Chapter 1INTRODUCTION

Situation Analysis
A computer is now a must-have for any business or company as it significantly contributes to
making work more progressive and productive. Any company or small business must have a
computer because it helps with data organization, storage, and manipulation. Computer programs
can assist a company in growing and remaining competitive in the business world. Companies
nowadays use computer literacy to compete in the market. The payroll system enables business
activities and data processing implementation to be inextricably linked indefinitely. The payroll
division would be able to keep records of employees' personnel data, pay slips, allowances, and
so on using this payroll data.

Payroll is a form of compensation done by the company to reward its employees for their work.
It must be given at a set period or a given date and is usually done by the human resources office
since they hold the record of attendance and the employee's overtime service. Payroll can be
done manually by hiring professionals to do the accounting by hand or by automating it through
computer programs.

Payroll Management System is a type of management system that automatically maintains and
organizes employee records such as DTR and overtime service. Keeping employee records is one
of the most complex and time-consuming aspects of running a business. Most of the time,
manual payroll can process inaccurate information, misclassify employees, and make late
payments, among other things. The system can keep track of employee data such as pay,
allowances, deductions, and loan management or cash advances for employees.

Company Profile
Mr. Anton Perez owns several businesses, including PC PEREZ AQUA FARM. The breeding,
raising, and harvesting of fish, shellfish, and aquatic plants is known as aquaculture, essentially
fish farming. PC PEREZ Aqua Farm sells milkfish. The company was founded in 2017 and
currently employs 80 individuals. A minimum of 50 employees works per day, but an additional
30 employees will arrive when harvest time comes to assist with the harvest.

Statement of Objectives
This study aims to develop a system entitled "Payroll Management System for PC PEREZ Aqua
Farm." Specifically, it aims to attain the following objectives:
- Determine the existing process of reporting, timekeeping, and payroll of the employees.
- Identify the difficulties encountered in the current system and the process of payroll in PC
PEREZ Aqua Farm.
- Specify the features to be integrated into the proposed system.
- Determine the acceptability level of the developed system.

Significance of the Project


A good payroll administration system speeds up payroll computations and deductions, as well as
producing accurate pay slips. Because of the low cost and convenience, many businesses now
use payroll management software. The study goals provide a positive experience for both clients
and employees. In general, the following entities would benefit from this research:
- The Company: This study helps the company save funds on payroll pay slips papers and time
by providing more precise and faster calculations. The Human Resources Clerk will be able to
handle reports and obtain quick results conveniently unlike on the traditional process, as well as
perform more precise estimations and work with correct data and provide the employees with
more awareness of all their generated reports, such as their paycheck, benefit deductions, time
off, time spent on work attendance, bonuses, and overtime computations.
- The Proponents: This study helps the proponents improve their skills in development, system
design, and data analysis.
- Future Proponents: This study serves as a reference for proponents conducting a similar project.

Scope and Limitations of the Project


The developed system can only be used at the PC PEREZ Aqua Farm to calculate and handle
payroll. The system generates employee attendance reports on a daily, weekly, and monthly
basis, which can be printed at the end of the day or saved for future reference. The system also
has loan management for employee's cash advance. The administrator can create a profile of
employees who will apply for loans or cash advance. Employees can choose whether to pay their
loans or deduct them from their salary. The system only works on a laptop or desktop and will
not work on mobile devices. To protect employee information, the system only operates in an
offline setting and does not allow online access. The study was not intended for any other
purposes, and the system's scope is just for the PC PEREZ Aqua Farm.

Definition of Terms
- Payroll: It refers to the compensation a business must pay to its employees for a set period or
on a given date.
- GUI: It refers to the graphical user interface (GUI), which is a type of user interface through
which users interact with electronic devices via visual indicator representations.
- Payroll Management System: A payroll management system is a system used by companies to
help manage the computation, disbursement, and reporting of employees' salaries efficiently and
accurately.
- Database: It refers to the organized collection of structured information, or data, typically
stored electronically in a computer system.
- Prototype: A prototype in software development is a simulation of how a real product will work
and feel.
- Dashboard: A dashboard is a visual display of all your data.
- Admin: A person who manages a computer network or system.
- Leave Credits: Each employee is given a specific number of paid and accrued vacation days by
their employer.
