1.0 PURPOSE
The purpose of this procedure is to promote Behavioural Based Safety (BBS) on site
through the use of a Job observation. Following below are the main objectives of the
procedure:
To ensure that all employees and contractors are conversant with the
methodology around completing a Job Observation.
To enhance safety leadership through the involvement of all levels of the
organisation in Job Observation.
To define the Job Observation a positive tool to encourage safe work practices
and not to be seen as a means of catching people doing the wrong thing
2.0 SCOPE
All work carried out by ENCORE ENGINEERING SERVICES (PTY) LTD in the
execution of this project / Maintenance contract will be subject to the regulations
laid out in this procedure. The procedure will direct all employees and contractors
in the methods required to complete a successful Job Observation, and how to deal
with completed documentation.

4.0 DEFINITIONS
4.1 Accident: Unplanned, unforeseen event, which results in harm to a person or persons
and/or damage to physical assets.
4.2 Incident: Unplanned, unforeseen event which does not result in harm to persons or
damage to assets, but which could have resulted in either or both of these outcomes.
4.3 Hazard: A source or situation with the potential for harm in terms of human injury or
ill health, damage to property, or the workplace environment, or a combination of
these.
4.4 Risk: The likelihood that a hazardous situation may result in varying degrees of harm.
4.5 Hazard Identification: A process of recognizing that a hazard exists and defining its
characteristics.
4.6 Risk assessment: A process of estimating the magnitude of a risk and deciding
what to do to reduce the risk to a level as low as is reasonably practicable.
5.1 SHE Officer will be responsible to implement the Job observation schedule for
completion of a Job Observation on a weekly basis – i.e. The number of job
observations that will be done per project / maintenance will be done according to the
size of the site.
5.2 SHE Manager will be responsible for capturing all completed Job Observation on the
system on a Monthly basis.
5.3 SHE Manager will be responsible for correlating information into graphs and trends
on a monthly basis.
5.5 SHE Officer will be responsible for training of supervision in the completion of a
JOB OBSERVATION.

6.0 PROCEDURE
6.2 Documentation
The Area SHE Officer will ensure that all persons responsible for and trained in
Job Observation receive either a hard copy or electronic copy of the relevant
forms as attached to this procedure.
The Job Observation must consists of a single, one page form, which is to be
completed by the person doing the form – See form 5.4a
A Job observation schedule will be followed as per high, medium and low risks
identified.
If a trend is identified on the Job observation a corrective action plan with
control measures must be implemented and discussed with the workforce.
Take the Prompt Sheet and proceed to the area where the Job Observation is
going to be done.
Observe the area and the task from a distance prior to approaching the workers.
Once enough information about how the job is being done has been gathered
then approach the workers, introducing yourself and explaining why you are
there.

Explain that you are doing a Job Observation and enter into a conversation
around safety.
Address any deficiencies which may have been observed immediately and give
positive feedback where the job is being done well.
Make a mental note of what you have observed around the following aspects:
o The compliance to PPE requirements – availability/use.
o Ergonomics.
o The way the job is being done – work methods.
o The type and condition of equipment being used and how it is used.
o The general environment in which the job is being done.
Remember the Job Observation is a constructive conversation around safety and not an
audit.
SHE Officer.
The SHE Manager will enter the information into the Database, also recording
the monthly totals.
The SHE Manager will, on a monthly basis, correlate and distribute via
the site SHE meeting the status of Job Observation compliance as a
graph.
The SHE Manager shall distribute any trend information, which may be
identified from the Job Observation.
