Chapter-6

Numbers and data: Mobile Medical services

Q.1. Fill in the blanks

1. A database stores information in a table.
2. Data is important to all businesses.
3. A database is made of records and fields.
4. Sorting means putting the records of the data table in order.
5. Querying means selecting records from a data table.
6. Data validation is used to find invalid data in the table.
7. Validation uses rules to check the data.
8. Turning data into information is called data processing.
9. Formulas are used in conditional formatting.
Q2. Write “True” or “False” with evaluation statement.
1. An absolute cell reference will change every row of the table. False
An absolute cell reference remains fixed (does not change) when copied to
other cells. It won't automatically adjust based on the row or column.
2. Primary key is used to avoid duplication of data in the table. True
The primary key ensures each record in a table is unique, preventing the
duplication of data.
3. Word processing software is used to create spreadsheet. False
Word processing software, such as Microsoft Word, is used for creating
documents with text. Spreadsheets are created using spreadsheet software
like Microsoft Excel.
4. Import option is used to bring data into an application. True
The import option allows users to bring external data into an application or
system.

5. Recalculation means the spreadsheet will work out with new data. True
Recalculation involves updating formulas and calculations based on new or
changed data in a spreadsheet.
6. Primary key is not unique. False
The primary key must be unique for each record in a table.
7. Data table helps to sort and filter data easily. True
Data tables often include features for sorting and filtering data, making it
easier to analyze and manage information.
8. We can’t use cell reference for formula. False
Cell references are commonly used in formulas to perform calculations in
spreadsheets.
9. Data format means the style used to display data. True
Data format refers to how data is displayed, including styles such as date
formats, number formats, etc.
10. Currency means a money value. True
Currency typically refers to a system of money used in a particular
country, and it represents a specific monetary value.
11. Summary data means a result calculated from a group of figures. True
Summary data involves aggregating or calculating results from a set or
group of data points.

Q3. Answer the following

1. Explain about list validation.
Ans:
 List validation is a type of data validation process used in databases,
spreadsheets, or other data management systems to control the input of data
based on predefined lists of acceptable values.
 It helps ensure data accuracy, consistency, and conformity to specific criteria.

2. Explain about data validation.
Ans:
 Data validation is a process used to ensure that data entered into a system
meets certain criteria or standards.
 The goal is to improve the quality and accuracy of data by preventing errors,
inconsistencies, and inaccuracies.
3. List down and explain the types of data validation.
Ans:
Types of Validation:
1. Format Validation: Checks that data adheres to a specific format, such as
date, time, or phone number.
2. Range Validation: Verifies that numeric values fall within an acceptable
range.
3. Presence Check: Ensures that required fields are not left blank.
4. Consistency Check: Validates data against predefined rules or relationships
within the dataset.
5. List Validation: Limits input to a predefined list of acceptable values.

4. What is sorting?
Ans:
 Sorting is the process of arranging data in a specific order, typically in
ascending (from smallest to largest) or descending (from largest to
smallest) order based on the values in one or more selected columns.
 Sorting is a common operation in data management, databases,
spreadsheets and programming.
 It is used to organize information for easier analysis and retrieval.

5. What is key field?
Ans:
 A key field refers to a specific field or attribute within a data table or database
that is designated to uniquely identify each record in that table.
 Keys play a fundamental role in organizing and linking data, ensuring data
integrity, and supporting efficient data retrieval.
 There are different types of keys and the key field is often used as the primary
key.

6. What is data table?

Ans:

 A data table is a structured set of data organized in rows and columns, similar to
a spreadsheet or a database table.
 It is a fundamental component used for storing, organizing, and presenting
information in a tabular format.
 Data tables are commonly employed in various applications, including database
systems, spreadsheet software, scientific research, and web development.
7. Explain Conditional formatting.
Ans:
 Conditional formatting is a feature found in spreadsheet software and other data
visualization tools that allows users to apply formatting to cells or ranges of
cells based on specified conditions or criteria.
 Instead of manually formatting data, users can set rules, and the formatting is
automatically applied when the conditions are met.
 This feature is particularly useful for highlighting specific trends, patterns, or
outliers in a dataset.
