CHAPTER I

INTRODUCTION

Project Context

Record Management System is a record-keeping system companies use to track, store,


and organize their records. It manages records from creation until disposal, and it does
this to assist teams in information governance, regulatory compliance, and risk
management. This system is beneficial across various industries, but it’s most common in
healthcare, legal, finance, and public administration. (Indeed, 2022)

Record Management System is an important part of any business’s risk management and
compliance system. It helps ensure that businesses/organizations can accurately track and
archive transactions, events, and decisions, which they can easily retrieve to review or
investigate. Understanding what this system is and its benefits can help an organization
identify and resolve any issues in record management system and add more value to the
organization’s assets. (Indeed, 2022)

This project aims to develop a Record Management System for a church for the records
to be properly kept and easily track for reporting purposes, particularly at IFI Maigo
Parish in the Diocese of Tubod, Lanao del Norte. This system will turn the paper-based
system to computer-based system for tracking of records and can be used to store details
of the church’s donations, weddings, baptisms, burials, update details based on masses,
and other activities such as meetings, anniversaries, and seminars. This system will be
able to enter, store, manage, and retrieve data for future use such as reports and tracking
of transactions or records of the church.

Proper tracking of data or information is crucial for efficient access and retrieval,
maintaining accuracy and reliability, ensuring accountability and compliance, enabling
analysis and reporting, facilitating data governance, supporting data lifecycle
management, and promoting collaboration and knowledge sharing. (Brombuela et al,
2021)

Iglesia Filipina Independiente Record Management System is the digital system that
manages the organization’s records in digital file formats, and it is an offline-capable
web-based, which can be accessed even without internet connection. Unlike the paper
records systems, once damaged, it cannot be retrieved or fixed. The files in the electronic
system are intangible, which offers more protection against damage and accidents than
the paper records system.

Purpose and Description of the Project

IFI (Iglesia Filipina Independiente) also known as Philippine Independent Church,


or more popularly as the Aglipayans, after its founding leader and first supreme Bishop,
Gregorio Aglipay. The IFI emerged out of the intense nationalism that accompanied the
1898 Philippine revolt against the Spanish and the resulting strong anti-Spanish and anti-
friar sentiments directed against the Patronato real system that resulted in a church
dominated by Bishops and clerics appointed by the Spanish Crown. (Cabillas, 2002)

There are many churches of IFI in the Philippines and IFI Maigo Parish is one of
them. It was built on June 13, 1974, and there are 120 individuals. The church is located
at Purok 2, Poblacion, Maigo, Lanao del Norte. IFI Maigo Parish has 5 chapels, 3 sectors,
and 10 parish council members. Masses scheduled are every Sunday at 8:30 am,
conducted by our Parish Priest Revd. Fr. Jualito Badiang Araña. (Araña, 2023)

Bursar is the authorized person in the office who can access and manage all
church records of accounts, transactions, and all activities of the church.

Since the church was built, there is no proper Record Management for the records
to be properly kept and easily track such as church transactions such as donations,
expenses, weddings, burial, baptism, and other activities such for annual reporting. The
church is using the traditional way of keeping track of records which is the pen and paper
based. By implementing Record Management System in the IFI Maigo Parish office, the
bursar or clerk and authorized person will be able to record, retrieve, and manage the data
to keep track of the records of the church for reporting purposes. This system will be an
offline-capable web-based Record Management System. This will contribute to efficient
management, improve productivity within the church community, even in situations
where internet connectivity is limited or unavailable.

The church transactions are weddings, burials, baptisms, masses and other
activities such meetings, anniversaries, seminars, and other activities of the church.

Objectives of the Study

The specific goals or targets that the church wants to achieve through the
implementation and use of information technology and systems for managing and
processing information typically focuses on improving efficiency, effectiveness, and
overall management of the IFI Maigo Parish church-related activities and processes using
Record Management System. Here are the objectives of this study to enhance and
improve the tracking of record and to generate report of the church transaction:

• To design and create a Management Information System where data can


be stored and processed.
• To create a secure user login function
• To create a search function that will create, read, update, delete church
transactions such as Wedding, Baptism, Burial, Masses, and other
activities such as meetings, seminars and anniversaries.
• To create a search function that will retrieve data about the church
transaction.
• To generate reports that will show information such as monthly
transactions of the church.
• To reduce the transaction time for generating records of the church
activities.

The researcher aim to provide a system for efficient retrieval of IFI Maigo Parish Office
Transaction Records. These objectives will answer the issue on difficulties of manual
process in retrieving, storing of Church Transaction Records, and generating report of
Church Transactions. It will lessen the time consumption in transacting for generating
records in the IFI Maigo Parish Office. This study is to develop an offline capable web-
based system that enables user access to system even without internet network. The
IFIMP-RMS is projected to be completed within six months to one year.

Scope and Limitations of the Study

IFI Maigo Parish Record Management System (IFIMP-RMS) is a software solution to


help the church manage various administrative and operational tasks. While IFIMP-
RMS can offer several benefits, it also has certain scope and limitations.

Scope:

The study will be advised to input records upon the system deployment at the
Bursar’s discretion. The reason for this is that the older records are more difficult to
obtain compared to the most recent ones.

 The study is for the IFI Maigo Parish Church and will focus on data entry, storing,
managing, and retrieving data for future use such as reports and tracking of
transactions or records of the church.

 This project aims to develop a Record Management System for a church for the
records to be properly kept and easily track for reporting purposes, particularly at
IFI Maigo Parish in the Diocese of Tubod, Lanao del Norte.

 This system will turn the paper-based system to computer-based system for
tracking of records and can be used to store details of the church’s donations,
weddings, baptisms, burials, update details based on masses, and other activities
such as meetings, anniversaries, and seminars.

 This system will be able to enter, store, manage, and retrieve data for future use
such as reports and tracking of transactions or records of the church.

Limitations:

The system has its limitations, and it requires people to enter, store, and manage data
for the system to work. There might be ongoing costs for maintenance, upgrades,
technical support, and hardware resources like PC or laptop to use. For staff who are
not familiar with such systems, training is essential to ensure that people who are

authorized in the office can effectively navigate and utilize the system’s features.
Specifically, the following:

• This system will be an offline-capable web-based RMS.

• Unedited once inputted specifically the money/donations.

• Must double check before inputting data into the system.

• Only bursar or authorized person can add data for the church transaction.

• The church transactions are specifically for its features only (weddings,
burials, baptisms, masses and other activities such meetings, anniversaries,
and seminars).

• The database is in the local computer only.

Review of Related Literature

This chapter represents related studies and research that provides information
for the development of the study. The selected literature and studies sources offer
valuable insights into the different aspects of Record Management Systems, and it
includes concepts, technologies, understanding, practical implementation, and their
role in decision-making. Researcher can benefit from these resources to improve
their understanding and implementation of Record Management System in
organizational contexts.

A management information system (MIS) is a system for collecting, storing,


processing, organizing and analyzing business data and turning them into actionable
intelligence. The more complex a company's operations are, the more complex its
MIS is likely to be. MIS covers a wide range of technologies, processes, and practices
that are designed to effectively capture, store, retrieve, analyze, and utilize
information within an organization. (Indeed, 2022)

Management information systems (MIS) is a department within an enterprise


responsible for controlling the hardware and software systems that the organization
uses to make business-critical decisions. In addition to describing a department within
a company, the term "MIS" can also refer to a type of computer software that is used
to store, organize and analyze information. (Kernochan, 2023)

According to Mohiddin (2022), Management Information System (MIS) is an


organized approach to the study of the information needs of an organization’s
management at every level in making operational, tactical, and strategic decisions. Its
objective is to design and implement procedures, processes, and routines that provide
suitably detailed reports in an accurate, consistent, and timely manner. In a
management information system, modern, computerized systems, continuously gather
relevant data, both from inside and outside an organization. This data is processed,
integrated, and stored in a centralized database where it is constantly updated and
made available to all who have authority to access in, in a form that suits their
purpose.

reviewed Journal Vol. 21 by Awan and Khan (2016), it stated in their research that a
Management Information System (MIS) is a system provides information that
organizations need to manage themselves efficiently and effectively. MIS are

typically computer systems used for managing five primary components: hardware,
software, data (information for decision making), procedures (design, development
and documentation), and people (individuals, groups, or organizations). MIS are
distinct from other information systems; in that they are used to analyzed and
facilitate strategic and operational activities. MIS is commonly used to refer to the
study of how individuals, groups, and organizations evaluate, design, implement,
manage, and utilize systems to generate information to improve efficiency and
effectiveness of decision making, including systems termed decision support systems,
expert systems, and executive information systems.

Mohammed and Hu (2015), according to their research and studies, Management


Information Systems are formal systems for presenting management with timely and
suitable information necessary for decision making. The system gives information on
the past, and project future and on related developments inside and outside the
organization. It may be described as an integrated and organized system for collecting
relevant data, transforming it into correct information. The main purpose of MIS is to
“provide the right information to the right people at the right time”. The ideas of
management information systems were formed to counteract such inefficient
development and productive use of the computer. MIS concepts are crucial to
efficient computer use in organization.

Management Information Systems (MIS) is an organized diverse and automated


information system that is concerned with the process of gathering, storing, and
transferring relevant information to support the management operations in an
organization. MIS plays a vital role in not only collecting and managing information,
but also representing it in various formats useful for the management to make
important organizational decisions. (Mishra et al, 2015)

Database Management System (DBMS)

A Database Management System (DBMS) is a software application that enables users


to quickly construct, design, and edit databases in order to store, process, and analyze
data. A DBMS provides an interface or a tool for doing various tasks, such as creating

databases, putting data in them, updating data, creating database tables, and so on.
The DBMS also ensures the privacy and security of databases. It also maintains data
consistency when there are multiple users. It is a collection of tools that enable users
to create and manage databases. (Bhumika, 2022)

Business Process Management

Based on the article of Red Hat (2022), Business Process Management (BPM) is the
practice of modeling, analyzing, and optimizing end-to-end business process to help
meet your strategic business goals, such as the improvement of your customer
experience framework. A business process is a set of activities that help a business
reach a specific goal. Using BPM, an organization can evaluate their existing
processes to find ways to improve efficiency, reduce costs and errors, and support
digital transformation efforts. BPM is a continuous process that can lead to improved
business outcomes over time. With BPM, an organization can eliminate unnecessary
workflow management practices and optimize business operations in order to deliver
better products and services to their customer. According to their studies, BPM is not
a technology – it is a practice performed by people. However, BPM software an
automation technology – like Enterprise Resource Planning (ERP) and Data
Management tools – can be used to help implement identified process improvement.
BPM is the first step into widespread Business Process Automation. Automation
helps make businesses more efficient by using software to perform tasks in order to
reduce cost, complexity, and errors.

Information Technology

According to Gershon (2022), Information Technology (IT) is a broad professional


category covering functions including building communications networks,
safeguarding data and information, creating and administering databases, and
troubleshooting computer problems or mobile devices, or doing a range of other work
to ensure the efficiency and security of business information systems.

Hypertext Markup Language (HTML)

HTML is the markup language that we use to structure and give meaning to our web
content, for example defining paragraphs, headings, and data tales, or embedding
images and videos in the page. (Mozilla, 2023)

HTML5 as standard also introduces new methods for enabling a web site or web
application to function even without a network connection. Using the cache interface,
HTML5 gives your application advantages of using cache for offline browsing,
higher speed, reducing server load etc. AppCache (Application Cache) allows
applications to store data and programming code locally so that the web applications
can work as desktop applications. (Rajesh, et al, 2014)

Local Studies

Record Management System

The research article of Brombuela et al (2021), entitled “The Impact of Management


Information System on Teachers of an HEI in City of Malolos, Bulacan, Philippines”,
stated that the use of information technology in educational management has rapidly
increased due to its efficiency and effectiveness. In the initial stages of its
development, management information systems (MIS) main purpose and usage was
to improve the efficiency of school office activities. It was used to store student and
personal data. The most concern was being focused on data entry and collection,
rather than upon data transfer or analysis. The value of management information was
recognized during its integration stages. Overall review of literature highlighted
positive impact of MIS on school administration and management including better
accessibility to information, more efficient administration, higher utilization of school
resources, reduction in workload, better time management, and improvement in the
quality of reports.

Sosa (2017), according to his research entitled “Management Information Systems of


a Government Guarantee Financial Institution in the Philippines”, which defined from
different authors, Management Information System (MIS) is a formal method of
making available to management the accurate and timely information necessary to

facilitate the decision-making process and enables the organization’s planning,
control and operational functions to be carried out effectively. MIS is a business
system that provides past, and project information about a company and its
environment. MIS is a formalized computer system that can integrate data from
various sources to provide the information necessary for management decision-
making. MIS is a system relevant to managerial decisions for control and strategic
planning. MIS is the system that monitors and retrieves data from the environment,
captures data from transactions and operations within the firm, filters, organizes, and
selects data and represents them as information to managers and provides the means
for manager to generate information as desired.

According to his research, the author desirably characterized MIS as the following:

• An MIS supports the data processing functions of transaction handling and


record keeping.

• An MIS uses an integrated database and support a variety of functional areas.

• An MIS provides operational, tactical and strategic level managers with easy
access to timely information.

• An MIS is somewhat flexible and can be adapted to meet changing


information needs of the organization.

• An MIS caters to the information needs of all levels of management.

Synthesis

Record Management System

This chapter reviewed related literature based on the study of the IFI Maigo Parish
Management Information Systems. The study reviewed the overview of information
management systems, overview of management information systems from different
sources, role of information management systems, and the benefits of management
information systems from different authors.

The selected literature and studies could offer valuable insights into the different
aspects of Information Management Systems, and it includes concepts, technologies,
understanding, practical implementation, and their role in decision-making. These
studies could provide a very important tools and complete guidance for IFI Maigo
Parish Management Information Systems to have the ability to work efficiently and
effectively. It is important to ensure that data stored on the client side is always valid,
secure, and up to date for the accurate data retrieval.

Kernochan, et al (2023) states that Management information systems (MIS) is a


department within an enterprise responsible for controlling the hardware and software
systems that the organization uses to make business-critical decisions. In addition to

The IFI Maigo Parish Management Information System is an upgrade from the
traditional Information Management. This system upgrade is essential for the IFI
Maigo Parish Office to increase productivity and enhance the business process,
especially in generating reports and tracking transactions or records of the church.
Retrieval of information from the database will be fast and easy compared to the

manual system. Fast and easy when database is implemented, whereas paper files are
vulnerable to displacement and damage.

The reasons why the IFI Maigo Parish should adopt IFI Maigo Parish Management
Information System as vital tool to complete work processes because this system
could allow documents to be saved, modified, duplicated, stored, and transmitted
electronically. This system will contribute to efficient management, improve
productivity within the church community, even in situations where internet
connectivity is limited or unavailable.

CHAPTER III

TECHNICAL BACKGROUND

Overview of Current Technologies to be Used in the System

The IFI Maigo Parish Management Information Systems is an upgrade from


the traditional management system. It is an application with the ability to securely
access records of the church instantly and provides convenience to church members.
It helps the church operate more effectively and serve its community more efficiently.

With the goal of transforming the traditional record management system into
digital and computerized, the researcher can implement the procedure and ensure that
the program has proper components, functions, and ability that can maintain and
improve the record management system and the business process of the church.

IFI Maigo Parish Record Management System is vital tool to complete work
processes because this system could allow documents to be saved, modified,
duplicated, stored, and transmitted electronically. This system will contribute to
efficient management, improve productivity within the church community, even in
situations where internet connectivity is limited or unavailable.

By implementing computerized and digitalized Record Management System,


the church can streamline record tracking, improve data accuracy, generate reports
efficiently, and facilitate collaboration in the monthly or annual reporting process of
IFI Maigo Parish Office.

Hardware

The following are the hardware requirements that the researcher will have to utilize in
the system development, based on specifications of the computer unit that used at the
IFI Maigo Parish Office:

 Processor: 11th Gen Intel® Core™ i3-1115G4 @ 3.00GHz (4 CPUs),


~3.0GHz

 Hard Disk Drive free space: at least 2GB

 Memory (RAM): 8.00 GB

Software

The following are the software resources that the researcher will utilize in developing
the program and the user interface:

 Operating Systems: Windows 11 Home Single Language 64-bit (10.0, build


22621)

 CSS – Cascading Style Sheets is a stylesheet language used to describe the


presentation of a document written in HTML or XML (including XML
dialects such as SGV, MathML or XHTML). CSS describes how elements
should be rendered on screen, paper, in speech, or on other media. (Mozilla,
2023)

 MySQL – Structure Query Language is a programming language for storing


and processing information in a relational database. A relational database
stores information in tabular form, with rows and columns representing
different data attributes and the various relationships between data values.
SQL statements can use to store, update, remove, search, and retrieve
information from the database. SQL can also use to maintain and optimize

database performance. (Amazon, 2023)

 phpMyAdmin – is a database management tool for MySQL compatible


databases. It is a free and an open-source website software package written in
PHP intended to handle the administration of a database in a web browser.
Frequently used operations (managing databases, tables, columns, relations,
indexes, users, permissions, and so on) can be performed via the user interface
in addition to having the ability to directly execute any SQL statement.
(DreamHost, 2023)

 JavaScript – is a scripting language that enables you to create dynamically


updating content, control multimedia, animate images, and pretty much
everything else. (Mozilla, 2023)

 Sublime Text – it is called as a “sophisticated text editor for code, markup,


and prose.” Originally released over a decade ago in January 2008. Sublime
text is now in its fourth major version and support Mac, Windows, and Linux.
(Kinsta, 2023)

 XAMPP – is a cross-platform web server that is free and open-source. It is a


short form for Cross-Platform, Apache, MySQL, PHP, ns Perl. It is a popular
cross- web server that allows programmers to write and test their code on a
local webserver. (Educba, 2023)

 Microsoft SQL Server Management Studio 18 – is an integrated environment


for managing any SQL infrastructure, from SQL Server to Azure SQL
Database. SSMS provides tools to configure, monitor, and administer

CHAPTER IV

METHODOLOGY, RESULTS, AND DISCUSSION

Requirements Analysis

The researcher conducted an interview, collected sample of the church transactions


information sheet, and observed the bursar’s flow of work from the processing to the
generating of report of the church transactions record. The researcher observed how
difficult it is for the bursar to locate the record of the church from the record books.
The bursar confirmed that manual transaction particularly locating records of church
transactions for reporting is time consuming considering that the lists in the record
books were not well arranged and difficult to find.

The IFI Maigo Parish Office current method of accessing, processing, and retrieving
transaction records practices the use of pen-and paper. The goal of the researcher is to
improve the procedure of processing, accessing, and retrieving information of the
church transactions through the proposed IFI Maigo Parish Record Management
System (IFIMP-RMS). The system will improve the procedures of managing the
records of the wedding, baptism, burial, masses, and other activities such as meetings,
seminars, and anniversaries in IFI Maigo Parish Office.

The following is the legend to help identify the meaning of the symbols used in the
flowcharts; it is followed by the flowchart showing the traditional business process
procedures:

The IFI Maigo Parish office traditional business process model in processing the
church transactions such as wedding, baptism, burial, masses, and other activities
such as meetings, anniversaries, seminars start when a client requests a report. The
bursar will then search the information of transactions record in the record books,
which takes about 3 hours. It the transaction is not found but the client has evidence
of the transaction has been made in the Parish, the client is allowed to fill-out the
missing transaction to include that transaction in the record book. This process takes

30-35 minutes. If transactions are found but the bursar is not sure if which transaction
the client needs, she should get back to the client which transactions he/she needs for
the report (monthly or yearly). The request is then confirmed and corrected, and
added to the record books. This process takes 20-25 minutes to complete. If the
client’s request is found without any correction, and missing transaction, the bursar is
then proceed to type the transactions in the report and ready for reporting, which
could take about 30 minutes. The estimated total transaction time takes 4-5 hours.

Requirements Documentation

He researcher developed a system to enhance the existing manual process of IFI


Maigo Parish Office in terms of processing, accessing , and retrieving of the church
transactions. It is mutually agreed between the researcher and the bursar that IFIMP-
RMS will be offline web-based record management system that will have the
following function - add, view, edit, and delete records.

The figures below are the images of the individual functions of IFI Maigo Parish
Record Management System:

Login - This functionality is for user authentication purposes. The user must be
registered in the system to be able to login and operate the Record Management
System.
