General Guidelines

1. A Cover page or title page – You should always attach a title page to your assignment. Use
previous page as your cover sheet and make sure all the details are accurately filled.
2. Attach this brief as the first section of your assignment.
3. All the assignments should be prepared using a word processing software.
4. All the assignments should be printedon A4 sized papers. Use single side printing.
5. Allow 1” for top, bottom , right margins and 1.25” for the left margin of each page.

Word Processing Rules

1. The font size should be 12 point, and should be in the style of Time New Roman.
2. Use 1.5 line spacing. Left justify all paragraphs.
3. Ensure that all the headings are consistent in terms of the font size and font style.
4. Use footer function in the word processor to insert Your Name, Subject, Assignment No, and
Page Number on each page. This is useful if individual sheets become detached for any reason.
5. Use word processing application spell check and grammar check function to help editing your
assignment.

Important Points:

1. It is strictly prohibited to use textboxes to add texts in the assignments, except for the
compulsory information. eg: Figures, tables of comparison etc. Adding text boxes in the body
except for the before mentioned compulsory information will result in rejection of your work.
2. Carefully check the hand in date and the instructions given in the assignment. Late submissions

Scenario

Assume yourself as the event coordinator working in an event planning organization specialized in
delivering trainings on IT and soft skills. you have been appointed to design and deliver a training event on
IT /Soft Skills to an identified audience. You are required to complete the project within 2 months and the
training plan and resources should be finalized as per the requirement of the client.

You are required to form a group of not more than 6 members in order to carry out the event. The event
will be headed by an event manager/ leader and each group member will be assigned a set of tasks. While
designing and delivering the event,

Task 1
Overview
An IT training program is been planned to be conducted to HND in computing students. The
purpose of this is to gain a good knowledge and experience of professional means.
We chose the topic of “darkness of IT and how to be protected from it.” since we wanted the
audience as well to have a benefit of this training program. Since “darkness of IT and how to
be protected from it”

Creates awareness of students about the harsh truth about the internet help the students to be
aware of it since nowadays students fall into traps caused by the internet.

We created a lot of course material (such as, booklet, quiz paper and a questionnaire) since
there should some evidence or notes for the audience to go through after the training as well.
Apart from this we designed a power point presentation in order to make the training event
more interesting.

The following project was planned and executed with a group consisting of 10-members
specialized members were assigned their appropriate duty ensuring effective communication
to the target audience with reliable information being passed on.

This project overcall helped us gain a new perspective into the chosen topic helping us
develop our knowledge on workplace etiquettes and the importance of it. In addition to that
we also developed our skills on the roles assigned helping us grow in the chosen position for
each member.

 For today's youngsters, soft skills are increasingly replacing hard talents. Your people
skills are what unlock the majority of future doors, even while your technical skills
may open doors for you. Your overall work ethic, attitude, communication abilities,
emotional intelligence, and other factors. The soft talents that guarantee your
overall development are a variety of other personal qualities.

What are transferrable communicational skills

Qualities that are movable from one employment to another are referred to as transferable skills.
When switching jobs or industries, it's especially crucial to highlight your transferrable talents. You
probably already have a lot of the transferrable abilities that companies look for, such organization,
communication, developing relationships, or attention to detail.

1.2 Goals and Objectives.
This IT training program required setting up objectives and goals in order to have a
good presentation. Setting specific goals and objectives that had to be accomplished
within a certain time frame helped to overcome these challenges.
The team's goals were established using the SMART Goals methodology, which also
included time-bound,
bound, realistic targets. The presentation of the smart technique is
described below, along with how it was applied to set our goals up in this way. When
extending the theory into the field of management, Kenneth Blanchard and Spencer
Johnson first created this approach.

What are we hoping to achieve with this presentation? We hope to be able to inform
the audience about the value of proper business behavior and how it will influence
them in a workplace setting. Making sure that the audience is sincere is the key
objective.

Why is this objective so crucial? Since you will be judged on every part of your
behavior when working in a professional atmosphere, professional etiquette in the
workplace has become essential. The significance of this purpose is that it educates
the target audience before they enter the workplace without having any prior
knowledge of right and wrong.
Who participated? Due to the specialization of our team's members in their selected
tasks, we are able to produce the best results. Based on the project's requirements as
well as the team's skills, tasks were defined and allocated.
Where was this located? The place was fixed from the beginning of the palnning, so
this didn’t effect our members from doing their tasks.
Which resources were limited? Time was a limited resource when we started to do
plan the training program.

2. Measurable
Measurable goals are essential because they should be attainable, allowing you to
monitor your progress and maintain motivation. The thrill grows as you move closer
to the finish line since you're keeping track of your progress and staying focused on
the deadline.
Each participant had enough time to finish their portion of this presentation. We used
a Grant chart to schedule the time and assign responsibilities to the group members,
so there was more than enough time. Although we had to plan aside extra time for
reversing sessions, the project was still finished within the allowed time since the
targets we had established were sufficient.

3. Achievable
Making unachievable goals will not benefit anyone, thus when setting goals, they
must be both practical and attainable in order to be successful. However, one should
always reflect on the past, absorb lessons from their missteps, and incorporate them
into their future plans.
In terms of our project, we made a point of ensuring that the information presented to
the audience could be absorbed. One of our objectives was to make sure that the
audience could relate to the story and respond appropriately going forward.

4. Relevant
To make sure that you are achieving your goals, the objective should be something
that matters to you. It is essential that everyone understands the overall objective and
can work together to move the team ahead.
Since this project is being presented to computing students, we thought the subject of
dark side of the internet was extremely pertinent because these people will soon be
entering the real world and, regardless of knowledge and certification, if they lack
this knowledge, they will have to face some serious consequences.

5. Time-bound
When defining goals, timing is crucial because no matter how many objectives are
set, without a deadline or time restriction, they are entirely pointless and lead to
procrastination. Setting a strict deadline will enable you to complete the task in a
specific amount of time.

Despite the short period of time we got, this project's planning was done with
meticulous timeliness. As previously mentioned, a Gantt chart was used to improve
time and prevent excessive project delays. Overall, the project, we left ourselves two
weeks until the presentation day, giving us plenty of time to organize our resources.

1.3 Evidence of conducting meeting.
The meeting was held on the 6th September 2022 and all group member were in the
meeting held by 1pm. The presentation was commenced by our team leader nethmi on
the importance of the negative side of the internet followed by the rest of the group..
Both verbal and non verbal communication skills were used throughout the meeting
conducted as to get the maximum effectiveness of the meeting held.

The meeting was held on the IT lab on that day. And prior to the main meeting their were
few other meetings held. A whatsapp group was formed to discuss the matters of the
planning of the training program. the evidences are provided below.

1.4 Findings And Outcomes Of The Meeting
 Everyone in the group shared their views, opinion and thoughts throughout the
meeting held

 Different types of questions were aroused during the meeting held and all the
group members were able to clear their doubts.

 Every team member understood their role and what are their commitments to
the training program

 Every member of the group was called upon to present their approach to
conduct the approaching training program successfully

Them
Problems means a situation is judged unwontedly and undesirable which must be faced and
overcome. Identification definition: the gap between the reality and expectation. Solving a
problem is a personal skill where it’s about thinking out of the box and ready to solve it.
Nobody is aware of the upcoming problems and be prepared with different solutions. Solving
the problem is the most challenging activity.

Choosing a topic and assigning sub topics for the group members.
 For selecting a topic for the training program to be conducted on. Since we are
computing students we had to choose a topic related to the IT field. All the group
members were really creative and came up with some great ideas for the theme,
which we discussed and came to final decision as the ‘darkness of IT and how to be
protected from it”.
 This was followed by dividing the main topics into sub topics so that each
member of the group could be assigned into it. Some members even selected
multiple topics in order to complete the program material within the deadline by
the leader. .

 A few members had difficulty speaking effectively when it came to pick the
presenter. This means the understood but cannot describe it in detail. Only few
members of the team agreed to accept as presenters in the training program.

New faces and people mean experiencing with none referred ones and unknown

 The problem in the project is in the beginning of the presentation, we had no
idea about each other, about their characteristics and behaviour. Simply, out of
idea.
 The solution for the problem is We introduced ourselves to each other, spoke
about ourselves, got to know about their speciality, skills, background details
and many more to speak confidently. Therefore, nobody will hesitate to speak
with each other.

Language barrier
This is a barrier or hurdle to communicate with others who aren’t unable to speak a
common language.

 The problem in the project is we experienced few of the members weren’t able to
speak and understand languages like Sinhala and Tamil because they are from
different regions and the mother tongue is different. For example: Nethmi doesn’t
understand Tamil and kaveeshna and Nireeksha have no idea about Sinhala.
 The solution for the problem is we decided to communicate in English because
that’s the only common language. Few are weak in English and few are fluent.
Still, those who are weak in English are able to understand and respond anyhow.

Contingencies

This means a future possible event or condition that cannot be forecast with certainty.

 Members asked to have rehearsal only last few days to project submission.
Few members are not good enough in presenting and some have no
experience how to do. So, to overcome from that negative aspect, we
decided to have rehearsal earlier whereas 1 month before the submission.

Working in a group to solve problems is very common in the modern era because different
people have different points of view and some problems are very difficult to solve. In
addition, some problems require an effective and properly structured output or else it will
result in inefficiency when executing the given scenario. For that reason, the following
problem-solving approaches have been developed to make this procedure simpler.

Brainstorming
This is one of the most effective methods of problem solving is by generating as much ideas
as possible to come up with a solution to get around problem, it is also helpful of the
environment is stress free and non-judgmental group of individuals are involved in the brain
storming session.

The 5 Whys
this method is the quickest when you want to get to the root cause of the problem. It is so
simple where all you have to do is as the question “why” five time. Eventually you will reach
the root cause of the issue. The constraint with this method is the answer for each why has to
be rational.

SWOT Analysis
this mainly used for assessing a desirable objective and therefore the Strengths, Weaknesses,
opportunities, Threats are considered prior to making a final decision. This help consider all
aspects of the objective, giving a broader understanding of the topic.

Drill Down Technique


this is another simple technique used to solve complex problems by first writing down the
main problem and then breaking it down to finer details to find the root cause of the problem.

Critically reasoning can be applied by carefully analyzing, conceptualizing and evaluating


ideas for problems mentioned above. One of the main issue we faced was the fear that the
audience not getting the information correct due the project being online. For this issues we
can use the five “Why” method to properly analyze the problem and come up with a solution.

At this event, we used problem-solving strategies like group brainstorming, root cause
analysis, and the five whys to solve a significant issue. By following a few easy steps, we can
use this strategy to solve any kind of challenging scenario.

3.1 Own Contribution


Working on this project greatly developed my interpersonal skills. The role I played in this
project was implementer and also presented my part which was finding about dark web and
presenting it on the final day. As an implementer I was responsible in making all the ideas
that the team members put forward into practical form, I had the role of implementing all the
concepts and ideas which were put forward to make this event successfull. I took up this

position as I played many similar organizing and conduction roles,. I played my role to the
best of my abilities in cooperation with the team leader to make sure that project objectives
and set goals are achieved with the given time constraints, there were many hurdles to over
comes such as different point of views of the team members and different opinions on the
same topic chosen, some members had language barriers which had to be translated. Overall
everyone utilized their inter-personal skills to make this project a success in the give time
frame. Problems faced such language barriers, absence of members, different opinions were
dealt with proper group discussion and brainstorming sessions. I personally gained a lot from
this event and I had a lot to work as my presentation skills , giving better real world examples
for better visualization, improvement on my speech to compensate for not being able to
express my body language.

Overall I was able to grow my skills in handling a team and presenting to an audience and
help others in growing as well in any area that they are lacking. Researching on my assigned
topic dark web also gave me much a greater insight into the importance of of the role of an
implementer and the importance of working with a group to achive a specific goal
successfully and fruitfully. Due this reason I resorted to giving as much good examples so
that the audience are able to understand better.

Dynamic group defines where two or more individuals unite or collaborate together on a
specific project or task focused group with different set of skills and knowledge to make
things happen or win the task. Dynamic group differs with individuals’ behavior for certain
roles. If the group is filled of good peoples who are really enjoy the working together culture,
then there are high chances of good dynamic group.

Characteristics of dynamic group:

1. Trust – when team members feel safe and trust, they will never hesitate to share
information and ideas. It can lead to better ideas aand
nd more creativity. Trusting will
have to make sure members meet their deadlines, carry the weight and burden and do
their part without any excuses.
2. Open communication – teams need to create clear communication and standards.
Moreover, they must feel confi

These are the four main functions and structure how the groups accomplish for various
purposes.

Referring to Task 1 , it is already discussed shortly about the roles assigned to the members
in the project. The importance of will be discussed below. Belbin’s theory is an instinct
which is followed by corporate organizations to categorize individuals into specific roles. The
roles assigned are divided into three groups. The groups are:
1. Action oriented – willing or likely to take practical action to deal with a problem or
situation. An action-oriented person has an immediateness and focusing on the task
such as Shaper, Implementer and Complete finisher.
2. People oriented – skilled at or focused on interaction with people. Such interpersonal
relationship is used in organizations in order to increase productivity and create.
3. positive working environment such as Coordinator, Team worker and Resource
Investigator. Thoughts oriented – individual who thinks critically. They may present
new ideas, consider the advantages and disadvantages of ideas or have specialized
knowledge or skills such as Plant, Monitor evaluator and Specialist.

We have discussed about the importance of assigning roles in a dynamic group. Now it is to
evaluate further more about the group members roles which helped to achieve the project.

 Nehtmi, she is a coordinator and the leader of the project. Her skills are democratic,
extrovert, responsible and innovative. Her leadership was effective more likely to
perform well. This led the members to be attentive on their given task and increase
their productivity.

 Umar, the roles assigned to him was Complete finisher. The skills which he had are
confident, collaborative, extrovert and positive. He had an over confidence on his
positivity. He wasn’t prepared for anything and closer to the deadlines, he consumed
more time to get prepare with the assigned topic reaching the deadlines. Confidence
will lead the effort into results. But being over confidence is very hard to handle
because he might not agree always with other people’s statements. It’s very important
to listen to gain new ideas. Being collaborative, he managed to increase his
productivity and learn from others and problem solving became easier because he had
reached his deadline and he had to accept other’s statement to complete the task rather
than arguing for his statements. Therefore, it was a huge advantage to the project to
get his work done before the final deadline of the project. Even being a complete
finisher, than the expected time, he managed and tried his best to complete sooner.
 Thanushika, the roles which was given to her is Resource investigator. The skills
which she is liable are enthusiastic, extrovert, innovative and open minded. She
enthusiastic was a great example to the others in the project whereas his state of mind,
presence of thinking, preparing and executing ideas was very helpful to execute the
project on time. She was very innovative whereas many of the idea to members was
recommended by her. This led the team to achieve the project.
 And all the other members were totally committed into their assigned roles and also
were successful in achieving their targeted goal in the specific period of time.

Conclusion

According to research, the process of forming groups is advantageous but very flexible.
Groups' stages typically reflect different stages of an individual's growth. Individuals should
be aware of important aspects as well as strategies to avoid becoming stuck along the route in
order to maintain effective teamwork. Any group will perform at its highest level with the
assistance of strong leadership abilities and understanding of group dynamics. Teams and
groups differ in scope and structure, except for being similar. Teams may be significantly
bigger and frequently consists of people with overlapping skills working toward a shared
objective, whereas groups are frequently small collections of individuals with different skill

such as the desire for accomplishment, affiliation, or power. There is also a contrast between
these three theories in that Maslow's Theory focuses on common human requirements, but
Herzberg's Theory and McClelland's Theory do not since they simply rely on work content
elements

Maslow's motivation theory, in my opinion, focuses on all elements of individual needs,


whereas other theories concentrate exclusively on work specific parts of demands and
fulfilment. This is a major benefit for nearly any firm since employees do not have to be
specialists to implement this approach. Maslow's hierarchy of needs covers all of an
individual's needs in a hierarchy that all humans act in a way that will address basic needs
before moving on to satisfy other, so-called higher level needs like esteem needs to self-
actualization needs, ensuring that every employee can be provided with a motivating factor
that can lead to achieving their goal. Everyone can comprehend this idea since we all go
through all of the stages in our lives that are represented in the hierarchical triangle.

It is critical for businesses to use appropriate motivational components to advance the career
advancement of representatives in their human asset sector, because it drives employee
performance, which may be a key figure in the continued advancement of the undertaking,
thus giving it a competitive advantage. Because representatives operate in an unusual manner
in the workplace, the company's strategy may be used to encourage them. Motivational
speaking is likely to create leaps in job contentment and therefore aids in the advancement of
their work execution. As a result, inspiration is one of the most difficult and important
aspects of mechanical and organizational psychology. (Smither, 1997)

Making workers effectively take part in CPD when they are motivated will bring huge
benefits to the organization since they learn or develop modern professional skills and
knowledge, which makes a difference to move forward the organization's productivity and
viability, demonstrating that applications of motivational theories are vital to the
organization's victory.
