Types of Reports
Reports are classified into three main types depending on the purpose or motive
behind the report. The common types of reports are -

• Academic Reports: This report tests the child’s comprehension ability. It


tests if the student has understood the lesson and is able to comprehend
the subject matter, such as books, historical events, biographies, etc.
• Business Reports: It can be a marketing report, work report, etc., and the
main purpose of writing the business report is to identify different
business strategies.
• Scientific Reports: Share research findings like case studies and
journals.

Report Writing Format and Structure


The structure of a report depends on the type of report and the requirements of
the report. The basic format for writing a report is as follows -

• Executive Summary: An executive summary summarises the whole of


the report so that the readers know what to expect. These are mostly used
in official reports.
• Introduction: The introduction of the report plays a crucial role as it
includes the main idea of the report. The main argument is discussed in
the introduction before one puts one’s points and the evidence is
collected.

• Body: The body comes after the introduction of the report. It includes all
the information regarding the event or the topic. All the facts and
evidence collected can be displayed in the body of the report. The body
covers the major part of a report.
• Conclusion: Here, all information is gathered together, and one’s
personal opinion or judgement is explained.

Eyewitness Report

Report on Fire Accident in a Mall

On the 13th of May, 2023, around 11 am in the morning, a fire broke out in the
Phoenix Mall at Vasant Vihar, Delhi. The entire area around the mall was
covered with thick black smoke. Everyone from the mall was evacuated before
the fire engulfed a major portion of the mall. The manager of the mall had
called the firefighters to put out the fire. The locals tried to put out the fire but
their efforts were of no use. Six fire-engines arrived within 10 minutes and, for
the next two hours, tried their best to put out the fire. Due to the presence of
flammable things like clothes, plastic, etc. in the mall, the fire spread quite fast.
The people living near the mall were asked to leave their houses to ensure that
no civilians got injured. After struggling to put out the fire for two hours,
finally, the firefighters were able to bring the fire under control. Three of the
firefighters were injured during this operation, and they were taken to the
nearest hospital. The Chief Minister, and Chief of firefighters had also arrived at
the site of the fire accident. Though the fire was finally put out after long hours
of struggle, most of the shops inside the mall were completely destroyed. The
firefighters reported that the fire accident took place at such a massive scale due
to a short circuit and the absence of adequate fire safety equipment. The Chief
Minister issued a statement thanking the firefighters for their job and assuring to
help the shopkeepers who had lost their shops to restart their businesses.

Report on Fire Accident in a House

Around 9:00 p.m. on Wednesday, a fire broke out in a two-storied house in Raju
Nagar, Mumbai. Luckily, the members of the house were not present in the
house when the fire broke out. The neighbours who had noticed smoke coming
from the house had called the fire brigade. Until the fire brigade arrived, the

neighbours tried to put out the fire. The residents of the burning house too had
arrived, but were stopped by the locals from entering the house. Two fire
brigades arrived within 10 minutes and sprang into action. The officers asked
the people living near the burning house to leave their homes and come out to
avoid any kind of mishap. After an hour of struggle, the fire was finally put out,
but a major portion of the house had been burnt down. One of the firefighters
reported that the reason for the fire breakout was not clear and that they would
need to investigate further. The affected family members were asked to stay
somewhere else till the investigation gets over.

Report on Bank Robbery in Orissa

On the 3rd of April, a bank robbery took place in a nationalized bank in


Bhubaneshwar. Bank authorities complained that ten lakh rupees and important
valuable assets were stolen from the lockers. It was reported that four men
arrived at the bank around 11:00 a.m. pretending to be customers and went to
the Manager’s chambers to talk to him about some issues and, within a few
minutes, held all the people in the bank hostage. The bank’s security guards
were injured in an attempt to stop the robbers. The robbers had threatened the
cashier, keeping her at gunpoint, to empty the cash box and hand them the entire
cash. They also wanted the keys to the locker room from the Manager, and upon
refusing, the robbers injured him and tore down the office to look for the locker
room keys and, in the process, destroyed many valuable documents. The
robbers succeeded in finding the locker keys and cleared the lockers within a
few minutes, and ran out of the bank.

The police were informed, and when they arrived, the robbers had already left.
The injured guards were taken to the nearest hospital and provided treatment.
The police officials took statements from the witnesses and the bank’s manager.
The CCTV footage of the bank and the nearby areas were collected for
investigation. The police questioned the nearby shops to help them make
sketches of the robbers. However, no arrests were made regarding the matter.

Report on Bank Robbery in West Bengal

On 4nd March 2023, a bank robbery took place in West Bengal’s Tejpur SBI
branch. Three men armed with guns entered the bank and injured the security
guards. More than 6 lakh rupees was plundered, and important documents were
destroyed. According to local people, they had seen a Maruti 800 van parked
outside the bank around 10:30 in the morning. The two robbers put the cashier
at gunpoint and demanded money, according to the witnesses. When the cashier
resisted, the robbers injured him badly, broke the cash box, and looted the
money. The robbers then rummaged through the entire bank to get the keys to
the lockers. After finding the keys, the robbers ransacked several lockers and
took away many valuable assets.

Locals also reported hearing multiple gunshots being fired from the bank. When
the police arrived, they found no one shot; instead, they found the security
guards and the cashier injured. Both were taken to the nearest hospital and
provided with the necessary treatment. The police collected statements from the
customers who were present in the bank during the robbing incident. CCTV
footage of the bank and the nearby areas were collected for investigation by the
police. The police questioned the nearby shopkeepers to help them make a
sketch of the robbers. However, no arrests have been made regarding the matter
at the moment.

Structure of a News Report
A news report should include the following-

• Headline: It tells what the story is about.


• Byline: It tells about the writer of the story.
• Lead: It covers the most important facts.
• Body: It includes a detailed account of the event/occurrence.
• Ending: It talks about the solution or something to think about.

Answering the 5Ws and the H

While writing a news report, one should answer all the WH questions -

• What was the event?

• Who was involved in the event?
• Why did it happen?
• How did the event happen?

Sample Report on Road Accident

On Monday, around 11 p.m., a goods truck collided with a car on the National
Highway. Both the vehicles were greatly damaged. It is suspected that one of
them should have fallen asleep while driving. The highway was blocked for
more than an hour due to the accident. Emergency ambulance services arrived
at the earliest and all of them were given first aid.

A family of four – Madhav (65), Nalini (62), Ravi (35) and Meena (27) – were
travelling in the car. The husband and wife sustained multiple fractures and the
children were badly injured. The driver of the truck also suffered multiple
fractures. All of them were admitted to a nearby hospital.

More traffic policemen have been deployed in the area to ensure smooth and
safe travel. The police have been checking the surveillance cameras in the area
to check any traffic violations.

Report on Road Accident Example

The street, M G Road, near the main flyover in Chennai witnessed yet another
accident early in the morning yesterday. Around 4:45 a.m., an Innova car
toppled over the divider and collided with two wheelers on the opposite side of
the road. The medical services and police arrived at the spot in a few minutes.

The driver of the Innova was severely injured and died on the spot. The people
on the two wheelers have all suffered injuries. They were rushed to the nearest
hospital as soon as possible. The police have found out that the driver of the
Innova was high on alcohol and suspect that should have been the reason behind
the accident.

The city traffic police have all been alerted about the rise in the number of
accidents in the city. Caution signs have been put up in all the accident-prone
areas as a measure to curb the number of accidents all around the city.

Report on Train Accident in Jharkhand

The Netaji Express that runs from Dhanbad to Delhi met with a terrible accident
on 4th August, 2021, at 5:30 a.m. The people living nearby the station reported
hearing a loud noise early in the morning. As they rushed to the site, they saw
that the first five coaches of the train had been derailed. The locals rushed to
help the passengers of the train who were injured and had fallen down. The
locals informed the nearby GRPF and the local police station about the accident.
Within a few minutes, the officials arrived and started the rescue operation. The
rail engineers came to investigate the reason behind the derailment of the five
coaches. The primary investigation revealed a small crack in the tracks that
might have caused the accident. Almost 100 passengers were injured, and 20
people had died. The injured people were taken to the nearest hospital. The
Chief Minister visited the accident spot and announced that the families of the
deceased would be given 5 lakhs and a government job, and the families of the
injured would be given 3 lakhs each. The CM said that a high-level
investigation would be set up to look into the matter. All the other trains were
cancelled for the day, and the rescue operation continued till late at night.

Report on Train Accident in Jammu

A collision took place between a passenger train and a goods train on the 14th
of March, 2022, at 8:30 p.m. in Jammu. The local people rushed to the site and
carried out the primary rescue operations. The GRPF and the local authorities
were informed about the accident. Due to the collision, both trains were
damaged to a great extent. The drivers of both trains died in the collision, and
many were seriously injured. To hasten the rescue operations, the NDRF team
had arrived too. The severely injured were taken to multi-speciality hospitals,
and the rest were taken to nearby hospitals. Around 50 people were found to be
dead within one hour of the rescue operation, and more than 550 people were
badly injured. Prominent personalities like the State Railway Minister, the DG
of police, and the Chief of the fire brigade had arrived at the accident scene. The
two trains were separated from one another with the help of a crane. The Chief
Minister inquired with the State Railway Minister about the situation. The

primary investigation revealed that the goods train was moving faster than
usual, which might have caused it to miss a signal and collide with the
passenger train. The State Railway Minister announced that the families of the
deceased would be given 10 Lakhs and a government job, and the families of
the injured people would be given 5 Lakhs each. The Minister assured that a
high-level investigation committee would be formed to look into the matter.

(Lead) A magnitude 7.0 earthquake struck the central region of the country
early this morning, causing widespread damage and leaving at least 100 people
injured.

approximately 20 miles southwest of the city of X. It was felt as far as 200
miles away, with reports of shaking and structural damage in several nearby
towns and cities.

The entire district of Bakula, West Bengal, faced heavy rainfall for hours this
week. More than five villages were flooded and over five lakh people were
affected. The flood was mainly caused due to the increased level of water in the
Damodar. The areas drained by the river were affected badly as most of the land
went under water. The agricultural lands and livestock were badly affected too.
Though the authorities had moved around three lakh people to different flood
shelters, many were still stuck. The NDRF (National Disaster Response Force)
and army personnel were deployed to handle the situation and ensure no lives
were lost during the flood. The government had opened many helpline numbers
to assist the people in distress. Various authorities were instructed to help
people with clean water, proper food and medicines. Health inspectors were
deployed to check the medical condition of the people in the shelter. The
government had announced that people who were severely affected by the flood
would be given monetary assistance. The Chief Minister had formed a
committee that would look into the areas where people were severely affected
and provide them with the necessary assistance they needed. The Irrigation and
Waterways Minister was instructed by the Chief Minister to look into the
situation and come up with a plan to prevent loss of life and property during
floods in the future.

Report on Teachers’ Day Celebration held in KBC College
On 5th September, 2020 (Saturday), the KBC Engineering College organised
Teachers’ Day celebrations. The function took place in the auditorium of the
college. All the departments of the college were beautifully decorated by the
students for Teachers’ Day. The students of various departments, along with the
help of the Student’s Union, organised a function for the teachers. The Dean of
the college, too, was present at the function. The program started with the Dean,
the Teacher-in-Charge and the Heads of the Department cutting the ribbon and
lighting the diyas. The program started with the Sanskrit department reciting the
Ganesh Vandana. Then the English Department performed a Shakespearean
play and dedicated the play to their Head of the Department. A student from the
Bengali Department recited a poem from Rabindranath Tagore’s Gitanjali.
Students of various departments performed for their teachers. At the end of the

program, the Dean of the college gave away trophies to the Best Teachers
nominated by the students. The Dean gave a vote of thanks on behalf of the
teachers and also appreciated the teachers for their immense contribution to the
institution for years. The entire program ended on a happy note.

Report on Science Exhibition in School

On 15th October 2023, KVC Public School, Kolkatta, organised a science


exhibition in its school auditorium. A number of students from various classes
participated in the exhibition. The science exhibition was held in honour of Dr
A.P.J. Abdul Kalam’s birthday. The chief guest for this exhibition was Mr Shiv
Murty, one of the renowned scientists. The exhibition started at 12:00 p.m. and
was open to all the parents and students of the school. The principal of the
school gave a commencement speech and announced that the best three exhibits
would be selected by the National Science Foundation, India to display in their
labs. As the exhibition started, various students presented their projects. Models
of solar power energy, space satellites, hydroelectric generators, AC and DC
motors, automatic transformers, and robots were built by the students. Mr.
Murthy, along with the principal, went around looking at the different models
designed by the students and assessed the descriptions given by the students.
The parents, too, looked at the various models put up by the students. Apart
from models, the students also organised visual presentations to help everyone
understand the concepts of their working models. Mr. Murty gave a speech on
the importance of the contributions of the young generations to the field of
science and technology. At the end of the exhibition, upon careful inspection of
the different models and projects, Mr. Murty selected three projects from Class
5, Class 8 and Class 10, respectively. Everyone who participated in the
exhibition were given certificates and mementoes for their excellent efforts. The
exhibition ended with the principal delivering a speech extending her gratitude
to Mr. Murty and congratulating all the students who participated in the
exhibition.

Report on Inter School Science Exhibition

On the eve of the birthday of Vikram Sarabhai, (August 12, 2021), the Father of
the Indian Space Programme, the Science and Research Forum of New Delhi
organised an inter-school science exhibition. Candidates from different schools
participated in this science exhibition. The Forum announced that the two best
exhibits would be kept in the Hall of Exhibits where it will be displayed to the
public. Models related to space satellites, different satellites of the planets, the
various galaxies, the working of the Hadron Collider and many more things
were on display. The members of the Science and Research Forum were
impressed by the efforts of the students. The members of the committee had a
tough time deciding which two best exhibits they were going to present in the
Hall of Exhibits. Every one of the participants was given certificates and
mementoes from the Science and Research Forum of New Delhi.

Report on Sports Day at Chetana College

On 23rd January, 2024, on the occasion of Netaji Subhas Chandra Bose’s 127th
birthday, Chetana College, Delhi, organised their sports day. The events took
place on the college football grounds. The Governor of the state was invited as
the chief guest for this function. Teachers, along with the students, participated
in the various events of the sports day. The day’s events were set to motion after
the Governor’s speech and the ringing of the bell. A friendly tug of war was
organised between two groups of teachers. After that the students competed
against one another in various sports events like 200 metres race, shuttle, javelin
throw, long jump, football, kho kho and relay race. The NSS group of the
college too participated in the event and surprised the audience with their skilful
performance. At the end of the events, the principal of the college, along with
the Governor, gave away prizes to the participants. The principal thanked and
expressed his gratitude to the Governor for his presence and congratulated the
students for their excellent performance.

Report on Blood Donation Camp held in School

On 13th April, 2022 (Wednesday), KVC Public School, Chandni Chowk, Delhi,
organised a blood donation camp. The camp was organised by the faculty to
help the Thalassemia patients. The camp took place in the playground of the
school. The principal of the school had invited the Sub Divisional Officer
(SDO) to be the chief guest for this function. The function started around 9
o’clock in the morning, with the SDO donating blood. The senior students of

the school too participated in the program. Apart from students, many common
people also participated in this. The blood collected from this camp was to be
given to the Government Thalassemia Hospital. The school had arranged for
refreshments for those who donated blood in the camp. Students and other
people who had participated in this blood donation camp were given certificates
and a small gift hamper. To watch over the entire process and to collect the
blood, a team of five doctors were put in charge. The school had also arranged
for a resting room for anyone who felt dizzy or sick after donating blood.
Volunteers from a local club also had come to help the school organise the
blood donation camp. After the completion of the blood donation, the principal
thanked and appreciated everyone present in the camp. The day ended with the
National Anthem and a heartfelt vote of thanks from the principal of the school.

Report on Republic Day Celebrated in KVC School

KVC School, Ruby Park, Delhi, celebrated the 70th Republic Day with much
pomp and glory. The event consisted of speeches from eminent personalities
like the Police Commissioner, Sub-Divisional Officer (SDO) and other
dignitaries, dances, songs, acts, gymnastics, and a parade by the N.C.C.
students.

The event started with the principal of the school, the Police Commissioner, and
S.D.O. unfurling the national flag and hoisting it. After the flag hoisting, the
students of the four different houses started their march past and paid their
respects to the national flag. After the march past came to an end, the students
of senior classes put together an act of how various freedom fighters fought the
British army and sacrificed themselves to free India. The brilliant act managed
to bring everyone to the brink of tears. The school choir team did a phenomenal
job by singing the famous song by Lata Mangeshkar, “Aye Mere Vatan Ke
Logo’ on this auspicious day. At the end of the song, the principal asked the
Police Commissioner, S.D.O. and other dignitaries to distribute prizes to the
students who had performed exceptionally well in studies and sports throughout
the year. The principal thanked everyone and ended the event with the National
Anthem.

Report on Tree Plantation in KPC School

The Kendriya Public School, Gandhidham, Delhi, organised a tree planting
event on 16th April, 2023. The students from Class VI to XII actively
participated in this event. Mr Darshan Shahani, the Director of the Board of the
DPS North Zone, was invited to be a part of this event. The students, along with
the teachers, agreed to plant trees in the campus of the school. Various types of
tree saplings, like peepal, cinnamon, neem, and eucalyptus, were planted in the
school premises. The geography teachers were asked to explain to the students
the importance of different trees that were planted. Mr Shahani, along with the
principal, also planted a cinnamon tree. He also talked about how planting trees
helps to regulate the temperature and absorb all the carbon dioxide from the air.
Mr Shahani talked about how planting trees helps to make the surroundings
greener and how trees serve as homes to many birds and animals. He also
suggested that every student should at least plant one tree per year as it will help
the world to fight against global warming. The day’s event was brought to an
end with the principal’s vote of thanks. All the students were given a sapling
each to plant at home.

Report on Environment Day Celebration in School

The Kendriya Public School, Delhi, organised Environment Day celebrations on


June 5, 2023. The Principal and Vice Principal of the school, along with the
other faculty members, participated in the program in full spirit.

The aim behind organising the Environment Day was to create awareness
among people about the importance of keeping the environment clean as well as
saving it. And for this purpose, the school administration had decided to
conduct a “Plant 100 trees” drive. Ms. Anila Murthy, the District Magistrate,
was invited as the chief guest for the event. She, along with the principal of the
school, planted five trees in the school premises. The students of classes 11 and
12 were given one tree each to plant in the school garden. The students of
classes 11 and 12, along with the respective teachers, planted various trees
including Sal, Mahogany and Eucalyptus in the school garden.

Students of the junior classes were asked to make posters, banners and
pamphlets on the theme of Environment Day. All the students participated in
the program with much enthusiasm. The principal also announced that the three
best posters would be selected and kept in the School Board for the year, and
the students would be given prizes and certificates for the same. After the trees

were planted, the District Magistrate gave a speech on how our environment
helps us in our daily life, and why we should all work together to protect the
environment. He also shared alarming facts about the changes that might
happen in the future due to degradation of the environment. Finally, after the
speech, as promised by the principal, the three best poster makers were given
prizes and certificates by the District Magistrate. The principal thanked
everyone for their presence and concluded the day’s programme.
