Before any development on this professional experience, it is important to express sincerely our noble

FOREWORD

In order to resolve the problems of unemployment throughout the world and in Cameroon in particular,
state and private institutions are being set up in vocational training centers. Since the two go hand in
hand, the world of employment requires practical qualities and skills. The objective is to provide the
world of employment with qualifying skills. It is in this logic that we have obtained Approval N67/
MINEFOP/ SG/ SDGSF/ SACD, signed by the Minister of Employment and Professional Training
CONSULTING SERVICE (QGS). in 2020 from the QDJAG professional training center

This approval authorized us to train in the following specialties

IT and management:

Computerized accounting and management

Bilingual training,

Foreign language training (Spanish, German and Chinese etc.

These vocational training schools operate according to the competency- based approach. However, at
the end of the theoretical training, each learner is called upon to complete a professional internship
which extends over a period of two to three months or even 1 year. The internship corresponds to a
temporary period of situation in a professional environment. Period during which the learner acquires
practical skills and implements the acquired knowledge of his training with a view to obtaining the DQP
or CAP which promotes his integration into the professional environment. It also allows the learner to
discover the world of work. It is a time of improvement, of application of the knowledge received. For
some companies, the internship constitutes a means of pre- recruiting interns for their future position.
In the same vein, we completed an internship in one month one week (1 month, 1 week) more precisely
from November 1 to December 10, 2021 in office secretarial work.

RESUME

As part of the IT training, bilingual office secretarial specialty, at the Bilingual Professional Training
Center in IT and Linguistics (JEWISCO), I took the opportunity to complete an internship of one month,
ten days (01 month, 10 days) in a company dedicated to professionals in the field; chosen by said
training center. With a view to strengthening my abilities in the work of a secretary, the internship was a
major asset for me in raising myself to the rank of perfection in the area of competence of a secretary
within this or that company. . Welcomed by the office automation RP designer from November 1, 2021
to December 10, 2021, I then joined the secretariat service team; where throughout the internship, the
tasks carried out included: Photocopying and printing documents in black on white and color: scanning
cold and hot documents; the assembly of business cards, flyers and wedding prospectuses; trimming,
binding and gluing documents.

The interest of this internship arises more on a practical level because we were able to unseal the
mystery hidden behind the secretary's obligations.

Furthermore, during our internship, many difficulties were observed such as: The lack of wifi within the
company, the low capacity of the generator to support the three computers and the two photocopiers
at the slightest power outage; the lack of perfect mastery of photocopying books...etc. Following these
difficulties encountered, some possible solutions were formulated in favor of resolving these highlighted
problems. We can cite among others: The replacement of machines which no longer support the work
for the benefit of the production of professional work; installing WiFi to facilitate quick online searching;
the purchase of a generator worthy of the name capable of supporting all the company's machines in
the event of a power outage.

ABSTRACT
Within the framework of training in data processing, bilingual office automation speciallity, in the Center
of Bilingual Professional Training in Data processing and in Linguistics, we had the opportunity to carry
out an internship of one month tend days in a company dedicated to professsionals chosen by the
aforementioned training center. Having as an objective to reinforce our capcities on the work of the
secretary, the training course was for me a major asset to raise me to the rank of the perfection in the
field of the work of the secretary in a company. The Reference Company Printer Designer welcomed me
from the first of November 2022 to the tenth of December 2021. I have then joined the service team of
the secretaryship. During my internship, i was responsible for photocopying and printing documents in
black and white, and in color, scanning of documents in cold and hot set assembling business cards,
flyers and weddings; ttrimming, binding and gluing of documents... etc.

The interest of this course stim from the practical side as we were able to unravel the mystery behind
the secretary's work.

In a third line, some difficulties were noted; the lack of the wifi within the company; the weak capacity
of the generator to support the three computers and the two photocopiers during the power cut, the
non perfect contol of the photocopying of the books in AS format especially when it is a question or
resizing them, the incapacity of certain machines to overdo certain work,...etc. As a result of these
difficulties encountered, some proposals for solutions were made to solve the problems highlighted. We
can mention the replacement of the machines which do not support the work any more in other to
allow us to produce a work, the installation of the wifi to facilitate the fast research on line, the
purchase of a good generator able to support all the machines of the company in the event of cut of
electricity.

INTRODUCTION GENERALE

Scheduled from November 1, 2021 to December 10, 2021, the internship carried out within the
REFENCE PRINTER DESIGNER structure gave us more interest in the work of the secretary in any e-
company. A real opportunity for us to understand the profession of secretary; to the extent that he is
deployed at several levels as accounting secretary, executive assistant secretary, medical secretary,
commercial secretary...etc. In addition to enriching our knowledge, this internship allowed us to
understand to what extent the work of a secretary can seem very complicated. Which requires for this
purpose a pronounced delicacy in the exercise of its respective tasks.

However, our internship at RPD office automation consisted of increasing our


proven capacity and professionalism in the work of the secretary, through the printing of documents,
typing in French and English, hot and cold scanning of documents, binding, trimming, various gluing, etc.
So the question that arises is the following: What can the work of a secretary consist of within a
company? Subsidiary questions arise from this question: What is the function of a secretary in a
particular structure? Furthermore, on what levels can we highlight the interest of this internship report?
If it is true that no work is perfect, then what might be the difficulties observed throughout the course?
What suggestions were made for improvement? The main sources of this report were the various
lessons learned from the daily practice of the tasks to which we were assigned; the old internship
reports of our comrades, and the numerous interviews that we were able to have with employees of the
different departments of the company allowed us to give consistency to this

report.

In order to faithfully and analytically report the 1 month 10 day report within the RPD company, it
appears logical to first present the structure of the company (chapter I), then the theoretical and
practical framework of the theme (Chapter II) and finally the difficulties encountered, comments and
suggestions (Chapter III).

II- OBJECTIVES AND ROLES

We will succinctly present the objectives and roles of the RPD structure

II-1. Goals:

Every structure pursues an objective that guides its survival. The RPD company is not only limited to
providing its office automation service, it engages in multidisciplinary marketing while applying and
defending commercial ethics. Like any structure, the Reference Printer Designer company has objectives
to achieve; question of better boosting the management of its structure. So, these objectives are:

Provide quality service and customer and supplier satisfaction;

✔ Facilitate communication between agencies, clients and the outside world, Achieve maximum profit to
create other agencies and recruit young unemployed Cameroonians

II-2. Seal:

The RPD company plays a big role economically and socially.


Economically, it sells its electronic, school and food products to its customers. It offers specific training
services to young people in certain specific areas such as: Learning to type and mount business cards. In
addition, it is in partnership with the JEWISCO Center for Professional Training to serve as a coach for
the professionalization of the trainees it has. This structure contributes to the coverage of public
expenses.

On the social plan; it pays its service staff and trains many young people through academic and
professional internships.

III- PRESENTATION AND OPERATION OF THE RPD OFFICE

Like any company, the RPD company is an organization well suited to its work and its resources to
accomplish its various tasks. A company needs to organize itself well to function better, to have the
means to accomplish its missions while complying with its environment.

III-1 Presentation

In this part, we will proceed with the external presentation on the one hand (a), and the internal
presentation on the other hand (b).

a) External presentation

Reference Printer Designer is an office located in West Cameroon, more precisely in the Department of
Menoua in the town of Dschang at the campus entrance. It is an independent private Cameroonian
company, specializing in office automation and parallel commercial activities such as the sale of school
supplies and jams.

According to MEYER J, structure is defined as the arrangement of actions or means of some in relation to
others of the system of relationship which can be established between them as a result. the RPD
structure has established a distribution of tasks to achieve its objectives.

b) Internal presentation

The general direction

It is provided by its director. This coordinates and supervises all activities, while ensuring relationships
both internally and externally. It thus defines the general policy and nevertheless remains the central
unit of the company

It is provided by the secretaries who take care of welcoming and receiving customers.

They ensure the classification of documents as well as the general cleanliness of the office system. The
General Director being the supervisor par excellence of the structure, he entrusts tasks to each of them.

The accounting department;

It is carried out by an assistant to the General Director. His role being to ensure that the company's
accounts are kept, he prepares daily financial statements at the end of the financial year.

This work is carried out under the observation of company rules and the observation of the General
Director.
The financial department;

Made up of a financier responsible for receiving accounting documents for purchases of products from
suppliers and delivery orders; he checks them, classifies them and keeps them. He also takes care of the
control of daily revenues,

The supply service;

It is headed by a procurement manager who takes care of placing orders for the purchase of service
tools from suppliers.

To function, a company needs to be organized and have the means to accomplish its tasks.

The aim of the company internship being a context of adaptation of the training to the needs of the
world of employment, our training requires a professional internship in order to highlight the knowledge

internship report". It is with this logic that we carried out the internship in the company REFERENCE
PRINTER DESIGNER from November 1 to December 10, 2021 .
Indeed, in this part, it is a question of presenting on the one hand the reception, the tasks and the
difficulties encountered during the internship and on the other hand the acquired knowledge of the
internship and the supporting elements of the theme addressed.

1. WELCOME, TASKS PERFORMED AND DIFFICULTIES ENCOUNTERED:

L1 Home:

It was on November 1, 2021 at 7600 that we went to the company REFENRCE PRINTER DESIGNER. We
were welcomed by the employees present at the service location; and more precisely by the General
Director who was my internship supervisor. Let's start by describing the different rules to which we were
subject as soon as we arrived at the office. Being on site, the head of office automation in the person of
M.TIH PIUS spoke to us about the way the company operates, arrival and departure times. This was
detailed as follows:

On the one hand, We must be at work from 7:00 a.m. to 5:00 p.m., Monday to Saturday with the
exception of Clean Thursday which we come at 10:00 a.m. Concerning the break, we have noticed that
in the field of office secretarial work, it is almost not considered because customers enter at any time
and given that we are in the market of competition at the campus entrance, it is necessary to this effect
take care of customers all the time. We can only rest when there is down time, that is to say when there
are no customers.

On the other hand, as soon as we arrive, we must clean the floor and plug in the machines before the
customers arrive. Our Internship Professional gave us small reviews on how the photocopier works, the
different rules that apply to it when it comes to having a book, a notebook, a CNI, receipts and many
others photocopied. The use of the scanner, the punch, the cut everything, the mechanism that happens
when printing documents. He clarified for us the fact that each machine in the company is linked to a
printer, another is specifically adapted to a printer, whether it is the one to

The company REFERENCE PRINTER DESIGNER, through its favorable climate, allowed us to integrate into
its professional environment and its particularity of not hiding anything from the trainees allowed us to
be comfortable in what we were doing. This therefore taught us how to carry out with serenity and
passion all the tasks entrusted to us

1.2 CHOICE OF THEME:

Being in the field and experiencing practice aroused in us such a strong addition that we wanted to deal
with a theme which has a more technical and practical character than theoretical. The choice of this
theme was further fueled by the passion and love that we have particularly for the service of the
secretariat. We are not going to forget the real reason which is the fact that according to the general
observation, there is a lack of professional secretaries both in administrative and private offices, as well
as in certain office systems. In order to remedy this, we have opted for the theme covered in this report:

SECTION 1: HISTORICAL AND GENERAL STUDY ON THE WORK OF THE SECRETARY

1.1. HISTORICAL:

From the Renaissance until the end of the 19th century, some men who took the title of secretary were
hired to handle the daily correspondence and activities of people of high social stature. Gradually, time
is applied to more varied and numerous functions. Which leads to compound titles being given in order
to specify various secretarial jobs, such as: General secretary or financial secretary...etc.

Then, at the end of the 19th century, capitalism developed; industries grow in size, department stores,
large banking and insurance companies expand. This requires larger administrative offices, in particular
the secretariat which is provided by men.

Finally, the invention of shorthand gave rise to typing which thus became the prerogative of women,
young girls or students, whether middle class or high class. Hence today, the secretary job is a tendency
of women to the profession of secretary.

1.2. GENERAL INFORMATION ON THE WORK OF THE SECRETARY:


The profession or work of the secretary is generally carried out by women. Several tasks punctuate his
days. She must assist one or more managers in their missions, while preparing their files, their planning,
activity reports, etc. She enters texts and makes prints at the request of her boss or the customers in
front of her.

that we made during our internship in the company at the level of the theme and secondly, the
suggestions to improve the activities and guarantee the performance of this company.

1. POSITIVE REMARKS

We are going to make positive remarks at the supermarket level (01) and at the level of our theme (02):

SECTION II: SUGGESTIONS:

Despite the difficulties encountered during our internship at the RP Designer company, we did not rest
on our laurels; on the contrary, each challenge became an asset to further seek ways to surpass oneself
and take the next step. Therefore, here we will make suggestions related to the weaknesses of the
company, in order to be able to improve its activity and if possible effectively correct its faults. We can
therefore provide the company with the following suggestions:

The purchase of a larger space for office automation since it is impossible to expand this current space.
Which will subsequently generate another additional office automation;

Be strict on the arrival time of certain employees

Respect the end times;

Review the configuration of this structure in order to resolve errors and eliminate double references;

Have a good generator capable of supporting all the machines in the event of a power outage;

At the end of this part, let us remember that it was a question for us to make positive and negative
remarks about this company; and give suggestions as we did above.

GENERAL CONCLUSION
We have reached the end of our work where it was a question for us to talk about the work of the
secretary within a company: Case of the company Reference Printer Designer. We carried out this
analysis in the most objective way possible, starting from the presentation of the company where we
carried out our internship. followed by a brief presentation of the company structure

During the internship period within the RPD company, we noticed that certain machines were no longer
working well, the inability of the generator to support all the machines in the event of a power outage. It
was following this study that we opted for the theme treated throughout our work. Being on an
internship in this company allowed us to get acquainted with the profession that we could be called
upon to practice, to study its contours and also to push our limits, both physical and moral. The first
battle we fought was with ourselves. Because during our professional training, although we are subject
to a certain pressure, we realized that having obligations makes what we can feel even more different.
We also learned during this internship that the climate that reigns within a company is a very
determining factor for the success of its activity. The study carried out on this company made it possible
to highlight the following strengths: The presence of a generator, and the ease in carrying out tasks. The
company also presented some weaknesses as follows:

The lack of space within the structure, the observation of errors after printing certain documents, the
good management of the company, the supply according to the tools, which are in the process of
wanting to end up in the structure to avoid rupture of stock. if possible, automate the generator to
avoid loss of customers in the event of a power outage, etc. Given that to ensure its sustainability, the
company must find a certain balance between the elements of its environment while making the effort
to correct anything that hinders its activity. This work was carried out with the aim of helping society to
change the focus on the work of a secretary and thus see their activity evolve.
