R3’s Events Management Company action plan for handling unexpected situations is
designed to ensure the safety and satisfaction of our clients and guests. In the event of
extreme weather conditions or natural disasters, our first priority is to evacuate all attendees
to a designated safe area while maintaining clear communication through loudspeakers and
mobile notifications. Our on-site medical team will be on standby to address any health
emergencies, and our backup power generators will ensure uninterrupted services. In cases of
unexpected cancellations or disruptions by vendors, we maintain a list of reliable backup
vendors and suppliers. Additionally, for security concerns, we have trained personnel and
CCTV monitoring in place.

We have our onsite staff to take of every concern to ensure all guests and participants safety.

This contract serves as an agreement between R3’s Events Management and Astoria Plaza.
It became effective on August 17, 2024 and inclusive services provided for Leadership
Training Seminar, which will be held on August 18, 2024 from 8:00AM to 5:00PM.
The supplier hereby agrees to provide the following services for the Event in exchange for
financial compensation outlined below:
• Foods good for 150 Pax and above
• Drinks and beverages
• Snacks and drinks good for 150 Pax and above.
COMPENSATION
In exchange for the services described above, the client agrees to provide the supplier with
a total payment sum of ONE HUNDRED TEN THOUSAND THREE HUNDRED and FIFTY PESOS
(₱110,350.00). A NON-REFUNDABLE FEE of 20% of this amount of TWENTY-TWO
THOUSAND and SEVENTY PESOS (₱22,070.00) shall be paid upon the execution of this
contract, with the balance due no less than five (5) business days prior to the Event.
EVENT LOGISTICS
The supplier shall have access to the Event location beginning at 8:00AM-5:00PM on August
18, 2024 in order to set up the appropriate stations, goods, or other items necessary in
order to complete the services described. Items that require physical display space must be
no larger than (Dimensions) and shall be displayed in a clean and orderly fashion throughout
the course of the Event. No goods or services not described above may be sold or
distributed during this Event without the Client’s express written consent.
Following the event, the supplier will have until 6:00PM to break down all equipment and
clear the area of all goods. The supplier is required to leave the area in a clean and
serviceable manner.
PROFESSIONAL APPEARANCE
The supplier will display an appearance and manner appropriate with the mood and theme
of the Event being held. The supplier’s station will not in any way interfere with the Event on
hand, nor will vending staff leave the station unattended.
Any special dress or appearance requirements outside of the accepted norm will be
discussed in advance between the Client, and the Supplier.
By signing below, both the Client and the Supplier indicate that they have read, understand,
and agree to all terms and conditions in this contract.
