Assignment

PURPOSE: The purpose of the blood donation camp is to save lives by making the timely availability
of the required blood group, 24 hours a day, 365 days a year in and around our district.

STRATEGY: Organising blood donation camp at nearby campus

Initiation: organizing panel was formed Mr Ram Kumar was appointed as the project manager who
all were contacted with state blood transfusion council’s permission acquired, concern with medical
officers, nearby blood bank.

Planning - scheduling, Duration of different process

Initiation: 1st March 2022 – 31st March 202

Planning: 1st April 2022 -15th April 2022

Execution - 15th April 2022 - 20th April 2022 (Monitoring and control)

Closing –25th April -2022 - 30th April 2022

Appointed date of blood donation camp – 21st April -2022 to 24th April 2022

B. Accessories by the organizers

1. The area that is selected for the voluntary blood donation camp should be well lighted, well
ventilated, spacious areas. Voluntary blood donation camp organized in centres of the public
assembly hall.
2. Arrangement of sufficient cots, tables with chairs for registration, medical check-ups, and blood
donation procedures.
3. Clean drinking water with disposable glasses in the camp area and refreshment area.
4. Volunteers to help in registration of donors, medical check-ups and refreshment after donation.
Placing blood donation banners at the entrance, registration areas and donation areas, etc. to guide
the members of the blood donation camp and donors. A communication plan should be designed
according to a good strategy like displaying posters and distributing informative leaflets at the public
areas a week in advance to motivate the blood donors

A floor plan for organizing a voluntary blood donation camp.

Execution

The execution phases include 3 phases:

• Pre-camp phase • Camp phase • Post camp phase

Pre-camp phase
1. First, the organizer of the blood donation camp has to contact the incharge of the blood bank with
an official letter requesting to conduct the camp on a particular date and proper place.
2. A simple official letter should be given to the organizers from the blood bank incharge mentioning
that the blood bank team will reach the venue one hour before the scheduled time so that the blood
bank team can get time to make arrangements for blood donation. Instruction should be given to
the organizer to arrange a huge hall and two rooms with the facility of water, electricity and a toilet.
If a separate room is not available then one big hall may be converted into three separate sections
using screens or curtains.
3. Blood banks te prior permission from the state blood transfusCouncilncil (SBTC).
4. Social worker related to the blood bank visits the venue to inspect its suitability for the camp - a
checklist may be provided to the organizer, the number of donations required is discussed with the
organizers.
5. Few days before the camp, NGO/ social worker/ donor motivator can arrange a talk on the
importance of voluntary blood donation to potential donors.
6. The media may be approached to give adequate coverage and support to the camp.
7. Sponsors can be approached to provide financial support for media coverage, refreshment, and
publicity and to honour blood donors through badges/pins.
8. Relevant correspondence should be documented for future reference.

Camp phase
1. The blood bank team arrives at the venue of the camp before the time given to donors.
2. Supervise the venue for adequate facilities like space, furniture, heaters/coolers and other
equipment.
3. Inspect pre-donation, donation and post-donation areas as per standards.
4. Liaise with the organizer and voluntary donor organization.
5. IEC materials and banners should be displayed everywhere.
6. Arrange a celebrity to inaugurate the camp.
7. The camp should be started on time.
Camp Phase Arrangements

Post-Camp Phase
• Medical director sent letters of appreciation to the organizers and encouraged them.
• Blood donors were handed with Thanksgiving letters, Blood group identity certificates,
Membership cards (by hospitals), badges & their detailed blood reports.
• Constant touch with blood donors should be maintained through birthday cards, anniversary
cards, etc
• An article regarding the happenings of the events were published in the local
newspapers, as well as Times of India

Closure
• A well-defined report of the whole campaign was prepared and recorded.
• A voluntary donor directory was prepared.
• The expenses were cleared
• Mementos were handed out to all the supporting bodies and volunteers
• Hired equipment/ appliances were returned.
• Public feedback was generated.
