Advanced Filter

This is also known as an extraction or complex criterion. This process shows the rows from a
table that meet a certain criteria. See page 358 in your textbook. Hnman Information Technology
for CSCE

Method

1. Determine which column names were referred to in the question directly or indirectly.
2. Type or copy those column names side by side a few rows below the table.
3. For each column in no. 2, just below the column name you typed, type the criteria required, as
stated in the question. The column names and the criteria you typed, together make up the
Criteria Range.

Example. Perform an advanced filter to show all records (ie. rows) with males who are 18
years of age or older.

NB. In the questions, the columns referred to are Gender and Age because male comes from
the Gender column and 18 yrs comes from the Age column. The criteria range is
Age Gender
>= 18 M
Type this range below your table. You must do this first.

4. Select the rows of the table starting with the columns names down to the last row but excluding
the total row at the bottom. This is the List Range. Eg. The Name to Gary rows below.

John 15 80 M Car
Dora 16 70 F Bus
Gary 20 75 M Walk
Total 51 225

5. Click the DATA tab or menu then Advanced Filter.

This box comes up.


6. Click the 2nd circle : Copy to Another Location,

7. There is a shimmering around your original table indicating the list range. If the shimmering
did not select the whole table or included the total row, then click the first red arrow and select
the list range properly. Return to the advanced filter box via the red arrow in the waiting box.

8. Next, click the 2nd red arrow and select the criteria range. Return to the advanced filter box
via the red arrow in the waiting box.

9. Click the 3rd red arrow and click 1 cell in the A column, 2 rows below the criteria range.
Return to the advanced filter box via the red arrow in the waiting box. Results will start from
there when you click OK.

10. Return to the advanced filter box via the red arrow in the waiting box. Click OK.
Answer :

For OR Criteria place the condition on a separated line below the right column. Eg Show
students who walk or take bus. Criteria is | Way Home
Car
Walk
No Results ?

If you get no result it may be that


 There are no rows that meet that criteria.
 The criteria was incorrectly typed eg typing < instead of >, less than instead of >
 The column names in the criteria range are not spelt exactly the same as in the table.
There may be an extra space before or after a word or number in the criteria range or
the column name or in the data in the column you are checking.

To fix, try the following.

1. copy and paste the column name from the table to the criteria range instead of
typing.
2. Double click the end or start of each word or number in criteria range to see if there
is a space before or after the cursor. If so erase them.
3. Check each row of the table in the particular column to see if the data similar to the
one in the criteria range has a space or is spelt differently to the one in the criteria
range.
