Introduction
Project Management Portal is a carefully planned and organized effort to accomplish a
specific (and usually) one-time effort, for example, constructs a building or implements a
new computer system. Project Management includes developing a project plan, which
includes defining project goals and objectives, specifying tasks or how goals will be
achieved, what resources are need, and associating budgets and timelines for completion.
It also includes implementing the project plan, along with careful controls to stay on the
"critical path", that is, to ensure the plan is being managed according to plan. Project
management usually follows major phases (with various titles for these phases), including
feasibility study, project planning, implementation, evaluation and support/maintenance.
(Program planning is usually of a broader scope than project planning, but not always.

Objective of Project
To create a generic project management portal which help any organization to monitor
and track a project, not necessarily a software project. For Example: It can be a
construction of a building or manufacturing of automobiles.

The major objectives of the project are as follow: -

The system should allow for the tracking of individual projects and their associated
customers, sales representatives, insurance companies, estimates, schedules, etc.

The system should facilitate the organization and retrieval of project related digital
photographs.

Provisions should be made for tracking material prices by (1) internal estimates (bids), (2)
external estimates (scopes), and (3) industry standard pricelists.

Contact management should be maintained for all individuals within the business system,
including employees, subcontractors, vendors, insurance and customers.

The system should provide for the tracking of subcontractors, their related fields of
specialization, and there work schedules in relation to active projects.

Provisions should be made for tracking project related details including project status, and
various notes related to project activities, as well as tracking employees responsible for
the project notes.

Post-project completion payouts should be tracked, including the status of payments for
overhead and profit, PWI, and depreciation withheld.

Project category is RDBMS (Relational Database Management).The implementation is to
be done using MS SQL SERVER 2008.

Problem Definition

The proposed software “Project Management Portal” captures the descriptive information
and the progress details of running/completed project. Each project get the PIN (Project
Identification Number) and Name of Project, which is used to track any details related to
running/completed project work.

There are number of project works (can be a construction work/software project etc.) and
keeping track of all the details of projects is very tedious. The existing Manual System is
not so efficient to reply all the queries related to the projects works.

One should be a Project Manager, must aware all the things about their working project at
different site. In Manual System, it is complex to get simultaneously and know the
comparative study on different projects.

Owner/Project Manager should aware whether a project follows the break-even point and
organization standards or not.

Owner should also know the minimum cost resources to prepare templates of future
projects. It should also helpful to know the various employees’ details, costing etc. of
different sites.

To create standard templates with attributes like Name of the project, Budgeted amount,
Project Manager, and standard rates etc, and link it with a project.

Ability to update the progress of a task as % complete by the agency after approval by the
project manager assigned for the project.

Ability to upload inspection reports quality reports, photographs, documents, and notes to
be associated with a task or milestone.

Baseline the project and monitor the progresses with respect to task completion times and
generate alerts if the progress falls below the expected value.

Track the payments and provide various reports like Tasks delayed, Tasks completed,
Likely Finish date etc. on the progress of the project.

Creation of a work-breakdown structure and dividing a project into various tasks with
assignments to resources.

Keep track of the people who work on various tasks in a project and generate
performance reports based on the quality of work they have done

The project should have properly documented, user-friendly help options because the end
user who will make use of this system may not be a computer literate.

The main objective to develop the project is to make the “Project Management Portal”
simple easy and increase the productivity of the Project Managers in taking decisions
because all the information is available in the organization form.

Projects Planning and Scheduling

The planning for the project “Company” is done with the following activities and tasks:-

System Analysis
1.1 Preliminary Investigation
With the existing system, the biggest problem
was the low functionality. The problem faced hampered the work. For small tasks in
advertising of a single product, there is lot of investments and the outcome of such an
investment takes time because of the low functionality in terms of the development of the
final promotional campaign associated with the product. In shopping, searching manually
for a product in the market takes a lot of time

1.2 Technical Feasibility
As we know the technical feasibility is concerned with specifying equipment and
software that will successfully satisfy the user requirement. The technical needs of the
system may vary considerably, but might include:

The facility to produce outputs of advertisements, shopping and mailing in a given time
for ease of use.
Response time under certain condition is minimal.
Ability to process a certain volume of transaction at a particular speed.
Facility to communicate data to distinct location.

In examining the technical feasibility, configuration of the system is given more


importance than the actual make of hardware. The configuration should give the complete
picture about the system’s requirements- how many workstations are required, how these
units are interconnected so that they could operate and communicate smoothly.

1.3 Economic Feasibility
Economic analysis is the most frequently used technique for evaluating the effectiveness
of the proposed system. More commonly known as cost/benefits analysis, the procedure
is to determine the benefits and savings that are expected from the purposed system and
compared with costs. If benefits out weigh cost, a decision is taken to design and
implement the system. Otherwise, further justification or alternative of the proposed
system will have to be made if it has a chance of being approved. This is an on going
effort that improves in accuracy at each phase of the system life cycle. The analysis part
also clears the doubt of economic problems which could be possible in developing the
system. As already mentioned that the company has to just pay the developed software
cost and not other investment is needed at the time of implementation of the new system
as the preliminary requirements already exist in the company.

1.4 Operational Feasibility


Proposed projects are beneficial only if they can be turned into information system that
will meet the operating requirements of the organization. This test of feasibility asks if the
system will work when it developed and installed. Are there major barriers to
implementation?

Some of the important questions that are useful to test the operational feasibility of a
project are given below:

Is there sufficient support for the project from the implementation? From user? If the
present system is well liked and used to the extent that persons will not be able to see
reasons for change, there may be resistance.

Are current business methods acceptable to the user? If they are not, user may welcome a
change that will bring about a more operational and useful system.

Have the user been involved in the planning and development of the project? If they are
involved at the earliest stage of project development, the chances of resistance can be
possibly reduced.

Will the proposed system cause harm? Will it produce poorer result in any case or area?

Will the performance of staff member fall down after implementation? Issue that appears
to be quite minor at the early stage can grow into major problem after implementation.

Therefore, it is always advisable to consider operational aspects carefully. The system is


developed keeping in mind that it should be user friendly and easy to operate hence the
system is operational feasible.

GANTT CHART:

Basically, a Gantt chart is an overview of tasks. You put weeks, days or months at one
side, and the tasks at the other. You draw fat lines to indicate the period the task will be
performed.

PERT CHART:
A PERT chart presents a graphic illustration of a project as a network diagram consisting
of numbered nodes (either circles or rectangles) representing events, or milestones in the
project linked by labeled vectors (directional lines) representing tasks in the project.
