Peoplesoft Apply Rules Functionality
The Apply Rules Functionality will run the time administration process in real time and populate
the payable time details in the payable time tab in the timesheet. This is an excellent feature that
will give a lot of transparency to users regarding what they will be paid out and should help
improve operational efficiency.
Faster and more accurate payroll processing/closure with the ability to Apply Rules at an
individual timesheet level and empowerment of employees/managers to resolve issues faster.
Time and Labor Installation Page
Use the Time and Labor Installation page to set up general system defaults and to activate Apply
Rules features for your Time and Labor application.
Navigation
Set Up HCM > Install > Product Specific > Time and Labor Installation.
The values available for the Real Time Rules field on the Time and Labor Installation page are.
• Real Time Rules Not Enabled.
When Real Time Rules Not Enabled is selected, the rules will not be run on submit.
On the Timesheet page, if the user clicks the Apply Rules button, the user is taken to the
Payable Time Details page.
If the rules are applied successfully, the reported time data will be saved with Submitted
(SB) status and the payable time will be generated with status Needs Approval (NA).
The Payable Time goes for supervisor approval and Manager will receive an email
notification along with the approval link.
If there is no payable time created, and if there are exceptions, the user is taken to the
Exceptions page.
Maximum Time (in Months)
The system uses the value in this field as an upper limit when comparing the starting date
specified on a Timesheet and the Earliest Change Date (ECD) for a time reporter. If the
time period that the user wants to process is too long, meaning that the ECD is older than
the value specified in this field, the system disables the Apply Rules button.
This can prevent unacceptable system response times when retroactive changes force the
system to recalculate a large volume of Payable Time. To change this situation, the user
can change the date on the Timesheet to a prior period and bring the ECD forward
incrementally, or the time administrator can run the Time Administration process to move
the ECD forward.
Note: In case of New Hire, system will consider the Enrollment date as ECD.
For example, if the maximum number of months is 2 and ECD is 01/01/2024, then user
can’t run the rules from April month. The system disables the Apply Rules button, and a
message would be displayed “Earliest Change Date is too far back to run Rules in viewed
period. Limit is 2 months”.
In the case of Run from Submit button option system gives the below error when clicks
on Submit button.
When Run from Apply Rules button is selected on the Installation page, Maximum Time
(in months) must be greater than zero else an error message would be generated.
When Run from Submit button is selected on the Installation page, Maximum Time (in
months) 0 is allowed.
Decimal Positions Display the entered number of decimals for the Timesheet pages.
Used in the PeopleSoft Fluid User Interface Report Time screen to display the entered
number of decimals for the Timesheet, Report Time and Report Leave pages.
