Scenario 1
You run a small flower shop. Your friend Cindy runs a small business making
chocolates. Last year, you partnered with Cindy to run a Valentine’s Day promotion
where customers could add a box of chocolates to their bouquet order. Unfortunately,
Cindy was very difficult to work with. She was late with orders and did not supply you
with enough chocolates for the orders you received. This made your business look bad,
and resulted in many angry customers. Now, Cindy wants to partner with you on a
regular basis. You need to tell Cindy that you can’t work with her, even though this may
cost you her friendship.
Based on the scenario, create a message to reveal bad news in an appropriate manner.
In running a business, it’s important to keep a business mindset. The reason for not working
with Cindy is clear, but she isn’t aware of it. For a small business like Cindy’s, receiving lots
of orders can be overwhelming, so feedback and advice from a shop owner could be valuable
and helpful. By evaluating Cindy’s performance in receiving orders, she could identify what
to improve and what not to do.
To break the news to Cindy, it can be started with gratitude for partnering up during the
festive period, then an evaluation of her performance on receiving orders. In the time when
we want to inform Cindy that we decided not to choose to work together with her again by
telling her that it might be risky for the business to experience loss in a short period which
will be difficult for us to ask Cindy to work as a partner again. We can also tell Cindy that,
even though it is a small business, as the owner, we have to be strict for the business to keep
on operating such as by looking for other people who are willing and manage to cope with
tons of orders and be on time to avoid complaints from the customers.
You: Hi Cindy, thanks for being here with me today. Thank you so much for taking the time
to talk.
Cindy: Yes, of course! It's great to see you. What are you thinking about?
You: Anyway, I wanted to think back on how we worked together on last year's Valentine's
Day campaign. I think both of us worked hard, but there were some problems we had to deal
with.
Cindy: Yeah, it was a bit busy, especially when so many orders came in at once. I hope
everything turned out okay in the end.
You: That's what I really wanted to talk about. There were some delays with the orders, and
we had some trouble getting enough chocolate. Even more so for a small business like yours,
I know it's hard.
Cindy: Yes, I understand. I couldn't keep up with everything because it was so busy.
You: Of course, and I value all the hard work you put into it. Because I think helpful criticism
is important for growth, I wanted to share what I've seen. Our customers want service that is
reliable and on time, and sadly, we got some complaints.
You: A lot of things have been going through my mind about it. I think it might be better for
both of our businesses in the long run if we don't keep working together as often. It's a tough
choice, but I think it's important to keep up the level of service we want to offer.
Cindy: I see. I'm so sorry to hear that. I guess I need to work on some things.
You: Of course, Cindy. This choice is more about the business side of things. Our friendship
is important to me, and I think you can get better and find a business partner that fits your
goals better.
Cindy: Thanks for telling me the truth. I appreciate it, and I'll definitely take your comments
to heart.
You: I hope you understand it's not personal. I hope everything goes well with your work.
Who knows, maybe we'll see each other again tomorrow.
Cindy: Thanks for that. Let's keep in touch, and thanks for telling me the truth.
