USING HRONE

STEP 1: Go to https://app.hrone.cloud/ to launch the HR-One in any browser. Note: For a better
experience, we recommend using the Google Chrome browser.

STEP 2: On the login screen, enter the Username and Password provided to you via email.

STEP 3: On successfully logging in, you will see the Home screen of the HRMS portal. From the top of
the screen, next to the bell icon, you can take the “Product Tour” to learn more about the Home
page. You can also view the Notifications related to your leave requests, attendance requests, and
other transactional requests.

The main options can be accessed from the left panel and are described in the following sections.

HOME

The right of the Home page contains quick links.

Employee Directory
You can search through the directory for existing employees.

Inbox
This is a quick access to your Inbox. It displays messages related to your leave requests, attendance
requests, and other transactional requests. Managers can view and approve/reject a subordinate’s
requests.

Yesterday’s Attendance
Displays your attendance for the previous day here.

Continuous Feedback: Schedule 1-On-1


Use the SCHEDULE 1-ON-1 feature for a Feedback session by sending a calendar invite to the
employee to whom you wish to provide feedback.

• Enter the name of the employee with whom you want to schedule a 1-on-1 meeting.
• Enter the agenda of the meeting.
• Enter the meeting date, start time and end time.

After submitting the 1-on-1 request, a task will reflect in the Inbox of both the users to enter the
MOM (minutes of meeting).

Here, either user can enter the details of the discussion that took place in the 1-on-1 meeting and
then submit it. After submission, this task is closed and can then be accessed from the Archive
section by both users.

Continuous Feedback: Create an Initiative
Here you can enter the initiatives you have undertaken, or you can assign initiatives to your
subordinates.

• Enter an initiative.
• Assign the initiative to yourself or your subordinates.
• Enter a KPI if you want to link the initiative to it.
• Enter the due date by which the initiative should be completed and then click on Submit.

Profile Completion
Displays your profile completion status.

NOTE: The right side of the Home page also contains additional self-explanatory options, as well as
the ability to Customize your view.

On the left side of the Home page, you have the following:

Give a Badge
You can give a badge to appreciate another employee for his/her helpful behavior or any
achievements.

• Select a badge from the drop down.


• Enter the name of the employee to whom you want to give the badge in the field ‘Give To’.
• Enter a message. Or use the hyperlink ‘See suggested messages’ to select from a preset list.
• On selecting the Send button, the badge is automatically posted.

Today’s Celebrations
Events like Birthdays, Marriage Anniversary, and Work Anniversary of employees are displayed here.
You can select the hyperlink (e.g. Birthday) to send wishes to that employee. The recipients will get
the wishes in their notification messages.

Feed
This section displays all posts across the organization in chronological order.

INBOX

The Inbox displays all your approval requests, along with announcements and tasks on which you
need to take action.

New
Displays the latest requests, tasks and announcements.

All:
Displays all the requests that are pending for approval along with all the tasks and announcements
on which you need to take action.

Archive:
Displays the requests, tasks or announcements that you have already taken action on.

REQUEST

Any request regarding leave, attendance regularization, etc. can be raised from here.

The NEW REQUEST option contains the various requests that can be raised. This includes:

Attendance Regularization
Displays a calendar, with the current month view by default. Dates for which your attendance does
not meet the requirements for being present for the full day are circled in red. Note: Refer to the
Marking Attendance section for information on recording your In and Out times.

If this has occurred due to unavoidable circumstances, you have the option make updates. On
selecting such a date, the Log in and Log Out Time for that day are displayed. Choose between the
options ‘Forgot in’, ‘Forgot out’, ‘Both’, update the timing, and provide a valid reason in the
Comments section, and click on the Submit button.

Helpdesk Ticket
Here you can post a post and track tickets for your HR and Admin related queries and issues. The
Helpdesk ticket would be auto assigned.

Once tickets are closed, they would move under the approved requests. You have an option to
Reopen a ticket if required.

Leave
Displays a calendar, with the current month view by default. To apply for leave, click on a date and
fill in the required fields.

Resignation
A resignation request can be raised from this system.

The resignation request date displays the current date. The system reflects the Notice period (in
days) and Last working Date (LWD) as per the company policy. Select a Reason and enter your
Comment and then Submit.

TEAM
(FOR REPORTING AUTHORITIES AND MANAGERS ONLY)

There are two views of Team, one for Reporting Authorities/Managers and the other for Functional
Managers. Reporting Authorities/Managers can track direct reportees (that is, those who directly
report to them). Functional Managers can track direct reportees, as well as indirect reportees in
their team.

To track an employee, simply type their name, code, designation, or email ID in the Search field.

Selecting the Team icon opens a hierarchical view of the team that reports to you.

The ‘Action’ button at the top right displays all the actions that a reporting authority/manager can
perform on their team.

For each member of your team, the ellipsis icon contains options for the information that you can
access for that employee.

USER PROFILE

Attendance
Here you can track your daily attendance.

Badges and Rewards


Here you can view the badges and rewards received and given for the selected period.

Leave Balance
Here you can track your leaves.

Letter
Contains the letters that have been published through system, such as your appointment letter,
confirmation letter, appraisal letter etc.

Profile
This section contains your personal and employment related information. Any edits you wish to
make would be sent as requests and would be updated after approval.

QR Code
Use this to scan the QR code for accessing HROne mobile app.

Logout
Use this option to log out of the portal.

MARKING ATTENDANCE

Attendance must be marked via the HROne Inbox mobile application only. For recording your In and
Out time, follow these steps:

1. Login using the QR code or with your credentials.


2. Click on the “+” button.
3. Select Mark attendance.

4. The application will automatically record your current location and time.
5. Take a selfie and click on Submit Request.
