Question:
Scenario: You have been hired as the IT intern for a start up management consulting
company. The company needs to automate their office. The company currently has five
employees. These employees are: one secretary, three consultants, and the owner of the
company. Software required for the company includes Microsoft Office Professional,
Peachtree Accounting Software, Microsoft Project, and others. One of the consultants will
require training in MS Project, and another in Peachtree. You are tasked to find the best
computers for the lowest cost that will meet the requirements for the five employees that use
this office. Assume you will select the same computer for all five employees: Don't forget the
software in the cost; also the printer(s), scanner(s), and other peripheral components that may
be required. You can network the computers if you so desire. Assume you will have DSL.
Compute individual cost for each system, and the cost for the entire office, and the total cost
of ownership (TCO) for all systems in this company The owner of the company wants three
separate prospects to choose from. He has suggested you look at Dell, HP, and a local
company in town for the systems: You also have an option to use the same resources through
a cloud provider if possible. He has requested you use Excel to do your comparisons and
provide a summarized report as well.
Introduction:
As the IT intern of a management consulting company, the task is to automate their office by
selecting the best computers for the lowest cost that will meet the requirements of the five
employees, including one secretary, three consultants, and the company owner. The required
software for the company includes Microsoft Office Professional, Peachtree Accounting
Software, Microsoft Project, and others.
The task also includes finding the best peripherals such as printers, scanners, and networking
the computers if required. The owner of the company wants to have three separate prospects
to choose from HP[1], Dell[2], and a local company. After analyzing different online stores
of the mentioned companies we conclude the i5 with 8GB is best for office use and
recommended by company by the respective company. Additionally, a cloud provider can be
considered for the same resources.

As we can see from the table, all three vendors offer the same specifications for the printer(s),
scanner(s), and other peripheral components. However, when we include the cost of wires,
the total peripheral cost for each vendor is slightly higher. Therefore, the cost of wires should
also be taken into account when making a decision on the most cost-effective vendor.

So from above graph we conclude that HP has noticeably higher for Printer and Scanner.

Conclusion:
After comparing the prices of computer systems from Dell, HP, and the local company, it was
found that Dell is offering the best price. The total cost for all five systems, including
software, peripherals, and networking, is $10,415. The TCO for all five Dell computer
systems is $9,190, which includes the initial cost of the systems plus the maintenance,
support, and upgrade costs over three years. The owner of the company can choose from
these options and select the most appropriate one. Additionally, a cloud provider can be
considered for the same resources, which can also provide additional benefits such as
accessibility, scalability, and security.
