Special Conditions for EUROBIKE 2024

Definitions

fairnamic Fairnamic GmbH shall hereafter be referred to as fairnamic.

MF-Venue Messe Frankfurt Venue GmbH shall hereafter be referred to as MF-Venue.

OSC Exhibitors shall register their stands via the fairnamic Service Center, hereinafter
referred to as "OSC".

Serviceshop After stand admission and payment of the participation invoice, the Serviceshop
Venue of Messe Frankfurt will be activated for the exhibitor for technical and
organisational bookings.

General Event Information

1. Opening Times
The International Bicycle Trade Exhibition EUROBIKE will take place from Wednesday, July 03 to Sunday,
July, 07, 2024, at the exhibition grounds of Messe Frankfurt. EUROBIKE is open from Wednesday through
Sunday from 09:00 a.m. to 6:00 p.m. Access for exhibitors: 1 hour before the start of the show. The
exhibition is open to the public on Saturday and Sunday, July 06 and 07, 2024, (Festival-Days) from 09:00
a.m. to 6:00 p.m.

2. Set-up and Dismantling Times

2.1 Set-up:
June 28 – July 30, 2024 7:00 a.m. – midnight.
July 01, 2024: 7:00 a.m. continuously until July 03, 2024, 9:00 a.m.

Advanced stand set-up and set-up overnight must be approved by the project management.
Separate set-up times apply to the set-up of stands used exclusively for the Festival Days.

2.2 Dismantling:
July 07 – 08, 2024: July 07 from 6:00 p.m. continuously until July 08, 10 p.m. in compliance
with the entry times for vehicles and the conditions of the traffic
regulations.
July 09 – 10, 2024: 7:00 a.m. - 10:00 p.m. with prior registration of the vehicles.

Early dismantling is prohibited. Please note the references in the General Conditions of Participation.
Overnight dismantling must be approved by the project management.

3. Registration / Admission
Registration for EUROBIKE 2024 is made by completely filling out the online form. With this Intention to
exhibit, the company declares to fairnamic its sincere interest to participate as an exhibitor. The
submission of the online registration form does not constitute a claim to admission.

Fairnamic shall submit a written placement proposal to the exhibitor, which shall require the written
consent of the exhibitor within the response time set for him. The exhibitor's acceptance of the placement
constitutes the contractual offer, from which the exhibitor can no longer withdraw once it has been
received by fairnamic.

The contract with fairnamic for participation shall only be concluded upon confirmation of participation
by fairnamic, which constitutes acceptance of the contract. By sending the placement agreement, which
does not yet constitute a claim to participation, the exhibitor accepts the Special and General Terms and
Conditions of Participation, the Technical Guidelines, the House Rules, the currently valid Protection and
Hygiene Concept, the Data Protection Guidelines as well as all further conditions of participation listed
here.

The deadline for submitting the registration is October 25, 2023.

4. Participation Fee, Exhibitor Passes, Co-Exhibitors

4.1 The participation fee includes the provision of the floor space, a certain number of exhibitor passes,
exhibitor service by the project management, provision of the trade shows in-house information
systems, target group specific marketing of the event, hall security and cleaning of the halls. The fees
pertain to the entire duration of the trade show. If a two-storey stand is approved, 50 % of the
participation fee will be charged for the space of the upper structure.

4.2 The number of exhibitor passes included in the participation fee is based on the stand size.
The exact number of passes due can be found in the participation invoice.

4.3 The co-exhibitor fee is €1190.00 per co-exhibiting company and includes the media and marketing
classic package. Definition of co-exhibitor: see General Conditions of Participation. Co-exhibitors
receive two exhibitor passes free of charge.

5. Additional Services
In addition to the participation fee, the acceptance of the following services is obligatory:

• Flat rate for general waste disposal: €1.50/m² stand space


• The AUMA fee (€0.60/m²) to be paid by the exhibitor will be invoiced and forwarded by fairnamic
on behalf of AUMA.
• Media and marketing package (obligatory media entry in all media): media and marketing classic
package €1190.00. Details and deadlines can be found under media and marketing packages
2024.

The deadline for the entry in the printed EUROBIKE Guide is April 26, 2024.
All services can be ordered via the Serviceshop-MFV. The access is unlocked after the participation fee
invoice has been paid.

6. Terms of Payment
100% of the participation fee is payable 2 weeks after receipt of invoice; but no later than March 15, 2024,
at the latest. Invoice issued after May 15, 2024, are due immediately. The payment terms on the fairnamic
invoices are decisive. Please note the information on the bank details.

7. Stand-Cancellation / Cancellation Fee


If the stand is cancelled after contract conclusion, the full participation fee will be due if the stand cannot
be re-rented. If fairnamic can sell the stand to any other company, a cancellation fee of 25% of the
participation fee will be charged. The stand cancellation fee will be invoiced after the exhibition.

8. Approval of Stand Construction


Approval is required for the following stand constructions: Exhibition stands >100m², all exhibition stands
in open-air areas, mobile stands, 2-storey stands, special structures and special constructions (stand
structures and exhibits >4m high, closed ceilings, platforms and stages >20cm high, glass constructions,
moving components, ceiling-floor connections.
Not subject to approval are single storey stand constructions that do not fall under the category of special
constructions with a stand area <100m² and construction height <4m.

9. Direct Sales
Direct sales are prohibited.

10. WiFi
The exhibition grounds in Frankfurt have a free WiFi that exhibitors and visitors can connect to. Exhibitors'
own WiFi must be registered and comply with specific conditions. Registration and requirements can be
found in the Serviceshop MFV

11. Use of Operations Equipment


For logistical and safety reasons, the use of cranes, forklifts and lifting platforms/hydra-ladders is only
permitted to MF-Venue's official contractors. Orders can be placed via the Serviceshop-MFV.

12. Guarding / Liability


Fairnamic does not assume any obligation of care for exhibits, stand equipment and other objects located
on the stand. Fairnamic recommends ordering a stand guard via the Serviceshop-MFV for the duration of
the trade fair as well as for the set-up and dismantling periods.

13. Use of Music / GEMA


Exhibitors must register the use of copyright music, videos or movies with the German authority GEMA.
The registration must be completed in full and made in good time. Registration forms are available at:

14. Catering
For stand-catering, fairnamic recommends the official contract partner of Messe Frankfurt. The relevant
contact details can be found in the Serviceshop-MFV.

15. Stand parties


Stand parties after the end of the fair must always be approved by the project management.
A corresponding booking is requested with the project team directly. Fairnamic reserves the right to
charge a fee for any additional costs incurred, e.g. security, cleaning.

16. Domiciliary Rights, House Rules


The Frankfurt exhibition grounds are private property. The operator of the exhibition grounds is MF-
Venue. In addition to fairnamic, it exercises domiciliary rights on the exhibition grounds. In this respect,
reference is made to the house rules posted on the exhibition grounds. Exhibitors can view or download
the current house rules at www.eurobike.com/en/exhibiting-guidelines or ask fairnamic to send it by mail.

17. Pricing / Reverse-Charge-Procedure


All quoted prices are net prices. If the statutory VAT is applicable, it will be invoiced in addition. Please
note the explanations on the reverse charge procedure and the VAT identification number in the General
Terms and Conditions of Participation.

18. Reservations, force majeure, cancellation, and other changes to the even
Unforeseen events, in particular cases of force majeure (e.g. natural disasters, war, terror, failure or
massive disruption of transport and/or communication links as well as special risks in the event of the
occurrence of contagious diseases), which make it impossible or irresponsible to hold the event as
planned, entitle fairnamic to postpone, shorten and extend an event, to cancel its opening entirely and to
close an event that has already begun temporarily, permanently, in individual parts or in its entirety.

19. Legal Notices

19.1 In case of a dispute, these Special Conditions of Participation shall be interpreted based on the
German text.

19.2 The entire legal relationship between fairnamic and the exhibitor shall be governed exclusively by
the law of the Federal Republic of Germany, to the exclusion of the United Nations Commission
on International Trade Law.

19.3 Place of fulfilment for both parties is Frankfurt am Main.
