Abstract

CHAPTER 1

THE PROBLEM AND ITS BACKGROUND

The enrollment process in higher education presents numerous challenges, as institutions

must assess various factors of students’ applicants while simultaneously encountering

internal constraints to ensure efficiency and reliability. The number of students enrolled has

declined due to a lack of detailed information from the educational institution or college that

students want to attend, as well as other problems (Savuth, R., 2022).

A lot of educational institutions face issues in the enrollment process. This becomes

particularly problematic when the process is usual, as it is both time-consuming and error-

prone due to the extensive manual labor required. According to a study from The Chronicle

of Higher Education (2023), more than 40 percent of admissions staff reported struggling to

meet the fall enrollment goal because of a lack of the university’s personnel due to staff

turnover.

Effective and convenient enrollment processes are essential for universities to handle

inquiries, build strong communication, and maintain records efficiently. According to the

study conducted by Nuevo, K. (2021), various colleges have created systems for enrollment

procedures due to the need for consistency to provide better facilities. Each school's

admissions policy has a significant effect on each of us. Many universities and colleges use

enrollment systems to provide better services to their students. The enrollment method

encouraged participants to sign up more quickly, save time, and become more dependable to

receive better services.

According to the findings of Ming, Y., and Hao, N. (2018), the enrollment system is

concerned with the procedures and requirements for enrolling students at educational

institutions. Enrollment process is an important aspect of the educational system. The

enrollment system is concerned with the enrollment criteria of students in various schools, as

well as the management and procedures of student enrollment. The enrollment system is tied

to citizens' rights and obligations to receive education; it is also related to the topic of

educational opportunity equality.

The enrollment process involves students registering or signing up, submitting required

documents, and finalizing class schedules during the designated enrollment period. Over the

past decades, proper enrollment procedures have played a crucial role in serving students'

needs. While student enrollment appears to be an easy process, it involves a complex

workflow and stringent university enrollment regulations (Then P., 2006 as cited by Mina,

C., 2021).

The enrollment process within higher education institutions stands as a pivotal gateway for

students' academic journeys. Analyzing the enrollment process's efficacy is crucial at every

state university. A student's potential stress levels during their time in college may increase

due to an inefficient and ineffective university enrollment system. Therefore, this study was

carried out to evaluate the efficacy and efficiency of the college enrollment system in order

to provide feedback to the UIC administration (Sagarino E., 2019).

As stated by Lu and Wu (2019), enrolling in a broad category offers multiple benefits,

including encouraging students to learn through individual initiative, supporting the

academic growth of topics, enhancing the reputation of colleges and universities, and more.

According to Liu (2020), the large-scale enrollment and diversion training model has been

adopted by an increasing number of colleges and institutions as a new form of skill

development model. However, some colleges and universities have blind enrollment

categories, the management system still uses the old-style professional management mode,

the importance of employment guidance is not highlighted in the diversion of large

categories, and the status quota of employment and the development of disciplines have not

put forward scientific guidance for enrollment work, resulting in a series of problems such as

student quality, training, and employment decline. Colleges and universities should innovate

and alter the enrollment, training, and job connection mechanism to adapt to the current

enrollment mode reform and promote the benign development of enrollment.

A significant development in the university enrollment system in recent years is large-scale

enrollment. It makes the volunteer "one choice for life" for the college entrance test different

and achieves widespread student enrolment in colleges and universities. Students select their

major based on volunteer recommendations once they have a firm understanding of the

subject matter. To do this, it is therefore essential to initially set up a sensible enrollment and

diversion mechanism (Wang & He, 2019).

Enrollment growth is the first and most significant phase in the development of an institution.

This study investigates the enrollment strategy model of universities utilizing methodologies

based on educational statistics, guided by educational assessment theory. The present study

investigates the university enrollment strategy model by evaluating two aspects: the

enrollment source and the employment destination. By normalizing enrollment data from

previous years, an evaluation model of student quality is built, which changes the graduate

enrollment strategy for second years (Ma, et al., 2018).

The enrollment process within higher education institutions stands as a pivotal gateway for

students' academic journeys. Analyzing the enrollment process's efficacy is crucial at every

state university. As stated by Alexander and Ishak (2018), a student's selection procedure is

influenced by some factors, including majors offered, proximity to home, the process of time,

evaluation, the reputation of the university, educational expenses, and scholarships.

The challenge frequently faced by students in higher education is comprehending an

extensive amount of material in a short period. The application of time management

techniques helps solve this problem (Podlesny, 2020).

According to Nuevo K. (2021), various colleges have created systems for enrollment

procedures due to the need for consistency to provide better facilities. Each school's

admissions policy has a significant effect on each of us. Many universities and colleges use

enrollment systems to provide better services to their students. The enrollment method

encouraged participants to sign up more quickly, save time, and become more dependable to

receive better services.

According to Custodio and Castro, (2016) as cited by Mina, et al., (2021) the system of

enrollment is thought to be a definite improvement over paper-based ones. The younger

generation has grown up with technology, so they expect to do business and obtain

information from colleges and universities online. Many universities understand how

important convenience and ease of use are to their students, and they think that student

services have a significant role in this.

The research findings of Gwelo, A. (2019), composed of 660 students from various

departments and schools at Mzumbe University in Tanzania, found that service quality

enhancements including responsiveness, tangibility, assurance, and empathy have a major

impact on students' satisfaction with the enrollment process and support in assessing how

well the university's services are perceived by its students.

The purpose of the study is to assess how effective the enrollment process at Don Honorio

Ventura State University-Candaba Campus is by examining the level of student satisfaction in

terms of aspects such as admission, evaluation, and processing time, aiming to enhance the

overall enrollment process of the university and the student experience.

STATEMENT OF THE PROBLEM

The main objective of the study is to assess how effective the enrollment process is for the

academic year 2023-2024 at State University. This study will involve analyzing various

aspects of the enrollment process, aiming to enhance the overall enrollment experience of the

students.

Specifically, it seeks to answer the following questions:

This conceptual framework served as the research plot of this proposal. The model involved

the factors of the enrollment process such as admission, evaluation, and processing time.

Based on the presented model, the enrollment processes serve as the independent variable of

the study, while the efficacy of enrollment serves as the dependent variable. As stated by

Hess (2019), concerns over "legacy" admissions, falsified applications, and the favored

treatment of wealthy benefactors are numerous, and colleges have demonstrated their

inability or unwillingness to uphold the integrity of the admissions process. This is especially

concerning for top universities, where degrees provide an immediate path to financial

security and career success. In light of this, the suggestion for higher education institutions

that see themselves as engines of opportunity is implementing a lottery admissions method

that accords equal treatment to all candidates who possess a high school certificate. The

scheduling community has long been interested in educational time management.

Considering scheduling dictates how colleges run daily, it has become imperative in

academia to invest significant time in crafting the best possible schedules (Dimitsas, 2022).

SIGNIFICANCE OF THE STUDY

The results of this study are significant and beneficial from the following:

Marketing Students. This study's findings are primarily beneficial to marketing students, as

they help in analyzing the enrollment process's effectiveness, clarifying university

procedures, highlighting strengths and growth areas, and fostering trust.

Registrar Office. The registrar's involvement in analyzing the enrollment process is

significant for improvement, as it helps identify delays or misunderstandings, enabling the

university to address issues related to student enrollment experiences.

Admission Department. The results of this study are also valuable to admissions

departments because they directly impact their ability to plan and execute a successful

enrollment process for efficient and convenient transactions with students.

School/University. The study's findings have an impact on the school or university as well

because an effective enrollment procedure can improve the institution's reputation, attract

more students, and value their experiences.

Students. Analyzing the effectiveness of the enrollment process is important for students

because it saves time, makes things easier to understand, and gives them a better experience.

Future Researchers. The results of this study will also contribute to these people. Since the

study is focused on the enrollment process it will serve as a guide to what more information

need to be thoroughly studied to enhance the enrollment process in a state university.

SCOPE AND DELIMITATION

The purpose of this study, titled “The Analysis of the Efficacy of the Enrollment Process for

Academic Year 2023-2024 at State University," is to assess the effectiveness of the

university's enrollment process in the experience of the students during the enrollment period.

The participants in this study include a sample size of 189 Marketing students enrolled in the

Academic Year 2023-2024.

The study is limited to marketing students enrolled at Don Honorio Ventura State

University’s Candaba Campus, with a total sample size of 189 students, and it will be

conducted during the Academic Year 2023-2024. The researchers will utilize quantitative

research methods to assess the satisfaction level of students in aspects of the university’s

enrollment process, aiming to enhance the overall enrollment process of state university and

student experience.

DEFINITION OF TERMS

Efficacy. This term is used to measure the effectiveness of the university’s enrollment

process for the student enrollees.

Enrollment Process. This term was used as the dependent variable of the study. The

researchers use this word to assess how effective the university's performance is in terms of

accepting student enrollees.

Level. this term is referred to in this study to measure the degree of how effective the

enrollment process of a State University.

CHAPTER 2

METHODOLOGY OF THE STUDY

This chapter provides a comprehensive overview of the research design, the selection of

participants, the target population and sample methods employed, ethical considerations, the

use of instrumentation, the technique for data collection, and the approach to data analysis.

I. RESEARCH DESIGN

The study used a quantitative research approach which may help to gather a deeper

understanding of the study. This method was utilized since the main objective of this study is

to assess the effectiveness of the enrollment process at DHVSU Candaba Campus in the

academic year 2023-2024. A quantitative approach is suitable for collecting data using Likert

scale questionnaires. As stated by Mohajan (2020), quantitative research is a formal,

objective, rigorous, and systematic strategy for producing and refining information for

problem resolution.

The design of this study is a Descriptive type of research. The primary goal of Descriptive

Research is to describe how the enrollment process at Don Honorio Ventura State University

– Candaba Campus is effective in terms of examining the student’s level of satisfaction.

Based on Kramer (2019), descriptive design is an exploration to gain familiarity with a

phenomenon or to achieve new insights. The researcher will observe, describe, explore, and

analyze characteristics to assemble new knowledge in an area where previous work is lacking

or incomplete.

II. POPULATION OF THE STUDY

The participants of this study will be the chosen Marketing students enrolled at Don

Honorio Ventura State University-Candaba Campus in the Academic Year 2023-2024. The

sample size of 189 was drawn from a population of 371 and calculated using the Raosoft

sample size calculator used to distribute questionnaires to participants of the study.

According to Raosoft Survey Tools, utilizing Raosoft can collect survey data using more

than 15 powerful utilities for database and file management, as well as fixing data handling

or design errors, cleaning up your database, and eliminating accidental data entry errors.

III. SAMPLING DESIGN

This study made use of one hundred eighty-nine (189) Marketing student participants which

fifty-one (51) were first year, forty-five (45) were second year, fifty-two (52) were third year

and forty-one (41) were fourth year enrolled at Don Honorio Ventura State University-

Candaba Campus. These participants were chosen utilizing the Raosoft sample size calculator,

with one hundred eighty-nine (189) participants.

IV. DATA GATHERING PROCEDURE

To get the necessary data for this research, the researchers will secure first approval from the

authority. To acquire this, researchers will present a letter of approval that will be addressed

to the Directress of the campus to seek permission for the marketing students to be the

participants of the proposed study. In the letter, researchers will ask about the number of

students that were enrolled at Don Honorio Ventura State University-Candaba Campus in

the Academic Year 2023-2024. Once the necessary approval is acquired, the researchers will

be going to the office of the registrar at DCC to gather data on the number of marketing

students under the Data Privacy Act 2012. Once it is obtained, the researchers will proceed

to the data-gathering process.

In the actual data-gathering process, the researchers will utilize face-to-face methods. In the

face-to-face method, each of the participants of the study will be given a survey

questionnaire. But before the participants start, researchers will secure the consent of the

participants to conduct a survey session to be followed by explaining the nature and purpose

of the study. The participants will be given enough time to answer all the questions provided

for them to understand and answer each of the statements correctly. Once the total number of

responses is obtained, the researchers will coordinate with the experts to interpret the data

gathered.

V. RESEARCH INSTRUMENT

The study employs a quantitative research approach to comprehensively analyze the efficacy

of the enrollment process at State University for the Academic Year 2023-2024. The

researchers adapted a modified questionnaire designed to collect structured and quantifiable

data from the marketing students, a survey questionnaire from Covalent L., (n.d.) and

Sagarino et al., (2019). The questionnaire encompasses key dimensions of the enrollment

process, addressing the overall satisfaction of students in aspects such as (1) admission, (2)

evaluation, and (3) processing time at the DHVSU Candaba Campus.

VI. STATISTICAL TREATMENT

The statistical tool that will be utilized in the study is descriptive statistics, the tool mentioned

will be used to describe and summarize the characteristics of the data collected. According to

Kaur, et al. (2018), descriptive statistics is a statistical tool used to determine the relationship

between variables in a sample or population to create organized summarized data. The

researcher will measure the mean scores, standard deviation, frequency, and percentage

distribution that will be calculated in a quantitative research approach.

VII. ETHICAL CONSIDERATION

The researchers will secure all the necessary permission before the start of the study. The

participants will be properly informed about the purpose and the importance of their

participation in the success of the study. The involvement of each participant is voluntary,

and at any point, there will be no risk or monetary compensation and there is no

enforceable action involved in the participation of the participants.

In the survey questionnaire, the researchers will ask their permission to conduct a survey

session with them. The participants are not afforded anonymity from the researchers since

they have direct access to them. However, the researchers will prioritize the participants'

confidentiality to secure their privacy.

When the expected number of responses is obtained, the researchers will secure the data

gathered from the participants and will develop trust to promote the integrity of the study.

The researcher will strictly comply with the rules and regulations prescribed in the Data

Privacy Act of 2012. All the survey data will be handled with confidentiality to protect the

participants' privacy.

RESULTS AND DISCUSSION

This chapter presents the results and discussion of the interpretation of the data gathered from

the participants.

I. Demographics of the respondents

1.1. Table 2 presents the demographics of the respondents in terms of Age.

Table 2 depicts the table of Demographic-Age, 109 responses or 57.67% were under the age

bracket o 18-20years old, while 71 of them which represents 37.57% of the total population

were aged 21-23, and there are 8 respondents, or 4.23% with an age of 24-26, and the least

responses was the bracket 27 and above with a response of 1 or 0.53%. In total, there are 189

respondents. The data indicates that the majority of the respondents belong to the age bracket

18-2 years of age.

Table 3 shows that the majority of the participants are female with a response of 133 or

70.37%, while 56 of the participants were male with a percentage of 29.63%. The data

indicates that most of the chosen participants belong to female.

The data reveals the distribution of survey respondents across the academic year. The data

presents that third-year students comprise the largest group, representing 52 or 27.51%. To

be followed by, first-year students with 51 or 26.98%. Second-year students for 45 or

23.81%, while the fourth-year students for 41 or 21.69%. The data implies that most of the

target respondents are from the third year.

As shown in Table 5, the data presents the highest rating of 3.49 obtained by Q2 which is

“The university’s admission office provides policies and procedures that are clear,” with a

standard deviation of 0.56 and a descriptive interpretation of “Strong Agree.” While Q4

and Q5 get the lowest rating of 3.34. Q4 with a standard deviation of 0.72 and a descriptive

interpretation of “Strongly Agree,” and Q5 with a standard deviation of 0.71 and a

descriptive interpretation of “Strongly Agree.” The overall mean of 3.40 that the data

implies that most of the participants had a good experience in terms of admission during

the enrollment process.

Table 6 presents the data about the evaluation. The Q4 “The enrollment staff were helpful

and responsive to my inquiries,” acquired the highest rating of 3.43 with a standard

deviation 0.69 and descriptive interpretation of “Strongly Agree.” Q5, “There are enough

facilities for the evaluation of every student during enrollment”, get the lowest rating of

3.26 with standard deviation of 0.78 and descriptive interpretation of “Strongly Agree.” The

data implies with overall mean of 3.34, standard deviation of 0.69 and interpretation of

“Strongly Agree,” which means the majority of them are satisfied with the evaluation during

the enrollment process.

As shown in the Table 7, it presents the mean rating of Processing time. Based on the

result, Q3 “The enrollment process is efficient,” obtained the highest rating of 3.97 with

the standard deviation of 0.62 and descriptive interpretation of “Strongly Agree”. The Q2

“The enrollment process is of time-consuming because they are following the process,” get

the lowest rating of 3.31 with the standard deviation of 0.62 and descriptive interpretation

indicates that the majority of the participants are “Satisfied” in terms of the enrollment

processing time of the university.

SUMMARY OF FINDINGS, CONCLUSIONS, AND RECOMMENDATIONS

This chapter summarizes the significant features of the study and review of the results.

Moreover, it formulates the conclusion based on the analysis and interpretation of the data and

offers some recommendations.

Summary of Findings

Based on the result of the study majority of the participants as classified in the age bracket of

18-20 years old, the majority of the participants were female, and most of the participants

came from third-year students. Moreover, under the admission process, the participants

claimed that they didn’t receive notice of the admission on time as well as they claimed that

the admission staff lacked communication with them when they had problems in the

admission of application. In addition to that the participants also claim that the University

lacks facilities during evaluation. The researchers also concluded that the university lacks of

proper enrollment process since the participants claim that the enrollment process is time-

consuming.

Conclusion

In conclusion, the research findings provide valuable insights that participants are satisfied

with the enrollment process of the University but it also highlights the importance of having

notified on time by the admission, and also having communication with the admission staff.

During the evaluation process, participants also raised concerns regarding the university's

facilities. According to the findings of the study enrollment process is perceived as time-

consuming. The significance of considering these problems to improve students' overall

experience and quicken university administrative procedures is highlighted by this study.
