Uniconta Tutorial 13
Welcome
You are now part of a growing family of ERP specialists that excel in what
they do, stand out from the crowd and make a visible, positive, difference.
You may have noticed that our hiring requirements are above average.
This is because we only want people at Quantum who we believe, can be
successful in what they do. That’s why you have received this document so
you can better understand our company, what we stand for, and how we are
organized.
We believe that to achieve success, one must look closely at one’s own habits. In itself,
“success” is a relative term and so its “achievement” is fully dependent upon the habits
we put into place that move us step by step toward the “end” we define for ourselves.
“To be successful, is a matter of the routine we put into place for ourselves”.
Therefore, not only do we stimulate our people to excel and stand out from the crowd,
but we also require them to be consistent in what they do, to respond fast and to “say
what they do and do what they say”. We call this our “Quantum Culture”
To make sure we all understand the core principles of our Quantum Culture, we have set
out a set of rules that we require everyone to comply with. You’ll find out more about
these rule sets in the next chapter.
CORPORATE CULTURE & RULES 03
Corporate Rules
“To say what you do and to do what you say” is actually even the core How can you achieve this?
principle of the ISO 9001-2008 quality standard and as a Global Operating 1. By actively adding your tasks to the agenda section of teams.
Company, we have adapted to ISO 9001 standard to our corporate 2. Being OK with saying No if you can’t commit to something. It’s always
standards. better to say no than say yes to an activity and not actually commit to
that particular activity.
Rule number 1: Say what you do and do what you say
This means that if you say that you will do something tomorrow, then
tomorrow you will do it.
Obviously, things happen and sometimes you will not be able to meet
that promise. In case that happens, make sure you’ll communicate to
whomever you made that promise that unfortunately there’s a delay
in your current activities and you’ll do your best to finish the task you
promised to them by X Day.
CORPORATE CULTURE & RULES 04
In this video you can see that it’s very simple to add your tasks in the agenda section of Microsoft Teams. Starting every Monday, you can add
your tasks for the week as the ‘Title’ and the estimated time that the task will take in the description section. This will help you understand if
you have any space in the week for a new activity or meeting. You can then accordingly commit to a task because you will have a clear picture
of your agenda. Note that your agenda will be visible to the CEO, it is thus important and mandatory for you to fill up the agenda.
Optional: You can change the color of your tasks on the teams agenda on the basis of priority and urgency (red for urgent tasks and green for
non urgent tasks)
05 CORPORATE CULTURE & RULES
2. Respond Fast
We all know that for the most part electronic communication is an instantaneous How can you achieve this?
medium and we, therefore, expect that it is in the other side’s inbox waiting to be 1. By Structuring your mails.
read. 2. By adopting the quantum way of responding to mails.
If the sender knows that you should have received his or her email, but you are so
busy that you do not respond, you have in fact, from the sender’s point of view,
decided to ignore the sender.
Needless to say, the effect will be on the overall timeframe of any ERP project. With
a late response, you’re jeopardizing the project’s delivery deadline(s).
Therefore, our Rule Number 2 is that you reply within the hour at least 80% of the
time!
This doesn’t mean that you may already have an answer or solution. Your reply
could be as simple as saying: “I’ve read your email, but I’m currently conducting a
workshop. I’ll have an answer to you by the day after tomorrow. Would that work
for you?”.
These types of answers let the recipient know that you respect them and have
taken their request or question seriously. Bonus points for you!

2. Respond Fast

3. Proper Communication
Nobody likes being told “no”. That’s why so many people say “yes” to Thus, Rule Number 3 is: Communicate in advance, be clear, and document
things. sufficiently!
To be able to respond fast, one must obviously read one’s emails, chat messages,
and so on, on a regular and timely basis. This means at least 4 to 5 times a day.
However, statistics show that most people only read their email once a day; often
in the morning, and then not even all emails but the first few. As a result, one
could miss out on important messages or requests and thus jeopardize the project
or even one’s own career. Because let’s face it, when you’re not responding when
people need you urgently, this tells other people a lot about how proficient you
work and therefore you run the risk of being ruled out of any upcoming tasks or
activities which you otherwise would have been assigned to.
Therefore, Rule Number 4: Read your email and other means of communication on
a regular and timely basis.
09 CORPORATE CULTURE & RULES
There is nothing more annoying than people being late for meetings or when they appear to be in the meeting but do not respond when asked
for something. This does not only look bad on you, but as you are presenting Quantum Omega, so it looks bad on us as well.
P.S: Following the previous methods of maintaining an agenda on teams and structuring your mails will make it easier for you to abide by
rules 3, 4 and 5 as well.

Inform Shweta about all the tasks you did throughout day. She will then create task
IDs and inform you, after which you can fill in your Uniconta Timesheet using those
Task IDs. Task IDs will also be created for Teleradio & Zwilling, so once you have
added tasks in DevOps, mention it to Shweta who will create task IDs for Uniconta.
Note that any document that you create needs to be uploaded to SharePoint first.
The link to these files should be sent to the relevant recipients while email. Avoid
adding attachments in emails as these tend to get lost amongst various other mails.
There is a pre-defined structure to SharePoint and this needs to be followed.
SharePoint folders have various templates relevant to you such as FDD templates,
PPT templates, activity and test results templates etc.
