Question no:01
What is technical report?
Technical report is formal documents that represent or describe the process, progress, or
result of the technical or scientific research. It is a way for the researchers to communicate their
findings to a specific audience.

Question no:02
Briefly analyze six reasons for people to write a technical report.
Here are;
a. To Communicate Research Findings: This is the most common reason. Researchers use
technical reports to document their work, present results, and share their contributions
to the scientific or technical community. These reports allow for peer review,
dissemination of knowledge, and potentially sparking further research in the field.

b. To Secure Funding or Resources: Technical reports are often required by funding


agencies or sponsors to evaluate the feasibility, methodology, and potential outcomes of
a proposed research project. These reports help convince the funding body that the
research is worthwhile and justifies their investment.

c. To Inform Decision-Making: Technical reports can be used to present technical


information relevant to product development, policy implementation, or other decision-
making processes. They provide data, analysis, and recommendations that can help
stakeholders make informed choices based on the technical knowledge presented.

d. To Document Progress: In ongoing research projects, technical reports can serve as


progress reports. These reports update stakeholders on the research trajectory, present
any challenges encountered, and outline the next steps. This keeps everyone informed
and allows for adjustments or course corrections if needed.
e. To Promote a Technology or Solution: Technical reports, particularly white papers, can
be used to promote a specific technology, product, or solution. These reports aim to
persuade readers of the benefits and technical merits of the presented approach,
potentially influencing their purchasing decisions or adoption of the technology.

f. To Maintain Institutional Records: Technical reports can serve as a formal record of


research conducted within an institution. They document the research process, findings,
and conclusions, creating a historical record and potentially aiding future researchers or
projects within the same field.

Give six differences between formal and informal report.

1. Purpose:

 Formal Report: Aims to present detailed and objective information for a wider audience,
often including stakeholders, decision-makers, or researchers outside the immediate team.
 Informal Report: Focuses on conveying information or updates to a specific, familiar
audience, such as colleagues, supervisors within the same department, or project team
members.

2. Structure and Format:

 Formal Report: Follows a strict and standardized structure, typically including sections
like introduction, literature review (for research reports), methodology, results,
discussion, conclusion, recommendations, and references.
 Informal Report: May have a less rigid structure, depending on the purpose and
audience. It might focus on specific aspects or updates, with some sections potentially
omitted or combined.

3. Level of Detail and Language:

 Formal Report: Provides a comprehensive and detailed account of the subject matter,
using precise and technical language relevant to the field.
 Informal Report: Offers a more concise and focused explanation, often using simpler
language and avoiding excessive technical jargon that the target audience might not
understand.

4. Visuals and Data Representation:


 Formal Report: Incorporates tables, figures, graphs, and charts extensively to present
data, illustrate concepts, and support the analysis and conclusions.
 Informal Report: May include visuals but might use them less frequently or in a simpler
form, depending on the complexity of the information being conveyed.

5. Objectivity and Tone:

 Formal Report: Maintains a neutral and objective tone, focusing on facts, data, and
unbiased analysis of the information presented.
 Informal Report: May adopt a slightly more conversational tone, especially if addressed
to a familiar audience. The focus is on clear communication and achieving the specific
purpose of the report.

6. Approval Process:

 Formal Report: Often undergoes a formal review and approval process before
distribution. This might involve peer review by experts in the field for research reports.
 Informal Report: Typically requires less formal review or approval before circulation. It
might be reviewed by a supervisor or project manager within the immediate team.

First and foremost, I would like to thank Almightily God for his Mercy and Grace, he has shown
me during my practical training until this moment. I would like to take this chance to express my
warmly gratitude to MLIMANI COMPANY LIMITED Including the Company Director and the
workers at large to whom their kindness and help on giving me maximum cooperation to
accomplish successfully my ten weeks practical training at their facility where I left with greater
experience.

EXECUTIVE SUMMARY
The object of this field report is to show the connection between what I have learned during
theory study in comparison with practical study. This report is about activities performed during
practical training at MLIMANI COMPANY LIMITED from 05 July 2024 to 15 October 2024.
MLIMANI COMPANY LIMITED is mostly concerned with the provision of Web development
and System development which are located at Kisutu, Dar es salaam.

Chapter One of the report cover the introduction of the field work placement at MLIMANI
COMPANY LIMITED, overview of the field work placement, vision, objectives, background of
the company, major activities of the company, major products/services.

Chapter Two of the report covers the task undertaken during the field period and lesson learnt
from that task I undertook basing on the Web development department.

Chapter three of the report contains the conclusion of the study, in association with the
recommendations towards the faults encountered during the carrier.

INTRODUCTION.

This part of the report explains the overview of the field work placement. The discussion is
based on the primary functions of the organization that offered the practical training, it is
company that deals with application, website and system creation. The main purpose of this field
is to transform which we have already learn about programming languages like c and already in
system creation and management in practical moments. Short history of the MLIMANI
COMPANY LIMITED was created by Dr Yohana Lasso and it deals with the website, system
and application managements and creation. The company located in Dar es salaam region, Ilala
district, Kisutu street. There official contacts are P. O. Box 332 Ilala, [email protected]
and telephone no 0784913801.

WORKDONE AND LESSONS LEARNT

Tasks undertaken during the field

i. To design different layout of the website and application.


-Whereby I have rearmed different ways to design different layouts before making a
complete websites or application before codding them and to prepare a real one by using
web development languages like HTML, CSS and JAVASCRIPT.
ii. To create complete application and websites
-I have learn to create a real and working applications and websites by using web
development languages. Example of website which have created during my field is
forgeeks.com which deals with learning different subjects online.
iii. To develop working websites.
-In this category I learn to develop and to improve some already existed websites and
applications of the different clients for effective working’
iv. To improve some client’s systems.
-Where by Improved different systems example by improving security through them and
to run it as expected without external environment to disturb it for example hackers.
v. To solve different networking problems which occurred in our company.
-I have get real problem about networking and to solve it. This includes to solve the
breakdown of the internet access to some departments in the company.
Challenges
i. Shortage of the working facilities.
-This is among of the big challenge which I have faced during the field where by
there were no enough working facilities like computers which made difficult for
workers to complete their works on time.
ii. Shortage of the network connection.
-Whereby there only one router which provide network connection over 100
computers and to made to produce low quality of the internet speed. This gives us
difficult to accomplish different duties like online meetings with the clients.
iii. Poor electricity.
-Where by the company itself have no devices like generator for incase the
power goes off to be able to access electricity. This made for workers to be unable to
accomplish works of client in time.

CONCLUSION
First, I have to give thanks to all people which I worked with them during my field at MLIMANI
COMPANY LIMITED and the manager director of the company to approve me to do my field to his
company.

Analyze four different types of informal report.


1. Metting Minutes:
 Purpose: To summarize discussion and decisions made during
meetings.
 Content: Include key points, Action items, and outcome.
 Example: After a team meeting you might create minutes that
capture what was discussed, who is responsible for follow-up
task and any deadlines.
2. Expense Report:
 Purpose: To document business -related expenses.
 Content: List individual expenses (e.g., travels, meals) with
some number of dates.
 Examples: An employee submits an expense report detailing
their recent business trip expenses, including receipts.
3. Status Update:
 Purpose: To provide concise updates on projects, tasks or
internal matters.
 Content: Briefly describe progress, challenges, and next steps.
 Examples: A team leads sends a weekly status update to team
members, highlighting achievements and upcoming
milestones.
4. Trip or conference Report:
 Purpose: To share insights and learning from trips or
conferences.
 Content: Summarizes key takeaways, experience and
recommendations.
 Examples: After attending a market conference, you might
write a report highlighting new trends networking
opportunities, and potential strategies.
Question 06: Briefly Analyze any five parts of formal technical report
 Title Page: The title page includes the report’s title, author’s name, date, and
any relevant organizational details. It provides a quick overview of what the
report covers.
 Abstract: The abstract is a concise summary of the entire report. It highlights
the purpose, methods, results, and conclusions. Readers often refer to the
abstract to decide whether to read the full report.
 Introduction: The introduction sets the context for the report. It outlines the
problem, objectives, and scope. It also introduces the reader to the main
content.
 Body of the Report: The main body contains the detailed information. It
includes sections such as methodology, results, analysis, and discussion. Each
section focuses on a specific aspect of the report.
 Conclusion and Recommendations: In this section, you summarize the
findings and draw conclusions based on the data. If applicable, you also
provide recommendations for future actions or improvements
