Lesson 5: Productivity Tools

- Also known as productivity software, are software that people use to create
and produce professional quality documents, presentations, databases,
charts, graphs and more.

The three basic functions of these three productivity tools are

1. Microsoft word - writing skills

2. Microsoft Excel - numeracy skills.

3. Microsoft powerpoint - presentation skills

Kinds of Illustrations you can integrate with word processor


1. Picture
● Local Storage Device - picture saved in your device.
● Stock Image Imager - are licensed by Microsoft .
● Online Pictures - pictures from various online resources.

Creative Commons licenses - image are usually available at no charger to use but
required credit to the original author.
Commercial & other license - often involves payment of a fee or royalty to the
licensor.

Three Common types of pictures files
A. .JPEG/JPG (Joint Photographic Experts Group)
- Multi common image file format produced by digital cameras. and other image
capturing devices. Can support 16.7 millions colors.
B. .GIF ( Graphics Interchange Format)
- This type of image file is capable of displaying transparencies and
animation. It only supports 250 colors.
C. .PNG ( Porable Network Graphics)
- It is capable of displaying transparencies and animation. It support 16 million
colors.
2. Clip Art
- Line art drawings or images used as generic representation for ideas and
objects.
3. Shapes
- Printable objects that you can integrate in your document to enhance its
appearance or to use for composing and representing ideas or messages.

4. Smart Art
- Predefined sets of different shapes grouped together to form ideas that are
organizational or structural in nature.

5. Chart
- Allows you to represent data, characteristics and trends in graphical manner.

6. Screenshot
- Used for a more realistic image like in creating reports or manual for training
or procedure.

Format Pictures
- Select the picture that you want to format. A format tab of the Picture tools will
appear.

Lesson 6: Mail Merge


- A feature of Microsoft Word that allows you to create documents and combine
them with another document or data file
- It is commonly used when sending out advertising materials to various
recipients.

TWO COMPONENTS:

1. Main document
- Contains the body of the message we want to convey or send.
2. Data Source / Data File
- It is your Excel spreadsheet containing the names and addresses you want to
merge to merge into a word document from the Data Source.

Lesson 7: Techniques in Excel

What is Spread sheet?


- a software application that enables a user to save, sort and manage data in
an arranged form of rows and columns.
- Provide invaluable tool such as function that are very useful in calculating
data
- Can be used to determine Statistical analysis.

Columns - identified with alphabetical headings.


Rows - identified with numeric headings.
Cells - are the intersection of rows and columns.
Cell Reference - also known as cell address that identifies a cell on a worksheet,
when creating formula's in Excel to ensure that your formulas are accurate.
Active Cell - the currently selected call in a spreadsheet and is Indicated by a bold
outline that surrounds the cell.
Text or Labels - it identifies the purpose of a cell. It can be a instruction, a title or
caption.
Number Data or Constant - a value that doesn't change and is directly inserted into
a cell.
Formula - ( mathematical equations) an expression that calculates the value of a
cell.
Operatore
Mathematical Operators - Ms. Excel uses standard operators for formula
Functions - these are pre-defined formulas that are already available in MS Excel.

Commomy used excel functions

Sum - adds all the numbers in a range of cells.


Count - the numbers of cells that contain numbers.
Min - return the smallest number in a set of values.
Max - return the largest number in a fit of values.
Average - return the average (arithmetic mean) of the arguments
Sum If - adds the cells specified by a given condition or criteria.
● =SUMIF (range, criteria, sum_range)
Average If - the average (arithmetic mean) of all the cell in a range the meet a given
criteria
● = AVERAGEIF (range, criteria, average range)
Count If - the numbers of cells within a range that meet a single criterion that you
specify.
● COUNTIF ( range, criteria)
If - It can perform a logical test and returns one value if TRUE and another Value if
FALSE
● =IF( logical_test , value_if_true, value _if_ false)

Lesson 8: Advanced Techniques in PowerPoint

Microsoft PowerPoint
- is a powerful presentation software that helps you produce an effective
presentation in the form of on- Screen slides.
Tips in creating an effective presentation
1. Minimize - Keep slide count to a minimum to maintain a clear message and to
keep the audience attentive.
2. Clarity - use a font style that is easy to read and big enough to read by the
audience.
3.Simplicity - use bullets or short sentences, limit to 6x7 rule.
4. Visuals - use graphics and charts to help you in your presentation but not too
many to distract the audience.
5. Consistency - make your design uniform.
6. Contrast - use light font on dark background and vice versa.
Transition
- are motion effects of your slide as you move from one slide to another.

Animation
- is a set of effects which can be applied to text or graphics which within a slide.
● Entrance

Timing
- refers to the duration of each slide or animation in presentation.

Hyperlink
- is frequently stated as "links”
- is a text or Image on the screen that you can click on to jump to another file or
within the existing file webpage, or email address.

Lesson 9: Imaging and Design for the Online Environment

Imaging
- refers to the process of creating or manipulating digital using computers.
Designing
- refers to the process of planning and creating visual content with a specific
purpose or goal in mind.
Computer Graphics
- Visuals representations of data made and displayed on a computer screen.
- They can be photographs, drawings or movies that does not involve sound.
Layout
- is the arrangement of graphic elements on a page.

1. Balance
- placement of elements of equal weight on the page.

2. Alignment
- is simply the way visual elements are arranged the they line up in some way.

- the proper arrangement of the details such as text- Characters, numbers, and
symbols.
4. Unity
- oneness of the elements that creates balance and harmony.
5. Repetition
- consistent and balanced repetition of a design or element.
6. Proximity
- the organization and relationship of the elements included in the design.
7. Contrast
- the combination of the opposing characteristics of an element allows
emphasis on key elements
8. Emphasis
- catcher viewer's attention may appear different in size, color, texture or shape
Image File Formats
- are means of storing and organizing digital images, photos and illustrations.

Infographics

Information Graphics
- used to represent information, statistical data or knowledge in a graphical
manner wathy
- make complex data become more visually appealing to an average user.
