INFORMATION SYSTEM
LEARNING
OBJECTIVES
Understand the concept of a system and how it relates to
information systems.

How are information systems transforming business, and why are

they so essential for running and managing a business today?

Understand about system, information system, need for

information system, role and use of information system
DEFINITION
It is the discipline covering the application of
people, technologies, and procedures collectively
called information systems, to solving business
problems.

MIS' is a planned system of collecting, storing and

disseminating data in the form of information
needed to carry out the functions of management
MANAGEMENT
Management is art of getting things done through
and with the people in formally organized groups. Top

It is the effective utilization of human and material

resources to achieve the enterprise objective.
Middle
It is a process consists of five basic functions: (a)

(e) Controlling Bottom
INFORMATION
Information is data that is processed and is presented
in a form which assists decision maker.

These are the processed data that helps the

management in planning, controlling and operations.
DATA VS INFORMATION

Raw data from a checkout counter can be processed

and organized to produce meaningful information,
such as the total sales per area.
SYSTEM
A system is defined as a set of elements which are
joined together to achieve a common objective.

INFORMATION SYSTEM
interrelated components that manage information to:
Support decision making and control.
Help with analysis, visualization, and product
creation.
COMPONENTS OF MIS
refers to the physical components of the MIS, such as
HARDWARE computers, servers, and other devices that store and
process data.

includes the programs used to process and analyze data. This

SOFTWARE includes various applications like databases, spreadsheets,

and business intelligence tools.

They are a crucial component of MIS. They are

PEOPLE responsible for collecting, processing, and analyzing
data.

Serves as the fundamental resource for the MIS. It is collected

DATA from various sources and processed using advanced
techniques to generate significant insights.

DATA CAPTURING
MIS capture data from various internal and external sources of
organization. Data capturing may be manual or through computer
terminals.

PROCESSING OF DATA
The captured data is processed to convert into required information.
Processing of data is done by such activities as calculating, sorting,
classifying, and summarizing.
STORAGE OF INFORMATION
method of operating a computer system having memory for storing
and retrieving information concerning a subject. Information storage
is a feature that allows the IMS to keep data and make it accessible
to users. The system houses this data in a storage unit which can be
either a hard drive or a server that contains a database.

RETRIEVAL OF INFORMATION
It is the activity of obtaining material that can usually be
documented on an unstructured nature. The data requires
information transformation from one format or medium to
another.
DISSEMINATION OF INFORMATION
is the process of communicating information to a wide
range of people in a systematic way.

Information, which is a finished product of MIS, is

disseminated to the users in the organization. It is periodic
or online through computer terminal.

CHARACTERISTICS
OF MIS
CHARACTERISTICS
OF MIS
Systems Approach
Systems approach means taking a comprehensive view or a complete
look at the interlocking sub-systems that operate within an
organization

Management Oriented
It implies that the management actively directs the system development
efforts.
CHARACTERISTICS
OF MIS
Need Based
MIS design should be as per the information needs of managers at different levels.

Exception Based
MIS should be developed on the exception based also, which means that in an abnormal
situation, there should be immediate reporting about the exceptional situation to the
decision –makers at the required level.
CHARACTERISTICS
OF MIS
Future Oriented
Systems approach means taking a comprehensive view or a complete look at the interlocking
sub-systems that operate within an organization

Integrated
Integration means taking a comprehensive view or looking at the complete picture of the
interlocking subsystems that operate within the company.

Common Data Flow

Common data flow includes avoiding duplication, combining similar
functions and simplifying operations wherever possible.
CHARACTERISTICS
OF MIS
Long Term Planning:
MIS is developed over relatively long periods. A heavy element of planning should be
involved

Sub System Concept

The MIS should be viewed as a single entity, but it must be broken down into digestible
sub-systems which are more meaningful.

Sub System Concept

n the MIS there should be common data base for whole system.
ROLE OF MIS
The role of MIS in business is to provide real-time data and information that
can be used to make informed decisions, streamline operations, and remain
competitive in today's rapidly changing business environment.

1. The MIS satisfies the diverse needs through variety of systems such
as query system, analysis system, modeling system and decision
support system.

2. The system ensures that an appropriate data is collected from the

various sources, processed, and sent further to all the needy
destinations
ROLE OF MIS

3. The MIS helps the clerical personnel in the transaction processing and
answers their queries on the data pertaining to the transaction, the
status of a particular record and references on a variety of documents.

4. The MIS helps the top management in goal setting, strategic

planning and evolving the business plans and their implementation.

5. The MIS plays the role of information generation, communication,

problem identification and helps in the process of decision making.
ROLE OF MIS FOR BUSINESS
ORGANIZATION
1. Support the Business Process: Supports current operations and
use the system to influence further way of working.

2. Support Operation of a Business Organization: MIS supports operations

of a business organization by giving timely information, maintenance and
enhancement which provides flexibility in the operation of an organizations.

3. To Support Decision Making: MIS also supports managers in decision

making to meet the goals and objectives of the organization.
