What Is PowerPoint?

• Microsoft PowerPoint is a full-featured presentation


app that allows you to produce compelling
presentations to deliver and share with an audience
• A PowerPoint presentation also is called a slide show
• A collection of slides is called a deck
• A common use of slide decks is to enhance an oral
presentation
• PowerPoint can provide design ideas, format texts, add
and edit video and audio clips, create tables and charts,
apply artistic effects to pictures, animate graphics, and
collaborate with friends and colleagues

• To Start PowerPoint and Create a Blank Presentation


• Click the Start on the Windows taskbar to display the Start
menu
• Click the PowerPoint 2021 tile to run the PowerPoint app
and display the PowerPoint start screen
• Click the Blank Presentation thumbnail on the PowerPoint
start screen to create a blank PowerPoint document in the
PowerPoint window

• When PowerPoint is started, eleven main tabs are


displayed in the ribbon
• To Display a Different Tab on the Ribbon
• Click the tab (Design) on the ribbon to display the that tab
(Design tab)

• A theme also called a template is a predefined design with


coordinating colors, fonts, and graphical effects to give
presentations a consistent and professional look
• To Choose a Presentation Theme
• With the Design tab displayed, point to the More button
[Themes group]
• Click the More button to expand the gallery. If necessary scroll
down to the bottom and select the desired theme (Parcel: row
3, col 1)
• If the Design Ideas pane is displayed, close the pane

• To Enter the Presentation Title


• Click the label, “Click to add title,” located inside the title text
placeholder to select the placeholder
• Type the desired title (Shelly Pet Hospital & Wellness Center) in
the title text placeholder. Do not press the ENTER key

• To Enter the Presentation Subtitle Paragraph


• Click the label, “Click to add subtitle,” located inside the subtitle
text placeholder to select the placeholder
• Type the desired subtitle (Quality Care for Pets and Their
Families) inside the placeholder but do not press the ENTER Key

• You can zoom the slide view to enlarge or shrink the content
of slide on the screen
• To Zoom a Slide
• Click the Zoom In or Zoom Out button on the status bar as many
times as necessary until the Zoom button on the status bar
displays the desired percentage (90%)

• To Select a Paragraph
• Triple-click the paragraph (subtitle text)

• To Italicize Text
• With the text to italicize selected, click the Italic button on
the Mini toolbar to italicize that text on the slide

• To Increase Font Size


• Click the Increase Font Size button on the Mini toolbar the
desired number of times to increase the font size of the
selected text (32 pt)

• To Select a Word
• Double-click the word (Quality) to select it

• Select the text (Quality), click the Font Color arrow on the Mini
toolbar to display the Font Color gallery
• Click the desired color (Green) to change the font color
• Click outside the selected text to deselect the word

• To Save a Presentation for the First Time


• Click File on the ribbon to display Backstage view
• Click the Save As tab in Backstage view to display the Save
As gallery
• Click This PC in the Other locations list to display the
default save location on the computer or mobile device
• Click the More options link to display the Save As dialog
box
• Choose a location (OneDrive) and type the desired name in
the file name box (Pet Hospital)
• Click the Save button to save the presentation with the file
name

• To Add a New Title and Content Slide


• Click the New Slide button [Home tab | Slides group] to insert a
new slide with the Title and Content Layout

• To Enter a Slide Title


• Click the label, “Click to add title,” to select it and then type
the desired title (Our Service). Do not press the ENTER key

• To Select a Text Placeholder


• Click the label, “Click to add text,” to select the content
placeholder in order to type text
• To Type a Multilevel Bulleted List
• Type the first item in the bulleted list (Emergency Care), and
then press the ENTER key to type the second item
• To create a second-level paragraph, click the “Increase List
Level” button [Home tab | Paragraph group]
• Type the second item (X-rays and laboratory testing), and then
press ENTER
• Click the “Decrease List Level” button [Home tab | Paragraph
group] to promote a paragraph

• To Type the Remaining Text


• Type “Preventive Care” and then press ENTER
• Click the “Increase List Level” button to demote the
paragraph to the second level
• Type “Routine checkups and vaccinitions” and then press
ENTER (“vaccinitions” is misspelled intentionally)
• Click the “Increase List Level” button to demote the
paragraph to the third level
• Type “One-third of dogs and cats are overweight” but do
not press ENTER

• To Select a Group of Words


• Position the pointer immediately to the left of the first
character of the text to be selected (R in Routine)
• Drag the pointer through the last character of the text to
be selected (s in checkups)

• To Bold Text
• With the text to bold selected (Routine checkups), click the
Bold button on the Mini toolbar
• To Increase Font Size
• With the above text still selected click the “Increase Font
Size” button on the Mini toolbar once (increase to 18 pts)
• Click outside the selected area to deselect the text
• To Underline Text
• Select the text (One-third)
• Click the Underline button on the Mini toolbar

• To Add a New Slide and Enter a Slide Title and Headings
• Click the New Slide arrow in the Slides group to display the
layout gallery
• Click the desired layout (Comparison)
• Type the desired title in the title placeholders (Obedeince
Classes – Obedience is misspelled intentionally)
• Click the left heading placeholder
• Type the heading (Basic and Advanced Skills) in the
placeholder
• Select the right heading placeholder and then type the
heading (Small Group Sizes) but do not press ENTER

• To Change the Font
• Triple-click to select all the left heading (Basic and
Advanced Skills) and display the Mini toolbar
• Click the Font arrow to display the Font gallery
• Scroll to the desired font (Cambria) in the Font gallery
• Click the desired font (Cambria)
• Select the right heading (Small Groups Sizes) and change
its font to Cambria as is done above

• To Add a Slide with the Title Only Layout
• Click the New Slide arrow in the Slides group to display the
layout gallery
• Click Title Only to add a new slide and apply that layout
• Type the title (Grooming Facilities) but do not press ENTER

• The theme applied to the presentation (Parcel) is simple and
does not have many design elements
• To Change the Theme
• Click design on the ribbon to display the DESIGN tab
• Click the More button [Design tab | Themes group] to expand
the gallery, which shows more theme gallery options
• Click the desired theme (Integral: row 1, column 4) to apply this
theme to all slides
• If the Design Ideas pane is displayed, close it

• To Move to Another Slide in Normal View
• With Slide 4 displayed, position the pointer on the scroll
box
• Press and hold down the mouse button so that Slide: 4 of 4
Grooming Facilities appears in the slide indicator
• Drag the scroll box up or down the vertical scroll bar to
view the different slides until the slide indicator shows
Slide: 1 of 4 Shelly Pet Hospital & Wellness …)
• When you are finished, release so that Slide 1 appears in
the Slide pane and the Slide 1 thumbnail has an orange
border in the Slides tab

• To Insert a Picture into a Slide without a Content Placeholder
• Select the slide (Slide 1) and click Insert tab on the ribbon
• Click the Pictures button to display the Insert Picture dialog box
• Scroll to find the picture and then click the Insert button to insert
the picture (Data Files: Support_PPT_1_PuppyLove.jpg)
• If the Design Ideas pane is displayed, click the “Stop suggesting
ideas until I restart PowerPoint” link or just close the pane
• To Insert More Pictures into Slides without a Content
Placeholder
• Select the slide (Slide 2 or 4) and click Insert tab on the ribbon
• Insert the picture (Support_PPT_1_AnimalGroup.jpg or
Support_PPT_1_EarGrooming.jpg) as is done for the 1st picture

• To Insert a Picture into a Content Placeholder
• Click the slide thumbnail (Slide 3)
• Click the Pictures icon in the left content placeholder to
open the Insert Picture dialog box
• Find and click the picture (Support_PPT_1_PawShake.jpg)
• Click Insert button to insert this picture into the left content
placeholder
• Click the Pictures icon in the right content placeholder to
open the Insert Picture dialog box
• Find and click the picture
(Support_PPT_1_ObedienceClass.jpg)
• Click Insert button to insert this picture into the right
content placeholder

• Sometimes it is important to maintain the proportions of a
picture such as a picture of a person
• To Proportionally Resize Pictures
• Select the slide (Slide 1)
• Click the photo (PuppyLove) to select it and display the
selection rectangle
• Point to the desired sizing handle (upper-right) on the
illustration so that the pointer changes to a two-headed
arrow
• Drag the sizing handle diagonally (toward upper-right) until
the illustration is the desired size (about 5.21” x 7.81”)
[Format tab | Size group]
• Release to resize the picture -34-

• To Proportionally Resize Other Pictures
• Select the slide (Slide 2 or 4)
• Click the picture (AnimalGroup or EarGrooming) to select it
and display the selection rectangle
• Point to the desired sizing handle (upper-right) on the
illustration so that the pointer changes to a two-headed
arrow
• Drag the sizing handle diagonally (toward upper-right) until
the illustration is the desired size (about 5.22” x 8.05” or
5.49” x 8.24”) [Format tab | Size group]
• Release to resize the picture

• To Move Pictures
• Click the picture (on Slide 4) to select it
• With the four-headed arrow displaying, drag the picture to the
desired location (vertical smart guide: center, horizontal smart
guide: bottom)
• If necessary, select the photo and then use the ARROW keys to
position it precisely
• Click the picture (on Slide 2) to select it
• Drag the picture to (vertical smart guide: right, horizontal smart
guide: center)
• Click the picture (on Slide 1) to select it
• Drag the picture to (vertical smart guide: center, horizontal
smart guide: top)

• To Rotate a Picture
• Select the slide (Slide 2), click the Insert tab, then click the
Picture button to display the Insert Picture dialog box
• Find and select the picture (Support_PPT_1_PawPrints)
and click Insert button
• Close Design Ideas pane if displayed
• Click the picture (PawPrints), position the mouse pointer
over the rotation handle so that it changes to a Free Rotate
pointer
• Drag the rotation handle in the desired direction (90
clockwise) and then move the picture to (vertical smart
guide: center of above pic, horizontal smart guide: bottom)

• The paw prints picture is not as wide as the animal group
picture and its height is covering the kitten’s paws
• To Nonproportionally Resize the Picture
• Click the pic (Paw Prints) to display the selection rectangle
• Point to the sizing handle (top-middle) of the pic so that
the pointer changes to a two-headed arrow
• Drag the sizing handle inward until the pic is the desired
size (about 4.8”x1.14” [Format tab | Size group] &
horizontal smart guide shows up with a crosshair)
• Drag the left sizing handle outward to desired size (about
6.43”x1.14 [Format tab | Size group] & vertical smart
guide: left of the paw prints pic with crosshair)

• To Move a Slide in Normal View


• Select the slide thumbnail (Slide 3) and drag it to the new
position (below the last slide) in the Slides tab
• To Save a Presentation with the Same File Name
• Click the Save button on the Quick Access Toolbar to overwrite
the previously saved file (Pet Hospital)

• To Close a File Using the Backstage View


• Click FILE on the ribbon to open the Backstage view
• Click Close in the Backstage view to close the open file without
closing PowerPoint
• To Open a Recent File Using the Backstage View
• Click FILE on the ribbon to open the Backstage view
• Click the Open tab in the Backstage view to display the Open
screen
• Click the desired file name (Pet Hospital) in the Recent list to
open the file

• To Delete Text in a Placeholder


• Select the slide (Slide 3) and position the pointer
immediately to the right of the last character of the text
(Facilities) to be selected
• Drag the pointer through the first character of the text to
be selected (Facilities)
• Press the DELETE button to delete all the selected text
• Type the replacement text (Service) in the title text
placeholder

• Every theme has 10 standard colors: two for texts, two


for backgrounds, and six for accents
• To Change the Theme Colors
• Click the Design tab
• Click the More button in the Variants group to expand the
gallery
• Point to Colors in the menu to display the Colors gallery
• Click the desired color selection (Yellow Orange)

• To Add Notes
• Select the slide (Slide 3) and click the Notes button on the status
bar to display the Notes pane for the slide (Slide 3)
• Click the Notes pane and then type the desired note (We offer
quality dog and cat grooming services performed by our
experienced pet stylist. We will pamper your pet with a bath, nail
trimming, and ear cleaning. Services vary in price based on the
animal’s breed and size.)
• Select Slide 4, click the Notes pane, and type (Obedience training
is fun and rewarding for your dog and for you. Our classes focus
on essential commands and socialization.)

• To Check Spelling
• Click REVIEW on the ribbon to display the REVIEW tab
• Click the Spelling button [Review tab | Proofing group] to
start the spelling checker and display the Spelling pane
• Select the correct word (vaccinations)
• Click the Change button to replace the misspelled word
(vaccinitions)
• Continue checking all the flagged words
• When Slide 4 is displayed, replace the misspelled word
“Obedeince” with “Obedience”
• When the Microsoft PowerPoint dialog box appears, click
OK to close the spelling checker

• To Change Document Properties


• Click File on the ribbon to open the Backstage view and
then click the Info tab
• If the property you wish to change is displayed, click to the
right of the property and make the change
• If the property is not displayed, click the Properties button
and then click Advanced Properties to display a property
dialog box. Then make the required change
• Click the Back button in the upper-left corner of the
Backstage view to return to the PowerPoint presentation
window

• To Change Views
• Display a slide (Slide 1) and then click the Slide Sorter view
button on the right side of the status bar to display the
presentation in Slide Sorter view
• Click the Reading View button on the right side of the
status bar to display the Reading view
• Click the Next button to advance to the next slide (Slide 2)
• Click the Previous button to move back to Slide 1
• Click the Menu button (btwn Next & Prev buttons) to
display more commands
• Click End Show command to return to Slide Sorter view
• Click the Normal view button to return to normal view

• To Start Slide Show View


• Point to the “Start From Beginning” button on the Quick
Access toolbar
• Click the “Start From Beginning” button to display the title
slide
• To Move Manually through Slides in a Slide Show
• Click each slide to move through the slide show
• When the black slide appears with a message announcing
the end of the slide show, click the black slide to return to
the Normal view

• Click File on the ribbon to open Backstage view
• Click Save As to display the Save As screen
• Type the new file name in the File name box
• Click the Save button to save the file with the new name
• To Print Full Page Slides
• Click File on the ribbon to open the Backstage view
• Click the Print tab in the Backstage view to display the Print
screen
• Verify that the selected printer will print a hard copy
• Click the Print button
• Retrieve the copy

• To Preview and Print a Handout


• Click FILE on the ribbon to open the Backstage view and
then click the Print tab
• Click “Full Page Slides” in the Settings area to display the
Full Page Slides gallery
• Click the desired number (2) of slides in the Handouts area
to select this option and display a preview of the handouts
• Click the Next Page and Previous Page buttons to display
previews of the next and previous (2) pages
• Click the Print button in the Print gallery to print the
handout

• To Print Speaker Notes


• With the Backstage view open and Slides 1 & 2 displayed in the
preview, click “2 Slides” to display the Print gallery
• Click Notes Pages in the Print Layout area to select this option
• Click Next Page/Previous Page buttons to view the notes pages
• Click the Print button in the Print gallery to print the notes
pages on the currently selected printer
• To Change the Print Color
• With the Backstage view open, click Grayscale in the Settings
area to display the Color gallery
• Click Color to select this option and display a preview
• Click the Print button in the Print gallery to print

• To Obtain Help Using the Search Text Box


• Click Help on the ribbon to display the Help tab
• Click the Help button to display the Help pane
• Type the search text (fonts) in the Search help box at the
top of the Help pane
• Press ENTER to display the search results
• Click the desired link to open the Help information
• Click the Close button in the Help pane to close the pane
• Click Home on the ribbon to display the Home tab

• To Obtain Help Using the Tell Me Box


• Type the search text (border) in the Tell Me box and watch the
search results appear
• Point to the desired submenu (Border Style) to display the
various option
• To Sign Out of Microsoft Account
• Click File on the ribbon to open the Backstage view
• Click the Account tab to display the Account screen
• Click the Sign out link, which displays the Remove Account
dialog box
• When prompted, click Yes button to sign out of your Microsoft
account on this computer
