I. Abstract

This study describes the design of a Ladies quarter management system it is a

student’s daily life main place which is a vital part of IFSU management. This Project

provides the searching facilities and information about students’ conditions and quarter and

various factors. It allows administration to allocate a seat of a student in the quarter and

manages room distribution sector; this is an automated system where the student can take all

services of quarter at online. Our hope is that the system will reduce a lot works for students,

the admin panel as well. The main purpose of our system is to manage the details of

information list of student, payments of students, distributing rooms among the student and

managing hall programmes using the C# visual studio. The development of our system also

concentrates on security of the information and privileges and access right are attributed to

students and admins. The method used to make the visual studio is easier to understand but

highly secured to maintain the information secured. We used highly secured method to build

the C# using Window Form.Net Framework.

II. Introduction

In a digital system for student quarter management, information can be easily accessed and

organized with just a few clicks. This eliminates the need for manual searching through physical files

and reduces the risk of misplacing or losing important documents. Additionally, a digital system

allows for real-time updates and notifications, ensuring that everyone involved in the quarter

management process is always informed and up-to-date. With instant notifications, quarter

managers can quickly address any issues or concerns, track the progress of maintenance requests,

and communicate important information to residents, creating a more streamlined and effective

management process.

Having student quarters near schools or offices not only provides convenience for

students in terms of proximity, but it also fosters a sense of community and collaboration

among the students. Living in close proximity allows students to easily engage in group study

sessions, work on projects together, and build lasting friendships. Additionally, being in close

proximity to schools or offices reduces commuting time and allows students to have more

time for extracurricular activities and personal development. A student needs a place to stay

in especially in distant places from the school and for enhancing themselves to live without

guardians. George N. Root III (1985), many places build this business near schools or offices

for the better advantage. A good location is important to the success of a retail business.

Using a digital system for quarter management offers several advantages over the

traditional paper-based approach. Firstly, it eliminates the need for physical documentation,

reducing the risk of errors and making information more easily accessible. Additionally, a

digital system allows for efficient record-keeping and tracking of transactions, making it

easier to manage and analyze data. Lastly, implementing a digital system improves

convenience for both the management and the tenant, enabling them to access and update

their profiles easily.

III. Conceptual framework

The conceptual framework shows the flow of the ladies quarter management system.

When the User/Student has check-in/check-out. It can view the personal of the users but she

can only add, edit and deleted user in his own, using (C#) Visual Studio 2022.

The diagram shows gathering all the data of the tenants such as boarder id, name,
contact, rooms, address, and payments. Monthly tally of reports it summarizes the payments
of all boarders every month. Total summary of reports summarizes all the payments of all
boarders for the whole year the system categorized it by year and month of payments. Tenant
and Admin based Management the user is for the employee access and Admin is for the
owner to access the system. Print receipt function the system can generate a receipt for the
boarder’s validation of payment. The System can notify the boarders through SMS due to
their payment. And it can process online inquiry the student can inquire if there is an
available room. This study will help the boarders notified and for the benefits of the owner to
be more efficient.
This study is limited only to the personal information of the boarders. Records of
payment of every individual boarder. Cost of the rooms and its availability. Only the Owner
or Admin and the User Employee can access the system. The admin is the only one that can
edit the scheduling of payments in our system, Notification of cleaners, Announcement of
activities and events, Miscellaneous reports. The system can only access through web
browsers only the admin or Owner can generate users to access the system.

V. Goals and Objectives of the System


 To generate monthly payment reports.
 To notify Boarders due date through SMS.
 To minimize the work load of the administrator management.
 To keep the overall records associated with the quarter and student
information in a permanent database.
 Users can edit her information and update her information.
 To improve the overall operation of quarters.

VI. Significance of the system

This study is intended to various set of people who could benefit in the system. This
can help the quarter for easy, faster and easier transaction for the boarders for student,

proctors, and for the management. This study system includes to minimize time and efforts
needed to perform tasks, to make task simple and efficient in every aspects, to manage
students and building information, providing a well-organized and guaranteed record keeping
system with minimum space and effort needed and developing student’s effective
communication with the university. This integration can result in the better management of
quarter facilities, improved communication with residents, optimized resource allocation, and
overall enhanced operation efficiency. Additionally, it provides aces to a wide range of
resources and support, facilitating the development and maintenance of robust ladies quarter
management system.

I. Design Plan:

Form 1
It’s have the Home, Admin login, and Student login which each when you click the
admin it will show the admin login which is you can put your email/Name, Password and
the button Login, likewise to the Student that when you click the student it will show the
student login which you can enter your name, password and the button Login.

Form 2

We have the Home, Add Rooms, View Rooms, View Requests, Rooms Assigned and
Logout which the admin can add, view room, view requests then assigned the room.
Under add rooms have the room number which you can enter the number of rooms you
choose, number of beds on which you can enter the number of Bed, charges per day,
charges per month, room type, Specialities. Under view room it will show the chosen
room and other details. Under view request it show there the info of a student registration
for the admin to accept it or not and lastly, the room assigned which had the room number
that you canter the number of the room, bed number and the joining date.

Form 2
We have the Home, Send Request, View requests, Rooms Assigned and Logout. For
send request had a request message which you can enter a request message, start date which
you can put the date you start of the year, end date which the end of the year and student
details which the student info like enter your name, roll number, email, phone number,
gender, and address.

Definition of terms

For the purposes of classification, the following terms are operationally defined as they are
used;

Visual Studio (C#) – It is a tool that we used to developed a comprehensive ladies quarter

management system.

System – This is used to utilized the users capabilities of the information system in ladies

quarter management which can be used as a framework to guide the implementation of the

management system.

Database – This Databases are used for storing, maintaining and accessing the ladies quarter

management system. It collect information to the tenant/student or admin. That information is

gathered in one place so that it can be observed and analyzed.
