1.

Define the term “data” and discuss its significance in the context of information
systems. Explain the Difference between raw data and processed information.

2. Define what a database is and explain its role in storing and managing structured
information. Differentiate between a database and a spreadsheet or flat file.

3. Discuss the advantages of using a database management system compared to

traditional file-based systems. Highlight factors such as data integrity, security, and
scalability.

4. Define Database Management System (DBMS) and elaborate on its role in managing
databases.

Answers:

1. Data is a collection of information or raw facts through measurements,

analysis, and observation. They could include names, statistics, facts, and
even descriptions of various objects. Data has significance in the context of
Information System. As we defined Information System, it refers to storing,
collecting and managing data. This data in the information system especially
when it is timely and accurate, it can lead to make an informed decisions and
judgements. It aids in problem identification, prediction of results, goal
setting, and strategy formulation. It also increases operational efficiency by
identifying bottlenecks and opportunities for improvement. Now, let’s discuss
about the difference between raw data and processed information. When we
say raw data it refers to unprocessed or unorganized information gathered
directly from sources, which s frequently chaotic and unstructured.
Processed data, on the other hand, is transformed and organized data that is
suitable for analysis and decision-making. Converting raw data to processed
data will give a helpful, meaningful and organized information.

2. A database is a collection of data that is organized in a systematic way so that

we can easily stored and retrieved information. It is intended to st c volumes
of information that allows for efficient retrieval, addition, and deletion of data.
Databases are administered using a database management system (DBMS),
which allows users to interact with the data contained in them. The role of
database in storing and managing structured information is to secure data
from an unauthorized personnel and accessible for updates and retrieval of
data. Database is different from spreadsheets or flat file. Database is robust
systems built for efficient data storage, retrieval, and manipulation. They
provide capabilities such as data integrity, security, accessibility, and
scalability that cannot provide by spreadsheets or flat files. Spreadsheets or
flat files, on the other hand, are basic data storage systems that are
appropriate for modest quantities of data and easy activities, but they lack
resilience and reliability. There is no built-in procedures for data integrity or
security, and are incapable of handling high volumes of data and information.

3. Compared to traditional file-based system, database management

system(DBMS) is more efficient and reliable to use because traditional file-
based system offers a small and simple applications only. It also has poor
security, limited scalability and lack of data integrity. While DBMS offers a
crucial advantage when it comes to security, integrity and scalability. There are
more advantages of DBMS but I will only highlight the three(Data security, Data
integrity and Data scalability). First, data security, DBMS secured data from
unauthorized user and protecting it from manipulation. DBMS ensured that
only authorized user can have access to data. Second, data integrity, it has
built-in systems like rules and validation that check the consistency of the
data. DBMS can prevent duplication of the data and ”an verify if it is use in ”
proper typing and format to ensure data is accurate and reliable to access.
Third, data scalability, DBMS can handle large amounts of data even if we store
more and more data. It can manage a lot of data but still can easily access and
efficient to use.
