURE

LOCAL LITERATURE

School Enrollment is one of the most important process in


Education, here are some related literatures and articles about it:

Importance of Enrollment

School’s Population

The school’s population grows every year; therefore, the manual


enrollment and student record-keeping system takes up too much time for
the teachers or enrolling officer. Additionally, manual updating of the
student’s records slow down the admission process because the enrolling
officers takes time to search and locate the records of the student in
the filling cabinet. Tallying of subjects also takes time because of
non-organize student’s files (Raymund Zuela,2020).

According to Binayao (2013), in her article on Philippine E-Journal


entitled Web Based Enrollment System with Reservation of Dysas Center
for CPA Review, she stated that “Over the years the population of
enrollees exceeds constantly from the anticipated annual growth. During
enrollment, vulnerability to errors in book keeping is defined which
would consume much time delaying the enrolment process.”

Time Managing

Furthermore, the enrollment process of an educational institution


becomes very complex when the waiting time is prolonged and crowds of
people are created. It says that technological tools are the most
effective way to deal with this problem. This seeks optimizing the
processes that make up the enrollment management of an educational
institution through the implementation of a digital enrollment system.
Basically, developing of the system includes four phases which is
designing, planning, coding, and testing. In this sense, the digital
enrollment process was optimized, such as student enrollment,
registration and reports, allowing the reduction of crowds, time and
human effort. It allowed collaborative work at a distance between the
institution and the students, being a technological and innovative aid
that reduces the time of the enrollment processes, in an equitable and
transparent way, guaranteeing freedom of choice and equal access
opportunities to remote education. (Chamilco, Pacheco, et.al, 2021).

Based also on another study, Liceo de Cagayan University's Online


Enrollment System, "The Online Enrollment System was proposed for the
enhancement of the current enrollment system of Liceo de Cagayan
University. The study aimed at creating a system that would provide
another option for enrolling and that would compensate for the school's
lack of manpower and time-consuming system. The database of the system
is the dbEnrollment, which contains many tables and stores information
such as students' academic records, a secretary's files and records,
class schedules, pre-requisites, subjects, curricular, and other
essential data needed in the system. The proposed system provides
services for old, freshmen, transferees, and shiftees and caters to
their needs. (Leonar,2021)

Record Keeping

In the Article, Web-Based Enrollment System with Reservation of


Dysas Center for CPA Review by Alegre, Desales, and Torres (2013) “Over
the years the population of enrollees exceeds constantly the anticipated
annual growth. During enrollment, vulnerability to errors in bookkeeping
is defined which would consume much time delaying the enrolment process.
The proponents planned to give a response to the defined problems in the
DySAS Center for CPA Review’s business process. The proposed Web-based
Enrollment System with Reservation can help avoid errors in record-
keeping by putting into operation an electronic form upon providing
personal data in registration. The system can cater to more enrollees
simultaneously compared to the current process of the registration
period.
FOREIGN LITERATURE

Improved Current Enrollment Process

According to the article "Optimizing the Benefits of Online K–12


Enrollment and Registration "by Henrrickson (2017), "Web-based
enrollment makes the process quantifiably easier and faster for staff
and parents." This also applies especially to the students. A part of
the article also discussed that "for schools and districts, the cost of
paper-based enrollment and registration processes takes up a substantial
part of the operational budget. By transitioning to online enrollment
management systems, schools can devote more resources to educating
students rather than filling out paperwork, manually entering data, and
trying to track down information that's filed away on paper."

How do Technology Affects Enrollment System?

Based on Bauman, Cranney (2020), it says that technology is


replacing human workers with mechanical or electronic devices.
Enrollment is the process of entering and verifying the data of students
to register at a particular school; it is one of the most important
pieces of evidence for schools. Most importantly in this is to have an
accurate and efficient enrollment records to ensure a good impression
of the school on possible enrollees. Enrollment procedures provide a
means for the faculty to write down data that are essential to
enrollment and was proposed to replace the manual process of enrollment
to have an organized flow of transactions and make work easier.

For Example,the Mapua University is one of the top engineering


schools in the Philippines and they're technology-oriented people.
However, deciding how to develop alternative online delivery mechanisms
at an institutional level is not an easy task. The best approach is for
each institution to address a few key criteria in the context of
previous development. One major problem that the students continually
address is the enrollment system of the university. Before any admitted
student decides to enroll, they should carefully evaluate if they will
be able to commit the time, money, and resources an academic program
requires. That includes admission processes (Hudnett, 2019).
The underlying ripple effects of stifling competition for education
institutes is the growing necessity for schools to enhance their
mechanisms for better serving student applicant’s queries and objections
(Jenny J, 2019). This will eventually help admissions of the school to
ultimately enroll more students. Hence, the importance of an enrollment
system in school should have the ease of convenience and efficiency.
Students are not only looking for personalized attention at each step
but also looking to get it quick. Which is why the inter-connectivity of
computers and the web can now be integrated.

Distance Education

In addition, based on Digital Compass Learning: Distance Education


Enrollment Report, the study takes a detailed look at the trends and
patterns of distance education enrollments among U.S degree-granting
higher education institutions. Year-to-year changes in distance
enrollments have been very uneven, with continued steady growth for the
public sector, greater levels of growth (albeit on a much smaller base)
for the private non-profit sector, and continuation of the decline in
total enrollments for the private for-profit sector for the third year
in a row. The large-scale trends show the growing importance of the
private non-profits as a key player in providing distance education. The
picture of change in distance enrollments is composed of a relatively
few institutions having large gains or large losses, with most
institutions showing modest changes in either direction. (Seaman &
Allen, 2017).
CHAPTER III
METHODOLOGY
This chapter presents the research design, the materials and tools

used, the respondents, how the instruments and tools administered, and

the data gathered for the study.

Research Design
During this phase, both descriptive and quantitative methods were
used. A researcher explains the situation being studied. It is a theory-
based design process that involves gathering, presenting, and analyzing
data. This allows researchers to explain why and how they do research.
The researchers utilized a questionnaire checklist to conduct a survey.
It examines the general structure and organization of the questionnaire,
ensuring that it is clear, orderly, and easy to understand for
respondents.

Sampling Procedure

The Sampling Procedure used in this study is Convenience Sampling.


Convenience Sampling is a type of sampling that involves using
respondents who are “convenient” to the researcher. There is no pattern
whatsoever in acquiring these respondents and they are selected based on
their accessibility and availability to the researcher.

Data Gathering Procedures

Researchers use laptop as research tools. After the system has been
set up, the administrator copies the website link and shares it with the
respondents. Also, the researchers used mobile devices to communicate
with the participants. having the ability to fill out the form online.
Additionally, the researchers used a survey questionnaire to collect
data to see if the system was easy to use and effective at all. Those
questions, which concern using the Student Enrollment Management System
(SEMS), will be answered on a Likert scale.

Statistical Tools for Data Analysis

The data gathered were analyzed using the appropriate statistical


tools to give accurate and descriptive interpretation of the results of
this study.

This tool is used to know the proportion of distribution of


respondents.

This tool was used to evaluate the responses of the respondents in
every category of the questions included (Time management, Efficiency,
etc.)

Chapter 4

Presentation, Analysis, and Interpretation of Data

This Chapter will present the analysis and interpretations of the data
that was gathered by the researcher from the questionnaires used in this
study. The results of findings of the problem Encountered by using the
Enrollment System were analyzed and Interpreted in an orderly which is
based on the Statement if the Problem of this study.

The researcher presented all the data and Information through tables to
Illustrate more understandable results.

in grade 7 to 10. It indicates that the Grade 7 frequency is 25.
There are 29 student’s in Grade 8, and there are 19 in Grade 9.
Out of 25 student’s are in Grade 10. 25.51% 0f 99.99% of
respondents were in Grade 7, and 29.59% were in Grade 8. The
percentage for Grade 9 is 19.38%. and 25.51% of student’s in
Grade 10.

TABLE 2. According to table 2, 47.95% of the students has the age of 11-
13 answered by form online. 41.83% from the age of 14-15, 10,20% from
the age of 16-17. Therefore most of our respondents came from 11-13 of
age answered the Enrollment System online.
