STOCK TAKE SOP

1. Preparation of Bin ID and Floor Plan .


– Prepare Floor Plan according to Panda SOP as below.
a. Zone A; NF; Non Food
b. Zone B; GR; Groceries
c. Zone C; SL; Softline
d. Zone D; HL; Hardline
e. Zone E; FM; Fresh Market
f. Zone F; CF, Chiller Frozen
g. Zone G; ST; Storage
h. Zone H; BD; Promotion/ Block Display
i. Zone I; F&B
j. Zone J; BS; Bad Stock
k. Zone K; Consignment
l; Zone L; Consumable

- Prepare Bin ID file in Excel as below for the whole outlet including
all department involve;
2. Create Bin ID in Panda System.

– Created Bin ID in Excel Right Click; Copy Bin ID


– Copy all the Bin ID including words 'Bin ID' & 'Location'.

SELECT ALL BIN ID


CREATED AND COPY
– Open ' PANDA POS- STOCK TAKE MODULE ' program.

– Click Setup
– Click Bin ID
– Click Excel
– The dialog box 'Paste from excel' will shown as below;

STEP 1 : Click on 'Paste into String Grid'


- It will shown as below;

– STEP 2 : Click 'Import'.

- PRINTING BIN ID; Open ' MRPIIReplisting ' program : -


3) - Click {0457} [0231] Barcode Printing
- Click {0460} [0233] Shelve Tag
- Click {0463} [0341]; Gondola Fixture ID (Label Size)

- Select Bin ID for Bin ID print label.


- Click [>>]; to select all Bin ID for print
Bin ID label.
- Click [>]; for one by one print Bin ID
- All Bin ID list displayed.
- Click [Preview]; for Print out Bin ID label.
- Bin ID have been selected as below, and Click preview to view the Bin
ID and print.

– Click Print.
3. Create Stock Take Date file.

– Click 'Transaction'.
– Click ' Create QOH Snapshot'.
– Click [+] to add new record,

– Select Stock Take Date,


– Select Adjustment Date (same with Stock Take Date),
– Select Reason; STOCK TAKE
– Select type; Department
– Select Stock Take Type; Outright Only

– Click [ ] to save.
4. Create Department File Involve for Stock Take.

– Click 'ADD' button.

!!! STOCK TAKE FOR PERISHABLE EVERY SUNDAY,

- FRESH MARKET
- FROZEN
- CHILLED
- DRIED COMODITIES

5. Create Location- Outlet Code for Stock Take.

– Click [+] button to add stock take location
- Select the location
( your own outlet). 2.
- Click [ ] to save
the location.

6. Pre-listing by Item

LOG IN PANDA
MOBILE HHT
STOCK TAKE

STEP 1;
1. USERNAME
2. PASSWORD
3. OUTLET CODE

STEP 2;
1. CLICK STOCK TAKE,
2. SELECT OPTION 3;
STOCK TAKE-PRELISTING

STEP 3;
1. click Prelisting by Item.
2. Click 'Scan Bin ID'
3. Scan Bin ID.
4. Bin ID number displayed here.
STEP 4;
1. Scan (Item barcode)
2. Click (Save) or press Enter with Qty 0.
3. Continue to scan other item in the same Bin ID.
4. Item scanned will be displayed here.

Scanned Item List

STEP 5;
1. Click [←] after finish one Bin ID and check the item scanned from the list.
2. Click the [delete icon] to remove the wrong item scanned from the list and Click OK.
3. Click [+ Scan Item] again to continue scan another item.
4. Click [←] to scan new Bin ID.
7. Print Out Stock Take Pre-listing (Stock Sheet)

STEP;
1. Click Stock Take.
2. Click Preparation & Audit List
3. Choose Pre-Listing Stock Count by fixed ID (Format 3);
It will shown as below.

1. Click Outlet Code at the 'Location' area,
it will select all the Bin ID done prelisting. .
2. Click [>] to bring the code to the right side.
Bin ID 3. Select one by one Bin ID at
done 'Generate Fixture ID' area if selected

Bin ID need to print.
4. Click 'Preview' button to view the
prelisting and print
STEP;
1. Check the prelisting.
2. Click [Icon Printer] for
print out the prelisting

STEP;
1. The Printed Prelisting will
be placed in a clear plastic
pocket folder attached to
the Bin ID respectively.

8. Check for Unposted Documents.

Steps:
1. Click Stock Take
2. Click Unposted
Document as at
Stock Take Date

Important;
Make sure there are no pending documents

1. Choose the date


Setup for
stock take 2. Click [>] to confirm the slection

– Click preview the report.


– Example above; there is no pending document are not posted.

9. Create Snapshot

– After confirm there is NO PENDING DOCUMENT, and


COUNTER CASHIER already closed (after business hour), please
proceed the step below;

1. Click Create Snapshot

2. Enter the pasword

Remark: Password is today's


date (yyyymmdd)

3. Click [OK] to proceed

Remark: Ensure the stock take


date is correct before proceed

4. Click [OK] to proceed

6. Click [OK] to proceed

Remark: The process will take time

5. Click [OK] to proceed


10. Key In Pre-listing by Item

1. Open Stock Take Module Program.


2. Click Transaction,
3. Click Prelisting Entry

– The prelisting entry will shown as below;

– Key in the quantity [Qty] based on the count sheet according to the Bin
ID.
– Click [Import] per Bin ID once complete.
– Please write done on the paper stock sheet.

11. Calculate Variance

- After done key in all the prelisting, follow the step below;

1. Click [Calculate Variance].


2. Click [OK]. 3. Click [OK].

Remark; The process will take some times

STEP;
1. Print this report to check for
stock take variance.
2. Please make sure the variance is
acceptable and there can't be any
changes before proceed to
the next step.

12. Generate Stock Document

1. Click [Generate Adjustment]


2. Enter [Password] and click [OK].

Remark; Password is today's date.

Remark; The process will take some times

5. The closed column will be ticked depicting the stock take is complete.

13. Stock Take Report

S TEP;
1. Click Stock Take,
2. Click Actual Stock Count,
3. By Fixture/ Bin ID Qty@ FIFO Cost

Note; Check this report for the final


stock take result

S TEP;
1. Click Inventory,
2. Click Stock QOH,
3. Click QOH by outlet / sku.

QOH; Quantity on hand.

1. Select any department to view
