Production Management
1 The Quality Management System module in perspective

This chapter describes the main functions and objectives of the Quality
Management System module. Information is given about the module's
function within BAAN IV and how the module is related to other
modules. Additionally, this chapter presents the module's business
objects, then closes with the global set-up requirements for the module.

1.1 The Quality Management System module within

BAAN IV
Within each company, products (raw materials, end products, and
products in between manufacturing steps) are inspected, to make sure
nothing goes, went, or will go wrong during production or distribution, or
during the time products are in inventory.
The Quality Management System (QMS) module governs the activities
required to control the flow of products which are selected for
inspection. It contains the basic data on which the products are to be
inspected as well as the results coming from inspections. Inspections
are executed based on inspection orders. These inspection orders are
divided into two groups; those for moving products (sales, purchase,
and production) and those for stationary products (inventory).
Inspection orders for moving products can have a major impact on the
production process because they can block the items which are to be
inspected.

Sales Purchase

QMS

Production Inventory

Figure 1-1 The QMS module in BAAN IV

The QMS module is used to control the inspection of purchased, sold,

produced, and stored items. These inspections are based on the
integrations with other modules and the generated orders, batches,
inbound and outbound advices.

Quality Management System

1-1
1 The Quality Management System module in perspective

The inspection order can block these orders and batches. In this case,
the other orders can be continued after the inspection order has been
finished.
This does not apply to orders generated from inventory, since these
orders are not based on inbound and outbound transactions but on a
stationary situation.

PUR SLS

SFC QMS PMG

INV
ILC LTC

Figure 1-2 The modules influenced by the QMS module

Based on a purchase order in the Purchase Control (PUR) module, it is

possible to define an inspection order for purchased products. The
inspection must take place after these products have been received.
After the inspection, the inspection data must be entered. It is possible
to specify whether or not the inspection blocks the transfer to inventory.
Based on a sales order in the Sales Control (SLS) module, it is also
possible to define an inspection order for sold products. The sales order
procedure can be blocked until the inspection has been completed.
After the inspection, it is possible to continue the sales order and to
deliver the products.
For production orders which are created in the Shop Floor Control
(SFC) module, and production batches which are created in the
Production Management (PMG) module, it is possible to define
inspection orders for three different situations. First, all the raw
materials used in the production process can be inspected by means of
inspection orders. Secondly, all steps in the production process can be
used as a point for inspection. Thirdly, all finished products can be
inspected prior to being posted to inventory.
In all these situations, the inspection order can block the production
process. Consequently, the production process can only be continued
after the inspection has been completed.

Quality Management System

1-2
1 The Quality Management System module in perspective

Products in inventory are controlled by the Inventory Control (INV)

module. If the Location Control (ILC) module is implemented, this
module is used instead of the Inventory Control (INV) module. If the
products in inventory are lot-controlled, the Lot Control (LTC) module
must also be used. Products in inventory are static, which means that
no transfers take place and that no procedure in any other module is
influenced.
Based on a number of selection criteria, items in inventory can be
selected for inspection after which they are blocked for inspection. For
these blocked items, inspection orders can be created. The items are
unblocked after the inspection has been completed.

The ITM and COM modules provide direct input for the QMS module,
whereas the PUR, SLS, SFC, and PMG modules and the QMS module
mutually influence each other. The modules which provide input for the
SFC and PMG modules, also provide input for the QMS module.
The Item Control (ITM), Bill of Material (BOM) and Routing (ROU)
modules are used to create a product structure for a discrete product
(Manufacturing). This product structure is used to create an inspection
order for a finished product or component or to create an inspection
order after a specific operation. This product structure is linked to the
production process by means of production orders. These production
orders are used in the Shop Floor Control (SFC) module.
The Project Control (PCS) module offers the same functionality as the
ITM, BOM and ROU modules but for customized items instead of
discrete products.
The Item Control (ITM), Formula Management (FRM), and Process
Routing (ROU) modules are used to create a product structure for a
flow product (Process).

Quality Management System

1-3
1 The Quality Management System module in perspective

This product structure is used to create an inspection order for a

finished product or component or to create an inspection order after a
specific operation. This product structure is linked to the production
process by means of production batches. These production batches are
used in the Production Management (PMG) module.
The Inventory Control (INV) module is used to generate inspection
orders for stationary products in stock. If the Location Control (ILC) and
Lot Control (LTC) modules are implemented, it is possible to use the
locations and lots as selection criteria.
In case of a sales or purchase order, an inspection order can be
generated for a particular customer or supplier. This means that QMS
has a direct link with the Sales Control (SLS) and Purchase Control
(PUR) modules. Since supplier and customer data is stored in the
Common (COM) module, this module also provides input for the SLS
and PUR modules.

1.2 The business objects of the QMS module

The Quality Management System (QMS) comprises the following
business objects:
n Master Data
n Algorithms
n Quality IDs
n Order-Specific Inspection Data
n Standard Inspections
n Storage Inspections
n Calibrations
n Inspection History
Since the Algorithms business object is included in the Master Data
business object, this business object is discussed in Chapter 2.

Figure 1-4 The main flow between the business objects in the QMS module

The process of creating an inspection order starts with the definition

and the entry of the master data. The master data specify which
products must be inspected in which way. The inspection of the
selected products is done based on characteristics. These
characteristics specify what is to be inspected per item.
By grouping all inspection-related master data, so-called quality IDs can
be set up. These quality IDs, which are defined in the Quality IDs
business object, are used to link the Master Data tables to a group of
items with the same quality standards and tests.
The master data, grouped together by means of a quality ID, can be
linked to a specific item or a group of items by means of a so-called
quality combination. For more information on these quality
combinations, see Chapter 3.
After the master data have been defined, standard inspections or
storage inspections can be created for all items defined in the ITM and
PCS modules. These standard and/or storage inspections result in
inspection orders.

Quality Management System

1-5
1 The Quality Management System module in perspective

Before standard inspections can be created, order-specific inspection

data for a specific sales, purchase, or production order/batch can be
defined in the Order-Specific Inspection Data business object. The
sessions in this business object can also be launched by the business
objects (and sessions) in other BAAN IV modules. Consequently, the
Order-Specific Inspection Data business object is optional.
The Standard Inspections business object controls the inspection
orders for moving products. These inspection orders have an impact on
the order procedures in other BAAN IV modules. This business object is
used to transfer the available order-specific inspection data to the
Standard Inspections business object.
The Storage Inspections business object controls the inspection orders
for stationary products. These inspection orders only block the items
which are selected for inspection. These items are seen as inventory on
hold.
Either the Standard Inspections business object or the Storage
Inspections business object is used depending on whether or not the
products are moving or stationary.
Per instrument, it is possible to indicate whether or not calibration data
must be linked to that instrument. If so, the Calibrations business object
is used to register and archive this calibration data. Since no calibration
data can be linked to an instrument, the use of the Calibrations
business object is optional. Since this business object relates to
instruments, these instruments must first have been defined in the QMS
Master Data business object.
The inspection orders and storage inspections which are created in the
QMS module can be archived. This is done by means of the Inspection
History business object.

The modules, which are directly linked to the Master Data business
object are the Item Master (ITM) module, the Routing (ROU) module,
the Project Control (PCS) module, and the Location Control (ILC)
module. The Master Data business object is also directly related to the
COM and MCS modules of Baan IV which contain the common data.
The items and/or customized items to which the data described in the
Master Data business object applies are selected from the ITM and
PCS modules. In addition, the data in the ROU (Manufacturing and
Process) and ILC modules is used to define the areas where tests can
be performed based on location and/or work center.
The Quality ID business object is used to group the master data and to
determine the type of inspection order which must be created, namely a
standard inspection or a storage inspection. The type of inspection is
based on the origin of the inspection order. If the Material (BOM) origin
or the Material (FRM) origin is selected, a link with the BOM module or
the Formula Management (FRM) module is established.

Quality Management System

1-7
1 The Quality Management System module in perspective

If the Routing (TI) origin or the Routing (PS) origin is selected, a link
with the Routing (ROU) module of BAAN IV Manufacturing or BAAN IV
Process is established. If the Production (SFC) origin or the Production
(PMG) origin is selected, a link with the Shop Floor Control (SFC)
module or the Production Management (PMG) module is established. If
an inspection order is required for a customized item, the PCS module
provides the input for the Quality IDs business object. The established
links are used by the system to retrieve data from the different modules
while an inspection order is being created.
Prior to inspection order generation, order-specific inspection data can
be defined. This can be done by means of the Order-Specific
Inspections business object at an early stage of a production
order/batch, purchase order, or sales order.

1 The Quality Management System module in perspective

The modules which are directly linked to the Order-Specific Inspection

Data business object are the Sales Control (SLS), Purchase Control
(PUR), Shop Floor Control (SFC), and Production Management (PMG)
modules. From within these modules, the Order-Specific Inspection
Data business object can be launched. The order procedures in these
modules are interrupted by inspection orders. These inspection orders
are based on order-specific inspection data.
The Storage Inspections business object controls the inspection of
stationary products. Consequently, this business object is related to the
Inventory Control (INV) module.
If implemented, the Location Control (ILC) and Lot Control (LTC)
modules provide the input needed to select a group of items which
have to be inspected based on a specific location or a specific lot.
Since the information which is stored in the Master Data business
object is also used in the Standard Inspections and Storage Inspections
business objects, the modules which are related to the Master Data
business object are also related to the Standard Inspections and
Storage Inspections business objects.

1.3 Master data and prerequisites

The inspection orders which are used in the QMS module are based on
the integrations with other modules and the orders, batches, inbound
and outbound advise, and inventory overviews which are generated in
these modules. Consequently, the QMS module presumes that the
Master Data needed to obtain the purchase, sales, or production
orders/batches as well as the required inventory data is available.
Whether or not the QMS module can be used to generate inspection
orders depends on the values of the parameters in the Maintain QMS
Parameters (tcqms0100m000) session. If the QMS Implemented
parameter is set to yes for each module, inspection orders can be
created for each origin. QMS only run properly if the specified modules
are operational.

2 The Master Data business object

This chapter describes the Master Data business object and gives
information about the business object's functions. In addition, the
chapter identifies and explains the mandatory and other sessions
related to the business object. Related parameters are mentioned
where applicable.

2.1 The place and function of Master Data

The Master Data business object is used to enter such data as the
characteristic for which a product is to be inspected, the location in
which a product is to be inspected, and which effect the inspection will
have on the product which is to be inspected. In addition, the
Algorithms business object is available to define the algorithms which
can be used to calculate the characteristics in an inspection order.
Since the Algorithms business object is part of the Master Data
business object, it is also discussed in this chapter.
The Quality ID business object is use to group the master data.
Consequently, the Master Data business object and the Quality ID
business object form the basis of inspection orders.

and is used to define the different tests. The tests defined in this
session are used in other sessions. These sessions are used to define
the contents of the tests.

Quality Management System

2-1

2.2.2 Maintain Characteristics (tcqms0101m000)

This session is used to define characteristics. Characteristics are the

most important part of the Master Data business object and refer to a
particular quality or distinctive characteristic of an item or part of an
item. Characteristics are used throughout the module: not only
inspection order lines are based on characteristics but also all test data
which must be entered. It is possible to enter default values for these
characteristics. These default values are used in the inspection order
lines for these characteristics. One of the default values is the test.
By means of the Characteristic Type field and the Method field in this
session, it is possible to indicate whether or not other sessions in this
business object must be used.
The value of the Characteristic Type field can be set to Fraction, Integer
or Option. If the value is set to Option, the Maintain Option Sets
(tcqms0113m000) and Maintain Options (tqms0114m000) sessions
must be used.
The value of the Method field can be set to Fixed, Variable or
Algorithm. If the value is set to Algorithm, the Algorithms business
object must be used.

2.2.3 Maintain Tests by Characteristic (tcqms0105m000)

This session is used to combine the characteristics and the tests which
were defined in the Maintain Tests (tcqms0106m000) and Maintain
Characteristics (tcqms0101m000) sessions. Tests refer to the
inspections to which characteristics are subjected. Per characteristic,
more than one test can be defined. The tests which are defined here
are used as default tests and can be modified, deleted, or added for
specific combinations of a characteristic and a quality ID.
Per test, it is possible to indicate whether or not the test is destructive
as well as the type of result which is to be expected after the test. It is
not possible to assign all products of an order or a batch to a
destructive test. The result of a test is assigned as a quantitative
(numeric) or qualitative (for example good or bad) value to the
characteristic.

2.3.1 Maintain Aspects (tcqms0102m000)

This session is used to define the aspects which are used to distinguish
between characteristics. This is especially useful since an item can
have the same characteristic more than once. Aspects are used to
reflect the different parts of an item for which the same characteristic is
used.

2.3.2 Maintain Characteristics by Aspect (tcqms0103m000)

This session is used to create combinations of an aspect and a

characteristic. The default values of the characteristics also apply to
these combinations. Consequently, it is possible to enter both
characteristic and aspect whenever a characteristic is required. If a
characteristic is not linked to an aspect, only the characteristic can be
entered. The use of aspects is optional.

2.3.3 Maintain Option Sets (tcqms0113m000)

This session can be activated from within the Maintain Characteristics

(tcqms0101m000) session. The value of the Characteristic Type field in
the Maintain Characteristics (tcqms0101m000) session may be set to
Option. If so, an option set must be entered. These option sets are
defined in this session, while the options are defined in the Maintain
Options (tcqms0114m000) session. The option set which is to be used
for the characteristic which is to be inspected is selected during the
creation of an inspection order.

2.3.4 Maintain Options (tcqms0114m000)

This session is used to define the options which are used when the
results of an inspection order are entered. The options which are
entered are related to a characteristic and an option set. After an option
has been selected from the option set which is related to the
characteristic, it can be entered as the test result. Basically, options are
used to determine the result of a test for such non-numeric values as
colors.

2.3.5 Maintain Test Areas (tcqms0107m000)

This session is used to define the area in which a test must be carried
out. These test areas are used in other sessions and are linked to the
warehouses and locations as defined in the Common (COM) and
Location Control (ILC) modules.

2.3.6 Maintain Instruments (tcqms0108m000)

This session is used to define the test instruments which are used to
measure the values of a characteristic to determine whether or not the
quality of a product falls within the established quality level. The
instruments defined here can also be selected and used for calibration
as described in Chapter 7.
It is not possible to delete or use an instrument which has been
selected for calibration. If an instrument is deleted, the related
calibration history is also deleted.

2.3.7 Maintain Algorithm Variables (tcqms0123m000)

This session comprises the first step in the Algorithms business object
and is used to define the variables which are used for the algorithms. If
a variable is used by any of the algorithms, it is not possible to modify
this variable.

Quality Management System

2.3.8 Maintain Algorithms (tcqms0121m000)

This session is used to define algorithms. Basically, each algorithm is

an expression including the variables which are defined in the Maintain
Algorithm Variables (tcqms0123m000) session. These variables must
be linked to characteristics by means of the Maintain Variables by
Algorithm (tcqms0122m000) session. The algorithms may include any
mathematical expression and can only be linked to characteristics if the
value of the Method field is set to Algorithm and the Characteristic Type
field is set to Integer or Fraction in the Maintain Characteristics
(tcqms0101m000) session.

2.3.9 Maintain Variables by Algorithm (tcqms0122m000)

This session is used to assign the variables which are to be used in

algorithms to a characteristic or a combination of an aspect and a
characteristic. For the characteristics which are to be linked to the
variables, the value of the Characteristic Type field in the Maintain
Characteristics (tcqms0101m000) session may be set to Fraction or
Integer.

2.3.10 Maintain Quality Groups (tcmcs0129m000)

This session is used to maintain quality groups, after which items can
be assigned to these quality groups.

2.3.11 Maintain Items by Quality Group (tcqms0120m000)

This session can be used to assign items to a quality group. It is not

possible to group one item in more than one quality group. The quality
data defined for a quality group applies to all items of a group unless
the quality data has been specifically defined for a particular item. In
this case, the quality data of the item is used when an inspection order
is executed.

2.3.12 Copy Range of Items to Quality Group (tcqms0220m000)

This session can be used to copy a range of items with the same
quality standards to a quality group.

2.3.13 Delete Range of Items from Quality Group (tcqms0221m000)

This session can be used to remove a range of standard or customized

items from a quality group.

3 The Quality IDs business object

This chapter describes the Quality IDs business object and gives
information about the business objects functions. In addition, the
chapter identifies and explains the mandatory and other sessions
related to the business object. Related parameters are mentioned
where applicable.

3.1 The place and function of Quality IDs

Quality IDs are used for a group of products with the same quality
standards and tests and considerably reduce the time needed to define
the quality standards and tests for each product.
After such basic data as the characteristic which is to be inspected on a
product, the location in which the inspection is to be carried out, and the
effect of the inspection on the product has been defined in the Master
Data business object, this business object is used to group this basic
data by means of so-called quality IDs.
Quality combinations are used to link these quality IDs to origins. These
origins are used to indicate in which BAAN IV module a standard or
storage inspection order was generated.

3.2.1 Maintain Quality IDs (tcqms0110m000)

This session comprises the first step in the Quality IDs business object
and is used to define quality Ids. Basically, quality IDs are used to
indicate the way in which items must be tested.

3.2.2 Maintain Characteristics by Quality ID (tcqms0115m000)

This session is used to link characteristics and combinations of an

aspect and a characteristic to a quality ID. data related to these
characteristics and combinations of an aspect and a characteristic is
copied after which it can be modified. In addition, the norm values of
characteristics of type Integer or Fraction can be entered. This session
can also be used to specify the acceptable deviation from these norms
entering the limits or tolerances on the norms.

3.2.3 Maintain Tests by Quality ID (tcqms0117m000)

After the characteristics by quality ID have been entered, the tests

which were previously defined for these characteristics are copied from
the Maintain Tests by Characteristic (tcqms0105m000) session to this
session as the default tests. Next, these tests are linked to a quality ID.
It may be necessary to add or delete additional tests. Also, more than
one test can be linked to a quality ID and more than one quality ID can
be linked to a test.

3.2.4 Maintain Test Groups by Quality ID (tcqms0136m000)

This session is used to maintain the test groups for a quality ID. The
data defined per test group applies to all the characteristics defined for
that test group. Characteristics can be defined per test group in the
Maintain Characteristics by Test Group (tcqms0137m000) session.
Test groups are used by the system during the generation of inspection
orders. For each test group defined for a quality ID, one inspection
order is generated. For each test group, such data as the test type, the
sample size, and the passing percentage can be entered. The value of
the Sample Size and Passing Percentage fields depends on the value
of the Test Type field.
The Test Type field is used to indicate the way in which an inspection
order is to be generated. The Sample Size field, which is used in the
Maintain Samples (tcqms1110m000) session, is used to indicate the
number of pieces which are to be selected for testing. The Passing
Percentage field is used to compare the test results entered in the
Enter Test Data (tcqms1115m000) session against the acceptable
quality level (AQL).

Quality Management System

3-2
3 The Quality IDs business object

If the passing percentage is greater than or equal to the acceptable

quality level, the order or the selected inventory which is under
inspection is accepted. If the passing percentage is smaller than the
acceptable quality level, the order or the selected inventory which is
under inspection is rejected.

3.2.5 Maintain Characteristics by Test Group (tcqms0137m000)

The characteristics in a test group are tested on the same sample. This
means that the characteristics which must be tested on a sample must
be entered in this session. By means of this session, an inspection
order is generated for each test group while a single inspection order
line is generated in the inspection order for each characteristic of that
test group.
In addition, this session is used to set the value of the Test Sequence
field. This field is used to indicates the order in which the characteristics
in a test group must be tested.

3.2.6 Maintain Quality Combinations (tcqms0111m000)

After the quality ID has been defined and the required data has been
entered in the sessions which must be used to define characteristics,
tests, and test groups for a quality ID, a link between a quality ID, an
item or group of items, and the origin of an inspection can be
established (see Figure 3-2).

Figure 3-2 The way in which a quality combination is used to link related data

This session is used to create a link between a quality ID, the item
which is to be inspected, and the origin for which the inspection is to be
carried out (for example: sales, purchase, production). These quality
combinations are used as the primary input for the generation of
inspection orders.
A quality combination can have the same quality ID as another quality
combination. This means that, in this session, items in different BAAN
IV modules, but with the same quality standards can have the same
quality ID.
The value of the Origin field, which is the most important field in this
session, determines whether or not the other fields can be accessed.
This field is linked to the different BAAN IV modules, such as Sales
Control (SLS), Shop Floor Control (SFC), and Formula Management
(FRM).
The Only Recommended field and the Blocking Method for Inspection
field are important for the order procedures in the other modules.
The value of the Only Recommended field can be set to Yes or No. If
the value is set to Yes, the inspection order results can be overwritten.
If the value is set to No, the inspection results cannot be overwritten
during inspection order processing.
The value of the Blocking Method for Inspection field depends on the
origin of the inspection order.

Quality Management System

3-4
3 The Quality IDs business object

The values of this field indicate at which stage the procedures in the
SLS, PUR, SFC, and PMG modules can continue or must remain
blocked.
If the origin is Sales (SLS), Purchase (PUR), Material (BOM), Material
(FRM) or Storage inspection, the value of the Blocking Method for
Inspection field can be set to Block or Continue.
If the origin is Routing (TI) or Routing (PS), the value of the Blocking
Method for Inspection field can be set to Block on Operation, Block on
Completion of Operation, or Continue.
If the origin is Production (SFC) or Production (PMG), the value of the
Blocking Method for Inspection field can be set to Block before Posting,
Block after Posting, or Continue.
If the value of the Only Recommended field is set to No, it is not
possible to set the value of the Blocking Method field to Continue.

3.3 Other sessions

Considering the context of this course material, other sessions (if any)
will not be discussed.

3.4 Remarks
The sessions described in this chapter must be used before inspection
orders can be automatically generated. If not all these sessions have
been used, the required data is incomplete. Consequently, no
inspection orders can be generated.
The Validate Quality Combination option in the Maintain Quality
Combinations (tcqms0111m000) session can be used to check if the
data which must be linked to a quality ID which is used in a quality
combination is available. If this data is not available, BAAN IV will
display the reason why this quality combination cannot be validated.

4 The Order-Specific Inspections business object

This chapter describes the Order-Specific Inspections business object

and gives information about the business object's functions. In addition,
the chapter identifies and explains the mandatory and other sessions
related to the business object. Related parameters are mentioned
where applicable.

4.1 The place and function of Order-Specific Inspections

The Standard Inspections business object is used to maintain the order,
the order procedure, and the results of inspections. Inspection orders
are used to structure the inspection of products. These products can be
purchased, produced, or sold.
Inspection orders are generated based on quality combinations. This
means that each item to which a certain quality combination applies will
be inspected in the same way. It is possible to deviate from this by
means of the order-specific inspection data in the Order-Specific
Inspections business object.
Whether or not this business object is used depends on the value of
the Order-Specific Inspection Data parameter in the Maintain QMS
Parameters (tcqms0100m000) session. By means of this parameter, it
is possible to indicate per origin whether or not order-specific inspection
data will be generated for a specific quality combination.
Order-specific inspection data is created at an early stage during a
production order/batch, purchase order, or sales order. This means that
inspection data can be set up long before the actual inspection is
carried out.

4.2.2 Maintain Order-Specific Inspections (Header)

(tcqms0150s000)

This session can also be launched from within sessions in the SLS,
PUR, SFC, and PMG modules. This means that is not mandatory to use
the Order-Specific Inspections business object and the Maintain Order-
Specific Inspections (tcqms0149m000) session.
During the creation of a sales, purchase, or production order/batch, it is
possible to create an inspection order for that sales, purchase, or
production order/batch. In this session and the Maintain Order-Specific
Inspections (Lines) (tcqms0151s000) session, the previously defined
master data are used as the default data. This is done by means of
quality IDs. This session deals with the master data which is related to
the Test Group by Quality ID (tcqms0136m000) session. This data
applies to all characteristics of that test group.
The use of this session and the Maintain Order-Specific Inspections
(Lines) (tcqms0151s000) session depends on the value of the Order-
Specific Inspections parameter in the Maintain QMS Parameters
(tcqms0100m000) session. By means of this parameter, it is possible to
indicate per origin whether or not the Maintain Order-Specific
Inspections (Header) (tcqms0150s000) can be launched from this
origin.
The Maintain Order-Specific Inspections (Header) (tcqms0149m000)
session can also be launched from other modules, depending on the
value of the QMS implemented parameter in the Maintain QMS
Parameters (tcqms0100m000) session (assuming that the Order-
Specific Inspections parameter for the respective origin in the Maintain
QMS Parameters (tcqms0100m000) session is set to Yes).

5 The Standard Inspections business object

This chapter describes the Standard Inspections business object and

gives information about the business object's functions. In addition, the
chapter identifies and explains the mandatory and other sessions
related to the business object. Related parameters are mentioned
where applicable.

5.1 The place and function of Standard Inspections

The Standard Inspections business object is used to maintain the
inspection order, the inspection order procedure, and the results of
standard inspections. Inspection orders are used to structure the
inspection of products, which are purchased, produced, or sold. For
products in inventory, a storage inspection order instead of a standard
inspection order is used (see Chapter 6).
Inspection orders for purchase, sales, and production (both
manufacturing and process) are generated automatically at a certain
stage in the order procedure. It is also possible to create inspection
orders manually.
If the Order-Specific Inspection Data business object is used, the
previously generated order-specific data serves as input for inspection
orders.
Samples and test results can be linked to an inspection order. After the
test results have been entered, it is possible to complete and process
the inspection order so that it can be closed and posted to history. An
inspection order can block the items which are selected for inspection
and, consequently, the purchase, sales, and production procedures.
After an inspection order has been finalized, the selected items are
unblocked and available for use.

This session comprises the first step in the Standard Inspections

business object and is used to create inspection orders. Each
inspection order is based on an origin and an order which was created
in another module.

Quality Management System

5-2
5 The Standard Inspections business object

The following origins can be selected:

n Sales (SLS)
n Purchase (PUR)
n Production (SFC)
n Production (PMG)
n Material (BOM)
n Material (FRM)
n Routing (TI)
n Routing (PS)
The actual inspection order is related to one of four previously defined
order procedures. For more information on inspection orders related to
inventory, see Chapter 6.
This session provides an overview of the inspection orders which are
linked to a particular sales, purchase, or production order/batch. In
addition, this session is used to display the status of these inspection
orders as well as to indicate the blocking method and whether or not
QMS is only recommending.
The link between the origin and the quality ID can be established by
means of the Maintain Quality Combinations (tcqms0111m000) session
(see Chapter 3).

5.2.2 Maintain Inspection Orders (tcqms1100s000)

After the origins and orders have been inserted, this session can be
used to maintain the inspection orders based on inspection order
headers and lines. If any order-specific inspection data is available, the
system will use this instead of the default data in the Master Data and
Quality IDs business objects to generate the inspection orders.
If an inspection order is being maintained, the order status is by default
set to Free. Only inspection orders with order status Free can be
modified.

5.2.3 Maintain Inspection Order Lines (tcqms1101m000)

This session is used to create an inspection order line for each

characteristic of a quality ID as defined in the Maintain Characteristics
by Quality ID (tcqms0115m000) session. The data in the Master Data
and Quality IDs business objects is used as the default data.

5.2.4 Print Inspection Orders (tcqms1400m000)

This session is used to print the documents accompanying an

inspection order. This is done before samples and test results are
assigned to an inspection order.

Quality Management System

5-3
5 The Standard Inspections business object

The use of this session depends of the value of the Printing Inspection
Order Documents Mandatory parameter in the Maintain QMS
Parameters (tcqms0100m000) session. If this parameter is set to Yes,
the use of this session is mandatory. If this parameter is set to No, the
use of this session is optional. The inspection orders can be printed
regardless of the inspection order status. This does not apply if the
Printing Inspection Order Documents Mandatory parameter in the
Maintain QMS Parameters (tcqms0100m000) session is set to Yes. In
this case, the documents can only printed if the inspection order status
is Free.

5.2.5 Maintain Samples (tcqms1110m000)

After a storage inspection order has been created but before the
inspection can be carried out, a sample must be drawn which is
representative of the entire order or batch. This is done since it is not
always required to inspect all items of an order or batch. The samples
can be drawn only if the sample size is specified in the Maintain Test
Groups by Quality ID (tcqms0136m000) session. Although it is possible
to draw more than one sample, the total quantity of these samples
cannot exceed the sample size which was specified for that inspection
order. To be able to complete an inspection order, the entire sample
must be used. This means that the total sample quantity must equal the
sample size.

5.2.6 Enter Test Data (tcqms1115m000)

After the sample has been drawn and the inspection has been carried
out on each sample item, this session is used to enter the actual test
data. The test data can be entered only for the order lines which were
maintained in the Maintain Inspection Orders by Origin
(tcqms1120m000) session. As soon as any test data is entered, the
order status of the inspection order changes to Active. The test data is
entered for each unit in the sample and for all the characteristics of
these units as specified in the inspection order lines.
Depending on the value of the Enter Test Data By parameter in the
Maintain QMS Parameters (tcqms0100m000) session, the test data can
be entered either by unit or by characteristic. If this parameter is set to
Characteristic, the same aspect or characteristic is tested for each unit
in the sample after which the test results are entered. If this parameter
is set to Unit, all aspect s or characteristics are tested by unit in the
sample after which the test results are entered.

Quality Management System

5-4
5 The Standard Inspections business object

5.2.7 Complete Inspection Orders Collectively (tcqms1202m000)

This session is used to collectively complete the inspection orders for

which the test data has been entered.
Inspection orders can be completed as follows:
n By Origin
n By Storage Inspection
n By Inspection order
If the inspection orders are completed by origin, a group of inspection
orders is selected for completion based on one or more origins as
specified in the Maintain Quality Combinations (tcqms0111m000)
session. If the inspection orders are completed by storage inspection, a
group of inspection orders in the Storage Inspections business object is
selected for completion. If the inspection orders are completed by
inspection order, a group of inspection orders is selected for completion
based on their order number without taking the origin into account.
Before the inspection orders are completed, the system will check
whether or not the number of samples which have been drawn for each
inspection order suffices. The system will also check whether or not the
number of inspections per inspection order line suffices. After the
inspection order line has been completed, the order status changes to
Completed. As soon as all inspection order lines have order status
Completed , the entire order is set to Completed. After an order line has
been completed, it is not possible to add, modify, or delete any
inspection data.

5.2.8 Process Inspection Orders (tcqms1204m000)

This session is used to process inspection orders. In addition, this

session is used to evaluate the test results and their effect on items and
quantities. In this session, the inspection order results which have been
reported as good or bad are transferred to the origin form which the
inspection order originates. After the inspection order results have been
posted to the origin, they are considered as accepted or rejected
quantities.
After the inspection order has been processed, the order status
changes to Processed. After all items related to the production
orders/batches have been processed, the purchase and sales orders
are unblocked and available for use.

Quality Management System

5-5
5 The Standard Inspections business object

5.2.9 Check and Close Standard Inspections (tcqms1205m000)

If the blocking method of inspection orders is set to Continue or Block

after Posting, the normal purchase, sales, or production procedure may
already have been completed. This means that the accepted and
rejected quantities have already been entered in the system. The
inspection order results, however, are not transferred from QMS. This is
why this session must be used to close the inspection orders, even if
the regular purchase, sales, or production procedure already has been
completed.
If this session is used, the system will check which quantities are
reported in the purchase, sales, or production orders/batches and
compare them against the quantities which are entered in the QMS
module. As a result, a report is generated in which the compared
quantities of the origin and QMS are displayed. If the Close Inspection
Order field set to Yes and this session has been used, the order status
is set to Closed.

5.3 Other sessions

5.3.1 Delete Test Data Collectively (tcqms1215m000)

This session is used to delete a range of test data collectively after

which new test data can be entered. This is especially useful if, for
example, a test which was executed incorrectly produces the wrong test
results.

5.3.2 Delete Inspection Orders Collectively (tcqms1203m000)

This session is used to delete a range of inspection orders collectively.

This is especially useful if, for example, a purchase order has been
canceled, which means that the inspection orders related to that
purchase order must be deleted.
Inspection orders can only be deleted if no test data have been
entered. The samples which were allocated to the inspection order are
undone.

6 The Storage Inspections business object

This chapter describes the Storage Inspections business object and

gives information about the business object's functions. In addition, the
chapter identifies and explains the mandatory and other sessions
related to the business object. Related parameters are mentioned
where applicable.

6.1 The place and function of Storage Inspections

The Storage Inspections business object is used to maintain the
inspection orders, the inspection order procedure, and the results of
storage inspections. Storage inspections are generated for items in
inventory. The items for which a storage inspection order is generated
are blocked in inventory.
A storage inspection is processed as an inspection order in the
Standard Inspections business object. Samples and test results can be
linked to a storage inspection. After the test results have been entered,
it is possible to complete and process a storage inspection so that it
can be closed. Since inspections can be destructive, it may be
necessary to update the quantity in inventory.

This session comprises the first step in the Storage Inspections

business object and is used to generate storage inspections for a
specified range of items. This session can only be used if the QMS
implemented for Storage Inspections parameter in Maintain QMS
Parameters (tcqms0100m000) session is set to Yes. Based on the
quality combination, the system determines which inspection order is to
be generated. The required quality IDs are defined in the Master Data
and Quality IDs business objects. If a storage inspection is generated
for the selected items, these items will be blocked for use. The
inventory of these items is blocked due to storage inspection and is
regarded as inventory on hold.

6.2.2 Maintain Storage Inspections (tcqms2120m000)

This session is used to maintain the storage inspection orders which

were generated in the Generate Storage Inspections (tcqms2220m000)
session. New inspections can be added manually while existing
inspections can be modified. The related inspection orders can be
maintained by means of the Maintain Inspection Orders
(tcqms1100s000) session in the Standard Inspections business object.

6.2.3 Maintain Samples (Storage Inspections) (tcqms2110m000)

After a storage inspection order has been created but before the
inspection can be carried out, a sample must be drawn which is
representative of the entire inventory of an item. This is done since it is
not always required to inspect all items in inventory. Although it is
possible to draw more than one sample, the total quantity of these
samples cannot exceed the sample size which was specified for that
inspection order. To be able to complete an inspection order, the entire
sample must be used. This means that the total sample quantity must
equal the sample size.
After this session has been used and the samples have been set up,
the following sessions in the Standard Inspections business object must
be used to finalize the inspection order:
n Enter Test Data (tcqms1115m000)
n Complete Inspection Orders Collectively (tcqms1202m000)
n Process Inspection Orders (tcqms1204m000)

6.2.4 Print and Close Storage Inspections (tcqms2221m000)

After an inspection order has been processed by means of the Process

Inspection Orders (tcqms1204m000) session, the results are posted
and the inventory which was blocked due to storage inspection is
available for use. After the inspection order has been carried out, the
inspected inventory can be accepted, rejected, or regraded. If the test
as specified in the inspection order is destructive, the inspected
inventory is automatically rejected.
This session is used to close inspection orders with status Processed.
In addition, this session can be used to generate advice regarding the
amounts which are recommended as accepted or rejected, based on
the inspection results. At this point, it is also possible to carry out an
inventory adjustment or to assign another lot feature.
The quantity which is left over after inspection is unblocked and is
available for use. After this session has been used, the order status
automatically changes to Closed.

6.3.1 Maintain Storage Inspection Inventory (tcqms2120s000)

This session is used to allocate the goods which need to be inspected.

This is done after a storage inspection order has been created. This
session is activated from within the Maintain Storage Inspections
(tcqms2120m000) session for a particular sequence number. This
sequence number represents the lot(s), warehouse(s), or location(s) of
the item which is to be inspected. The inventory under a particular
sequence number is inspected based on a single inspection order.

7 The Calibrations business object

This chapter describes the Calibrations business object and gives

information about the business object's functions. In addition, the
chapter identifies and explains the mandatory and other sessions
related to the business object. Related parameters are mentioned
where applicable.

7.1 The place and function of Calibrations

Some of the instruments which are used for tests need to be calibrated
since the base values of these instruments may change as time goes
by. As a result of these deviations, instruments can become unfit for
use. If these instruments are not calibrated and continue to be used for
tests, this will lead to misleading inspection results. Consequently, the
possibility arises that an item is rejected which should be accepted.
The Calibrations business object is used to control the calibration data
and indicate whether an instrument can be used or is blocked for
calibration. The instruments which are used in this business object were
defined in the Master Data business object.
This business object does not influence any inspection order, since it
only generates a messages to indicate that an instrument is blocked for
calibration.

and is used to select the instruments which must be calibrated. These
instruments will be blocked for calibration. As a result, the Blocked for
Calibration field in the Maintain Instruments (tcqms0108m000) session

7.2.2 Enter Calibration Dates (tcqms3202m000)

This session shows the instruments which are blocked for calibration
and is used to enter the calibration dates after these instruments have
been calibrated.
After the calibration date has been entered, the instrument will remain
blocked for use. It can be unblocked by means of the Unblock
Calibrated Instrument short key option. If this option is used, the value
of the Blocked for Calibration field in the Maintain Instruments
(tcqms0108m000) session automatically changes to No. If an
instrument is unblocked after calibration, the calibration history is
updated.

7.3 Other sessions

7.3.1 Delete Calibration History (tcqms3200m000)

This session is used to delete the calibration history of instruments.

This is done to purge the system. The calibration history of an
instrument is also deleted if the instrument is deleted. It is possible to
delete an instrument which is blocked for calibration. The system will
then generate a warning message to indicate that the instrument is
blocked for calibration after which the instrument is deleted.

8 The Inspection History business object

This chapter describes the Inspection History business object and gives
information about the business object’s functions. In addition, the
chapter identifies and explains the mandatory and other sessions
related to the business object. Related parameters are mentioned
where applicable.

8.1 The place and function of Inspection History

After the inspection orders have been carried out, they can be archived
for future purposes by means of the Inspection History business object.
Basically, the data which was entered in the inspection order is stored
in the Inspection History business object.
The use of the Inspection History business object is mandatory.

8.2 Mandatory sessions

8.2.1 Update Inspection History (tcqms3205m000)

This session is used to post inspection orders to the history after the
inspections has been closed by means of the Process Inspection
Orders (tcqms1204m000) session. Consequently, only inspection
orders with status Closed can be posted to history.
Basically, this session is used to update the history and remove the
inspection order data from the inspection order tables. In addition to
inspection orders, it is also possible to post samples and test data to
history.

8.3 Other sessions

After the inspection orders have been posted to history, it is possible to
create overviews of the inspection orders.
The following sessions can be used for this purpose:
n Display Standard Inspection History (tcqms3501m000)
n Display Inspection Order History (tcqms3505s000)
n Display Inspection Order Lines History (tcqms3506s000)
The Display Inspection Order History (tcqms3505s000) and Display
Inspection Order Lines History (tcqms3506s000) sessions are activated
from within the Display Standard Inspection History (tcqms3501m000)
session.

8 The Inspection History business object

In addition to inspection orders, it is also possible to get an overview of

the sample data and the test results which have been posted to history.
The following sessions can be used for this purpose:
n Display Samples History (tcqms3510m000)
n Display Test Data History by Characteristic (tcqms3515m000)
n Display Test Data History by Unit (tcqms3520m000)
n Display Storage Inspection History (tcqms3502m000)
n Display Sample History (Storage Inspections) (tcqms4510m000)
In addition to displaying the inspection history, it is also possible to print
reports of the inspection history.

8.3.1 Delete Inspection History (tcqms3210m000)

This session is used to delete inspection data from the history. This is
done if it is no longer necessary to store this data in the history tables. If
this session is used, the data related to a specific order is deleted.

9 The master data set-up procedure

This chapter describes the master data set-up procedure and its result.
The steps needed to execute the procedure are explained.

9.1 The master data set-up procedure and its results

The master data set-up procedure covers the aspects of defining the
specifications of what must be inspected in which way and when.
Although quality IDs are normally accounted for in the Quality IDs
business object, this chapter considers them as part of the master data.
Consequently, the definition of quality IDs is incorporated in the master
data set-up procedure.
As a result of setting up the master data, inspection orders are
automatically created during certain order steps in the SLS, PUR, SFC,
and PMG modules.

Figure 9-1 The procedure of setting up the master data

The first step in the procedure is the definition of the tests by means of
the Maintain Tests (tcqms0106m000) session (a in Figure 9-1).
Basically, a test code is created to which the characteristics are linked
by means of the Maintain Tests by Characteristic (tcqms0105m000)
session. Next, the different characteristics which must be inspected are
by means of the Maintain Characteristics (tcqms0101m000) session (b).

Quality Management System

9-2
9 The master data set-up procedure

In this session, the value of the Characteristic Type and Method fields
determines the flow of the procedure. If the value of the Characteristic
Type field is set to Option, the Maintain Option Sets (tcqms0113m000)
and Maintain Options (tcqms0114m000) sessions (d and e) must be
used. If the value of the Characteristic Type field is set to Fraction or
Integer and the value of the Method field is set to Algorithm, the
Maintain Algorithm Variables (tcqms0123m000), Maintain Algorithms
(tcqms0121m000), and Maintain Variables by Algorithm
(tcqms0122m000) sessions (f through h) must be used. If the value of
the Method field is set to Variable or Fixed, the Maintain Quality ID
(tcqms0110m000) session (i) must be used.
Before these procedure steps can be executed, the Maintain Tests by
Characteristic (tcqms0105m000) session (c) must be used to link the
tests and characteristics which were defined previously.
Basically, the master data are a repository. To be able to use the data
in this repository, quality IDs are used in which this data is combined.
These quality IDs are defined in the Maintain Quality ID
(tcqms0110m000) session. To combine the data within a quality ID,
different sessions must be used. First, the Maintain Tests by Quality ID
(tcqms0117m000) session (j) much be used to link the tests on
characteristics to a quality ID, with the possibility to add or delete
certain tests. Next, the Maintain Characteristics by Quality ID
(tcqms0115m000) session (k) is used to enter the characteristics which
must be tested within a certain quality ID.
After these sessions have been used, a test group must be linked to
the quality ID and to the characteristics by means of the Maintain Test
Groups by Quality ID (tcqms0136m000) and the Maintain
Characteristics by Test Groups (tcqms0137m000) sessions (l and m).
The test group determines the type of samples which are used for
testing as well as the norms for approval/rejection.
Basically, a quality ID is used to gather the required test data under one
code. This data includes the characteristics which are to be tested, the
type of tests which must be carried out, and the sample data.
Finally, the Maintain Quality Combinations (tcqms0111m000) (n)
session is used to specify when a certain test must be carried out on
which item(s). This session is used to establish the links with the
Purchase Control (PUR), Sales Control (SLS), Shop Floor Control
(SFC), Bill of Material (BOM), Routing (ROU) (TI), Production
Management (PMG), Formula Management (FRM), and Routing (ROU)
(PS) modules. In this session, it is also possible to specify a quality
combination for the Storage Inspection origin.
In addition, the item(s) which must be tested within the quality
combination are specified. Finally, the quality ID (the way of testing) is
linked to the quality combination.

Quality Management System

9-3
9 The master data set-up procedure

The quality combination is a prerequisite which is needed to

automatically generate inspection orders within the procedures of the
SLS, PUR, SFC, and PMG modules.
Before these procedures can be initiated, the Quality ID linked which is
to the quality combination can be validated by means of the Maintain
Quality Combinations (tcqms0111m000) session. This means that the
system will check if the master data which is required for the quality ID
is available and if this data was entered correctly. The validation
process is used to ensure that inspection orders are generated correctly
and timely.

9.3 Other set-up prerequisites

The set-up procedure applies to all origins which are linked to QMS. For
some origins, however, a number of additional prerequisites must be
taken into account.

9.3.1 Extra set-up prerequisites for the Purchase (PUR) origin

For the Purchase (PUR) origin, two other prerequisites must be taken
into account before BAAN IV can generate inspection orders. First, the
Maintain Order Types (tcmcs0142m000) session must include the
Maintain Approvals (tdpur4121m000) session as a step.
In addition, the Inspection field on the second form of the Maintain
Purchase Order Lines (tdpur4102s000) session must be set to Yes. By
default, the value of this field is set to Yes if the Inspection field in both
the Maintain Item Data (tiitm0101m000) and the Maintain Suppliers
(tccom2101m000) sessions is set to Yes.

9.3.2 Extra set-up requirements for the Routing (PS) origin

For the Routing (PS) origin, another prerequisite must be taken into
account, namely that the Restrictive field in the Maintain Routing
Operations (psrou2110m000) session must be set to Yes to indicate
that the operation on which the inspection must be carried out is
restrictive.

9.3.3 Extra set-up prerequisite for the Storage Inspection origin

For the Storage Inspection origin, another prerequisite must be taken

into account, namely that the Frequency for Storage Inspection field in
the Maintain Item Data (tiitm0101m000) session must be set to a value
other than zero.

10 The inspection order procedure

This chapter describes the inspection order procedure and its result.
The steps needed to execute the procedure are explained.

10.1 The inspection order procedure and its result

The inspection order procedure covers the execution of an inspection
order in an inspection order control system.
The result of an inspection order is the assurance that the flowing
goods within a company meet the required quality standards and have
been checked according to the standards set up by the company.

10.2 The steps in the inspection order procedure

The inspection order procedure is used for the moving products within a
company. For more information on the inspection order procedure for
stationary products, see Chapter 11.

10 The inspection order procedure

The Maintain Receipts (tdpur4120m000) session in the Purchase

Control (PUR) module is used to generate inspection orders depending
on the value of the Inspection field in the Maintain Purchase Order
Lines (tdpur4102s000) session. If the value of this field is set to No, no
inspection orders are created. If the value of this field is set to Yes, an
inspection order is automatically generated.
In the Sales Control (SLS) module, three different ways are available to
generate inspection orders.
If the Location Control (ILC) module is implemented, the Generate
Outbound Advice (tdilc4201m000) session is used to automatically
generate inspection orders.
If the Location Control (ILC) module is not implemented and there are
hard allocations, the Generate Hard Allocations (tdinv2201m000)
session is used to automatically generate inspection orders.
If the Location Control (ILC) module is not implemented and there are
no hard allocations, inspection orders must be created manually.
The Release Production Order (tisfc0204m000) session in the Shop
Floor Control (SFC) module is used to generate inspection orders for
the Routing (TI) and Shop Floor Control (SFC) origins.
If the Location Control (ILC) module is not implemented, the inspection
orders for materials to be issued are generated by means of the
Release Production Order (tisfc0204m000) session. Inspection orders
for materials to be issued are regarded as having the Material (BOM)
origin.
If the Location Control (ILC) module is implemented, the inspection
orders for materials to be issued are generated by means of the
Generate Outbound Advice (tdilc4201m000) session.
The Release Production Batch (pspmg0204m000) session in the
Production Management (PMG) module is used to generate inspection
orders for the Routing (PS) and Production Management (PMG)
origins. The inspection orders for materials are generated by means of
the Generate Outbound Advice (tdilc4201m000) session. Inspection
orders for materials to be issued are regarded as having the Material
(FRM) origin.
Inspection orders for operations are only generated if the operations
are restrictive. This is specified by setting the value of the Restrictive
field in the Maintain Operations (psrou2110m000) session to Yes.
If the Continue option in the Maintain Inspection Orders
(tcqms1100s000) session is used, inspection order lines can be created
or modified by means of the Maintain Inspection Orders Lines
(tcqms1101s000) session (e in Figure 10-1). At this point, the
inspection order status is set to Free.

Quality Management System

10 - 5
10 The inspection order procedure

After the inspection orders have been created, the inspection orders
can be printed by means of the Print Inspection Orders
(tcqms1400m000) session (f in Figure 10-1). This is a mandatory step if
the Print Inspection Orders Mandatory parameter in the Maintain QMS
Parameters (tcqms0100m000) session is set to Yes.
Samples must be assigned to the inspection orders by means of the
Maintain Samples (tcqms1110m000) session (g in Figure 10-1) after
which the inspection can be carried out and the test results can be
entered in the Enter Test Data (tcqms1115m000) session (h in Figure
10-1). As soon as any test data is entered, the inspection order status
changes to Active.
After the test data for an inspection order line or for the entire order has
been entered, the inspection can be completed by means of the
Complete Inspection Orders Collectively (tcqms1202m000) session (i in
Figure 10-1) after which the order status of the inspection order line
changes to Completed. If all the inspection order lines of an order are
completed and the entire sample has been used for inspection, the
entire order can be reported completed. While the inspection orders
and order lines are being completed, the system will if all the test data
has been entered for each order line. If this is not the case, the
inspection order or order line cannot be completed.
The results of inspections on items and the quantities of items which
have been accepted or are left over are taken into account when the
inspection order is being processed by means of the Process
Inspection Orders (tcqms1204m000) session (j in Figure 10-1). After
this session has been used, the inspection order status changes to
Processed.
If the Blocking Method field is set to Continue, the Check and Close
Standard inspections (tcqms1205m000) session must be used to close
an inspection order. If this blocking method is used, the inspection
results may not be available until, for example, the goods which were
sold have been delivered. After this session has been used, the
inspection order status changes to Closed. If the Blocking Method field
is not set to Continue, the inspection order status automatically
changes to Closed after the Process Inspection Orders
(tcqms1204m000) session has been used.

10.3 Remarks

10.3.1 Control mechanism for inspection orders

The steps required for the execution of inspection orders are the same
as the steps discussed for the Inspection Order procedure. By means
of the control mechanism, a status is assigned to the inspection order.
This status is checked before a step is executed, and updated after
certain steps have been executed.
Figure 10-4 shows which sessions are responsible for the different
statuses which can be assigned to a storage inspection.

10.3.2 Blocking method

The Maintain Quality Combinations (tcqms0111m000) session can be

used to indicate the way in which the sales, purchase, and production
order/batch procedure is blocked by an inspection order procedure.
Depending on the blocking method which is specified, purchase, sales,
or production orders/batches are blocked during the inspection.
The following blocking methods are available:
n Block
n Continue
n Block before Posting
n Block after Posting
n Block on Operation
n Block on Completion of Operation
Block
If this blocking method is specified, it is not possible to continue the
order procedure before the inspection results are known. This method
can be used for the Sales, Purchase, Material (BOM), Material (FRM),
and Storage Inspection origins.
Continue
If this blocking method is specified, it is possible to continue the order
procedure before the inspection results are known. This method can be
used for all origins. If this blocking method is specified, an inspection
order must be closed by means of the Check and Close standard
Inspections (tcqms1205m000) session.
Block before Posting
If this blocking method is specified, the production order procedure is
blocked before posting to inventory, which means that no quantities can
be posted to inventory until an inspection order has been carried out .
Subsequently, the inspection order status must be set to Processed.
This method can be used for the Production (SFC) and Production
(PMG) origins.
Block after Posting
If this blocking method is specified, the production order procedure is
blocked after posting to inventory, which means that quantities can be
posted to inventory while the quantity posted is blocked immediately
after posting. This method can be used for the Production (SFC) and
Production (PMG) origins.
Block on Operation
If this blocking method is specified, the production is blocked during the
operation which means that no quantities can be reported completed
until an inspection order has been carried out. Subsequently, the
inspection order status must be set to Processed. This method can be
used for the Routing (TI) and Routing (PS) origins.

Block on Completion of Operation

If this blocking method is specified, the production is blocked on
completion of the operation, which means that quantities can be
reported completed although production cannot be continued. This
method can be used for the Routing (TI) and Routing (PS) origins.

11 The storage inspection order procedure

This chapter describes the storage inspection order procedure and its
result. The steps needed to execute the procedure are explained.

11.1 The storage inspection order procedure and its result

The storage inspection order procedure covers the execution of a
storage inspection order in an inspection order control system.
The result of a storage inspection order is the assurance that the items
which are kept in inventory meet the required quality standards and
have been checked according to the rules set up by the company.

11.2 The steps in the storage inspection order procedure

The storage inspection order procedure is used for the stationary
products in a company. For more information on the inspection order
procedure for moving products, see Chapter 10.

Figure 11-1 The procedure for storage inspections

The procedure starts with generating storage inspections by means of

the Generate Storage Inspections (tcqms2220m000) session (step a in
Figure 11-1). The result of this session is that the selected items are
blocked for use.
The generated storage inspections can be maintained in the Maintain
Storage Inspections (tcqms2120m000) session (step b). This session
can be used to group the generated storage inspections orders by
defining sequence numbers. To each sequence number, inventory can
be linked by means of the Maintain Storage Inspection Inventory
(tcqms2120s000) session (step c).

11 The storage inspection order procedure

At this point, the generated storage inspection is regarded as a

standard inspection since the sessions which are part of the inspection
order procedure are also used in the storage inspection procedure.
Consequently, the standard inspection can be maintained in the
Maintain Standard Inspections by Origin (tcqms1120m000) session
(step d). Based on the sequence number, an inspection order can be
maintained by means of the Mark option and zooming to the Maintain
Inspection Orders (tcqms1100m000) session (step e). By means of the
Continue option in the Maintain Inspection Orders (tcqms1100m000)
session, storage inspection order lines can be created or modified in
the Maintain Inspection Orders Lines (tcqms1101s000) session (step f).
At this pint, the inspection order status is free.
After having been created, the storage inspection orders can be printed
by means of the Print Inspection Orders (tcqms1400m000) session
(step g). This step is mandatory if the Print Inspection Orders
Mandatory parameter in the Maintain QMS Parameters
(tcqms0100m000) session is set to yes.
Next, samples must be assigned to the storage inspection orders by
means of the Maintain Samples (Storage Inspections)
(tcqms2110m000) session (step h).
Finally, the inspection can be carried out after which the test results can
be entered in the Enter Test Data (tcqms1115m000) session (step i). If
the first test data are entered, the inspection order status is set to
active.
After all the test data related to an inspection order have been entered,
the inspection order can be completed by means of the Complete
Inspection Orders Collectively (tcqms1202m000) session (step j). At this
point, the order status of each inspection order line for which test
results are entered is set to completed, and after all the inspection
order lines of an order have been completed, the status of the entire
order can be set to completed.
The results of inspections on items and the quantities of items which
are accepted or left over are taken into account in the Process
Inspection Orders (tcqms1204m000) session (step k). At this point, the
status of the inspection order is set to processed.
After having been processed, the storage inspection orders can be
closed by means of the Print and Close Storage Inspections
(tcqms2221m000) session (step l). This session is used to check if the
actual quantities (both accepted and rejected) match the recommended
quantities. If these quantities match, the storage inspection order is
closed, after which the status of the inspection order is set to closed. If
necessary, inventory can be adjusted as recommended by QMS based
on the storage inspection results.

11.3 Remarks

11.3.1 Control mechanism for storage inspection orders

The steps required for the execution of storage inspection orders are
the same as the steps required for normal inspection orders. By means
of the control mechanism, a status is assigned to the inspection order.
This status is checked before a step is executed, and updated after
certain steps have been executed.
Figure 11-2 shows which sessions are responsible for the different
statuses which can be assigned to a storage inspection.

11.3.2 Generation methods

Since the generation methods which are used to generate storage

inspections are specific to the Location Control (ILC) module and the
Lot Control (LTC) module, the storage inspection order procedure is
strongly influenced by these modules.
The following generation methods are available:
n Item
n Warehouse
n Location
n Lot
n Date
n Storage Unit
To be able to select the Location, Lot, Date, and Storage Unit
generation methods, the Location Control (ILC) module must be
implemented.
To be able to select the Item, Warehouse, and Location generation
methods, the Lot Control (LTC) module must be implemented.
