Committee are:

 Research Proposal Evaluation: Evaluate research proposals submitted by faculty and
researchers, ensuring they meet academic and ethical standards.
 Ethical Oversight: Ensure that all research conducted within the college adheres to
ethical guidelines and principles, including the use of human subjects and animal
research.
 Research Collaboration: Facilitate collaboration between researchers within the

PRESS AND PUBLICITY COMMITTEE
A "Press and Publicity Committee" is a committee typically formed within an institution to handle
matters related to public relations, media outreach, and communication with the public for International
conference. The committee's primary purpose is to manage and promote the organization or event
through various media channels and ensure effective communication with the public.
The Press and Publicity sub-committee, which falls under the Research Committee, is
responsible for promoting international conference and managing press activities with the
goal of increasing research focus.
Media Relations: The committee establishes and maintains relationships with members of
the media, including journalists, reporters, and editors. We have provided information, press
releases, and access to key individuals within the organization for interviews and coverage.
Press Releases: We are responsible for drafting and distributing press releases to announce
important news, events, achievements, or updates related to International Conference. These
releases are sent to media outlets for publication.
Social Media Management: The committee often manages the organization's official social
media profiles. We have created and posted content, engaged with followers, and use social
media platforms to increase visibility and engagement.
Website and Online Presence: Maintaining and updating the organization's or event's
website is a key responsibility. They ensure that the website contains current and relevant
information, including news, resources, and contact details.
Event Promotion: If the committee is associated with an event, they play a crucial role in
promoting the event through various channels, such as social media, websites, email
newsletters, and traditional media.
Crisis Communication: In the event of a crisis or negative publicity, the committee helps
manage the organization's or event's response to mitigate reputational damage and provide

Branding and Image: Our committee worked to maintain a positive and consistent brand
image for the College and International Conference.
Collaboration: We collaborated with our Faculty to get research papers from them and also
contact with their contacts of research scholars.
Job Description:

The Institute's premier Research event is a global conference. Academicians, corporations, research
experts, and students must consider research-based production on a certain issue. Additionally, it
strengthens the global network of stakeholders.
It will take the combined and cooperative efforts of the instructors and the students to complete the work
successfully. A committee made up of different faculty members and students will be constituted to
ensure that the conference runs smoothly.
For the smooth conduction of this conference students are divided in several sub committees under
research committee.
The list of committees and there work are as follows:

1. Promotion Committee (incl. Digital Promotions)


 Promotion of conference at local, regional, national and international level through emails,
phone calls, social media, Visits and subsequent follow-up to ensure maximum participation.
 Ensuring continuous publications of posts on various platforms pre and post conference.
 Social Media Promotion through Facebook, LinkedIn and other platforms.

2. Resource Person Committee


• Identification and finalization of guest speakers for inaugural ceremony and session chairs
for all the tracks of Conference in coordination with faculty coordinator.
• Coordinating with all the resource persons for ensuring their presence and helping them in
case of any specific need.
• Mailing of Certificate / Thanks letter to all Resource Persons post Conference.

3. Reception Committee
 Looking after the conveyance and staying arrangements of the guests in inaugural,
valedictory and various session chairs.
 Looking after stay and conveyance arrangement, Reimbursement of travelling expenses
of research paper contest, Ph.D. Contest, Case Study Contest guests, judges and
delegates.

4. Registration Committee
 Set up of Registration Desk for faculty Delegates and Students
 Welcome of Guest, faculty Delegates and Student delegate.
 Registration of residential and non-residential delegates.
 Distribution of Conference Kits.
 Maintain record of all Delegates and Participants.
 Ensure the attendance and presence of participants including student delegates in various
sessions.
 Resolving Queries and Guiding Delegates and participants about the event.
 Distribution of Invitation Cards

5. Internal Arrangements
 Making all the arrangements required for the smooth conduct of various sessions
(Inaugural, Technical, Concurrent and Valedictory, Symposium, Best Ph.D. Thesis
Award, Best Research Paper Contest, Best Study Contest, Video Conferencing etc.)
during the Conference.
 Arrangement of Photographer, Video shooting.
 Settlement of Bills and Post Event requirement.
 Smooth coordination with different committees for fulfilling their requirements.

6. Hospitality
 Arrangement of tea, snacks and food for faculty, staff, volunteers, guests and
delegates.
 All arrangements for social night including bus arrangements.
 Smooth coordination with different committees for fulfilling their requirements.

7. Press and Publicity


 News coverage before, during before and after the Conference.
 Preparing outline of speeches based on the conference theme for the guest speakers.
 Making Summary of each event

8. Invitation Cards, Kits, and Mementoes


 Preparation of Conference Kits, Badges for Volunteers, Delegates, Student delegates and
Guests.
 Designing and printing of Invitation card for Inaugural and Valedictory.
 Arrangement of citations and shawls for various award winners.
 Arrangement of mementoes for delegates and guests.

9. Certificate committee
 Designing and printing of Certificate for volunteers, student delegates, faculty delegates and
session chairs.
 Distribution of certificates for delegates, student participants, Volunteers, and session chairs.

10. Presentation and IT


 Preparation of Video profiles and PPT of the guests for inaugural, valedictory, Best
Research Paper Contest, Ph. D. Thesis Contest, Best Case Study Contest.
 Preparation of PPTs of Conference Chief Guest, Keynote Speaker, Special guest, and
Technical Session Chairs.
 IT arrangement of inaugural ceremony like arrangement of Saraswati Vandana,
Corporate Video of PIMR, National Anthem, etc.
 IT arrangement of technical sessions like availability of LCD, Installation of paper
presenters’ PPTs.
 To make all necessary arrangement for the smooth Conduction of Video
Conferencing Session during the International Conference.

11.Proceedings
 Compilation of records of each Technical Session by Reporter.
 Preparation of Conference report.

12.Sponsorship Committee
 Preparing Sponsorship proposal.
 Source and generate Sponsorship for the event.
 Taking care of sponsors during the event.
 Fulfilling requirements of the sponsors as MOU.

Before the Conference: Prior to the conference, college students may be responsible for
creating buzz and anticipation around the event. This involves reaching out to local and
international media outlets to secure coverage. They might draft press releases, conduct

conference's themes and importance.
During the Conference: During the conference, students can act as media liaisons. They may
assist journalists and photographers, help set up press conferences, and ensure that key
moments and discussions are captured for immediate reporting. This could include live-
tweeting, providing updates to media outlets, and facilitating interviews with speakers.
After the Conference: Once the conference concludes, students may compile all media
coverage, including articles, videos, and social media mentions. They can create a media
summary report showcasing the conference's impact and reach. This can be used for post-
conference analysis and for future promotional efforts.

Preparing Speech Outlines:


College students involved in organizing an international conference should work closely with
guest speakers to develop compelling speech outlines. These outlines should align with the
conference's theme and objectives. Students can conduct background research, gather
relevant data and statistics, and assist speakers in crafting engaging narratives that resonate
with the audience.
Making Event Summaries:
Creating summaries of each event within the conference is crucial for documentation and
knowledge sharing. College students can attend different sessions and presentations, take
detailed notes, and later compile these notes into concise event summaries. These summaries
should capture key takeaways, discussions, and any noteworthy developments.
Task Achievement:
The International conference that brings together scholars, researchers, and

which has been diligently spearheaded by us.
