Introduction to Business Information Systems

1. Explain the meaning of the following

i. Computer-based information system: CBIS refers to information systems where

computers perform the main functions, including data collection, processing,

storing, analysis, and distribution for various purposes like business meetings

(Base, 2021).

ii. Information System: An IS refers to interconnected elements for collecting,

storing, processing, and transmitting data and digital information (Collins et al.,

2021). It comprises software, hardware, data, individuals, and processes working

corporately to convert raw data into meaningful information.

iii. Artificial Intelligence: AI is the science of simulating human intelligence into

machines or computer systems that can perform complex tasks that could only be

managed by humans, including thinking, problem-solving, and decision-making,

by processing larger amounts of data than what people could conventionally do

(Collins et al., 2021).

iv. Operating System (OS): This refers to a program that manages computer

hardware, software, memory, and processes, and serves as the interface between

the user and the computer components (Adekotujo et al., 2020). They include

Linux, MacOS, and Microsoft Windows among others.

2. The four components of a computer-based information system.

The four components of a CBIS include computer hardware, software, data resource

management, and users. Firstly, the hardware refers to the physical elements of a CBIS,

including monitors, printers, disk drives, keyboards, and mice (Base, 2021). Secondly, the

software comprises the instructions that command the hardware on the specific tasks to be

performed, such as application software spreadsheet, database, and word processing. Thirdly,

data is that set of information processed and stored within CBIS, such as multimedia files,

documents, and databases. Lastly, users are the people who interact with the system by using

hardware, software, and data to achieve various tasks or objectives, including connecting with

others through telecommunication.

3. Characteristics of a good information system

A good information system is characterized by accuracy by ensuring that the information

generated or data collected is free from error and is reliable. Secondly, it exhibits efficiency by

facilitating the timely processing and delivery of information to meet the needs of specific users

(Collins et al., 2021). This system should also be highly accessible to allow the correct users to

retrieve and use the required data.

4. Strategies used by Companies to maximize efficiency and effectiveness

One strategy companies have adopted for maximizing efficiency and effectiveness is

technology integration by utilizing automation and information systems, and applying artificial

intelligence in routine tasks (Handoyo et al., 2023). Secondly, companies utilize process

optimization techniques, such as analyzing and streamlining workflows, automating repetitive

jobs, and eliminating redundant procedures. Lastly, organizations also invest in employee

training and development to help them adapt to new technologies in operations and make

informed decisions on resource utilization and the technology to apply.
