SYNOPSIS
GLOBAL DISTRIBUTION SYSTEM (GDS) is designed for students who want to start a
career in the travel industry or upgrade their professional competence in travel
counseling. The course is designed to familiarize students with the basic standards in air
travel pricing and ticketing, to provide them with sales and customer service skills,
product knowledge and destination awareness and computer reservation systems. It
contains general information about fares and ticketing, reporting plans, ticketing
agreement tables, tickets, and journey and passenger types.

Introduction
This lab sheet offers entry-level training and technological skills, which are
practical to the travel-hospitality industry. The lab sheet material will teach you how to
operate a Global Distribution System (GDS). A GDS is an efficient and common
automation tool used throughout the travel industry. Travel professionals all over the
world use GDSs to sell travel related products such as air, hotels, car rentals and travel
insurances. This GDS lab sheet is designed to familiarize students with the basic
standards in air travel pricing and ticketing with using Abacus Whiz system.
Abacus Whiz is a PC-based system that gives lecturer and students’ access to
the Abacus Central Reservations System (CRS) easily. You will have a range of
powerful, yet easy to use features that are tailored to the needs and requirements of the
travel industry at your fingertips. This lab sheet material also provides useful information
for people who are new to Abacus Whiz, and a summary of new features for all users.

The following is a brief description of the various desktop items that you can access:
Emulator Screen Where you are able to interact with host through cryptic
commands as well as point & click action.
Terminal Address Your current terminal address to connect to the host.
Host Connection Indicates the connection status of the host.
Status
Once you have launched the Abacus Whiz, a communication link with the Abacus Host
is automatically started for you. The Emulator provides the communication link to
another system, which in this case is the Abacus Host.

Activity Outcome: Explain the special key mapped by GDS.
Abacus has a set of special keys that are mapped on to the keyboard. Kindly complete

necessary symbols in Reservation system. With the introduction of Extended
Character Set (ECS), there are changes both in terms of the command symbols used

Activity Outcome: Practice sign-in and sign-out procedure.
Sign-in is the term use to access into Abacus System. It consists of 4 digits pin numbers
followed by minimum 7 to 8 alphanumeric as a password. Sign-out is when the users
finished working with the system and will not require using the terminal in a long period
of time.
1. Sign in by typing in the function identifier “SI” followed by your Agent ID number,
then press <ENTER>
2. System will respond with the request of the passcode. Complete the process by
typing in your current passcode, the press <ENTER>

CTY Your Pseudo City Code (PCC) for which the system will auto-
populate for you.
Area The system will auto-populate this field. Default to „*‟ for all areas.
New Passcode You can change your passcode here. Else, it can be left blank.
Both alpha / numeric characters may be used except for the letters Q
and Z, because of programming issues.
The passcode will not be shown as you type. This is for security purposes. It is
essential that the user should easily remember the passcode.
The Pseudo City Code (PCC) is the system‟s way of identifying an agency. The
agency‟s security in the system is determined by this unique code.
Before changing work areas, you must ensure that you have already signed in to all
areas in order to be able to perform a switch.
4. If for some reasons you are leaving your workplace for a length of time, it is
advisable to sign-out for security purposes. This will prevent someone from
accidentally or intentionally modifying data using your sign in code.

Activity Outcome: Explain the concept of encoding and decoding.
Based on the Figure 2.1 and Figure 2.2, fill in the blank to complete the Encode and
Decode table mask.
As you have no doubt noticed by now, the airline industry depends heavily on a
standardized system of coding. For example, cities and airports are represented by
three-letter codes, and airlines are represented by two-character codes. Many of the
codes that an agent uses and sees most often will become second nature to them.
However, no agent could be expected to memorize all of the thousands of codes used in
the industry. One of the advantages of using a GDS like Abacus is that codes of all types
can be looked up in seconds. Abacus allows you to "encode" a city, airport or airline
when you know the name but not the code. Conversely, when you see a code and are
unsure of what it stands for, you can make a "decode" entry to find out.

User has an option to use Whiz mask available at Main Menu bar.
Click at Tools button and select Encode/Decode option to initiate the mask.

Select the required topic using the drop-down list in the Table mask. Input the required
description in “Search For” box and click “Go!” button. System will highlight the result

Activity Outcome: Using Abacus system to explain the minimum connecting time for
itinerary
The system contains the published Minimum Connecting Time (MCT) for all airports and
multi airport cities in the world. MCT is very important so that the passenger have
enough time to change flight at a given airport. Failure to strictly adhere to MCT can
cause your passenger to miss his flight and the airline would recharge your agency the
cost incurred to transfer the passenger to another flight. At the end you would lose your
passenger’s future sales.

Activity Outcome: Creation of child and infant name field
No system edit will occur on a child’s name upon initial name creation. It will be the
responsibility of the travel agent to ensure the data for the child is entered. The letter “C”
followed by the age in years defines a child’s age.
The creation of child name must be come together with the SSR field as per requirement
of the Airlines.
Infant age data are defined using the format example “–I/CHUA/GILLIANMSTR” followed
by the age of the infant from 01 – 23 months. The PD (Passenger Data) field will be
automatically updated once the age is input in the name field.
The creation of infant name must be indicated together with the SSR field.

with carrier(s) concerned before affecting any changes or modification. Failure to adhere to

The PNR ticketing field contains information related to the issuance of a ticket. When
using the 7 field, ticketing arrangement codes help Abacus determine the status of the
ticket and how or where to place the PNR to remind you regarding ticketing matters.
When you enter a new ticketing field, it deletes the time limit field or current ticketing
field entry.
The TAW field is only for your own information and will not be transmitted to most
airlines.

The Received From field is a single item field. This function is to provide a method of
identifying and permanently storing the authorization for the changes or modifications
made to the PNR.

The General Facts or (GFAX) field is an optional multiple item field containing
supplementary information. Such information is divided into two categories. The field
Identifier for GFAX is “3”.Each GFAX entry may have a maximum of 64 characters
including spaces, 44 characters for OSI item. The characters and / should be avoided.
The Teletype messages for GFAX are created upon the creation of the PNR and
regenerated whenever there is a change in itinerary.
The Remark field used to store miscellaneous information in a PNR for local office
reference. This function identifier for remarks field is ‘5’
