Welcome to the Computer Systems Servicing NC-II for Grade 12 Alternative


Delivery Mode (ADM) Module on Computer Maintenance Planning!
This module was collaboratively designed, developed and reviewed by educators

helping the learners meet the standards set by the K to 12 Curriculum while

permits it to be used in many different learning situations. The language used
recognizes the diverse vocabulary level of students. The lessons are arranged to

aintenance refers to the actions approved to retain an item in or restore it
to an satisfactory condition either Planned which is divided into
Preventive and Corrective Maintenance or Unplanned. Preventive
maintenance is maintenance, including tests, measurements, adjustments, and
parts replacement, performed specifically to prevent faults from occurring.
Corrective maintenance can be defined as a maintenance task completed to
identify, isolate, and rectify a fault so that the failed equipment, machine, can be
restored to a good working condition within the tolerances or limits established for
in-service operations.

Planning and preparing systematic maintenance procedure will save time,


money, and frustration. It is a great idea and opportunity to learn the proper care
and maintenance of computers. At the same time obtaining the correct tools,
equipment and testing devices can help check common problems in accordance to
standards.

Because of these and other factors (mostly human), computers require


regular computer service maintenance to keep the big problems away and maintain
optimal performance. This program is often referred to as computer maintenance
contract, service level agreement, or computer network maintenance plan.

documentation and deployment procedures in Windows Server and Windows 7
comptuers, You are now ready for the next lesson. Turn to the next page to know
what to do next after completing the core competencies 1 to 3. This will employ you
the skills in computer system and networks maintenance.

Maintenance Planning
Direction. Assume that you are an owner of a computer shop. Your task is to create
a maintenance plan to provide security and long-life for your computer systems.
Enumerate your steps clearly in planning. Do this in another sheet of pad paper.
This activity plan will help you decide on what to do in the first stage of
maintaining and repairing computer systems and networks.
How will you describe your plan? Is it complete and comprehensive? What do you
think is lacking? How will you compare your plan to the plan presented below?
A plan is a method of achieving something that you have to work out in detail
before going through the maintenance process.

1. Design a systematic maintenance plan for hardware.


1.1. Monitor, evaluate and update plan.
1.2. Place your computer in a well-ventilated area.
1.3. Schedule use of computers for its longer life.
1.4. Move computers only when it is turned off and unplugged.
1.5. Treat your computer properly.
1.6. Maintain your hard disk.

2. Design a systematic maintenance plan for your software.


2.1 Backup your files.
2.2 Install or secure passwords.
2.3 Delete temporary files.
2.4 Update antivirus and spy ware.

Some terms to ponder on that you will be able to use throughout this module:

Maintenance Program- is a comprehensive list of maintenance and its incidents.


This would include all maintenance activities to be undertaken, manpower needed,
maintenance methods to be used, all the materials and supplies needed for the
maintenance and cost involved in the maintenance.
Maintenance Schedule- Is a list allocating specific maintenance of an area.
Equipment and tools to a specific period. The maintenance schedule is just a part
of the maintenance program.
Quality Management- is a method for ensuring that all the activities necessary to
design, develop and implement a product or service are effective with respect to the
system and its performance.

What is It

Using (Plan-Do-Check-Act) PDCA Cycle to support continuous improvement in any


workplace scenarios. This is an iterative, four-stage approach for continually
improving processes, products, or services, and for resolving problems. It involves
systematically testing possible solutions, assessing the results, and implementing
the ones that have shown to work. It is based on the scientific method of problem-
solving and was popularized by Dr W. Edwards Deming, who is considered by
many to be the father of modern quality control.1

Plan – Identify the problem, collect relevant data, and understand


the problem's root cause, develop hypotheses about what the issues
may be, and decide which one to test.
Do – Develop and implement a solution; decide upon a
measurement to gauge its effectiveness, test the potential solution,
and measure the results.

Check – Confirm the results through before-and-after data


comparison. Study the result, measure effectiveness, and decide
whether the hypothesis is supported or not.

Act – Document the results, inform others about process changes,


and make recommendations for the future PDCA cycles. If the
solution was successful, implement it. If not, tackle the next
problem and repeat the PDCA cycle again.

A. Plan

<Plan= is a three-step process. The first step is the identification of the problem.
The second step is analysis of the problem. The third step is the development of an
experiment to test it. Some of the things to consider during this process includes:
1. Problem Identification

1.1. Is this the right problem to work on?


1.2. Is this problem important and impactful for the computer?
1.3. Who does the problem affect and what is the potential impact of
solving it?

2. Problem Analysis
2.1 What is the requisite information needed to fully understand the
problem and its root cause?
2.2 What data do we already have related to the problem? What data do
we need to collect?
2.3 Who should be enlisted or interviewed to better understand the
problem?
2.4 After understanding the problem, is it feasible to solve it? Will the
solution be economical and practical?

3. Developing an Experiment
3.1 What are some viable solutions?
3.2 Who will be involved in the process and who will be responsible for
it?
3.3 What is the expected outcome of the experiment and how can we
measure performance?

B. Do
The <Do= stage is where we test the proposed solutions or changes. Ideally,
this should be carried out on small-scale studies. Small-scale experiments allow us
to learn quickly, adjust as needed, and are typically less expensive to undertake.

The 5S Process, or simply "5S", is a structured program to systematically


achieve total organization, cleanliness, and standardization in the workplace. A
well-organized workplace results in a safer, more efficient, and more productive
operation. 2

Seiri

The first step of the "5S" process, Seiri, refers to the act of throwing away all
unwanted, unnecessary, and unrelated materials in the workplace. People
involved in Seiri must not feel sorry about having to throw away things. The
idea is to ensure that everything left in the workplace is related to work.
Even the number of necessary items in the workplace must be kept to its
absolute minimum. Because of Seiri, simplification of tasks, effective use of
space, and careful purchase of items follow.

Seiton, or orderliness, is all about efficiency. This step consists of putting


everything in an assigned place so that it can be accessed or retrieved
quickly, as well as returned in that same place quickly. If everyone has
quick access to an item or materials, workflow becomes efficient, and the
worker becomes productive. The correct place, position, or holder for every
tool, item, or material must be chosen carefully in relation to how the work
will be performed and who will use them. Every single item must be
allocated its own place for safekeeping, and each location must be labeled for
easy identification of what it is for.

Seiso

Seiso, the third step in "5S", says that 'everyone is a janitor.' Seiso consists
of cleaning up the workplace and giving it a 'shine'. Cleaning must be done
by everyone in the organization, from operators to managers. It would be a
good idea to have every area of the workplace assigned to a person or group
of persons for cleaning. No area should be left uncleaned. Everyone should
see the 'workplace' through the eyes of a visitor - always thinking if it is
clean enough to make a good impression.

Seiketsu

The fourth step of "5S", or Seiketsu, translates to 'standardized clean-up'. It


consists of defining the standards by which personnel must measure and
maintain 'cleanliness'. Seiketsu encompasses both personal and
environmental cleanliness. Personnel must therefore practice ' Seiketsu'
starting with their personal tidiness. Visual management is an important
ingredient of Seiketsu. Color-coding and standardized coloration of
surroundings are used for easier visual identification of anomalies in the
surroundings. Personnel are trained to detect abnormalities using their five
senses and to correct such abnormalities immediately.

Shitsuke

The last step of "5S", Shitsuke, means 'Discipline.' It denotes commitment to


maintain orderliness and to practice the first 4 S as a way of life. The
emphasis of Shitsuke is elimination of bad habits and constant practice of
good ones. Once true Shitsuke is achieved, personnel voluntarily always
observe cleanliness and orderliness, without having to be reminded by
management.

C. Check

In this stage, review the experiment, analyze the results, and identify what
you have learned. Consider the following questions:

1. Did the implementation of the change achieve the desired results?


2. What did not work?
3. What was learned from the implementation?
4. Is there enough data to show that the change was effective?
5. Is the proposed solution still viable and practical?

D. Act

In this stage, act based on what you learned in the study. If the change did
not work, go through the cycle again with a different plan. If you were successful,
incorporate what you have learned from the test into wider changes. Use what you
have learned to plan new improvements and start the cycle again. If your plan
worked, you would need to standardize the process and implement it across the
business.
During this phase of the PDCA cycle, you should ask the following questions:

1. What resources are needed to implement the solution?


2. What kind of training is needed for full implementation of the improvement?
3. How can the change be maintained and sustained?
4. How can we measure and monitor the impact of the solution?
5. What are some other areas of improvement?

This cycle can help you as a learner and future Information Technology (IT)
professional in making successful planning and decisions in the workplace. This
cycle also provides a framework for the application of improvement methods
and tools. And lastly, this allows plans to adapt as learning occurs which
enable a person to empower himself/herself to take necessary actions.

Independent Activity 1. Identifying Hazards and Risks


This activity will be the starting point of the competency you are to learn. As a
starting point in every scenario, you would want to identify safety policies in the
workplace and some hazards and risks to avoid accidents. Workplace hazards can
come from a wide range of sources. General examples include any substance,
material, process, practice, etc. that has the ability to cause harm or adverse health
effect to a person or property. Go around your house / workplace and identify at
least ten (10) hazards / risks. Fill out the table below. Write your answers on a
different sheet of paper.

Independent Assessment 1. Make a Plan for OHS


Occupational Health and Safety (OHS) is a planned system of working to prevent
illness and injury inside the workplace by recognizing hazards and risks.

In the above identified hazards/ risks that you have identified, this time we will
make an OHS policy of your own to avoid such accidents or injuries in the
workplace. Select at least six of them which are related to the competencies of
Computer System Servicing NC-II. Write your answers on a different sheet of paper

Independent Assessment 2. Inspecting IT!


Base on Activity 2, you have listed some computer maintenance activity plan which
you can do to maintain the computer system running in good condition. With this
on hand, make an inspection checklist on the following computer equipment and
materials. Relate your inspection activity to the OHS policy which you have created,
select only those which are relevant to computer services. Use a separate sheet and
copy the table given below. You will be graded using the rubrics below, you would
at least get a highest possible score of 50 pts in this asessment

equipment and simple tools, it is best to read the manufacturer’s and/or user’s
manuals. This would indicate the part of the equipment, the functions of each part
and the way to maintain it. We must always refer to it for reference. The user’s
manuals must be kept handy and within the Quality Control Area where the
equipment is kept for immediate reference.

Your task is to look for a user’s manual of any equipment or tool you have available
at home and create an infographic using any desktop publishing application. Print
