FOREWORD

This Integrated (Quality, Environment, Health & Safety) Management System Manual has been
established as a mandatory requirement of ISO 9001:2015, ISO 14001:2015 and ISO 45001:2018
with an objective of providing the overall guidance and direction to the Integrated Management
System (IMS) designed, developed, and implemented at AIT CAR RENTAL WITHOUT DRIVER
COMPANY SPC.
The Integrated Management System Manual lays down the scope of IMS and the exclusions,
references to documented procedures and description of the interaction between the processes of
the IMS.
All employees are required to abide by the principles laid down in this manual. However, as part of
our endeavor for continual improvement, each user and follower of this manual is encouraged to
identify improvement opportunities and bring them to the attention of the appropriate authority
for evaluation and incorporation in the manual.
Each user is also urged to identify and bring to the immediate attention of their supervisors those
processes that may have undergone a change since the introduction of the manual, as well as new
processes that have not been included for appropriate modification of the manual.

1. ABOUT AIT CAR RENTAL WITHOUT DRIVER COMPANY SPC


We at AIT CAR RENTAL WITH OUT DRIVER COMPANY SPC., aim to provide High Quality General
Supply & Services to a wide range of clients for their demanding needs. Our professional staff
understands the importance of Hands-on Project Management.
It is our mission to provide the highest quality products and services to our customers; to build a
trustworthy and long-lasting relationship with our clients.
Our goal is to be the leading Procurement, Subcontracts, Logistics and Services Company while
setting new standards in the industry. We are here to support the Mission, to work with our clients
to get the job done right the first time.
We deliver Excellence by providing top quality services from project planning through the mission
completion.
We take pride over having successfully fulfilled several transportation contracts directly with the
US Army in helping them with the project of rebuilding Iraq.

We lease or supply vehicles from an array of manufactures ranging from GM to Toyota and several
others.
Some of the vehicles and heavy equipment’s we currently have on lease and on hand to supply
are:
• SUV- Toyota Prado, Chevy Tahoe, Chevy. Suburban, GMC Yukon & GMC Yukon-XL
• Pickup Trucks- ½ Ton 4 Door Pickup Toyota Hilux, &
¾ Ton Extended Cab Pickups like GMC Sierra or Chevy. Silverado.
• Passenger Van- Toyota Hiace, Chevy. Savana & GMC Savana
• Passenger Bus- Toyota Coaster OR Mitsubishi Rosa.
• Flatbed Truck- Mercedes Actross 40’ Flatbed Trucks.
• ½ Lorry- Toyota Dyna.
• Other required equipment’s available upon request
SERVICE STATION
We have a fully functioning Service Station located in Fahaheel, Kuwait. The station is staffed with
a technically skilled service team. We have all the equipment required to undertake all our leased
vehicle tasks for maintenance and servicing. Also available on hand are the latest technologies that
enable us to conduct a comprehensive analysis of leased vehicles and to help diagnose potential
problems. Our quality servicing and maintenance comes backed by a full guarantee on parts and
workmanship. We only use leading brands of components and accessories.

1.1 COMPANY PROFILE

This Manual has been formulated and released by AIT CAR RENTAL WITHOUT DRIVER COMPANY
SPC to be used by the Organization for describing its Integrated Management System in line with
the requirements of the International Standard ISO 9001: 2015, ISO 14001: 2015, ISO 45001: 2018.

AIT CAR RENTAL WITHOUT DRIVER COMPANY SPC adopts the International Standard ISO 9001:
2015, ISO 14001: 2015, ISO 45001: 2018 for providing a Integrated Management System.
To demonstrate its ability to provide consistently, products & services that meet Customer and
applicable regulatory requirements, and
To address customer satisfaction through the effective application of the system, including
processes for continual improvement and the prevention of nonconformity.

3. DEFINITIONS

Quality Management Representative: - A Member of the organization who is responsible for ensuring
that the processes needed for Integrated management system are established, implemented, and
maintained.
Top management: - CHIEF EXECUTIVE OFFICER

Non-conformance: - Any deviation from work standards, practices, procedures, regulations,


management systems performance etc. that could either directly or indirectly lead to deficiency in
Service provided to clients, property damage, damage to environment, injury or illness, or a
combination of these.
Audit: - A systematic and independent examination of activities to determine whether they comply
with planned arrangements and whether these arrangements are implemented effectively and are
suitable to achieve INTEGRATED MANAGEMENT SYSTEM objectives.
Maintenance: - The process by which measurement and test equipment is checked for accuracy by

comparison to known standards.


Conformance: - The state of meeting the specified requirement(s).

Contract: - Requirements agreed to between a supplier and clients, transmitted by any means

This document does not introduce any new definitions but rather relies on the following:

4. CONTEXT OF ORGANIZATION

4.1 Understanding the organization and its context:


To achieve the stated requirements of the HSE & Quality Policy, the AIT CAR RENTAL WITHOUT
DRIVER COMPANY SPC has established, documented, and implemented an integrated management
system, and continually improve its effectiveness in accordance with the requirements of ISO
9001:2015, ISO 14001:2015 and ISO 45001:2018 Standards.

4.3- Determining the scope of the Management System.


This Integrated Management System Manual specifies the requirements for Integrated
Management System (IMS) in AIT CAR RENTAL WITHOUT DRIVER COMPANY SPC The system has
been implemented to:
(a) Demonstrate the company’s ability to consistently provide Products & services that meets
customer and applicable statutory & regulatory requirements; and
(b) Enhance customer satisfaction through the effective application of the system, including
processes for continual improvement of the system and the assurance of conformity to customer
and applicable regulatory requirements.
The Scope Statement is given below, describing the activities covered under the IMS.

4.4 Integrated Management System and its processes


AIT CAR RENTAL WITHOUT DRIVER COMPANY SPC has established, documented, and implemented
an Integrated Management System “IMS” and shall continually improve its effectiveness in
accordance with the requirements of the International Standard ISO 9001:2015, ISO 14001:2015
and ISO 45001:2018. In order to establish and implement the IMS, AIT CAR RENTAL WITHOUT
DRIVER COMPANY SPC is committed to:

► determine the processes needed for the IMS;


► determining the sequence and interaction of these processes;
► determining the criteria and methods required to ensure the effective operation and control
► of these processes;
► ensuring the availability of resources and information necessary to support the operation
► and monitoring of these processes;
► monitoring, measuring where applicable, and analyzing these processes, and
► implementing action necessary to achieve planned results and continual improvement.

AIT CAR RENTAL WITHOUT DRIVER COMPANY SPC manages these processes in accordance with
the requirements of the International Standard ISO 9001:2015, ISO 14001:2015 and ISO
45001:2018.
Whenever and wherever AIT CAR RENTAL WITHOUT DRIVER COMPANY SPC chooses to outsource
any process that affects Service and Products & services conformity with requirements, AIT CAR
RENTAL WITH OUT DRIVER COMPANY SPC shall ensure control over such processes. The type and
extent of control of such outsourced processes shall be identified within the integrated
management system.

Note: Processes needed for the Integrated Management System referred to above shall include
processes for management activities, provision of resources, Service realization, measurement,
analysis and improvement

5. LEADERSHIP

5.1 Leadership and Commitment


5.1.1 Integrated Management System
AIT CAR RENTAL WITHOUT DRIVER COMPANY SPC’s senior management provides evidence of its
commitment to the development and continual improvement of the Integrated Management
System “IMS” by:

► communicating to all personnel within AIT CAR RENTAL WITHOUT DRIVER COMPANY SPC,
the importance of meeting customer
► as well as statutory and regulatory requirements.
► establishing HSE Policy.
► establishing IMS objectives.
► conducting regular management reviews.
► ensuring the availability of necessary resources.

5.1.2 Customer Focus


AIT CAR RENTAL WITHOUT DRIVER COMPANY SPC senior management ensures that customer
needs and expectations are determined and fulfilled with the aim of enhancing customer
satisfaction.
In all contract’s customer requirements have been defined and stipulated as contract terms. To
ensure ongoing customer satisfaction and to seek ways to further enhance customer satisfaction
AIT CAR RENTAL WITHOUT DRIVER COMPANY SPC has regular Meetings to discuss operational and
client related matters. AIT CAR RENTAL WITHOUT DRIVER COMPANY SPC has a system for the swift
and effective resolution of complaints. All complaints are recorded appropriate action is taken
immediately.

5.3 Organizational Roles, Responsibilities and Authorities


The senior management shall ensure that the responsibilities and authorities are defined and
communicated within the organization. All staff are informed by memo and/or in meetings when
changes to the organization structure or allocation of responsibility/authority has been changed.

8.1 Operational planning and control
8.1.1 General
AIT CAR RENTAL WITHOUT DRIVER COMPANY SPC plans and develops the processes needed for
Service realization. Planning of the realization processes is consistent with the other requirements
of the other processes of the Integrated Management System “IMS”.
Service realization refers to the processes required to deliver Products & services that meet
customer needs. In planning the Service realization processes AIT CAR RENTAL WITHOUT DRIVER

8.5.2 Identification and traceability


For identification and traceability, a unique code is used since the time of complaint received, till
the time it is closed. All documents are coded with same ref. no. (refer material receiving records,

• Service and maintenance


In this context the company takes full responsibility of the property. However, it also takes full
responsibility for the upkeep of customer equipment, intellectual property, and personal data
wherever necessary. This might include the identification, storage and handling of Products &
services and date, whilst in the possession or in use by the company. Any such data, Service or site
that is lost, damaged, or otherwise made unusable, that shall be identified, and the customer shall
be notified.

8.5.4 Preservation
AIT CAR RENTAL WITHOUT DRIVER COMPANY SPC shall preserve conformity of Service during
internal processing and delivery to the intended destination in order to maintain conformity to
requirements. As applicable, preservation shall include identification, site inspection, work
completion signed by customer.
8.5.5 Post-delivery activities
During work completion, all the Products & services done are presented to customer for his
acceptance. If any complaints received related to work done, site inspection is done. If minor repair
is required, it is done.
8.5.6 Control of changes
The senior management of AIT CAR RENTAL WITHOUT DRIVER COMPANY SPC ensures that:

• the planning of the IMS is carried out to meet the general requirements of the IMS as well
as the IMS objectives, and
• the integrity of the IMS is maintained when changes to the IMS are planned and
implemented.

8.6 Release of Products & services

where the resulting output cannot be verified by subsequent monitoring or measurement. This
includes any processes where deficiencies become apparent only after the Service is in use or the

8.7 Control of nonconforming outputs
AIT CAR RENTAL WITHOUT DRIVER COMPANY SPC ensures that Products & services which do not
conform to requirements are identified and controlled to prevent. The controls and related
responsibilities and authorities for dealing with nonconforming Products & services is of
maintenance coordinator and maintenance supervisor.
Where applicable, AIT CAR RENTAL WITHOUT DRIVER COMPANY SPC deals with nonconforming
Products & services by one or more of the following ways:

• By acting to eliminate the detected nonconformity.


• By authorizing its use, release, or acceptance under concession by a relevant authority and,
where applicable, by the customer.

nonconforming Service is detected after delivery or use has started.

When nonconforming Service is corrected it shall be subject to re-verification after correction to

9 Performance Evaluation
9.1 Monitoring, measurement, analysis, and evaluation
9.1.1 General
AIT CAR RENTAL WITHOUT DRIVER COMPANY SPC plans and implements the monitoring,
measurement, analysis, and improvement processes needed to:

• demonstrate conformity to Service requirements.


• ensure conformity of the Integrated Management System “IMS”; and
• continually improve the effectiveness of the IMS.

AIT CAR RENTAL WITHOUT DRIVER COMPANY SPC applies suitable methods for monitoring, and
where applicable, measurement of the IMS processes. These methods shall demonstrate the ability
of the processes to achieve planned results. When planned results are not achieved, correction and
corrective action shall be taken, as appropriate, to ensure conformity of the Service.
Operational procedures and relevant documented information generated at each level has been
identified to ensure monitoring methodologies are established and communicated.

obtaining and using this information have been determined and are under regular review in

and to ensure the IMS is effectively implemented and maintained.

The Quality Management Representative plans the audit Programmed taking into consideration the
status and importance of the processes and areas to be audited as well as the results of the previous
audits. The audit criteria, scope, frequency, and method are defined. Selection of auditors and
conduct of audits shall ensure objectivity and impartiality of the audit process.

9.3 Management review
9.3.1General
Top management of AIT CAR RENTAL WITHOUT DRIVER COMPANY SPC has reviewed the
organization’s integrated management system, at planned intervals, to ensure its continuing
suitability, adequacy, effectiveness, and alignment with the strategic direction of the organization.
Management review will be conducted once in a year to ensure continuing suitability &
effectiveness in satisfying the requirements of ISO 9001:2015, ISO 14001:2015 and ISO 45001:2018
and the stated HSE Policy and objectives.
The Management Review will include all elements of the entire IMS system as detailed in procedure
and schedule for the Management Review.

10.1 General

10.2.1 When nonconformity occurs, including any arising from complaints, AIT CAR RENTAL WITH
OUT DRIVER COMPANY SPC is All nonconformities relating to Service, process and IMS system are
investigated & the results are recorded. While investigating causes of non-conformances
& deciding corrective actions, the team identifies other Products & services / situations where same
or similar nonconformance can occur.
Corrective actions for nonconforming Products & services and processes, detected in the
organization are recorded; analyzed, reviewed and necessary actions are taken. The corrective
action measures are implemented, and their effectiveness is monitored.
Corrective actions are taken on customer complaints; by analyzing the causes of the complaints and
taking suitable action to prevent their reoccurrence.
The effectiveness of the identified corrective action is monitored through customer feedback and
the customers are kept aware of the corrective actions initiated, with each identified corrective
action.
