Course Description
COURSE : DTM2033 GLOBAL DISTRIBUTION SYSTEM

CREDIT(S) : 3

PREREQUISITE(S) : NONE

SYNOPSIS

GLOBAL DISTRIBUTION SYSTEM (GDS) is designed for students who want to start a
career in the travel industry or upgrade their professional competence in travel
counseling. The course is designed to familiarize students with the basic standards in air
travel pricing and ticketing, to provide them with sales and customer service skills,
product knowledge and destination awareness and computer reservation systems. It
contains general information about fares and ticketing, reporting plans, ticketing
agreement tables, tickets, and journey and passenger types.

COURSE LEARNING OUTCOMES (CLO)

Upon completion of this course, students should be able to:

1. demonstrate the procedures in GDS: encode and decode. (C2,PLO1)

2. make reservations and ticketing using the correct sequence procedure. (P4,PLO2)

3. utilize various information to handle reservation and ticketing.(P3, PLO6)

Introduction
This lab sheet offers entry-level training and technological skills, which are
practical to the travel-hospitality industry. The lab sheet material will teach you how to
operate a Global Distribution System (GDS). A GDS is an efficient and common
automation tool used throughout the travel industry. Travel professionals all over the
world use GDSs to sell travel related products such as air, hotels, car rentals and travel
insurances. This GDS lab sheet is designed to familiarize students with the basic
standards in air travel pricing and ticketing with using Abacus Whiz system.

Abacus Whiz is a PC-based system that gives lecturer and students’ access to
the Abacus Central Reservations System (CRS) easily. You will have a range of
powerful, yet easy to use features that are tailored to the needs and requirements of the
travel industry at your fingertips. This lab sheet material also provides useful information
for people who are new to Abacus Whiz, and a summary of new features for all users.

LAB SHEET 1 : Introduction to Global


Distribution System (GDS)

Duration: 5 hours

2. Demonstrate mastery of knowledge and understanding of function and

The following is a brief description of the various desktop items that you can access:

Desktop Items Description


Windows Title Bar  Horizontal bar at the upper most top of the screen.
 It includes the System Menu icon, the Abacus Whiz Title.
 On the extreme right, the Restore, Minimize and Close
buttons.
Main Menu Bar  This is where you access most of the applications of the
Abacus Whiz.
 It consists of File, Tools, PNR, Air, Hotel/Car, Fares/Pricing,
Ticketing, Services, Content, eTicketReceipt and Help
menus.
Icon Bar  The Icon Bar is a strip of icons that allows you to perform
some terminal actions quickly.
You have the following icons: Print, Clear Screen, Copy, Insert,
Notepad, Calendar, Visa Display, Weather Display, Hotel
Availability, Car Availability, Display Programmable Keys,
Customer Profile and Printer Designation.
Continuation Entries  Commonly used commands that will change according to the
Toolbar current host response.
Programmable Key  Quick access to commonly used host commands can be
setup using the Programmable Key function by mapping
commands to the short-cut keys.
Status Bar  The Status Bar is found at the bottom left side of the screen.
It provides useful information while you are working with the
Abacus Whiz.
 It has icons that tell you the current system condition.

Emulator Screen  Where you are able to interact with host through cryptic
commands as well as point & click action.
Terminal Address  Your current terminal address to connect to the host.
Host Connection  Indicates the connection status of the host.
Status

Once you have launched the Abacus Whiz, a communication link with the Abacus Host
is automatically started for you. The Emulator provides the communication link to
another system, which in this case is the Abacus Host.

Activity 1E
Activity Outcome: Explain the special key mapped by GDS.

Abacus has a set of special keys that are mapped on to the keyboard. Kindly complete

 Reservation Symbols: The current keyboard has been mapped to provide the
necessary symbols in Reservation system. With the introduction of Extended
Character Set (ECS), there are changes both in terms of the command symbols used
and the position of the various function keys.
 The ECS keyboard will look like this:

Activity 1F
Activity Outcome: Practice sign-in and sign-out procedure.

Sign-in is the term use to access into Abacus System. It consists of 4 digits pin numbers
followed by minimum 7 to 8 alphanumeric as a password. Sign-out is when the users
finished working with the system and will not require using the terminal in a long period
of time.

1. Sign in by typing in the function identifier “SI” followed by your Agent ID number,
then press <ENTER>

2. System will respond with the request of the passcode. Complete the process by
typing in your current passcode, the press <ENTER>

Field Name Explanation


Current Enter your passcode here. It consists of 7 to 8 alphanumeric
Passcode characters in length.

ID The system will auto-populate this field.

CTY Your Pseudo City Code (PCC) for which the system will auto-
populate for you.

Duty Code User duty code defaults as Agent.

Area The system will auto-populate this field. Default to „*‟ for all areas.

New Passcode You can change your passcode here. Else, it can be left blank.
Both alpha / numeric characters may be used except for the letters Q
and Z, because of programming issues.

 The passcode will not be shown as you type. This is for security purposes. It is
essential that the user should easily remember the passcode.
 The Pseudo City Code (PCC) is the system‟s way of identifying an agency. The
agency‟s security in the system is determined by this unique code.

3. There are six “virtual” work areas - A, B, C, D, E and F. Sometimes it is necessary to


change work areas in order as not to disrupt whatever work in the current area.

areas in order to be able to perform a switch.

4. If for some reasons you are leaving your workplace for a length of time, it is
advisable to sign-out for security purposes. This will prevent someone from
accidentally or intentionally modifying data using your sign in code.

LAB SHEET 2 : Encoding and Decoding

Duration: 2 hours

of encoding and decoding

Activity 2A
Activity Outcome: Explain the concept of encoding and decoding.

Based on the Figure 2.1 and Figure 2.2, fill in the blank to complete the Encode and
Decode table mask.

As you have no doubt noticed by now, the airline industry depends heavily on a
standardized system of coding. For example, cities and airports are represented by
three-letter codes, and airlines are represented by two-character codes. Many of the
codes that an agent uses and sees most often will become second nature to them.
However, no agent could be expected to memorize all of the thousands of codes used in
the industry. One of the advantages of using a GDS like Abacus is that codes of all types
can be looked up in seconds. Abacus allows you to "encode" a city, airport or airline
when you know the name but not the code. Conversely, when you see a code and are
unsure of what it stands for, you can make a "decode" entry to find out.

User has an option to use Whiz mask available at Main Menu bar.
Click at Tools button and select Encode/Decode option to initiate the mask.

Activity 3A
Activity Outcome: Using Abacus system to display the basic flight availability, identify
the key-in entry for basic flight availability and interpret the
response of basic flight availability

o The Abacus reservation system maintains the schedules of domestic and


international Official Airline Guides (OAGs), as well as seat inventory statistics on
literally thousands of flights. Collectively, this information represents nearly every
scheduled flight in the world.
o Availability display entry is used to check seats availability for a specific date and city
pair. Once an entry for flight availability is received, the Host searches through its
database to locate the most appropriate flights for the requested date and city pair.
o Availability display would have flight number with airline designator, type of class and
the seats availability, departure and arrival time, aircraft type, days of operation,
meals served as the main information

Activity 3B (II)
Activity Outcome: Differentiate between basic flight and direct access availability

Display basic flight availability and direct access availability are the entry used for
checking seat availability for specific city pair.

In a group, differentiate the responses below;

itinerary

The system contains the published Minimum Connecting Time (MCT) for all airports and
multi airport cities in the world. MCT is very important so that the passenger have
enough time to change flight at a given airport. Failure to strictly adhere to MCT can
cause your passenger to miss his flight and the airline would recharge your agency the
cost incurred to transfer the passenger to another flight. At the end you would lose your
passenger’s future sales.

mandatory fields to successfully create a PNR and 2 optional fields. Once a PNR has
been created, it would remain in the system for 24 hours after the last flight arrival.

The General Facts or (GFAX) field is an optional multiple item field containing
supplementary information. Such information is divided into two categories. The field
Identifier for GFAX is “3”.Each GFAX entry may have a maximum of 64 characters
including spaces, 44 characters for OSI item. The characters  and / should be avoided.
The Teletype messages for GFAX are created upon the creation of the PNR and
regenerated whenever there is a change in itinerary.

TYPE OF FARES:

Activity Outcome: Explain the concept of queue system

 Queues work like an electronic filing cabinet. Each queue represents the different
drawers in the cabinet and each drawer denotes a separate function.

 Queues enable a user to place a PNR or message in a determined location for future
action. These predetermined queue locations are denoted with numbers (0-511) and
alpha (A-Z) characters. It is an essential part of the office operation for any travel
agency to maintain the PNRs and messages in the queues regularly.

 Each queue consists of a list of either PNRs or Messages, but never together in the
same queue. Queues help to organize processing of PNRs.

 For example, a PNR is placed on a particular queue if the flight is affected by a


schedule change or the seat could not be confirmed by the airline. The travel agent
will need to check these queues periodically to ensure that proper action is taken on
the PNRs.
