GUIDELINES ON WRITING INTERNSHIP REPORT

A) General
The purpose of the internship report is to reflect the experience and knowledge gained during the
internship period in a target-oriented way. The report should do so with a focus on the application
of the knowledge and skills already acquired during the university program. Students are required
to submit a minimum of 5-7 pages Internship report at the end of 4th (week 1-4), 8th (week 5-8)
and 12th (week 9-12) week of their internship (i.e. for report 1, 2 and 3). The fourth and final
Internship report (week 13-16) should have a minimum of 15-20 pages or a maximum of 25-
40 pages depending up on the nature of work and is to be submitted within one month upon
completion of the internship. The first report should include the company’s training schedule and
the description on training progress. The 2nd and 3rd reports contain the description of the works
done in week 5-8 and week 9-12, respectively. The fourth and final report carries more intellectual
contents to highlight the student’s experiences and benefits gained from the internship. i.e. In
addition to contents relating to week 9-12, the final report should also have one or more section(s)
to sum up their experiences for the entire internship period.
B) Grammar, Punctuation, Font type, Formats and other requirements
I. Practice your English grammar with clear grammar explanations and practice exercises to test
your understanding. All learners, whatever their level, have questions and doubts about
grammar as they're learning English and this guide helps to explain the verb tenses and
grammar rules in a clear and simple way.
Choose your level, from beginner to advanced, and start learning today by reading the
explanations and doing the exercises. By revising and practicing your grammar you will
increase your confidence in English and improve your language level.
Punctuation is the use of conventional characters (e.g., commas, semicolons) to improve
clarity. In general, punctuation aids comprehension by showing a reader which words are
grouped and where to pause. Punctuation in the English language helps the reader to
understand a sentence through visual means other than just the letters of the alphabet.
II. Format: The entire report should be written using “Times New Roman” and “12” font size with a
1.5 spacing between lines for body text paragraphs. But, Heading-1 Like Chapter-One “16”
Heading-2 like 1.2 Specific objectives must be “14” font size where as heading-3 must be “13”
font size heading-4 must be “12” font size. The typing should be the same font type throughout and
double-spaced between paragraphs. The top and bottom margins shall be kept 1.00inch and the left
and right margins shall be kept as 1.25inch.
III. Preliminary pages like declaration, acknowledgment, executive summary, Table of Content, List of
tables, list of figures, acronym etc.... shall be in Roman Page Numbers (I, II, III, IV etc....) .But, Cover
page do not need page number.
IV. Header and Footer shall be started from page-1 Chapter-1 onwards. You should never insert header
and footer in preliminary pages.
V. Bullets must be uniform throughout the document
VI. The minimum page requirement should not include cover page, content page, appendices and all
forms of attachments. (eg. Log sheet, clearance form, student feedback form etc.)
VII. Figures, plates and tables may be included when necessary to adequately describe certain details.
VIII. Appendices, if any, should be brief and contain details that are normally not described in the main
text of the report.
IX. Report Cover should be the very first page of your report.
X. The report should not be written in point form.
XI. Do not write theoretical excerpts from textbooks or the internet. Describe what you did and
what experiences you gained throughout your training.
XII. Report must be fully typed except signatures.
XIII. Hand in a Spiral Bound Copy and retain a soft copy.

C) Report Writing
A well-organized and easily readable report is expected. The following points are provided as
general guidelines in writing a good report:
 Plan ahead on writing the report at the beginning of and during the internship period. This
step is to ensure that the information, when still fresh in the mind and at the time when
motivation is high, is being recorded.
 Straightforward functional style of writing is recommended. Describe all pertinent facts,
work experience, and observation without extraneous information.
 Clarity and readability may be improved by ensuring that

 coherent ideas are grouped in separate paragraphs


 sentences are grammatically correct
 punctuation marks are properly placed
 words are correctly spelt
 the report should be typed
 the report should not be written in point form
 The reports should be written under headings in the following manner:

 Cover Page
The Cover Page should display:
 University Name (with Logo)
 College and Department
 Company Name
 Title of the Report
 Period of internship
 Student Full Name ,ID No. and section
 Name of Supervisors (both the company and Academic)
Certification*
This is included to certify for acceptance the project/research in partial fulfillment of the

 Declaration and copy right*

This is to declare that the paper you prepared is your own original work that has not been
presented and will not be presented by you to any other other organization for similar or any
other degree award without permission of your sponsorship. It can also be included copy right
protected It may not be reproduced by any means, in full or in part, except for short extract with
permission
 Acknowledgements (To acknowledge training provided by the management of the
company, the assistance received from other persons during training, etc.)
 Executive Summary
A one page summary of the company and a short account of the major activities carried out
during the internship period.

 Table of Contents
Contents of the report with chapters and page numbers, list of tables, and list of figures.

If a lot of specialist abbreviations have been used, it may be worth making a special table of them and
putting it here. The table should be in alphabetical order of abbreviation.

 Main Body text (Description of Internship)


This is the main body of your report. It should express the following:

The organizational structure and principal activities of the company may be briefly described. Its
training schedule, assignments undertaken in chronological sequence and objectives may be
described. Technical and other implementation details may also be described like the working area
and mentoring situation.

Students are expected to display a broader interest and within the limits set by his status, to gain
information and form impressions on various aspects of corporate functions. Activities of
particular technical interest, whether or not within a student’s own major field should also be
described such as working environment, evaluation of tasks, implications for future study and
career planning, comparison expectations with actual experience, and projected outcomes (project
work, chances to start career, etc.).
In this section you should answer the following questions:
1. What skills and qualifications you think that you have gained from the Internship?
2. What kind of responsibilities you have undertaken during the Internship period?
3. How do you think the Internship will influence your future career plans?
4. How do you think the Internship activities that you carried out are correlated with your
classroom knowledge?
1. Introduction
1.1: Background of the project (Company details: overview of the company)
This section should answer the following questions:
 Give a brief history of the company,
 Provide an organization chart of the company, along with information on the number of
employees.
 Brief on the different divisions in the company.
 Who are regarded as the customers of your internship company/institution (consider the
end users, retailers, other manufacturers, employees, etc.)?
1.2 Objective of the project
The purpose the project should provide aSpecific and accurate synopsis of the overall purpose of
the project. It stressesthe reader why the design of the project performance. In other words, the
reader should beinformed of the importance of the project. Key points to keep in mind
whenpreparing an objective of the project. Try to incorporate a sentence that begins with“the
objective of this project is….” This will clarify your own mind as to objective and it will inform
the reader directly and explicitly.
1.3 Statement of the Problem/Issue
State the problem/issue in terms intelligible to someone who is generally sophisticated but who is
relatively uninformed in the area of the important of the project. A problem statement/issue should
be presented within a context, and that context should be provided and briefly explained, providing
if possible, quantitative information and/or other supporting information. Clearly and succinctly
identify and explain the problem/issue that guides the purpose of the design and
construction of the project.
2. Material and Methodology Used
2.1 Material Used
The purpose of this section is to describe in detail how you performed the internship. This includes
sample, data collection, and data analysing method used in the project. This section should not be
very lengthy. The writer has to give separate details of survey methodology if he/she has conducted
a survey in the project.
2.2 Software application (if any)
Specify the procedures you will use to analysis the data (for instance AutoCAD, ETABS,
ArchiCAD, Civil3D, Inroads, MS Project, Water CAD, Epanet, GIS, CAD, ANOVA, Regression,
Correlation, percentages analysis etc.).
3. Tasks accomplished and Overall internship experience
3.1 Main tasks accomplished
This section is very important. You have to analyses the data using the method you have outline
in material and Methodology section. Then the results should be discussed in line with your
statement of the problems/issues and clearly present your results if you are assigned in research
work, design office and laboratory testing etc…. But, if you are assigned in Construction project
you should write the main activities executed in your site such as Foundation work, Concrete work,
Masonry work, sanitary work, Bridge and culvert and finishing work etc. In general, you can
subdivide in to site works and office works as subtopics.
3.2 Design works
Mention those detailed design work of the project including drawing, numerical dimension and all
necessary information of your project design.
4. Assessment of the Internship//Impact of Internship)
In this section you should answer the following questions
 What skills and qualifications you think that you have gained from the internship?
 What kind of responsibilities you have undertaken during the internship period?
 How do you think the internship will influence your future career plans?
 How do you think the internship activities that you carried out are correlated with your
classroom knowledge?
5. Conclusions
This section includes concluding remarks on the work performance, observations and training
experience Conclusion must be based on the internship work of the project and link them to your
internship objectives/purpose of the project. It is better to have separate paragraph for each
conclusion.
6. Recommendations
Recommendations must follow logically from the conclusion and results. They should not

List all those books and journals, and if necessary web pages, to which you specifically refer in
your report. Materials from other authors and diagrams that you have not drawn should be
acknowledged explicitly when they are first used in your report. The references should follow a
well-established and consistent style.

You may need to support your work with available literature, for instance the company website,
pamphlets, publications, etc. The references shall be listed using appropriate format.

Use the following sequence of writing references

Author’s surname, INITIALS. (Year of publication) Title of book (in italics), Edition (if not the
first), Publisher, Place of publication.

 Charts, graphs, pictures, computer codes, company statements, company forms, etc.
 Appendices should be labelled; Appendix 1, 2, 3, etc.
 Student Log Sheet, Report Clearance Form and Student Feedback Form (in the final report
only), etc should be attached

9. GLOSSARY/NOMENCLATURE
The Glossary is only needed when you have used specialized terms, mathematical symbols or
professional jargon in an extensive way. If you have used specialized terms only occasionally, it
is acceptable to define it within your text. This same rule applies for the Nomenclature. It is only
required if a large number of symbols are used throughout the report.
