Proctorial System and Student Guidelines
Dear Parents
The Department has a well-designed Proctorial System in tune with the institutional policy. About
15-18 students are grouped in batches and a Faculty is assigned as Proctor to look after their
progress and shall be in regular contact with the students. Proctors shall intimate parents about the
attendance and internal assessment marks of their ward.
If a student is found indulging in acts of indiscipline/malpractices in the internal test or during the
regular classes, the Head of the Department, or a Committee nominated by him, shall enquire into
the student indiscipline and shall take immediate punitive actions which could include a serious
warning, suspension from the classes, canceling of benefits and / or any concessions depending
upon the gravity of the act as assessed by the Head of the Department or the Committee. In
addition, the parents have to personally come/visit and discuss the issue with Head of the
Department /Proctor to avoid rusticating the student from the department.
Your Periodical visit to the department to enquire your ward's welfare & progress and feedback are
most valuable to us. Any change in your number and address, you are required to intimate the Head
of the Department. It is the parent's responsibility to keep track of attendance and performance of
their ward in the class.
The student / parent declaration form is hereby sent through your ward, which may please be filled
and returned through your ward at the earliest. We sincerely request your continued cooperation in
making this mechanism effective
As per University Regulation: OB 3 ATTENDANCE REQUIREMENT
OB 3.1 "Each semester is considered as a unit and the candidate has to put in a minimum
attendance of 85% in each subject with a provision of condonation of 10% of the attendance by
the Vice-Chancellor on the specific recommendation of the principal of the college where the
candidate is studying, showing some reasonable cause such as medical grounds, participation in
University level sports, cultural activities, seminars, workshops, paper presentation, etc". As per
the Circular Ref. No/VTU/Exam/2010-11/791 dated 9th December 2010 guidelines issued by
Registrar (Evaluation), VTU "the recommendation for condonation (only 10%) should be
supported with relevant enclosures like medical certificates, attendance certificates for having
attended various activities etc.
In the absence of the relevant documents the candidate's attendance will be treated as shortage of
attendance and such candidates will not be allowed to appear for examinations. Condonation of
attendance has to be approved by Registrar of the University, in the absence of relevant documents
justifying shortage of attendance, a student may be detained for one year due to lack of attendance".
Prior permission has to be obtained if your ward has to participate in University level sports,
cultural activities, seminars, workshops, paper presentation, etc and on return "the attendance
certificates will have to be produced to the Head of the Department/ proctor. If the student has to
abstain on medical grounds, immediately on his/her return "the medical certificate along with a
letter from the parent/guardian should be produced to the Head of the Department/Proctor.
