Implementation of A Modern Student Attendance System at AITE College
AITE College
Project Background:
The AITE College student attendance registration system nowadays partly relies on a manual process
which includes the filling out of attendance sheets in paper, as well as the necessity to manually enter the
information into tables or databases. In addition, a tribe may struggle to collect accurate and timely
records. This method is labor-intensive and receipts are often in error. To cope up with these problems and
to integrate the students by means of an advanced attendance management system, we prescribe the usage
of a modern student attendance system.
Project Objectives:
1. Automate the attendance tracking process for efficiency, eliminated manual efforts, and an
enhanced accuracy.
2. Provide real-time monitoring, and reporting functions so that we could respond on time, and have
analysis.
3. Providing an interactive interface that is quite user-friendly among students, faculty, and
administrators is a must, in order to achieve this goal.
4. Incorporate biometric or RFID system for easier, as well as secure, attendance roster.
5. Organize training periods for all affected employers and offer technical support to insure the
golden transition to the new system.
Scope:
1. Reviewing the present attendance tracking strategies and raising the pain areas.
2. Further, the choice of an efficient attendance management software or platform is made.
3. Sensors and other hardware elements are used during building, such as biometric scanners or
RFID readers.
4. Implementation of a centralized database with an input of an attendance account level of security.
5. Data reporting and statistics with corresponding data view to guarantee analytics and insights.
6. On the basis of what has been indicated above, we will organize for the faculty and the
administration sessions regarding using the new system appropriately.
Plan:
1. Requirements Gathering and System Design (Month 1-2)
2. Software Selection and Customization (Month 3-4)
3. Hardware Procurement and Integration (Month 5-6)
4. Database Development and Integration (Month 7)
5. Testing, Training, and User Acceptance (Month 8)
6. Deployment and Rollout (Month 9)
Timeline:
1. Month 1-2: Analyze and define requirements, design a system architecture, and a deployment
plan.
2. Month 3-4: Cull out the best attendance management software. Also, mold your odds to best fit
the needs of the specific institution.
3. Month 5-6: Go for buying entry-level hardware components and integrate them with biometric or
radio frequency identification technology.
4. Month 7: Develop and implement the centralized students' attendant records framework.
5. Month 8: Create a testing plan, train users through sessions and verify end user acceptability of
system.
6. Month 9: Set up the system, check up its performance or solve any problem that might occur after
it is launched.
Budget:
Software selection and customization: 1,000,000 PHP
Hardware procurement and integration: 500,000 PHP
Database development and integration: 250,000 PHP
Training and support programs: 250,000 PHP
Contingency reserve (10% of total budget): 250,000 PHP
Total Budget: 2,250,000 PHP
The proposal presented here is focused on introducing a modern student attendance system into AITE
College’s structures, doing that by relying on automation, real-time processes, and user-friendly features
that are intended to improve procedures, and also enhance accuracy.
