Unit 2 Assignment
Unit 2 Assignment
Task 1:
M1 - For and email for example, you would have a wide range of things you can do and
achieve as there’s many ways you can explain and express your work within an email. If you
want to send in a CAD design then you can do it, or if you want to send in your CV you can
still do that even if your miles away from the company, and you can communicate very
easily through email where it is still fast and still has enough space to enable to writer to
explain as much as they need(or they could link a document to do it). The only drawback is
that the communication can get out of control and there can be to many inboxes for the
user to handle, therefore, losing some work that is important or losing important mail into
the junk folder for example. A good way of fixing this is too streamline the software, where
the user can decide what emails go where and if they can flag the important mails so they
can find and read it at a moment’s notice.
D1 – But the email is still one of the best forms of communication because, it’s the fastest
out of many many methods where you can formally send in a message to a company and
make yourself look very professional in a suitable manor. As for example, whilst the letter
still a viable way of getting one message to a certain place, it doesn’t suit the need of speed
as it has to go through a whole system of stages just to then get sent out to the person
receiving the mail. A letter could easily get stolen or mangled on the machines that
transport them and do not have a very protective barrier, whilst email will have 2 step
verification and your phone number attached so you will know when the account is trying to
get broken into.
Task 2:
M2 – If your researching a task to complete a project with correct factual information the
websites used, and the sources used are essential. As you can use a university site with fully
researched papers written by professionals. Or you could go on Ask Jeeves and get a
complete nonsense report of what your researching when you would have no idea if that
individual was correct or not without doing further research. As the university sites will have
in depth research with links to their findings and explanations to what they have found out.
And Ask Jeeves will just have the answer to one question with no background information
and not a lot of detail to back it up (evidence). However, you still need to check the official
email, phone number and social media for example so you can be fully satisfied with there
word for a certain topic of research.

Task 3:
M3 – So for this ICT package I used the Microsoft office which included Word, PowerPoint,
Excel, and the online versions. All of these versions allow me to explain my ideas for the
project, assignments and maths work. As Word allows me to enable tables to simplify the
work given where I can show a column for a description of a certain topic, and then in
another column an image of the topic that is relevant and of course the other columns will
have titles to indicate where the information can be found so it makes it easier when it gets
marked. Excel can allow me to do maths work with equations and tables which makes it
easier to do maths on a computer, as usually it would be better on paper. But you can make
equations so when you input a number it will do the maths for you and give you the right
answer. PowerPoint allows you to present an idea/anything that requires a spread-out
presentation of such idea. It can make transitions smoother, animations that spread out the
effect of the presentation even more, which it does a very good job on as it suits all the
needs of presenting.
D2 – PowerPoint presentation is one of the best ways to present on a computer as you have
so many options and designs to explain your idea. You have the ability show information bit
by bit where the user can make it their own or use one of the designs to make the
presentation look more appealing to the audience. As white backgrounds with black text will
bore the audience very quickly. They can also use it to show videos/photos which would just
allow the audience to understand what their presenting even more. Overall, you would use
PowerPoint to present any ideas to the best of its ability but all comes down to how the
user likes to present in the first place.
An alternate way of presenting ideas more methodically, is hand out sheets with the info
already on the sheet but the presenter shows and indicates where the info is to what is
being talked about. Whilst being very old way of presenting it is still effective as the
presenter can look at the sheet beforehand, remember what was on it and teach or tell the
audience what’s on their, so it makes them look like they know what there on about in a
professional way, where they can also get the point across.
