Microsoft Excel
Definition
A software program created by Microsoft that uses
spreadsheets to organize numbers and data with formulas and
functions Excel allows user to store, organize, and analyze
information.

The Excel interface


From the Excel Start Screen, locate and select Blank
workbook to access the Excel interface.

Workbook and worksheet


A workbook is a spreadsheet program file that you create in
Excel. Itcontains one or more worksheets.
A worksheet (also known as a spreadsheet) consists of
cells in which you can enter and calculate data.

Worksheet views
Excel view options that change the workbook display (Normal
view, Page Layout view, or Page Break view) these views can
be useful if you are planning to print the spreadsheet.

The Ribbon
Excel uses Ribbon system instead of traditional menus. It
contains multiple tabs, each with several groups of commands

The Quick Access toolbar


Located above the Ribbon, the Quick Access toolbar lets you
access common commands depending on your preference.

To add commands to the Quick Access toolbar


1-Click the drop-down arrow to the right of the Quick Access
toolbar.

2- Select the command you want to add from the drop-down


menu.
Extensions in Excel
File extensions is for identify the file type to the operating
system so that it runs and opens the file with the specified
format.

* If you observe at the end of the file name, you will see the
extension of that file.

1 – XLSX

The default Excel format is “XLSX.”. It is the replacement of the


earlier extension called XLS. It is the most popular Excel file
extension for non- macro files.

2– XLSM
This Excel file format used for a Macro file.

3- XLSB

“XLSB” means “Excel Binary Workbook.” If we save the


workbook as a binary workbook, it will reduce the weight of
the workbook.

4 – XLS
This file saved for the binary workbook of Excel 97 to Excel
2003 binary format.

5– XLAM
Have extra features that add to the Excel workbook. You can
create some macros and make Excel talk.

Backstage view

Backstage view gives you various options for saving,


opening a file, printing, and sharing your workbooks

To access Back stage view

Click the File tab on the Ribbon.

Open
Save
Save as
Print
Export

To pin a workbook

If you frequently work with the same workbook, you can


pin it to back stageview for faster access.

1- On Backstage view, click Open. Your recently edited


workbooks will appear.
2- Hover the mouse over the workbook you want to pin. A
pushpin icon will appear next to the workbook.

Click the pushpin icon.


Note: To unpin a workbook, simply click the pushpin icon again.

To export a workbook as a PDF file

Exporting your workbook as a PDF file.

1-Click the File tab to access back stage view.


2-Click Export and then select Create PDF/XPS.

NOTE: Excel will only export the active worksheet. If you have
multiple work- sheets and want to save all of them in the same
PDF file, click Options in the Save as dialog box. The Options
dialog box will appear. Select Entire work-book, then click OK.

To export a workbook in other file types:

If you need to share with people using an older version


of Excel 97-2003workbook.

1-Click the File tab to access back stage view.

2-Click Export, then select Change File Type.

Cells in excel

Every worksheet made up of thousands of rectangles,


which called cells.

A cell: is the intersection of a row and a column.

Columns are identified by letters (A, B, C), while


rows are identifiedby numbers (1, 2, 3).

Each cell has its own name—or cell address—.

(Column C and row 5, cell address is C5). The cell


address will appear in the Name box.
Cell range: A group of cells. Consist of the first and last cells
in the cell range. For example, A1, A2, A3, A4, A5 cell rang is
A1:A5.
