Here are some prerequisites to consider
A Computer with Excel: You will need access to a computer with
Microsoft Excel installed. If you don't have it yet, don't fret; many
computers come pre-equipped with Excel, and there are budget-
friendly alternatives like Google Sheets.
Basic Computer Skills: You have to be comfortable navigating a
computer. If you can open programs, create folders, and save files,
you are adequately prepared.
A Willingness to Learn: The most significant prerequisite is a
willingness to learn and experiment. Embrace the learning process,
including making and learning from mistakes.
Data: To get started, you don't require a mountain of data. A small
dataset will suffice. You can utilize your data or locate sample
datasets online.
Installation Procedure:
● Visit the Microsoft Office Website: Launch your web
browser and navigate to the Microsoft Office website.
● Select a Plan: Microsoft provides a variety of plans,
including the subscription-based Office 365 and the one-
time purchase Office Home & Student. Choose a plan that
will align with your requirements and budget.
● Create or Sign in with a Microsoft Account: If you
already possess a Microsoft account, sign in. If not, you will
need to create one.
● Payment: Follow the provided instructions to finalize the
purchase or subscription, which may entail entering your
payment details.
● Download and Install: Upon completing the purchase or
subscription process, you will gain access to the Office
suite download. Adhere to on-screen instructions for
installation.
● Activation of Excel: After installation, initiate Excel, which
may prompt you to activate your copy. Follow the guided
prompts for activation.
You have now successfully installed Excel, primed and prepared for
data analysis endeavors.
IMPORTING DATA
Importing data means bringing data from external sources into Excel.
Whether you have data in a different file format or from a database,
Excel makes it easy to get that data into your spreadsheet. Here's
how you can do it:
1. Open Excel: Launch Microsoft Excel if you haven't
already.
2. Click on "File": In the top-left corner, click on the "File"
tab to access the Backstage view.
3. Choose "Open": Select "Open" from the options on the
left.
4. Select the Data Source: Navigate to the location of
your data source. This could be a file on your computer
or data from an external database.
5. Choose the File: If you're opening a file, click on it. If
you're connecting to a database, follow the prompts to
establish a connection.
6. Import Options: Excel may present you with options
for how to import the data. Make selections based on
your preferences, such as specifying a range or
choosing how to handle headers.
7. Load the Data: Click "Load" or "Import" to bring the
data into your Excel workbook.
Excel will import the data, and you'll see it displayed in your
worksheet. Now, you're ready to analyze, manipulate, and visualize
your imported data.
EXPORTING DATA
Exporting data allows you to save your Excel work for sharing with
others or using it in other applications. Here's how to do it:
1. Open Excel: If you're not already in Excel, open it.
2. Open the Workbook: Open the Excel workbook you
want to export.
3. Click on "File": In the top-left corner, click on the "File"
tab to access the Backstage view.
4. Choose "Save As": Select "Save As" from the options
on the left.
5. Select the Location: Browse to the location where you
want to save your file. You can save it to your computer
or to a cloud storage service like OneDrive.
6. Choose the File Format: In the "Save as type"
dropdown menu, choose the file format you want to
save the file as. Common options include Excel
Workbook (.xlsx), PDF, CSV (Comma-Separated
Values), and more.
7. File Name: Give your file a name in the "File Name"
field.
8. Options (if available): Depending on the chosen file
format, you may have additional options to configure.
For example, when saving as a PDF, you can specify
the page range and quality

DATA VALIDATION
To Filter Data:
1. Select the Range: Highlight the data range
necessitating filtering.

button.
4. Filter by Criteria: Employ the filter icons within column
headers to filter data based on specific criteria.
TEXT-TO-COLUMNS
Text-to-columns is invaluable when data in a single column requires
division into multiple columns, often relevant when dealing with data
like addresses or full names.
Using Text-to-Columns:
1. Select the Data: Highlight the column housing the text
requiring division.
2. Access the "Data" Tab: Navigate to the "Data" tab in the
Ribbon.
3. Click "Text to Columns": Select "Text to Columns" to
initiate the wizard.
4. Choose Delimiter: Specify whether your data is
separated by a delimiter (e.g., comma, space, tab) or
based on fixed widths.
5. Specify Options: Proceed through the wizard's steps to
define the delimiter or widths and preview the results.
6. Click "Finish": Click "Finish" to separate the text into
distinct columns.
