Spreadsheet Notes

The document discusses various spreadsheet concepts and functions including hyperlinks, filtering data, consolidating data, sorting data, macros, scenarios, goal seek, and subtotals. Hyperlinks can be absolute or relative. Filters help retrieve only relevant data. Consolidate combines data from multiple ranges using functions. Macros automate repetitive tasks like formatting or sorting. Scenarios, goal seek, and solver allow testing "what if" scenarios by changing cell values. Subtotals apply functions like sum to grouped data ranges.

ELECTRONIC SPREADSHEET

1. What do you mean by Hyperlinks in Spreadsheets? Give the two different types
of Hyperlinks that can be used in Spreadsheets.
Answer:
Hyperlinks can be used in Calc to jump to a different location from within a
spreadsheet and can lead to other parts of the current file, to different files. It can
be stored within a file as either Relative or Absolute hyperlinks.
2. What is the difference between absolute and relative hyperlinks as used in
Answer:
Hyperlinks can be stored within your file as either relative or absolute. An absolute
link will stop working only if the target is moved. A relative link will stop working
only if the start and target locations change relative to each other. For instance, if
you have two spreadsheets in the same folder linked to each other and you move
the entire folder to a new location, a relative hyperlink will not break but an
absolute link will break.
3. Rita is working on a spreadsheet. She wants to know about the use of the
following terms:
(a) Quick Sort
(b) Filtering Data
Answer:
(a) Quick Sort is especially useful when you add new information to a spreadsheet.
When a spreadsheet is long, it is usually easier to add new information at the
bottom of the sheet, rather than adding it in its correct place. After you have
added information, you can sort the records to update the spreadsheet and put
the information in its correct place in quick sort.
(b) When a sheet contains a large amount of data, it can be difficult to find
information quickly. In that case, Filters can be used to narrow down the data in
your worksheet, allowing you to view only the information you need. In other
words, Filters help you to ask questions about your data and retrieve only the
relevant information filtering away the undesirable data.
4. What is the use of the Consolidate option in Calc?
Answer:
Data Consolidate provides a way to combine data from two or more ranges of cells
into a new range while running one of the several functions (such as Sum or
Average) on the data. During consolidation, the contents of cells from several
sheets can be combined into one place. The effect is that copies of the identified
ranges are stacked with their top left corners at the specified result position, and
the selected operation is used in each cell to calculate the result value.
5. State any two ways of inserting sheets in the workbook.
Answer:
Two ways of inserting sheets in a workbook are as follows:
Select Insert → Sheet from the Menu Bar.
Right-click on the sheet tab and click on Insert Sheet
6. Lavish is preparing notes for his upcoming exams. Help him to write the correct
answer to the following:
(i) Scenario
(ii) Absolute link
(iii) Relative link
(iv) Macro
(i) The Scenario is a tool to test “What-if” questions. Each scenario is named and
can be edited and formatted separately. When you print the spreadsheet, only the
contents of the currently active scenario are printed.
(ii) An absolute link contains all the information necessary to locate a resource and
will stop working only if the target is moved.
(iii) A relative link locates a resource using an absolute URL as a starting point will
stop working only if the start and target locations change relative to each other.
(iv) A macro is a saved sequence of commands or keystrokes that are stored for
later use or to be used repeatedly.
7. Mention any two operations that can be performed using macros in a spreadsheet.

Answer:
Macros can be used for the following operations:
 If formatting settings need to be applied repeatedly in a spreadsheet then,
macros can be used.
 Macros can be used to sort data and apply mathematical functions or
formulas.
8. Mention any two operations that can be performed using Macros in a
spreadsheet.
Answer:
Macros are used to perform different types of operations in a Spreadsheet:
1.Formatting settings to be applied repeatedly in a spreadsheet
2.Sorting Data
3.Applying any Mathematical functions/formulas
9. Write down the significance of electronic spreadsheets.
Answer:
Using electronic spreadsheets, large volumes of data can be stored in worksheets.
Worksheets can be managed, edited, viewed, retrieved, and printed easily in the
desired format. Electronic spreadsheets support charts, which represent data
pictorially.
10. What is the difference between a workbook and a worksheet?
Answer:
Differences between the workbook and worksheet are as follows:
Workbook Worksheet
A workbook is an Excel file with one or A worksheet is a single spreadsheet of
more worksheets. data.
A workbook would be the entire A worksheet would be like one section
binder, with everything in it. in that binder.
11. What is sorting?
Answer:
Sorting is a common spreadsheet task that allows users to easily re-order the data.
The most common type of sorting is alphabetical ordering which you can do in
ascending or descending order.
12. Ishita is a teacher. She had entered the marks of all the students and also
calculated the total of the students. Now, she wants to sort the data so that she
can find the names of the students according to their marks in descending order.
Tell her the different steps to sort the data. (4)
Answer:
Ishita can highlight the cells to be sorted, then select Data Sort to open the Sort
dialog or click the Sort Ascending or Sort Descending toolbar buttons. Using the
dialog, you can sort the selected cells using up to three columns, in either
ascending (A-Z, 1-9) or descending (Z-A, 9-1) order.
13. What is a macro?
Answer:
A macro is a saved sequence of commands or keystrokes that are stored for later
use. An example of a simple macro is one that “types” your address. The Libre
Office macro language is very flexible, allowing automation of both simple and
complex tasks. Macros are especially useful to repeat a task the same way over
and over again.
14. Define the following terms:
(i) Active Cell
(ii) Sheet Tab
Answer:
(i) Active Cell The cell with the black outline in a spreadsheet data is always
entered into the active cell.
(ii) Sheet Tab The tab at the bottom of a worksheet tells you the name of the
worksheet such as Sheet 1, Sheet 2, etc. Switching between worksheets can be
done by clicking on the tab of the Sheet that you want to access.
15. Anshita is preparing spreadsheet notes for her Term Exam. Help her to write short
note on the following:
i. Scenarios
ii. Goal Seek
iii. Solver
iv. Subtotal
Anshita must apply Goal seek to get the desired result.
i. Scenarios: Scenarios are a tool to test “what-if” questions. Each scenario
is named, and can be edited and formatted separately. It is essentially a saved
set of cell values for your calculations. You can easily switch between these sets
using the Navigator or a drop-down list which can be shown beside the
changing cells
ii. Goal Seek: It is used to calculate a result based upon existing values. Using
Goal Seek option under Tools menu, we can discover what values will produce the
result that we want.
iii. iii. Solver: It is more elaborated form of Goal Seek. The difference is that the
Solver deals with equations with multiple unknown variables. It is
specifically designed to minimize or maximize the result according to a set of
rules that we define.
iv.iv. SUBTOTAL, is a feature that totals/adds data arranged in an array—that is, a
group of cells with labels for columns and/or rows. Using the Subtotals dialog,
you can select arrays, and then choose a statistical function to apply to them. For
efficiency, you can choose up to three groups of arrays to which to apply a
function.
