I. Introduction

➢ Objectives
- To develop skills in holding the audience’s attention
- To identify different written forms
- To use transitions, examples, and punctuations correctly
- To develop skills in writing letters, memos, and reports for a specific situation

II. Meeting your audience’s needs


➢ Audience:
- When you write, you need to consider who your readers are, or your “audience”.
Understanding your audience will help you tailer your writing to be more effective.
- Table of 8 questions to ask yourself about your audience:
1. Who : who is my audience?
2. Size : how many people will make up my audience?
3. English Proficiency : how well does my audience understand English?
4. Topic Knowledge : how much does my audience already know about my
writing topic?
5. Reason for reading : what is my audience’s reason for reading my word?
6. Preferred Format : what is my audience’s reason about my written work?
7. Attitude : what is my audience’s attitude toward me and my work?
8. Desired Action : what do I want my audience to do after reading my work?

III. Using transitions and repetition


1. Using transitions:
Transition words use to connect the ideas and show what the relationship is
between. In writing transitions help your ideas flow between sentences and paragraphs.

2. Repetition of key nouns


Repetition is the easiest way to achieve coherence is to repeat key nous frequency
in your paragraph, and it can be used:
- To introduce important concepts
- To maintain focus on the main topic of a paragraph
- To create flow in the writing
- To make the writing more clear

IV. Punctuation
Punctuation refers to the set of symbol and marks used in written language to enhance
clarity and structure within sentences.
▪ Importance of Punctuation
- Punctuation is crucial to clear communication and understanding in written text
- Proper use for punctuation helps to convey meaning, emphasize key point, and guide
through the text.
❖ Common Punctuation marks
A. Capital letter : are used for the beginning of sentence, proper noun, and specific cases
such as titles, Calendar information.
B. Full Stop ( . ) : we use full stop when it’s the end of sentences and in a abbreviations.
C. Comma ( , ) : commas aid in indicating pause in speech, separation clause, and use in
lists, among other functions.
D. Semi-colon (;) : semi-colons are use to join sentence with related meaning and to sperate
items in list.
E. Colon (:) : colons introduce item in the list and can also provide explanation of
preceding parts of a sentence.

V. Choosing appropriate words to aid clarity


▪ What is formal and informal language?
- Informal language : is how you communicate with people you know well and can relax
around. It similar to the way people converse out loud more and more formal writing
does.
- Formal language : it’s more serious, and feature more construction, longer words, and
little to no slang. It may use to write a professional paper like business proposal, white
paper, or legal brief.

▪ How to decide which style is appropriate?


- Deciding when use formal or informal is depend on who is your audience.
- If you’re writing to a prospective client, you want to seem professional, so your writing
might be the side of formality.

VI. Comparison style and tone of formal and informal writing


Formal and informal writing are had their specific point and quire different form each other
in some aspects such as style of writing and tone:

• Tone
- Informal : friendly and conversational tone
- Formal : serious, respectful and personal tone.
• Style
- Informal : it is characteristic by its subjectivity, informality and casualness.
- Formal : it is characteristic by its objective, formality and seriousness.

VII. Guideline for writing an effective short report


An effective report writing:
- Do the necessary research
- Anticipate how an audience will use your report
- Be objective and ethical
- Choose a reader-centered format and design
- Write concisely and clearly
- Organize carefully

VIII. Writing an evaluation report


- Choose the right software for your report
- Consider your audience
- Plan your report
- What to include in your report
- Write accurately and clearly
- Develop your recommendations
- Involve people in the reporting process
- Finishing the report
