FloWave Designer
FloWave Designer is the core and the base component of FloWave software which helps to build and manage
Forms. Forms that are designed and published will be available in FloWave Portal. Many versions of the same
forms can be maintained but only one version can be used at any point of time.

Overview:
To login on FloWave, User need to have a valid login id, password & access rights. FloWave Designer supports
only Enterprise authentication mode. Only users of following “User Type” will be granted access.

FloWave Connect
FloWave Connect is another component of FloWave software that helps to build and manage process (Workflow)
for the designed Forms. Workflow is available for transaction type forms only.
Many versions of the same workflow can be maintained but only one version can be used at any point of time.

To login on FloWave, User need to have a valid login id, password & access rights. FloWave Connect supports only
Enterprise authentication mode. Only users of following “User Type” will be granted access.

FloWave Manager is another component of FloWave software that helps to manage all the user creation,
permissions and related items.

FloWave Portal
The portal is the web front end component of the FloWave software suite that helps users to collaborate and
manage their business process online. It is the face of FloWave for all business users.

To login on FloWave, User need to have a valid login id, password & sufficient access rights. FloWave Portal
supports both Enterprise & Windows Active Directory authentication mode.

FAMILIARIZING PORTAL

Menus and Icons


The menus are dynamically created as per the process and forms add in the system.

• Click on “New” to create a new process


• Click on “Pending” to view all the pending tasks of the respective process. The list shown will be
respective to user login.
• Click on “Listing” to view all the completed tasks of the respective process.
• Click on “My Pending Requests” to view the status of all the pending requests of the respective process
that are initiated by the login user.
• Click on “Report” to view all the query reports of the respective process.
• Click on “Report Centre” to view all the pixel perfect designed reports.

Search for records
Step 1: To search for a completed process, access the listing page

Step 2: Enter the value to search in the respective textbox and click Search icon and the related records will be
retrieved.

DESIGNING YOUR FIRST FORM


Before starting the design, add some sample dropdown values that will be displayed in our forms for users to
choose.

These values are referred as “Library” values in FloWave. Library values can be created either in FloWave Designer
or FloWave Manager.

Note: Default Libraries starts with SYS_ will be available for all multi-tenanted companies.

Step 1: Click on the “Library” button and press icon to add new library types and the library values.

Step 2: Enter the below details.
Library Type: STATUS
Value: Active (this has to be unique for an Item Type)
Description: Name or Description to be displayed
Order No: In the sequence you want the values to be displayed in the dropdown box

Step 3: Click Save button

Now repeat the same steps to add another value “Inactive”


Let us add couple of more Library Type that we will be using in our first form.
Library Type: CUSTOMERTYPE
Value: VIP (this has to be unique for an Item Type)
Description: Name or Description to be displayed
Order No: In the sequence you want the values to be displayed in the dropdown box
Similarly add for “NONVIP”

Add couple of more Library Type that we will be using in our first form.
Item Type: COUNTRY
Value: SG (this has to be unique for an Item Type)
Description: Name or Description to be displayed
Order: In the sequence you want the values to be displayed in the dropdown box
Similarly add for “TH” for Thailand, “IN” for India

Step 1: Click on “New” button to create a new form.

Step 7: Press Classic Dropdown - Drag and Drop Library control into the Table Layout Panel. Click the property
icon and select Properties on the popup menu.

Dropdown Library is used to display list of values for users to choose such as Status, Country, State, Gender.

Users can have one value and description.

In the Field Properties window, enter

Add system values to the forms

System Reference are fields that refresh to the list of system values that can be used to display or capture.
The following System Reference types are available in the system:
User, Division, Department and Team.

Step 11: Choose names tab, Drag and Drop Ajax system control into the Row. Click on the Ajax system control and
select Properties.

In the Field Properties window, enter

Saving the first form


Add all fields that are required. It is time to save and publish the form.

In our form, we want the Customer ID field to be auto generated.


Step1: Click Form Properties,
Auto Number: Yes
Auto Number Field: Customer ID
Auto Number Format: “C” + “YYYYNNNN”

Step 2: Now choose the fields that needs to be displayed in the pending and listing page.
Choose Set fields for Listing and Homepage Tab. To select click the field and click > button.

Step 3: Click Save Form button and press Save button on popup menu.

Step 4: Again, Click Save Form Button and press Publish. This will increment the form from version from 0 to 1
(increment to the next version). Basically, the form stores a copy of the form in a version and it can be retrieved
any time.

Step 1: Click on “New” button to create a new form.

Form Name: Opportunity Form

Whenever a form is submitted the system can be configured to perform a specific validation. Upon successful
validation the form will be allowed to submit, otherwise it will be prevented from submitting.

Step 1: Click Form Properties and then Click Fields validation.

In Opportunity Form, we have already joined Customer form, When Customer Name was chosen Customer’s
address dynamically into the Address form.

Note: If the Control Type is Ajax Internal (Textbox) or Checkbox, Auto Refresh value should be set to Yes.

Dynamic Data Population


Step 1: click properties select reference internal tab and choose Internal Populate and enter the following details.
Rule Name: Address Populate
Priority: 1
Mapping Fields Tab
Source Field: CustomerMaster.Address
Target Field: OpportunityForm.Address
Click Add. Repeat these steps, if there are more fields to populate such as Postal Code

Filter Tab: evaluate certain criteria before populating

HOW TO ADD A GRID


One to many, parent child relationship forms.

To illustrate this, we will create an Item Form, Package form and then refer these items in a grid.

Step 1: In order to achieve this, we first need to do a Master Form to reference. For our exercise, we will create a
simple Item Master form (Master Form) which will be a child form.

CONFIGURING A WORKFLOW
Let us know create a workflow for the OpportunityForm

Open and login to FloWave Connect.

Step 1: Click on the button, create a new workflow process and choose Opportunity Form from the
Administrator menu. click on the in Opportunity Form

Name: Opportunity

Add workflow states


Step 1: Click on the “State Panel → drag and drop into the Workflow canvas. It’s a mandatory state and for all
process always starts from this state.

Step 2: Right click on icon and choose Properties. Enter the following information.
ID: System will generate a default name and it can be overwritten to a preferred value. The value should be
unique for this workflow process.
Name: Name of the state. Enter “Open”. This field can have duplicate names.

Step 3: Click on the save button to temporarily save the changes.

Step 4: Click on the “Left State Panel → drag and drop onto the Design Canvas.

Step 1: Connect One action from open state to In-progress state. Choose approve action.

SET DYNAMIC & STATE ASSIGN


How to assign dynamic values when a page is loaded (Set Dynamic):

Set Dynamic Default:


Whenever a form is submitted, the system can be configured to assign specific values to a selected field. The
values can be static values, or it can be a value of another field.

These validations can be performed at various levels - Initiate Level, Update Level, Completion Level, Void Level or
Terminate Level. This is performed at State level after the Form & Workflow validation.

Step 1: Right Click on the New State and Click State Set Dynamic Default

Step 2: Right Click on the New state Choose State Set Dynamic Default and Config the Below Details

Step 3: Click Add button

Step 4: Click Save button.”Record Saved Sucessfully”popup Message will displayed.

State Assign feature is used to dynamically assign responsibility to a specific user to that state. It will override all
the manual selection of that state.

How to configure a workflow to be auto close or automatically move to the next state (Auto-State &
Auto-Close)?

AUTO STATE
Indicate that this State will be complete automatically by the system. To make an auto state, select the check box.
The Default Next Action will be chosen as the action by the System. The Default Next Action, should be set to an
action, otherwise Auto State completion will fail.
