3 Documents - View - Documents
In this training video, we’ll go over how to view Documents in the Project level Documents tool.
First, it’s important to know that documents are either Public or Private, and your ability to view a
file or folder will depend on your user permissions. To view a Public document, you’ll need 'Read
only' or higher permissions on the Documents tool. To view a 'Private' document, you’ll either
need 'Admin' permissions on the Documents tool, or specific permissions granted that allow you
to view specific files and folders. We’ll go more into detail about Documents user permissions in
another video.
From the project level Documents tool, you can navigate through your project’s documents
using the folder structure on the left. Alternatively, you could Search for a specific file or folder,
or filter documents by the user who uploaded it, the date it was uploaded, files from the Recycle
Bin, or any tags attached. We’re going to select the folder and file we want to view information
for using the folder structure.
For example, let’s select the Internal Files folder, open up the Closeout and Preconstruction
subfolder, and here we can see the Closeout file. To see more information about this document,
click the Info icon to open up the Information panel. You can view important information for the
document, such as the title, date, and version. This is also where users with the appropriate
permissions can view and manage the file’s Permissions, Tracking, File Tags, Download Log,
Change History, Emails, and Related Items.
It’s important to note that the Documents tool only supports certain file types. To see what file
types are supported, visit our support site at support.procore.com. If your file is a different file
type, you may still be able to Preview the File. If the file type is not supported, you still will have
the option to download the file in order to view it.
Now let’s click on the Closeout file link to open it in the Document Viewer. This will open a full
screen display of the document. Using the viewer controls you can view details about the
document, search the document for keywords, or download the file to your computer. In the Info
tab, we can see General Information, such as the date this document was Last Modified, the file
Version, File Type, Size and Tags. Depending on our permissions, we can see and manage
which users are tracking the file; and if the file is Private, we can see and manage which users
have permission to view it.
The Activity tab shows details on user activity associated with the file, such as the Version Log,
Download Log, Emails, and Change History.
Using the search bar, we can perform a contextual keyword search, which allows us to search
for text within documents. This feature is available for any file types that supports contextual
search, such as a PDF or Word document. If we enter a keyword here, for example “damage”,
any instances of that keyword in the file will appear with hyperlinks in the side panel.

Finally, you can click the Download icon to download the file to your computer.
Once we’ve finished exploring our document, let’s click the X in the viewer controls to exit out of
the viewer. And that concludes the process of Viewing Documents at the Project level.
