Assume yourself as the event coordinator working in an event planning organization specialized in
delivering trainings on IT and soft skills. you have been appointed to design and deliver a training event on
IT /Soft Skills to an identified audience. You are required to complete the project within 2 months and the
training plan and resources should be finalized as per the requirement of the client.
You are required to form a group of not more than 6 members in order to carry out the event. The event
will be headed by an event manager/ leader and each group member will be assigned a set of tasks. While

Creates awareness of students about the harsh truth about the internet help the students to be
aware of it since nowadays students fall into traps caused by the internet.
We created a lot of course material (such as, booklet, quiz paper and a questionnaire) since
there should some evidence or notes for the audience to go through after the training as well.
Apart from this we designed a power point presentation in order to make the training event
more interesting.
The following project was planned and executed with a group consisting of 10-members
specialized members were assigned their appropriate duty ensuring effective communication
to the target audience with reliable information being passed on.
This project overcall helped us gain a new perspective into the chosen topic helping us
develop our knowledge on workplace etiquettes and the importance of it. In addition to that
we also developed our skills on the roles assigned helping us grow in the chosen position for
each member.

we received on our pres

entations and the formulation of precise, defined goals are
addressed below.
What are we hoping to achieve with this presentation? We hope to be able to inform
the audience about the value of proper business behavior and how it will influence
them in a workplace setting. Making sure that the audience is sincere is the key
objective.
2. Measurable
Measurable goals are essential because they should be attainable, allowing you to
monitor your progress and maintain motivation. The thrill grows as you move closer
to the finish line since you're keeping track of your progress and staying focused on
the deadline.
Each participant had enough time to finish their portion of this presentation. We used
a Grant chart to schedule the time and assign responsibilities to the group members,
so there was more than enough time. Although we had to plan aside extra time for
reversing sessions, the project was still finished within the allowed time since the
targets we had established were sufficient.
3. Achievable
Making unachievable goals will not benefit anyone, thus when setting goals, they
must be both practical and attainable in order to be successful. However, one should
always reflect on the past, absorb lessons from their missteps, and incorporate them
into their future plans.
In terms of our project, we made a point of ensuring that the information presented to
the audience could be absorbed. One of our objectives was to make sure that the
audience could relate to the story and respond appropriately going forward.
5. Time-bound
When defining goals, timing is crucial because no matter how many objectives are
set, without a deadline or time restriction, they are entirely pointless and lead to
procrastination. Setting a strict deadline will enable you to complete the task in a
specific amount of time.
Despite the short period of time we got, this project's planning was done with
meticulous timeliness. As previously mentioned, a Gantt chart was used to improve
time and prevent excessive project delays. Overall, the project, we left ourselves two
weeks until the presentation day, giving us plenty of time to organize our resources.
The meeting was held on the IT lab on that day. And prior to the main meeting their were
few other meetings held. A whatsapp group was formed to discuss the matters of the
planning of the training program. the evidences are provided below.
Different types of questions were aroused during the meeting held and all the
group members were able to clear their doubts.
Every team member understood their role and what are their commitments to
the training program
Every member of the group was called upon to present their approach to
conduct the approaching training program successfully
The time period to finish our tasks was limited so many times managing
techniques were discussed throughout the meeting.
Non verbal communication skills were seen throughout the meeting with every
member which was very much effective to the meeting held.
Choosing a topic and assigning sub topics for the group members.
For selecting a topic for the training program to be conducted on. Since we are
computing students we had to choose a topic related to the IT field. All the group
members were really creative and came up with some great ideas for the theme,
which we discussed and came to final decision as the ‘darkness of IT and how to be
protected from it”.
This was followed by dividing the main topics into sub topics so that each
member of the group could be assigned into it. Some members even selected
multiple topics in order to complete the program material within the deadline by
the leader. .
Language barrier
This is a barrier or hurdle to communicate with others who aren’t unable to speak a
common language.
This means a future possible event or condition that cannot be forecast with certainty.
Members asked to have rehearsal only last few days to project submission.
Few members are not good enough in presenting and some have no
experience how to do. So, to overcome from that negative aspect, we
decided to have rehearsal earlier whereas 1 month before the submission.
So that we have enough of time to practice well
Asking the members to choose a sub topic by themselves will lead to too
much of time consuming and some may not. Therefore, Leader took the
responsibility of choose sub topics and assigned in accordance to their
relevant skills and experience
Brainstorming
This is one of the most effective methods of problem solving is by generating as much ideas
as possible to come up with a solution to get around problem, it is also helpful of the
environment is stress free and non-judgmental group of individuals are involved in the brain
storming session.
The 5 Whys
this method is the quickest when you want to get to the root cause of the problem. It is so
simple where all you have to do is as the question “why” five time. Eventually you will reach
the root cause of the issue. The constraint with this method is the answer for each why has to
be rational.
SWOT Analysis
this mainly used for assessing a desirable objective and therefore the Strengths, Weaknesses,
opportunities, Threats are considered prior to making a final decision. This help consider all
aspects of the objective, giving a broader understanding of the topic.

Group Brainstorming:
We execute the Group Brainstorming session physically.. We submitted the topic to the group
members for study and suggestions, and we received numerous concepts regarding this issue
from the group members, making it easier to select sub

This method helped pave the way for us to resolve our problem.
To function effectively as a team, the members of any group must each perform a defined
role. Members were first anxious about the part they should play and which was best for
them. We had to assign the appropriate position to each member so that they could operate
more efficiently. The 5Whys approach was utilized as a solution.

SWOT ANALYSIS
SWOT analysis: What is it? An approach to identifying and defining your SWOT is to do a
SWOT analysis (Strengths, Weaknesses, Opportunities, and Threats). A SWOT analysis can
be used to evaluate the long-term viability of a company or organization as well as specific
departmental projects. SWOT analyses can be used to assess how well a specific project, like
an online advertising campaign, is performing in comparison to initial projections. SWOT
analyses are most frequently used at the organizational level to assess how closely a business
is aligned with its growth trajectories and success benchmarks.
At this event, we used problem-solving strategies like group brainstorming, root cause
analysis, and the five whys to solve a significant issue. By following a few easy steps, we can
use this strategy to solve any kind of challenging scenario.
Task 3
Overall I was able to grow my skills in handling a team and presenting to an audience and
help others in growing as well in any area that they are lacking. Researching on my assigned
topic dark web also gave me much a greater insight into the importance of of the role of an
implementer and the importance of working with a group to achive a specific goal
successfully and fruitfully. Due this reason I resorted to giving as much good examples so
that the audience are able to understand better.
Dynamic group defines where two or more individuals unite or collaborate together on a
specific project or task focused group with different set of skills and knowledge to make
things happen or win the task. Dynamic group differs with individuals’ behavior for certain
roles. If the group is filled of good peoples who are really enjoy the working together culture,
then there are high chances of good dynamic group.
1. Trust – when team members feel safe and trust, they will never hesitate to share
information and ideas. It can lead to better ideas aand
nd more creativity. Trusting will
have to make sure members meet their deadlines, carry the weight and burden and do
their part without any excuses.
2. Open communication – teams need to create clear communication and standards.
Moreover, they must feel confi

dent enough to raise difficulties, team problems and
useful feedback. Stronger team dynamic and more effective collaboration are
characteristics of team that feel supported and satisfied that their issues will be
acknowledged.
3. Mutually accountable – this iss where two or more individuals agree to carry the
responsibility for the commitments which they have voluntarily made to each other.
4. Defined roles – assigning roles to members has to fit him/her with that position. It’s
important that the member to unders
understand
tand the meaning, term, jobs and responsibility.
Or else, it’s not going to work if the roles were assigned for the individual who do not
have that skill to do.
These are the four main functions and structure how the groups accomplish for various
purposes.
Referring to Task 1 , it is already discussed shortly about the roles assigned to the members
in the project. The importance of will be discussed below. Belbin’s theory is an instinct
which is followed by corporate organizations to categorize individuals into specific roles. The
roles assigned are divided into three groups. The groups are:
1. Action oriented – willing or likely to take practical action to deal with a problem or
situation. An action-oriented person has an immediateness and focusing on the task
such as Shaper, Implementer and Complete finisher.
2. People oriented – skilled at or focused on interaction with people. Such interpersonal
relationship is used in organizations in order to increase productivity and create.
3. positive working environment such as Coordinator, Team worker and Resource
Investigator. Thoughts oriented – individual who thinks critically. They may present
new ideas, consider the advantages and disadvantages of ideas or have specialized
knowledge or skills such as Plant, Monitor evaluator and Specialist.
We have discussed about the importance of assigning roles in a dynamic group. Now it is to
evaluate further more about the group members roles which helped to achieve the project.
Nehtmi, she is a coordinator and the leader of the project. Her skills are democratic,
extrovert, responsible and innovative. Her leadership was effective more likely to
perform well. This led the members to be attentive on their given task and increase
their productivity.
Umar, the roles assigned to him was Complete finisher. The skills which he had are
confident, collaborative, extrovert and positive. He had an over confidence on his
positivity. He wasn’t prepared for anything and closer to the deadlines, he consumed
more time to get prepare with the assigned topic reaching the deadlines. Confidence
will lead the effort into results. But being over confidence is very hard to handle
because he might not agree always with other people’s statements. It’s very important
to listen to gain new ideas. Being collaborative, he managed to increase his
productivity and learn from others and problem solving became easier because he had
reached his deadline and he had to accept other’s statement to complete the task rather
than arguing for his statements. Therefore, it was a huge advantage to the project to
get his work done before the final deadline of the project. Even being a complete
finisher, than the expected time, he managed and tried his best to complete sooner.
Thanushika, the roles which was given to her is Resource investigator. The skills
which she is liable are enthusiastic, extrovert, innovative and open minded. She
enthusiastic was a great example to the others in the project whereas his state of mind,
presence of thinking, preparing and executing ideas was very helpful to execute the
project on time. She was very innovative whereas many of the idea to members was
recommended by her. This led the team to achieve the project.
And all the other members were totally committed into their assigned roles and also
were successful in achieving their targeted goal in the specific period of time.
According to research, the process of forming groups is advantageous but very flexible.
Groups' stages typically reflect different stages of an individual's growth. Individuals should
be aware of important aspects as well as strategies to avoid becoming stuck along the route in
order to maintain effective teamwork. Any group will perform at its highest level with the
assistance of strong leadership abilities and understanding of group dynamics. Teams and
groups differ in scope and structure, except for being similar. Teams may be significantly
bigger and frequently consists of people with overlapping skills working toward a shared
objective, whereas groups are frequently small collections of individuals with different skill
sets coming together to handle a specific problem.

Because the training event's theme was new to me and the group, it was novel and will be
beneficial when we work in a cooperative firm. It also encouraged me to contribute to all of
the group members, gain new skills and information required to execute a training program,
and comprehend what it means to be a professional. It also gave me experience that I would
be able to utilize in the future. I can enhance my abilities and knowledge for a better future
job by enrolling in CPD.

Conclusion
Our group's goal was to master the subject "dark side of the internet" and provide it to the
public as a training program. Our ability to express it effectively improved as a result of the
CPD. It also had an impact on our ability to improve our interpersonal skills and our ability to
run a training program.
