ABSTRACT

Education is an important and traditional part of society. As time has

progressed education has also changed from traditional one. So according to the

progress of education level. It also required changing the way of maintaining

the student information. The Desktop-based Department Management System

is a Desktop based application which is built using Python language. It deals

with all kinds of student details, academic reports, curriculum, batch details. It

tracks all the details from the day one to the end of their course which can be

used for all reporting purposes. This application can facilitate us explore all the

activities happening in the department, and to know faculty details. Different

reports and Queries can be generated based on vast options related to students,

batch, faculty, exams, semesters, and certification. In the case of manual

systems they need a lot of time, manpower etc. Here almost all work is

computerized. So the accuracy is maintained. Maintaining backup is very easy.

It can do it in a few minutes. Only the admin is given access to update or add

information into the database.

CHAPTER 1

INTRODUCTION

Desktop Based Department management system is a desktop application

that handles various academic and non-academic activities of ECE department.

The system can be accessed by every faculty of the department through

software installed in the computers with the aid of his/her username and

password. Every user will have a customized home page with his/her profile

management facilities. Through links that display in the home page the user can

access different options of the website assigned to him/her. Though the system

allows access to everyone there is a significant security risk involved in this

project. To tackle this problem we suggest a modular structure in the proposed

system and a complete isolation of the administrative modules from the public

portal. Only trusted IPs can access these modules. Services will interact with the

administrative modules to fetch necessary information to display. Although a

standard password policy will be followed in the designing of the system to

prevent the possibilities of malicious activities of itching users. A self-driven

module in the proposed system will accomplish the automated tasks such as

Email Alerts, SMS alerts, Notifications to the administrator etc.

1.1 Problem Description

The manual way of storing the information has been practiced till

now which is time consuming and high risk for data loss. This application is

computerized, time saving, has high accuracy and security in maintaining the

records of the ECE department.

1.2 Objective

To develop a desktop application for the ECE department to save

time and maintain details of students and faculties.

1.3 Existing System

The existing system which we use in our college is a traditional

process which is completely manual. Admissions are increasing day by day but

the actual challenge is starting from now. Most of the departments in college

maintain student information in records. When the number of records increases,

it is difficult to maintain the information of each student in the old manual

system. Maintaining the records manually leads to error prone and requires

more man power and it consumes more time for processing the records. Hence

for the convenience and security, this application is developed.

1.4 Motivation

The disadvantages of the existing systems are

These disadvantages are overcomed in this project. The efficiency

of the work done would be improved and work satisfaction on the part of the

faculties after computerization will be definitely high. The user satisfaction will

be higher when compared to the old manual system.

CHAPTER 2

LITERATURE REVIEW

The design and implementation of a comprehensive college management system

and user interface is to replace the current paper records. College Staff are able

to directly access all aspects of a student’s academic progress through a secure,

online interface embedded in the college’s website. The system utilizes user

authentication, displaying only information necessary for an individual’s duties.

Additionally, each sub-system has authentication allowing authorized users to

create or update information in that sub-system. All data is thoroughly reviewed

and validated on the server before actual record alteration occurs. In addition to

a staff user interface, the system plans for a student user interface, allowing

users to access information and submit requests online thus reducing processing

time. All data is stored securely on SQL servers managed by the college

administrator and ensures the highest possible level of security. The system

features a complex logging system to track all user’s access and ensure

conformity to data access guidelines and is expected to increase the efficiency

of the college’s record management thereby decreasing the work hours needed

to access and deliver student records to users. Previously, the college relied

heavily on paper records for this initiative. While paper records are a traditional

way of managing student data there are several drawbacks to this method. First,

to convey information to the students it should be displayed on the notice board

and the student has to visit the notice board to check that information. It takes a

very long time to convey the information to the student. Paper records are

difficult to manage and track. The physical exertion required to retrieve, alter,

and re-file the paper records are all non-value added activities. This system

provides a simple interface for the maintenance of student information. It can be

used by educational institutes or colleges to maintain the records of students

easily. Achieving this objective is difficult using a manual system as the

information is scattered, can be redundant and collecting relevant information

may be very time consuming. All these problems are solved using an online

student information management system. The paper focuses on presenting

information in an easy and intelligible manner which provides facilities like

online registration and profile creation of students thus reducing paperwork and

automating the record generation process in an educational Institution.

2.1 College Activity Management System

2.2 Construction of College Student Data Information Management System

Based on Association Rule Algorithm

scientific and technological methods and a kind of method for the construction

of the college student data management system based on the association rule

algorithm is put forward,which aims to solve the problems in the construction of

the college student data management system. This method is established based

on the association rule algorithm. Firstly, the massive information is collected,

then the preprocessing is performed. After the preprocessing is completed,

multiple clusters are formed, and then the centroid is calculated in accordance

with the characteristics of the association rule algorithm. Then as the

representative information of the cluster. It is required that the basic probability

assignment (hereinafter referred to as BPA for short) should be carried out on

the centroid, and the tool used is a generalized triangular fuzzy membership

function. Finally, based on the association rule algorithm, each evidence is

combined to form the proposed college student data management system.

2.3 College Management System

This paper proposes how to manage the college information, student

information , placement information , various different types of events going on

in our college . It also keeps track records of all the information regarding

students who are placed in the various organizations. It has a notice board which

contains information about various cultural or technical or any sports which is

supposed to be held soon. It can be monitored and controlled remotely. It

reduces the manpower required. It always provides accurate information.

Malpractice can be reduced. All gathered and extra information can be saved

and can be accessed at any time. The data which is stored in the project helps in

taking intelligent and quick decisions by the management. So it is better to have

a Web-Based Information Management system. All the stakeholders,staff

members can get the desired information without delay. This system is essential

in the colleges/hostels and universities.developed using PHP programming

language. The main aim of this project is to develop an online website which

covers all the details of college i.e; Student attendance details, Event details,

Students fees transaction details, Marks details, Photo gallery, etc. Admin is the

Superuser of this project. All the record stores in MySQL Database. The

proposed software will also reduce the cumbersome paperwork, manual labour

as well as communication cost.

2.4 College Management System in Institution

Management System (CMS) that is of significance to either an instructive

organization or a school. The framework (CMS) is an Intranet based application

association. This framework can be utilized as a learning/data administration

2.5 Android Based Smart Learning and Attendance Management System

This paper proposes because notes dictation in the class is difficult

considering semester duration, students might miss the exam and important

notice displayed due to unawareness, chances of false marking of attendance is

more due to more paperwork and manual attendance entry, evaluation and

report generation is tedious and time consuming job. Timely updates to parents

are not possible. With this system teachers can upload notes, time tables,

assignments on the server and broadcast it to the registered mobile numbers so

that it is easily accessible to students by their own smartphone. This system

enables students to learn anywhere, anytime and at their own convenience. This

system makes students to be active, responsive while learning their academics.

Another application that is provided by this system is smart attendance

evaluation and report generation. Smartphones are based on operating systems

like blackberry, IOS and Android. To design the proposed project, smartphones

with Android operating system are chosen because the penetration rate of

Android OS is 70 percent. It is open source and freeware. The application is

compatible with all Android versions ranging from Gingerbread2.3 to Lollipop

5.0.1.In the proposed project Android based attendance system is designed

which is less time consuming, safe and easy to implement. A teacher can take

attendance of students with their own mobile and upload that record on a web

server. On the server side, percentage attendance will be automatically

calculated and reports will be generated accordingly. In the SMS notification

module, SMS will be sent to parents or students. In E-learning module notes,

time tables can also be broadcast to the student.

2.6 A literature survey on digitizing the college management ecosystem by

using android mobile application

This paper proposes an application which deals in managing the services

of the library in the college ecosystem. It is used by librarians to manage the

library services using a computerized system where he/she can record various

transactions like issue of books, return of books, addition of new books,

addition of new students etc. The module deals primarily with the maintenance

of records of both the books and the students including a detailed description

about the availability of the copies of a book available in the library and the last

copy issued by any student along with the due date. This computerized system

of managing the records aims at gaining a lossless database with all the records

about the book and the members irrespective of the age of the record. In

addition, the report module is also included in the Library Management System.

The user accessing the system as an admin can generate different kinds of

reports capturing the list of books available, the details of the students registered

to the system, the issue and return, fine imposed and collected reports. All these

features enable the admin along with the user of the library management system

to avail and at the same time deliver the services in a more efficient and reliable

manner thereby eliminating the exhaustive system of managing and maintaining

the records manually in those heavy record books. Canteen Ordering System

focuses on improving the existing canteen management system and

revolutionizing it by including a pre-order system so that students can order

their lunch way before the “lunch break” without worrying about the item

available or not. This feature will allow the canteen managers to prepare the

On-list menu prior to the break hour, making it an efficient way of serving the

right number of snacks and food without any hustle. This system will have an

online payment option and will generate a unique order code/receipt which can

be redeemed when claiming the order. This will ensure a secured transaction

between the student and the canteen.To develop and maintain a reliable personal

recognition system is a critical task. This is achieved by assigning the unique

key to every individual. The conventional methods of personnel recognition

using ID-cards and passwords do not provide a strong recognition system

because of their dependency on the surrogate representations of the user.

Security is however an issue which is looked upon as a risk management

strategy which covers the identification, controlling, elimination, or minimizing

of uncertain events which can adversely affect the information assets and

system resources. The level of a security system is dependent on the

requirements and cost-benefit analysis of the application.

2.7 Application of Android-Based Stress Meter as Stress Academic

Indicator on College Student with Low Achievement Motivation

This paper proposes to test the acceptability of android-based stress meter

applications (adopting the DASS instrument in it), identifying stress levels and

achievement motivation, and testing the relationship between stress and

achievement motivation. Then the qualitative design is used to determine the

psychological dynamics of students who experience high stress and low

achievement motivation.After the data was collected and identified only

students who had low and medium achievement motivation levels were selected

purposely as advanced participants. The screened participants are then given a

stress meter application to determine the level of stress they have while testing

the acceptability of the application.Acceptability test for stress meter application

was carried out on 30 final semester students majoring in Guidance and

Counseling Semarang State University. This amount is obtained from the results

of purposive sampling aimed at students who are doing their final assignments

at 2018/2019 of the academic year and identified as having low achievement

motivation.

2.8 Developing An Android Application For College Management System

This paper proposes deals with the students to assist them in the college

environment with the help of android operating systems. This project requires

for the student to check the availability of staff members when they are in need

of getting help from them and get circular information instantly. Currently many

android applications are available to favor the students with respect to their

studies such as to assist them in taking lecture notes or videos and remind the

works to be done by the student within the particular time etc. On the other hand

this project aims to assist the student in updating their circular information like

holidays, new events, assignments etc which reduces the manual work. This

application shows the time table of their respective subject staff members.

Students can check their internal marks at any time. Also it notices that they

work hard in upcoming exams when they get a fail mark. The software required

for this project is an android operating system. This application provides good

user friendly and it is cost effective. So that every student can use this

application.Students can edit their Profile, and update them constantly. Students

can very flexibly search for other students and view College schedule and

details, and interact with other students and also teachers via messaging. They

can also send feedback to higher authorities. Teachers can view College

schedules, events and details. They can take Attendance using the application,

and also update the performance of students. Using this system the faculty could

easily inform or interact with the parents of students and also parents can

communicate with the management.

2.9 Mobile Application for Student Attendance and Mark Management

System

This paper proposes a mobile application for student attendance and mark

management system. This application is mainly designed for the faculties and

other staff members of the organization who maintain attendance and marks

regularly. Using this system, the subject handlers, staff or the authorities can

verify the number of students present or absent in the class meeting sessions.

This application allows the users to mark attendance through mobile devices

and to keep in touch with students. Furthermore, this application allows the

teachers to mark and edit the attendance and also to add the marks in the system

database for further retrieval. It gives a prior intimation to students as soon as

their attendance goes below the specified percentage through an alert message.

In general, the mobile application is developed using any one of the languages

such as Java using software development kit (SDK). The data used for the

application or processed by the application are stored in the data bases. The

following mobile application developers succeed in developing the student

attendance management system with the structured query language (SQL)

databases.

This paper proposes embedded systems and dependability of embedded

systems, which is explained in sections. Software architecture impersonates an

important role in the achievement of quality to a software system. Software

architecture is further discussed in the context of embedded systems and

dependability.In section the aforementioned topics are connected by discussing

how to ensure that the relevant quality attributes are going to be met in

embedded systems software architecture through the use of software

architecture evaluations. However, as stated in the introduction, it is always

necessary to compromise between different quality attributes, which is further

discussed.Software architecture evaluation does not only help the evaluators to

be able to reason about the achievement of software quality attributes and to

have a certain level of predictability of the system‟s behavior, but it also helps

to select suitable tactics to achieve the desired quality attributes and hence

supports the trade-offs and therefore the selection of an appropriate architectural

pattern. Objective reasoning is one of the approaches used to assess the software

quality requirements achieved in software architecture through reasoning

based.However, since design strategies are experience-based, the evaluation

method adopted in this research is objective reasoning.

survey, from a database researcher's point of view, on the data mining

techniques developed recently. A classification of the available data mining

techniques is provided and a comparative study of such techniques is presented.

2.13 Total Quality Management System Application to the Faculty

Management System Improvement

This paper proposes The Faculty of Mechanical Engineering joined the

project focused on applying the Quality Management System at VSB –

Technical University of Ostrava at the end of the year 2004 in the concurrence

with the pilot application of QMS at the Faculty of Electrical Engineering and

Computer Science, which was the first faculty in the whole Czech Republic

with a functioning QMS system. At the end of the successful QMS system

certification at the Faculty of Mechanical Engineering in May 2005, it was clear

that it would be a long way to fully implement all management instruments,

especially those used by all faculty members at all management levels that need

a lot of work. The university management system is different from a typical

company management system. The obtained results from the faculty QMS

system have been very interesting also for all other technical faculties. The main

goals were presented at the International Conference Principia Cybernetica 2005

[3], the International Conference on Engineering Education 2006, 8th

Conference of Quality Managers 2007 and the International Conference on

Engineering Education 2007 as a part of the faculty Excellence System (best

practices), described below. It was very satisfying when representatives of two

other technical faculties from the Czech Republic asked for cooperation

meetings to transfer our results to their faculties.Self-assessment process needs

the substantiation of all achieved results, their comparison with other technical

universities, decision-making processes and achievement analysis and many

other areas of investigation. Therefore, we worked out a list of observed

parameters, a set of periodical questionnaires and benchmarking projects with

other technical faculties from our university and also all other faculties of

mechanical engineering from the Czech and Slovak Republics.

ability to do classification in the database systems. Target mailing is a

prototypical application for classification, although the same paradigm extends

naturally to other applications such as franchise location, credit approval,

treatment-appropriateness determination, etc. In a target mailing application, a

history of responses to various promotions is maintained. Based on this

response history, a classification function is developed for identifying new

candidates for future promotions. As another application of classification,

consider the store location problem. It is assumed that the success of the store is

determined by the neighborhood characteristics, and the company is interested

in identifying neighborhoods that should be the prime candidates for further

investigation for the location of the next store. The company has access to a

neighborhood database. It rst categorizes its current stores into successful,

average, and unsuccessful stores. Based on the neighborhood data for these

stores, it then develops a classification function for each category of stores, and

uses the function for the successful stores to retrieve candidate neighborhoods.

2.16 Knowledge Discovery in Databases: An Attribute-Oriented Approach

This paper proposes an attribute-oriented induction method has been

developed for knowledge discovery in databases. The method integrates a

machine learning paradigm, especially learning-from-examples techniques, with

set-oriented database operations and extracts generalized data from actual data

in databases. An attribute-oriented concept tree ascension technique is applied

in generalization, which substantially reduces the computational complex of

database learning processes. Different kinas of knowledge rules, including

characteristic rules, discrimination rules, quantitative rules, and data evolution

regularities can be discovered efficiently using the attribute-oriented approach.

In addition to learning in relational databases, the approach can be applied to

knowledge discovery in nested relational and deductive databases. Learning can

also be performed with databases containing noisy data and exceptional cases

using database statistics. Furthermore, the rules discovered can be used to query

database knowledge, answer cooperative queries and facilitate semantic query

optimization. Based upon these principles, a prototyped database learning

system, DBLearn has been constructed for experimentation.

2.18 Advanced Embedded System Assisted Gsm And Rfid Based Smart

School Management System

This paper proposes the various technological devices and systems, and a

global system for mobile communication (GSM) is believed as an efficient and

fast enough technique that can perform efficient, real time object identification

and fast reporting. GSM based tracking systems will pass complete information

about where the object (student) and its activities. The RFID system is utilized

as a board module to attach the parts of the object (bag, identity card, tag, etc)

and follow the object then and there. The designed model is studied under

laboratory scale and the results are analysed.Advanced embedded system

assisted GSM and RFID based smart school management system is used to give

an access for the operation by habitual recognition of the person based upon the

RFID tag information. As an example, for entrance control of an organization,

the RFID tag and its reader are designed with predefined unique code of tag for

individual school students. Whenever the tag is read by the reader, it compares

the code with the predefined codes in the machine. On the basis of correctness

of the information, it sends an acknowledgement (in the form of text message)

to the parents of that particular student and the same protocol is followed for all

the pupils of the school.

2.19 An Efficient Automatic Attendance System Using Fingerprint

Reconstruction Technique

This paper proposes The uniqueness of a fingerprint is due to the unique

pattern shown by the locations of the minutiae points– irregularities of a

fingerprint–ridge endings, and bifurcations. A novel minutiae-based approach

[4], has been proposed to match fingerprint images using similar structures.

Distortion poses serious threats through altered geometry, increases false

minutiae, and hence makes it very difficult to find a perfect match. This

algorithm divides fingerprint images into two concentric circular regions – inner

and outer – based on the degree of distortion. The algorithm assigns weight ages

for a minutiae–pair match based on the region in which the pair exists. The

algorithm has two stages. In the first stage, the minutiae points are extracted,

and in the second stage, the aligning and the matching of the fingerprint images

are done. The algorithm is designed to reduce time taken in aligning,

immediately after the calculation of the binary image.

2.20 A Research Paper on College Management System

This paper proposes developing an Online Intranet College Management

System (CMS) that is of importance to either an educational institution or a

college. The system (CMS) is an Intranet based application that can be accessed

throughout the institution or a specified department. This system may be used

for monitoring attendance for the college. Students as well as staff logging in

may also access or can search any of the information regarding college.

Attendance of the staff and students as well as marks of the students will be

updated by staff. This system (C.M.S ) is being developed for an engineering

college to maintain and facilitate easy access to information. For this the users

must be registered with the system after which they can access as well as

modify data as per the permissions given to them. CMS is an intranet based

application that aims at providing information to all levels of management

within an organization.

department management system has a solution for problems identified. Suitable

ideas and mechanisms needed for the project are studied and explained briefly

in above chapter 2.

allows programmers to easily write Python code. Just like Python Shell, IDLE

can be used to execute a single statement and create, modify, and execute

The SQLite database library and tools are a phenomenally successful

open-source Structured Query Language (SQL) database project.Since its initial

release in 2000, SQLite has seen an absolutely staggering uptake. It's inside

every iPhone and Android phone, and Windows 10 or Mac computer.

3.6 Programming

Programming the major part of the DESKTOP BASED

DEPARTMENT MANAGEMENT SYSTEM, collect, manage, calculate,

analyse the processing of data and information accurately. DB browser has been

used to retrieve and store the datum of ECE department students and

Faculties.The programming part is done with Python programming language.

RESULTS AND DISCUSSION

This paper is addressing several aspects of the project beginning with

authentication and entering the college students or faculties details for ECE

department purpose.

The system starts with a login page where the username and password are

entered to access the application further.If the login is successful then a pop up

message appears.

CONCLUSION

5.1 Benefits of the project

The main benefit of this project work is to reduce the manpower and

storage space.The data can be entered into the applications and later they can

add/edit/delete if needed and also all the details which are entered can be stored

in the database.So whenever needed the data can be retrieved and millions of

data can be stored.Since desktop based application is used there is no need of

internet connection and also the faculties can use without internet.

5.2 Conclusion

This paper assists in modifying the existing system to site based

system.This is a paperless work. It can be monitored and controlled remotely. It

reduces the manpower required. It always provides accurate information.The

data which is stored in the project helps in taking intelligent and quick decisions

by the management.So it is better to have a Desktop Based management system.

All the stakeholders,. staff members can get the desired information without

delay. This system is essential in the colleges/hostels and universities. Here we

conclude that this department management system will reduce the time and

effort of the faculties where they can use this application instead of MS Excel or

any other software ,which requires lots of manpower.
