Using a Network Printer
OBJECTIVE: At the end of the lesson, the learner should be able to:
• Add and print to a network printer in Windows.
Using a Network Printer Using a network printer is similar to using a network hard drive. You can print to a network printer from any Windows program by following these steps:
1. Open the Print dialog box from any program by
choosing the Print command. 2. Choose a network printer from the list of available printers. Using a Network Printer Keep in mind that printing on a network printer is different from printing on a local printer. When you print on a local printer, you are the only one using it. But when you print to a network printer, you are sharing it with other network users. This means that there are a few things to consider: Using a Network Printer • If several users print to the network printer at the same time, the network has to keep the print jobs separate. This is done using the print spooling feature. • Network printing works on a first-come, first- served basis. If someone sends a long print job ahead of you, you may have to wait for your own print job to be completed. Using a Network Printer • You may have access to both a local printer and several network printers. You can choose which printer to use for different types of documents. Using a Network Printer To add a network printer to your computer, you need to configure it by following these steps: 1. Open the Control Panel from the Start menu. 2. Double-click the Printers icon. 3. If your computer is already configured for a network printer, you will see an icon for it in the Printers folder. Network printer icons have a pipe attached to the bottom. Using a Network Printer 4. If you don't have a network printer configured, click the Add a Printer button on the toolbar. 5. Follow the instructions of the Add Printer Wizard to select and add the printer. You may need to enter the printer's UNC path or IP address if it doesn't appear in the list. 6. Optionally, you can designate the printer as your default printer. Using a Network Printer After you have installed the network printer, printing to it is easy. Just use the Print command from any Windows program and select the network printer from the list of available printers. Using a Network Printer Sometimes, there may be issues or changes that you need to make with the print queue. Here are some tricks to manage print jobs:
• To temporarily stop a job from printing, select the job and
choose Document ➪ Pause Printing. Choose the command again to release the job and print it. • To delete a print job, select the job and choose Document ➪ Cancel Printing. Using a Network Printer • To stop the printer, choose Printer ➪ Pause Printing. To resume, choose the command again. • To delete all print jobs, choose Printer ➪ Purge Print Documents. • To prioritize a print job, drag it to the top of the list. Using a Network Printer • To stop the printer, choose Printer ➪ Pause Printing. To resume, choose the command again. • To delete all print jobs, choose Printer ➪ Purge Print Documents. • To prioritize a print job, drag it to the top of the list. Using a Network Printer When you are done using the network, it is important to log off to make the network drives and printers unavailable. This prevents unauthorized access to your computer. In Windows, you can log off the network by clicking the Start button and choosing the Log Off command. Using a Network Printer In addition to using a network printer, there are other ways to utilize your network. One way is to share your files and resources with other network users. This can be done by turning your Windows client computer into a server computer. For example, you can share your printer and designated folders so that others can access them. Using a Network Printer Before you can share your files or printer, you need to enable the File and Printer Sharing feature on your computer. Follow these steps:
1. Open the Network and Sharing Center by
clicking the Start button and typing "Network and Sharing Center". 2. Click Change Advanced Sharing Settings. Using a Network Printer 3. Choose the network you want to enable file and printer sharing for. 4. Select the Turn on File and Printer Sharing option. 5. Click the Save Changes button. Using a Network Printer To share a folder on your computer, follow these steps:
1. Open File Explorer.
2. Navigate to the folder you want to share. 3. Right-click the folder and choose Properties. 4. Click the Sharing tab and then click the Share button. 5. Choose Everyone from the drop-down list and click Add. 6. Select the level of access you want to grant each user. 7. Click Share to confirm. Using a Network Printer Windows also includes a Public folder that can be used for sharing files on the network. You can enable the Public folder through the Network and Sharing Center. The Public folder is accessible to other network users and any user who logs on to your computer. Using a Network Printer To share a printer, follow these steps:
1. Open the Control Panel.
2. Click Devices and Printers. 3. Right-click the printer you want to share and choose Printer Properties. 4. Click the Sharing tab and select the Share This Printer option. Using a Network Printer 5. Optionally, change the share name. 6. Click OK to confirm.
